EXECUTIVE SUMMARY

This tender submission was prepared by a contractor from Ccube containing the
requirements presented by the designing company, Behind The Wheel (BTW), which acts on
behalf of the main client, EMPACT. The main purpose of this submission is to provide
evidence to the BTW company that contractors from Ccube fully understand the design and
construction methods provided regarding the completion of the prototype. This tender
submission will be able to prove the potentials and abilities of contractors from Ccube to
ensure BTWs reliance in the company to successfully and perfectly construct the Mars
Landers model designed.

Ccubes contractors can be considered favorable to BTW as our company had efficiently
fulfilled the tender evaluation criterion proposed accompanied with valid and well-
grounded evidences. One of the requirement stated by the designers include
professionalism throughout the work. The contractors from Ccube possess that criteria as
our contractors are willing to listen and accept suggestions and ideas delivered by others.
Hence, the team dynamics included in weekly progress report acts as a proof that there had
been minimal issues throughout our EFPC meetings. Other than that, our company should
be placed in consideration as our contractors prioritize time management skills. This is to
ensure that the construction process can be accomplished within the time frame set. A
detailed Gantt Chart of the construction stage was prepared to show that our company
have arranged an activity schedule to set a timeline on completing the model on time.
Furthermore, our contractors are also capable to handle and overcome unexpected future
problems as there is a strong cooperative spirit among our contractors. Next, early
preparations and acquirement of basic skills are made to increase efficiency in the
construction process.

Besides, our company is suitable as our members communicate well and able to speak
English fluently. This enables messages and explanation to be delivered clearly and
unambiguously. Mutual understanding between the contractor and designer can be
achieved and this prevents miscommunications and conflicts from happening. Lastly, Ccube
had also analyzed the mechanism of the mars lander with full understanding. Our
contractors worked together to figure out some future concerns regarding the design done
by BTW and successfully came up with effective solutions to enhance the design.

The first concern came up by the contractors is that the space for the bottle might be too
big and therefore affecting the immobility of bottle. The bottle compartment might not be
firm and leads to the movement of bottle which will cause unexpected force to the Mars
Lander during motion. This will eventually lead to the damage of the Mars Lander. Thus, we
suggested the idea of placement of velcro tape or cable tie to secure the bottle in its
position. The second concern is that the estimation for the size of egg holder might be
inaccurate as the egg will only be provided during the final stage. Hence, we recommend to
cramp the inner compartment of the egg holder with sponge so that the prototype can hold
the egg and also act as an impact cushion to prevent breakage of egg. The third concern is
that aluminum cans might be not strong enough to withstand the impact force when
landing on the ground. Hence, it is suggested to add some sponge around the body of the
prototype.

In conclusion, contractors from Ccube have fulfilled the tender criterion listed out by BTW
company. This tender submission contains sufficient and strong evidences that can satisfy
the requirements demanded by the designing company. Thus, our company will be looking
forward to collaborate with BTW in order to construct the Mars Landers designed within the
time frame assigned.

1.0 Introduction
This tender submission was prepared by Ccube and will be submitted to BTW regarding the
construction of Mars Lander designed by designers from BTW. This report was completed by Low Zi
Chin, a contractor from Ccube in response to the requirements and criteria demanded by designing
company, BTW. All the credible evidences are attached in the appendices to support and clarify the
ability of contractors from Ccube.

2.0 Design Package Review


The Design Package provided by Group 7A with company name Behind the Wheel has been
reviewed and analyzed by contractors from Group 1B, Ccube Company. Contractors from Ccube
Company have performed the reviews in order to complete and understanding the BTW design
deeply.

2.1Understanding of Design

Based on the Mars Rover design above, the body of the Mars Rover is basically built by ten aluminum tins. The
aluminum sheet will be linked and combined together using hot glue. Twelve bottle caps were required to the
construct the six wheels of prototype. Each bottle caps will be drilled with a one centimetre hole at the middle
of to allow the pencil to go through. Therefore, the complete prototype will have three wheels on both its
sides. The circular hole which acts as an egg holder is located in front of the bottle holder. The diameter for the
egg holder is set to two centimetre. The bottle will be put inside the bottle holder which represents the
payload. The bottle holder will be covered with a container cover to prevent the bottle from falling over when
the prototype is moving. There will be three holes which are one centimetre in diameter on each side of the
body to act as a gap to insert the three pencils which act as the axle. The bottle will then be placed above the
axles.

2.2 Client Brief Compliance


2.2.1 Conceptual Constraints
Based on the EMPACT client brief on the aspect of conceptual constraints, the prototype needs to be
able to travel in straight pathway for 2 meters without any human guidance followed by a slope
which is not less than 30 degrees or greater than 45 degrees and then lastly, a vertical drop of 1
meter. Moreover, the wheels of the Mars Lander must be the first to land on the ground.

The prototype is aimed to carry a 600ml mineral water bottle and a 70-gram uncooked egg which
represent a human astronaut and a payload. The egg and the water bottle must be easily accessed
without any complex assembly.

The design of BTW which consists of six wheels rolling on the path allows the prototype to finish its
motion on its wheels. The prototype also consists of an egg holder and a bottle holder which is able
to carry the uncooked egg and water bottle.


2.2.2 Dimensional Constraints
Regarding the EMPACT Mars Lander Design Requirement on the dimensional constraints, the overall
dimension of the Mars Lander must be able to fit within an A3 sheet of paper (420 mm x 297 mm)
with a height which does not exceed 210mm. The prototype is not allowed to have any portion of
the assembly overhanging the boundary. The client also requires it to have at least two axles on it.

Based on the design by Behind the Wheel, it had fulfilled all the dimensional constraints. The
dimension of the Mars Lander designed by BTW is 300mm x 160mm with a height of 170mm which
size is within an A3 sheet paper. Furthermore, the prototype has three axles which exceeds the
clients minimum requirement.

2.2.3 Material Constraints
Based on the client brief, it sets out that the overall cost of material should not exceed RM30 and
the 3D costing must be less than 25 percent of the theoretical prototype cost. Besides, recycled
materials was encouraged to be used which its cost will be accounted 50 percent to the original cost.

According to the design by BTW , it is mostly built up using recycled material such as aluminum cans,
bottle caps and pencils. The high level usage of recycled material leads to a low cost project and
eventually results in a high performance level. The total cost for constructing the Mars Lander that is
designed by BTW is RM10.30.

2.2.4 Impact and Cushioning Constraint

With reference to the EMPACT client brief, the Mars Lander must be designed to move down the
slope and throughout the whole testing unaided. Moreover, the prototype must be standing on its 6
wheels when in contact with the ground by the end of the testing. The Mars Lander designed by
BTW requires no manual control on it and should be strong enough to withstand the impact force
which prevents damage towards the cargo.

2.3 Concern and Solutions


Regarding to the design of Mars Lander by Behind the Wheel, Ccube has 3 concerns and came
up with few effective solutions to overcome them. The first concern is that the bottle is not properly
secured and fixed within the bottle compartment. If the placement is not firm, it might have an
unexpected movement and this creates some force to the body of Mars Landers when it is moving.
This will then cause damage to the body of Mars Lander. Thus, it is suggested that the bottle should
be secured with cable ties or Velcro tapes to prevent it from rolling during motion.
The second concern is that the estimation for the size of egg holder might be inaccurate as the
egg is only provided on the final stage. Besides, as egg holder is located right in front of the prototype,
the egg might have to overcome excessive impact force when the Mars Lander lands on the ground
and this might result in breakage. Hence, we recommend to insert some sponge to the inner walls of
the egg holder so that the prototype can hold the egg and also act as an impact cushion to prevent
the egg from breaking.
The third concern is about the material of the Mars Rover. Although aluminum is a good choice
of material being a recycled material, it might be too malleable and unable to withstand the impact
force during landing. Thus, our contractors provide suggestions to add some sponge in front of the
prototype as a bumper to reduce the impact caused towards the body of the prototype. Moreover,
the sponge can also be cramped into the inner part of the bottle compartment to support the body of
the Mars Lander.

























3.0 Tender Evaluation Criteria


The descriptions of criteria listed below were obtained from the Design Package designed by
the designing company, Behind The Wheel.


3.1 Professionalism
Description of criteria:
Professionalism is a highly esteemed aspect to be possessed most companies,
teams and individuals as it demonstrates excellency in terms of attitude as
well as character of the respective teams or individuals towards the project
or tasks assigned. This would develop and encourage mutual trust between
designers and contractors as well as confidence of the client towards the
service provider. Certain aspects contributing towards professionalism of
an individual or a team is to be able to manage their responsibilities and
adapt to various circumstances without the influence of emotions and
personal agendas.

Addressing the criteria:


In this criteria, professionalism is one of the key that leads to the success of the project. This is to
ensure that every member have played their role in conducting their own tasks. Contractors from
Ccube had finished their assigned duty before the due date. This can be proven by the Weekly
Progress Reports and Minutes of Meetings. Weekly Progress Report shows that all of the tasks are
equally distributed among the members and all the tasks are being done within the appointed
deadline. WPR of Ccube company from Stage One and Stage Two are provided in Appendix A
section. Meanwhile, Minutes of Meetings of the two stages are attached in Appendix B as a proof
that our contractors are always well-prepared and able to attend both unofficial and scheduled
meetings.

3.2 Time management and punctuality


Well managed time proves to be a valuable asset which could well be the
major contribution towards the success of any project. Proper planning of
time-line and activity plan enables all members of a team to be attentive
and diligent towards the accomplishment of their respective tasks.
Excellent time management also ensures the production of a quality
product due to the organize working approach.
Addressing the criteria:
For this criteria, time management and punctuality are the important traits in a person to make sure
products constructed are of high quality and completed within the given time frame. Contractors
from Ccube possesses excellent time management skills and always punctual. Our staffs are able to
attend every scheduled impromptu meetings on time. This can be proven by Minute of Meetings
which are provided in Appendix B proving that all the members successfully attend all the meetings
without late arrivals. Besides, our contractors who attended the first meeting with designers from
Behind the Wheel had arrived earlier than arranged time which also shows that our contractors are
punctual during the meeting.

Our company have also designed a Gantt Chart for the construction stage to show that all the tasks
are being well-organized in schedules to enable the project to be accomplished before the deadline.
The Gantt Chart also proves that our contractor team are able to finish the construction of the Mars
Lander one week before the finishing date. The Gantt Chart provided in Appendix C shows that all
the tasks are assigned equally and the end date of each task had been mentioned.

3.3 Experience

The quality of being sophisticated and experienced enables the contractors
to be able handle obstacles as well as unforeseen circumstances with
confidence based on their knowledge, understanding and skills related to
the respective subject or construction. This also ensures efficiency and
effectiveness when carrying out their respective tasks. Experience
contractors are able to identify even the minor problems and errors of the
project as they accustomed to be attentive to details.

Addressing the criteria:


Experience in construction is needed in every project as project can be done smoothly and
systematically which ensures that the project can be done on time. Our contractors have
constructed an unaided boat in their Foundation year which shows that they have experience in
constructing a boat. The picture in Appendix D proves that one of our contractor, Wister Lim has
experience in handling a project. In the previous project, he was in charge of cutting the aluminum
into different dimensions. This skill adds to his advantage and enables the construction of Mars
Lander to be more efficient and easy.

Moreover, in Appendix E, one of our contractors, Low Zi Chin was in charge of designing the previous
project. The photo in Appendix F acts as a proof that she held her responsibility in beautifying the
prototype.

Furthermore, both of our contractors had obtained an excellent grade for Physics in Sijil Pelajaran
Malaysia (SPM) and Foundation Year. This shows that the contractors acquire sufficient knowledge
regarding physics concepts which can be conveniently applied in the Mars Lander construction. The
picture of SPM results slip of contractor Low Zi Chin presented in Appendix G shows that our
contractor have obtained Grade A in her Physics subject. In addition, contractor Low Zi Chin got 85
and 75 in Physics unit Foundation year in Curtin University, Sarawak. The results of their Physics unit
during Foundation year are attached in Appendix H.

3.4 Communication
Effective and efficient communication ensures accurate information and
directive orders to be relayed between multiple parties with the minimizing
misunderstandings and misinterpretations. Professional and well-
mannered communication establishes excellent team dynamics and mutual
respect between the contractors and designers, resulting in a smooth
construction phase with little to no hiccups.

Addressing the criteria:


Good communication plays a vital role in every project to ensure that all the tasks and ideas are
delivered correctly and accurately. English is an international spoken language, thus our contractors
have chosen English as the standard language when conducting meetings. The past SPM and
Foundation Year results of Low Zi Chin in Appendix G and H provide evidences that she had acquired
Grade B in her English in SPM and 77% in her Effective Communication Skill. Contractor Wister Lim
successfully attended and completed his Academic English classes which enhanced his English and
finally obtained Credit inn this unit. This can be shown in his results in Foundation Year in Appendix H.

Both of this evidences proves that our contractors are able to communicate and write well in English
to avoid any misinterpretations or miscommunications.

Beside, our contractors also uses formal English when communicating with the designers via emails
or text messages. This can be proven by attachments in Appendix I. The screenshots of the regular
conversations between our contractors and their designers demonstrates that our contractors
communicate by using English and also efficiently reply the messages within a grace time. By replying
via emails and text messages, it also proves that our contractors is highly flexible in using different
types of suitable communication mediums.

3.5 Understanding of design package



Contractors should aim to satisfy and adhere to all demands of the client
and to work in close accordance to the design package presented to them.
It is essential for the contractors to be well versed with the design package
in order for the production of a quality product without major changes
towards proposed design and specifications. Proper management of
workforce and suitable approach towards the construction of prototype
should also follow suit.
Addressing the criteria:
To complete an ideal and perfect prototype, the contractors need to fully understand the designs
before beginning the construction stage. Contractors from Ccube had read through every detail and
construction methods presented in Design Package Stage 1, designed by Behind the Wheel. Design
Package prepared by Behind the Wheel is presented in Appendix J, provides detailed specifications
of the design including its drawing, construction methods, material used, costing and a detailed
Tender Evaluation Criteria which can assist the contractors in acquiring a deep and well
understanding in the design. To prove that our contractors have fully understand the design, they
came up with few modifications to improve the existing design in Section 2.3 - Concern and Solution.
This demonstrates that our contractor have carefully analyzed the designs and figured out the
weaknesses. They then came up with suitable solutions to overcome and enhance it.

Moreover, our contractors have also written the Design Package Review in Section 2.0 which
includes a summarized understanding of the design and client brief compliance. This can further
prove that our contractors had understood all the requirements and limitations that was set up by
the client upon the Mars Lander and also the mechanisms of the prototype.

Besides, throughout the construction process, our contractors will eventually gain extra basic skills
on handling hardware tools safely and learn about the safety requirements while constructing the
prototype. All the contractors are regularly reminded to prioritise their safety while constructing the
prototype to prevent any major incidents or serious physical injuries.
