PREPARATION CHECKLIST
RESEARCHING YOUR ORGANISATION

Research your host organisation (tips to assist in your research are provided in PrePlace)
What is/are the strategic goals/vision for your host organisation?
Where is it located? Does it have more than one site? Is it part of a network of like
organisations? Where is its Head Office?
How many employees are there? How many at the site where you will be placed?
What is its organisational structure? Is an organisational chart available?
Have they had WIL placements previously? Can you talk with students who have been
there previously?
Who is your host organisation supervisor? Where are they located? What are their contact
details? Who is an alternative contact in their absence? What are the contact details for the
alternative contact?
Write contact details above and store them on your mobile phone and in
wallet/purse.
You may be directed/required to speak with your host organisation supervisor before
commencing the WIL placement. The research youve already undertaken will assist with this
conversation and enable you to ask informed questions. For many of you this will be the first
introduction to your host organisation supervisor and them to you, its important to make a good
impression, therefore:
Get some paper and a pen (make sure it works);
Have with you your list of questions (generated when researching your host
organisation) and find a quiet and comfortable place where you wont be interrupted;
Speak clearly, dont rush what youre saying or asking; introduce yourself (hello, my
name is), state the reason for your call (Ive been given your contact details
regarding my placement at XX due to start in XX), you may want to refer to you
University supervisor by name (the Host Organisation supervisor is likely to have met
your University supervisor);
Remember this is a formal conversation with a potential future employer, they are not
your friend or family dont make a joke, place them on hold, use slang, swear or cut
them off in the middle of a sentence, listen to what you are being told and take notes of
important information;
Be prepared to explain what you want to achieve on placement (and/or why you are
interested in working in that particular organisation/industry/profession;
Be prepared to clarify and provide a reason for your question(s);
If unsure about the information received ask for clarification (it shows that you are
listening and keen to understand);
PREPARATION

If youre nervous or unsure you may want to rehearse (role-play) the phone call and conversation
with a friend before ringing.
Be prepared to leave a message if you dont get through to your contact person and then be
prepared for a return phone call by answering the phone appropriately or alternative asks for a
convenient time to call back.

Confirm commencement details (check InPlace for these details):

transport is there a staff car-park that you can use?
dress code what dress code/standard applies in the organisation? Is personal protective
clothing required and are you expected to provide it?
preparation are you expected to have read or prepared something before starting your
placement?
breaks What do people do for lunch? Are refreshments such as coffee provided and if so
do you need to contribute towards the cost? (some workplaces have systems such as
rosters for people to provide cakes/food on special occasions, others have an account that
all staff contribute to that is used to provide tea/coffee/milk/etc. the key message is do
not assume that you will be provided with anything at the workplace, you may find that the
host organization requires employees and WIL students to provide for all of their
dietary/refreshment needs including the provision of cups, plates, etc.)
Appearance - whether we like it or not an impression is created by personal appearance. Refer
to PrePlace for advice on this section.
Clothing do you have sufficient clothes, shoes, etc. for the placement (you dont need to
have a new piece of clothing for each day but you do need to be prepared)
Hair is your hair neatly trimmed, tied back, compliant with safety/health requirements that
may exist in your workplace.
