ROLES & RESPONSIBILTY OF TENDER CORDINATOR:

1) Reviewing the client's Invitation to Tender (ITT).


2) Coordinating & collecting of Document from Client.

3) Coordinating with Accounts Team for the Tender Fees.

4) Reading of the Tender document and planning of the bid submission as per client timeline in
co-ordination with sales team.

5) Distribution of Document to relevant departments and holding Meeting.


6) Collate, prepare and coordinating of all required internal meetings in accordance with the
tendering process.

7) Ensure that all inputs are received in a timely manner from support functions including but
not limited to finance, tax, insurance, legal, QHSE, compliance and Accounts.

8) Compile and manage all pricing documentation and any other associated documentation
required in line with the tendering process.
9) Compile and manage all pre and post tender Client clarifications in relation to the tender
submission.
10) Liaise with other departments to ensure all documentation required is contained within the
tender submission.
11) Highlight any major commercial, contractual or financial risks or issues relating to the tender
submission within the potential.
12) Compile and manage all commercial and contractual qualifications for the tender
submission.
13) Compilation of the tender document.

14) Attend and participate in Client negotiation meetings as/if required and prepare and distribute
minutes accordingly.
15) Review, execute and distribute all contractual documentation as required including obtaining
all necessary approvals in line with the authorization matrix.
16) Assisting accounts team for any project bonds, guarantees and insurances required by main
contract.
17) Ensure proper handover of all relevant commercial and contractual documents between
departments.
18) Ad-hoc duties as deemed required by the Management.
19) Ensure proper handover of all tender documents between from Tendering to project team in
the event of Contract Award.
20) Highlighting any major commercial or contractual risks or issues to the relevant
Commercial/Project Managers and work with them to ensure optimum solution
21) Maintain accurate records and files of all the tenders and contracts data.
