Quality Acute attention to detail in the processing of medical records to ensure patient information is accurately managed as per the
records management processes.
Whilst responsible for a project I still have to attend to other tasks within my current role. As an Administration Maintenance Technician
in our head office Canon Brisbane, I complete record management roles and serve internal clients in various business units in the
Department of Immigration. My role in the Department of Immigration as a Customer Service Team member, one of my duties is the
maintenance and storage and organisation of paper-based application files stored in our compactus held by our company. These files
need to be regularly accessed by case officer and, as such it is important that I keep my area tidy, adhere to confidentiality of information
and also make files Identifiable by clearly making labels for folders through HPRM clearly and correctly with the right reference and name
of the file.
We get work load of files in boxes on a daily basis from our external storage facility and I am responsible for the actioning and filing of
several of these into our compactus. I am also involved in the retrieval of archival material from NAA (National Archive of Australia) and
before this process begins, this requires the initiation of an electronic search request enhance by using HPRM so I can locate files and
update the status of the file in the system. In our compactus, paper based filing system we have for incoming files that are frequently
retrieve are temporarily stored in our compactus for a certain period and I follow the alphabetical system in our filing system in the Team
so I am organise and efficient, so it is also easier to locate files quickly when a record request comes from a case officers in the Department.
I am fully familiar with accurate administration of physical hard copy of files and the accurate administration of electronic document
together with the storage and disposal of electronic and physical documents in accordance with the procedural requirements and I also
adhere and maintain strict confidential of information seen in the workplace and that I do not discuss information to anybody.
I managed work on rotation within the team and my manager was pleased with my performance and I received exceptional feedback
from the quality of work I deliver. As a Customer Service Team Member, I am responsible for the smooth running of my function within
the office performing various and diverse tasks following best work practice which are completed efficiently and to the satisfaction of the
Department. My current role demands that I have exceptional time management ability ensuring that I am supremely organised and
effective in my responsibilities at all times.

Technical Skills Proficiency in the application of computerised of information systems and applications including Microsoft Word and
Excel and operation of office equipment.
I have significant experience utilising complex computer systems and I have been required to learn new systems in my current role as a
Customer Service Team Member/Administration Maintenance Technician, therefore I would be able to demonstrate a strong capacity to
gain knowledge of the Metro South Hospital and Health Service computer systems. I have an excellent command of the Microsoft
software applications and I have significant experience using HPRM/TRIM record management system together with Internet and other
Database programs in the workplace. I have the ability to rapidly become effective in the use of Metro South Hospital and Health Service
computer systems software, and have experience in a range of software packages. I am fully familiar with the accurate administration of
databases, together with the management, storage and disposal of electronic and physical documents in accordance with procedural
requirements.
I registered more than 30 a day of physical documents received in our ongoing Project with the Department of Immigration. I entered
and recorded details such as full names, date of birth, and the names of the agencies conducting the checks; and allocated each document
with a document reference number which was strategically placed on the top right hand corner of the document. Attention to detail and
accuracy in data entry was paramount to ensure correct information was obtained when searches were conducted. I conducted basic
searches to locate documents in the system. In so doing, I used the advanced search functions such as filtering by record type or
searching by date registered when clients telephoned to obtain an update on a National Criminal History Record Check. I also updated
documentation by adding notes with my user stamp and updated the location of the document in the system.
I performed and completed the task every day according to set qualitative targets and with accurate attention to confidential information
and details including using the correct formats and templates and I was successful in creating my work instruction for the process.
As part of my ongoing study assessment for my business studies I was required to compile comprehensive reports for my assignments. In
my daily duties as a Customer Service and Administration Maintenance Technician one of my responsibilities is organising meetings,
creating agendas and taking minutes. I am also involved in setting up a spreadsheet in Excel and recording data. I was successful reviewing,
amending existing training manual and presented it in a revised Word Document manual for the project.

Medical Terminology Knowledge of or the ability to rapidly acquire knowledge of basic medical terminology to extract and interpret
pertinent information for patient medical records and hospital information systems.
In my current role as a Customer Service Team member with a company that solely is the main service provider for the Department of
Immigration I have consistently supported workplace objectives in how my work will contribute to the achievement of goals. The goal of
going paperless in the Department was being promoted and our services specialises in mail, record keeping solution and digitisation to
the fast growing volumes of paper processed in the whole department. Additional work request from another business unit in the
building asked us to assist them in the first stage of visa processing of physical application being lodge at the counter. I recognise right
away the need to cooperate, assist and perform and work towards our common goal. There were backlog of applications needed to be
scanned and register into HP/ TRIM (Record Management) and I was given the role to take this task from start to finish. Preparing them
to be scanned and up to the last stage where I needed to be accurate for confidential information is needed to be data entered into the
database. Consultation determined how we should best proceed and I created my own template to speed up the process keeping in mind
our KPI's, attention to detail and accuracy.

client was happy and a monthly compliment from our client was always well received by my team and the process continues right up to
this day for that business unit and a project is ongoing and added revenue for my company. As a team member, I received excellent
consistent feedback from my team leader and pointers where I can improve and I respond well to direction and work diligently to match
expectations, showing respect while providing high levels of client service. I listen to others, acknowledge other viewpoints and when
required provided my suggestions if needed. I openly communicate, provide constructive feedback if required, and continually work
towards the completion of duties on or ahead of time and completed above expectations.

Communication Interpersonal and communication skills ensuring the provision of excellent customer service to both internal and
external clients.
My current role at the Department of Immigration requires me to communicate with people face to face, over the phone and also via
email. An example of this is when I worked at the Department of Immigration, an elderly customer enquired about her sons application
to visit Australia. Her English was limited and she didnt understand why her written application was returned to her and this made her
feel there was missing information in the application. After some effective questioning I determined that the documents she provided
were original. I advised her that she was providing original documents and that the department is liable for lost documentation, even if
its sent as registered mail. Despite the language barrier, this conversation had to be discrete as there were other customers waiting in
close proximity. Due to a medical condition she was not comfortable standing in a queue to wait for a case officer to rectify her issue so
I advised that I would do this on her behalf. I explained that the department only requires photocopies of her original sighted by a Justice
of the Peace. She was most appreciative of my help and left our counter with her problem solved and an understanding of the policy.
My natural ability to establish rapport with a diverse range of customers enables me to provide a service that is both personalised and
respectful and through dealing with clients and colleagues as well as deal with complex has allowed me to expand my customer service
skills and gain confidence. I am passionate and committed to providing excellent customer service and undertake regular training in
customer feedback, customer relations and conflict resolution as provided by my employer.

Prioritisation and organisation Ability to exercise judgement in processing urgent and non-urgent requests for patient records to
ensure timely continuity of patient care and funding reimbursement in a health care environment.
Whilst responsible for a project I still have to attend to other roles in my current role. As a Customer Service Team member I have to step
in to record management roles and serve internal clients in various business units in the Department. Our project in the Department
involves physically going through reviewing and classifying of physical documents and files in which can sometimes be painstaking and
time consuming. I multi task my work whilst maintaining work priorities. Workloads in my area are unpredictable and I always adjust my
time table when an urgent request came in or an error to adjust entry in the database for a client in another business unit. I developed
a technique of mine where I set a mini deadline throughout my day so that I could keep track of where I was on my routine projects,
relative to their final deadlines, so in this way I could better judge my priorities on my timelines. I believe that in all situations, companys
image must be upheld and presented professionally, and so I bring that attitude to all my relationships within the workplace. I maintained
a flexible attitude to adapt to certain situations in the workplace. If I saw that a deadline was going to put me at risk I would talk to my
supervisor and ask assistance from other team member so I can deliver the standard of work needed to maintain the agreed outcomes.
As a Team Member for the Secondary Storage and Retention Project, I am responsible for the smooth running of my function within the
office performing various and diverse tasks which are completed efficiently and to the satisfaction of the Department. My current role
demands that I have exceptional time management ability ensuring that I am supremely organised and effective in my responsibilities at
all times.

Teamwork Contribute to a cohesive team environment by sharing information, support and assisting colleagues in a proactive manner.
I am highly regarded as a team player, and I practice active form of networking, building effective working relationships, and developing
close professional associations. I have been extremely successful in this area cultivating productive relationships and this is based on my
ability to adapt efforts to suit conditions and client expectation. In my current position we held our weekly meetings and I participate in
discussion of weekly agenda within the general duties I have with my Team. I attend to meetings to have an effective discussion of our
short term and long terms goals for our current and future projects. I participated in discussing what is expected of us as we go through
our action registry. We then discuss what are outstanding, progress updates and timeline for our entire work task. I bring honesty and
upfront with the status of my work so they can help me solve the problem if any, so in this way I get everyone in the same page as a team.
I am very adaptable person and I am very good at adjusting my process with others based on their work style. If someone in my team
prefers a task done a certain way which everyone agrees on even though its not my own preference then I will adapt to that technique,
and remarkably with unity in the team the job gets done quicker. I initiate by leading by example to my team that work can get done
when you prioritise and commit to deadlines.
My current role in the Department of Immigration as a Customer Service Team member, I handled a work request for a section in the
building which is the 1st stage of visa processing of physical hard copy application. I needed to register certain number of applications
and more in a day for a particular business unit and I was delegated and I was responsible to meet KPI goals for this role. All applications
needed to be in the database within 3 days of lodging it physically in our counter. I get no supervision at all and I was accountable for the
accuracy and the checking. I managed work request as an individual team member and my manager was pleased with my performance
and I received exceptional feedback from the Department.
