The Company
Tetra Pak began in the early 1950s as one of the first packaging
companies for liquid milk. Since then, it has become one of the world's
largest suppliers of packaging systems for milk, fruit juices and drinks,
and many other products.
In 1991, Tetra Pak expanded into liquid food processing equipment,
plant engineering, and cheese manufacturing equipment. Today, it is
the only international company in the world able to provide integrated
processing, packaging, and distribution line and plant solutions for
food manufacturing.

Solution
In Southern Africa, Tetra Pak are leaders within their vertical market
segment. They are able to achieve this status by continually striving to
improve the products and the efficiencies that drive their business.
One such area is the Authorities Routine a complex set of business
logic that is applied to any internal expenditure (including procurement,
CAPEX, and travel). These authorities are dictated by (but not limited
to) roles within the company, account codes, departments, cost
centres, project budgets, funding required, and various others. The
critical factor is that a manual, paper-based system is extremely
difficult to implement, enforce, utilize, and monitor, and often costs the
company large amounts of money due to unauthorised spending. The
complexities of the process also resulted in unnecessary time delays.
Tetra Pak turned to K2Workflow (and the K2.net software), along with
Pentaco Solutions as the development partner, to translate the
Authorities Routines into electronic business logic, as well as remove
the human error factor from the authorisation process flow. The
solution was also to highlight any anomalies which may exist in any
flow, as well as provide an audit trail of past and present user
requests.
We reached a stage where our business was suffering due to both
unauthorised spending, as well as the time it was taking to get
requisitions signed off. This was largely due to the difficulties in
understanding who exactly was able to approve spending when it is
based on ever-changing criteria. We turned to Pentaco to assist us in
finding such a solution that, for the users, was easy to adopt, but still
provided the efficiencies we needed. We look forward to expanding
this solution into Africa.

Benefits

As Tetra Pak is a Microsoft House, no change in technology

or infrastructure was necessary to accommodate the K2.net
workflow software.

A 20-working hour automatic, electronic escalation on each

approval activity within the business flows ensure that timely
decisions are made.

Complete reporting on every activity within an approval

process allows staff to manage by exception rather than
spend time on the areas that do not require attention.

Unauthorised spending due to individuals not complying to

company protocol has been eliminated

The bigger picture

The benefits of K2.net as a product are many, and can be found at
www.k2workflow.com.
The focus is to find ways of using these benefits to improve existing
scenarios within the South African market place. Electronic Process
Automation Solutions are only beneficial when a true Return on
Investment can be measured, and more importantly, actually
experienced by all staff concerned.
