We are pleased to invite you to submit your quotation for the same .The works to be executed in the
existing infrastructure and building .You have to send the quote in sealed envelope and hard copies to
the Administration TCS Nerul.

Terms and conditions for association with TCS are also attached. You may please go through the
conditions and confirm your acceptance.

The Quotation should also give a brief of your experience to handle the associated works for Electrical
and HVAC/Mechanical work

Contractor would have to provide a licensed electrical and technician for the work.

Please enclose the following document along with the quotations


1. Very brief introduction of the company profile and experience.
2. List of past works, Current works in progress.
3. Completion schedule for the work.
4. Planned resource deployed for completion of work.

Your participation in this submission shall be with no obligation to or from the Owner until appointment.

The closing Date and Time of the proposal and Commercial Submissions shall be by

Brief for Contractors

Scope of services
Supply & Installation of GOD &
General: To provide the material and services for
Dismantling & Shifting Transformer, HT Breaker, CT / PT, LT Breaker, LT
Panel, APFC Panel..
Primarily the work would be to check the existing cable and its component and to install and
commissioned the new cable and performance testing of the same. The office with proper
housekeeping and safety for the works and the premises as per time given by the
administration team should be taken care by the contractor.

The work may have to be done with mutual discussion with the Administration, may be after
office hours at late night and on holidays.

Material: To provide all the works and equipment & testing Instrument as required for the work
as per the Indian Standard specifications.

Workmanship: To provide accurate good workmanship in the electrical and mechanical works
without affecting the operation of the office.

Safety: To provide proper safety personal Instrument and maintain proper safety at work
during the operations and while in the office premises of TCS

Statutory compliance: To get all the labour licenses & permissions and insurances /ESIC and
PF for working in TCS facilities and to provide all certificate for the work.

Service support: To have a proper support staff for providing the document and report for the
work done in three set of hard copies and one copy in soft

Guarantee from the Electrical / mechanical contractor to provide proper documentation and
guarantee / warrantee for the electrical and mechanical works done.

Payment terms
Advance Payment: No Advance payment however will be discussed in PNC meeting.
Final bill: To raise final bill on completion of the works

GUIDELINES FOR CONTRACTORS

Electrical / Mechanical works


On the Receiving the PO & request from administration , the contractors personnel need to
visit the facility for understanding the works to be taken up for the electrical / Mechanical work
to be done for the office building location. There after confirm the time with the administration
and the team for the visit and for the electrical and mechanical works as listed in the BOQ

Guidelines for engagement of Contract Electrician / Mechanical Technicians /Labours

When a contractor has to engage in the establishment the following documents needs to be
verified:

1. Contractor has its own separate Registration under the Provident Fund Act and has
its PF Code.

2. Contractor has its separate Registration under the Employees State Insurance and
has obtained the ESIC Code Number.

3. Contractor has its separate Labour Welfare Fund registration and it’s Code Number.
4. Contractor has Registration Certificate under The Shops and Establishments Act.

5. Contractor has obtained the PAN Card under the Income Tax Act.

6. Contractor has obtained registration under the Professional Tax.

7. The contractor has to maintain the register such as


 Muster Roll
 Register of Wages
 Register of Deductions
 Register of Overtime
 Register of Fine
 Register of Advances

8. In Case the contractor is maintaining combined muster roll cum wage register
Under the Minimum Wages Act, then it is not required to maintain the above
registers.

9. In case the contractor has engaged 20 or more contract labours in TCS he needs to
obtain the License from the authority. Every application for the grant of license shall
be accompanied by a certificate from the Company in Form V.

10. The contractor should produce a list of his employees working in the premises of the
Company together with their PF and ESIC Registration numbers.

11. The contractor should issue the identity card to its all employees and should
invariably mention the PF and ESIC Numbers on the reverse side of the Identity
Card.

12. Contractor should ensure that its employees have received the ESIC Card from the
authorities.

13. The Contractor should send the copies of monthly PF returns together with the Copy
of Challans and a copy of ESIC with the list of employees who were working in the
premises of the Company in the previous month with the bills. Payment should not be
released to the contractor unless the compliance has been made by the contractor for
the same. We should ensure that the Contractor is remitting the PF Contribution to
the authority by 15th of the month. The ESIC Contribution shall be remitted by the
Contractor by 21st of the Month.

14. The Muster Roll cum wage register maintained under the Act is to be authenticated /
certified by the authorized representatives from the Company every month and
signed accordingly.

15. The contract labours are paid as per the Minimum Wages Act and the revision if any
shall be compensated to the Contract labours in the subsequent months.

16. Contractor to ensure that the register of the Contractor, in Form VIII is maintained at
the locations.

17. Please ensure that Notice showing the wages, hours of work, wage period, date of
Payment of wages, name and address of inspectors having jurisdiction and date of
payment of unpaid wages shall be displayed in English / Hindi / local language at the
conspicuous place.

18. The electrical / Mechanical contractors to have proper license for their workmen
working as per statutory requirements.
TERMS & CONDITIONS

The following terms and conditions are not comprehensive and for guidance.

1. The contractor should be willing to provide comprehensive services for electrical and
mechanical works that are listed in the BOQ and meet the TCS requirement of the
Administration in full.
2. The contractor has to maintain good housekeeping on the facilities.
3. The electrical / Mechanical work to be executed as per the PO / WO and any
additional requirement suggested has to be documented and proper estimate to be
provided for the same and approval taken for the Instrument not listed in the work.
4. The contractor should be able to mobilize the team / manpower within a week time of
issue of the PO / WO.
5. The planning schedule for the completion for the works should be made for the
completion of work along with the local administration team.
6. The measurement and the bill would be certified by TCS within 15 days on the bill
submission and payment would be made within 30 days.
7. The contractor will be responsible for obtaining requisite statutory fees for the labour
/ESIC /PF etc and shall submit along with the bills.
8. The TCS reserve all the right to reject all the quotes submitted by contractor. During
selection process on no commitment basis to TCS.
9. The selection of contractor will be at the sole discretion of TCS.
