Quick Maintenance Tips
• Do not leave your Vplanner exposed to direct
sunlight / heat for a long period of time
• Open the ring binders properly by pressing the
top and bottom tabs
• Do not keep unnecessary documents / pieces
of paper that will make it bulky

Planning Section
• Your Planning section should have the
following tabs:
– PLANNING
– LONG TERM PLANS
– SHORT TERM PLANS
Planning Section
• Inside the PLANNING tab, you should have
your:
– Current YEARLY SCHEDULE
– Yearly ACTION form
Planning Section
Current YEARLY SCHEDULE
• Note the following in your Yearly Schedule
– Public Holidays
– Annual Leave (Yes, you can actually plan your holidays in advance!)
– Fixed meetings
Yearly ACTION form
• Is used to list out all the major activities that you wish
to carry out for the year or reminders of the things you
need to be aware of for the later part of the year
– i.e.) Birthdates, Anniversaries, Licence renewals, etc

Note: ‘Planned for’ is ticked () when you have scheduled a time for that activity
PLANNING FOR THE YEAR
Examples
Planning Section
• Inside the LONG TERM PLANS tab, you should
have your:
– Next 3 months’ MONTHLY SCHEDULE
– MONTHLY ACTION form for each month

The forms should be in descending order –


i.e. May  April  March
Note: February (the current month) should be under the SHORT TERM PLANS
PLANNING FOR NEXT 3 MONTHS
Planning Section
• Inside the SHORT TERM PLANS tab, you should
have your:
– Current month’s MONTHLY SCHEDULE
– Current month’s MONTHLY ACTION
– Current month’s DAILY SCHEDULE (all dates)
– DAILY REVIEW form for the current month

Note: For the DAILY SCHEDULE, only keep today’s sheet and the coming days of
the month. You may use the sheet from the day before as scratch paper. Add
on coming months if need to especially if the end of the month is in the
middle of the week

Goals Section
• Your Goals section should have 5 black tabs:
1. PERSONAL GOALS
2. ORGANIZATIONAL GOALS
3. FINANCIAL GOALS
4. PEOPLE GOALS
5. LONG TERM GOALS

Note: The above is a general guide, you may customize the goals according to
your needs
Goals Section
• Each numbered black tabs should consist of a MY
GOALS form
• Set your goals by answering all the questions on the
columns
• Date: When you thought of the goal
• What do I want? : Specific description of your goal
• Why do I want it? : Strong reasons to keep you motivated
• How am I going to achieve it? : Steps / Activities that you need to
do to achieve the goal
• Who can help me? : People who can give you guidance, support
and motivation
• By when? : A due date to each step / activity listed

Note: ‘Planned for’ is ticked () when you have scheduled a time for that activity
GOAL SETTING
Responsibility Section
• Your Goals section should have 5 white tabs
• The first 3 are preset for:
• PEOPLE – used to manage the people at work
• MEETINGS – used to manage the meetings you need
to attend / chair / organize
• PERSONAL – used to manage your personal items
• The remaining 2 can be used according to your
needs
Note: The above is a general guide, you may customize the goals according to your
needs
Responsibility Section
• Each tab should consist of:
• Index (1 – 5, or 1 – 10)
• Use to list out the items you want to manage
• ACTION form for each item
• Use 1 set of Action & notes for each item you want to
manage
• Use the page to list the activities related that you want
to keep track of / follow up
• Note sheet in the ACTION form
• Use for noting details of the assigned task / discussion
Responsibility Section
• The PERSONAL tab will also have a PERSONAL
INFO SHEET which you can use as a reference
for important data
• You can keep a photocopy of your identity
card, licence, etc. in this tab
• You may want to have all the above inside an
ACTION form as a set
RESPONSIBILITY
General Section
• Your Goals section should have 3 segments:
• GENERAL – used to keep spare forms (i.e. Notes,
Action, 12 column grid)
• INFO CENTRE – used to keep general
information that you need to refer to
