Meeting Minutes

OFAD Meeting
Durham College, Whitby Campus
February 28, 2017 10:30 a.m.

The meeting was called to order by Alannah States at 10:30 a.m.

Approval of Minutes
The minutes were read from the January meeting and approved by all members.
Document Creation
Meeting started with the discussion of the creation of Memos. Memos should always
include four headings, To, From, Date and Subject. Each heading must be all uppercase
and bolded. Memos are used for interoffice communication and should be clear and
concise. There is no formal salutation or closing included.
Professional Attire in the Workplace
The committee discussed and reviewed the company dress code. It was explained that
if employees can not locate the dress code in the future, the best way to determine
appropriate clothing would be to ask fellow employees for examples or to observe co-
workers attire to gain insight into what is appropriate or not. Dress to impress, a too
causal outfit will reflect a dont care attitude. The committee discussed avoiding the
terrible TOOs, employees should avoid clothing that is too tight, too short or too low cut.
Keeping clothes neutral is best; employees should avoid flashy colors and accessories,
as they can be distracting.
Creating and E-Portfolio
The committee discussed the importance of having an online portfolio, otherwise known
as an E-Portfolio. The E-Portfolio is used to collect, reflect, assess, and share
achievements related to the Essential Employability Skills (EES). The portfolio reflects
the six EES categories, which are: Communication, Numeracy, Critical Thinking and
Problem Solving, Information Management, Interpersonal and Personal Skills. An E-
Portfolio is a work in progress, as it changes over time and requires constant updating
to remain relevant and stay up to date. An E-Portfolio should be shared with peers and
prospective employers.
Academic Integrity/ Honesty
The committees last topic of discussion, before closing comments, was about the
importance of academic integrity and honesty. The basis of this topic is to ensure
persons do not copy, share, or steal another persons work without giving them due
credit. Please ensure to source and cite all information taken from someone or
somewhere else. The committee discussed the definition of Academic integrity/honesty
as: Scholarly activity in an open, honest, and responsible manner. It is the moral code of
academia. The reason behind the importance of this topic is because it is an efficient
way to generate credibility and trust within the academic community.
Discussion and Approval
The committee discussed all scheduled topics and concluded that there were no further
questions regarding the topics discussed in todays meeting. No further action is
required for the topics discussed.

Motion to adjourn was made at 11:30 a.m. and was passed by all committee members.
