Chapter 1

Introduction
Technology including everything from physical devices to information technology
networks has a deeply transformative influence on the modern world and economy. From
changing consumer preferences to reshaping the way businesses produce and market goods,
technology can be seen even in the smallest details of day-to-day business operations, increasing
the productivity of workers and investments, accelerating economic activity, promoting
interdependence between industries and allowing for the continual deployment of new
technologies and also creating new business risks.
Through process improvement, developing worker skills and product development,
technology tends to increase productivity in business operations. While the exact size of that
improvement is still a matter of academic debate, technologies like email make communication
about business operations considerably faster and easier, increasing the overall productivity of
workers. Technologies like online customers service and customer support pages also reduce the
need for personal attention and increase the productivity of investments in these areas without
sacrificing customer experience.

1.1 Background of the study


Today, computer has become a part of life. But not all company use high technology.
Like in some Stores, their daily transactions, inventories and record of sales are still done on
paper. Now modern stores are operating at great pace striving to serve as many customers as
possible with the best of their abilities. But as the years goes by, the number of customers has
grown and various cases arise that the manual method of managing customers transactions,
inventories and updating sales, is no longer practical.
Sales and inventory systems track purchases, incoming shipments, stored inventory and
sales transactions throughout an organization. Sales and inventory systems can be as simple as a
pen-and-paper system, or as complex as an enterprise software package connecting accounting
databases, inventory information and point-of-sale terminals across several continents. No matter
the scale, business owners deploy these systems to accomplish a number of general objectives.
Understanding the objectives served by these systems can help you design and implement the
ideal system for your business.
The Shashejoy Store (Formerly Zebstore) was established on February 6, 2005. Founder
is Marry Ann M. Cambay. Located in Marcos Ave., Alaminos City, Pangasinan. Its a Wholesale
and Retail company.
Shashejoy Store has to complete separate record-keeping processes for the income and
the inventory change. It takes lots of time and effort and trouble in numbers of transactions and
prices.

Try to insert this Since then, the proponents begin to create an Automated Sales and
Inventory System that will help the Shashe joy Store..

1.2.1 General Objectives


The general objective of this study is to develop a computerized sales and
inventory system for Shashejoy Store that will serve as proposal to help in managing the
pharmacy easily and has less effort by updating the inventory automatically.
1.2.2 Specific Objective
1. Provide real-time sales data.
Proponents will make a system has ability to records every sales or
transaction met and would ensure accuracy and speed in recording sales
transactions.
2. Develop a system that easily generates reports to user queries.
Proponents will make a system has the ability to provide recipe where you
can see outputs of the calculation of their bills.
3. Create a database that would organize necessary details pertaining to sales.
Proponents will make a system has the ability to access of real-time
information.

System.
1.3 Significance of the Study

With the implementation of the Sales and Inventory System of Shashejoy Store will be
able to closely monitor its inventory and sales flows, accurate and updated reports, systematic
record keeping and other intangible advancement thus providing quality service to its clients.

The findings of this study will be beneficial to the following:


The Management of Shashejoy Store. Data and sales analysis can be performed with
the access of real-time information. Thus, the management will be able to make better decisions
and plan accordingly.
The Clerk of Shashejoy Store. The over-all system is very advantageous in increasing
the productivity of the clerk. He or she would not have to manually write them on paper. The
system would ensure accuracy and speed in recording sales transactions.
The Customers of Shashejoy Store. The system would also be beneficial to the
customers since it makes reliable outputs of the calculation of their bills. Customers would be
served better and faster by the clerk.

1.4 Scope and Limitation of the Study


Scope

The proposed study is limited to keeping track of sales of Shashejoy Store. It is


concerned with reports relevant for the management to make timely decisions and justifiable
assessment of the business. Reports which present labor auditing are not anymore within the
scope of the study.
The system focuses on the following:

All records and files about stock and ordering are computerized and stored at the
database.

The system has a secure log-in for owner and authorized staff.

Managing inventories is also integrated transactions.

Reminds the user about the stocks and expirations.

Update inventories in each order.

Changing users information can be edited.

Limitation
The limitations of the study include not involving the probability that customers
would carry out credit card transactions. Also, credit is not viable to customers who directly
place orders in the center.
The boundaries of the study define as the following:

Only Authorized personnel will be allowed to use the system.

Changing users information can be edited by the administrator.

Only the administrator can delete items from the inventory list.

The system will not allow deleting of items unless it is expired or has null stock.

Methodology of the study


The proponents applied the RAD or Rapid Application Development method in the study
in order to have an organized output of the proponents study.
Prototyping
The prototyping methodology performs the analysis, design, and implementation phases
concurrently, and all three phases are performed repeatedly in a cycle until the system is
completed.

In this case, the users of the system are an active participant of the system

development process. The prototype is handed to the users for testing and to provide comments;
which are the reanalyzed and redesigned, and a second prototype is developed. The process
continues in a cycle until the users and developers agree to a final system.
Requirements Planning

The Requirements Planning stage consists of a review of the areas immediately


associated with the proposed system. This review produces a broad definition of the system
requirements in terms of the functions the system will support. The deliverables from the
Requirements Planning stage include an outline system area model (entity and process
models) of the area under study, a definition of the system's scope, and a cost justification for
the new system

User Design

The User Design stage consists of a detailed analysis of the business activities related to
the proposed system. Key users, meeting in workshops, decompose business functions and
define entity types associated with the system. They complete the analysis by creating action
diagrams defining the interactions between processes and data. Following the analysis, the
design of the system is outlined. System procedures are designed, and preliminary layouts of
screens are developed. Prototypes of critical procedures are built and reviewed. A plan for
implementing the system is prepared.
Construction

In the Construction stage, a small team of developers, working directly with users,
finalizes the design and builds the system. The software construction process consists of a
series of "design-and-build" steps in which the users have the opportunity to fine-tune the
requirements and review the resulting software implementation. This stage also includes
preparing for the cutover to production. In addition to the tested software, Construction stage
deliverables include documentation and instructions necessary to operate the new
application, and routines and procedures needed to put the system into operation.
Implementation

The implementation stage involves implementing the new system and managing the
change from the old system environment to the new one. This may include implementing
bridges between existing and new systems, converting data, and training users. User
acceptance is the end point of the implementation stage.

4.1 Company Background

4.2 Description of the System
A sales and inventory system is an automated system used to track sales activity and
inventory. Can improve accuracy, reduce inventory and predict demand, and to save the company
money and increase its profits.
Sales and inventory systems can determine what customers buy and when they buy it to
analyze what customers are most likely to buy at different times. One of the goals of sales and
inventory system is to acquire just enough of each item just before it is needed.
