This section identifies the audience and purpose of this document, provides an overview of the
individual chapters, and identifies the documentation conventions used.

Audience and Purpose


This document is meant to guide project managers and administrators through the setup and use of
the Stage Foundation of VF. Familiarity with the Foundation modules and with your company’s
project methodology is assumed.

1. Chapter One: Foundation overview


1.1. Foundation scope
Foundation module is built to describe the organizational structure for Vodafone Egypt and aid
System administrators to manage different modules like (Company, Organization, Groups,
Employee, …………) in the foundation.

1.2. Foundation Design


1.2.1. Company Hierarchy
Company is an entity can contain one or more organization, organization can contain not only user
groups but also Departments.

User can be member in many user group but admin have to define one Default group for each user.

Admin should assign one department for each user.

The following figure describe the relations between company-organization and organization-group
and group-user and user-department

1.2.2. Location Hierarchy


To manage company sites and user locations, the system has built structure to define sites and
locations in different cities and countries.

The following figure show the relation between country, Province, City, Locations/Sites.

2. Chapter Two: Foundation modules


2.1. Companies:

This function will handle creating company with the following details

 ID: auto-generated
 Company Name: assign name for the company will be unique in the system
 Company Type: admin can classify all companies in the system by one of the following
categories
o Customer

o Generic contact
o Operating company
o Service Provider company
o Supplier company
o Manufacturer
o Vendor
 Description: admin can put description and details for the created company

Company-Organization

This function will create list of Organizations linked to this company with the following attributes

 ID: Auto generated


 Organization Name: unique under the same company
 Description: admin can put any details for the organization
 Parent Company ID: ID for the company this organization related to.

Company Location

This function will view all locations and Their related details linked to this company. As in the
following attributes

Site ID: Auto generated

Site Name: descriptive name for location

Address: address containing street name and district

Fax Number: Fax number in the location

Reception Phone number: Available telephone number for the location

City: City name containing this location

Company-Organization Department

This function will create Department under certain organization with the following attributes

o ID: Auto generated


o Department Name: unique under the same organization
o Description: admin can put any description or details for the department
o Organization ID: ID of the parent organization
o Manager Name: admin can assign manager for the department from the employees
related to this department.

2.1.1. Manage user group


Group is logical grouping of system user will facilitate the definition of group access, also it will be
used for assignment management and applying multiple rules for user groups for all modules.

Group will have following specifications

 Each group has members, members are users defined in user screen with user id and
password and other user details.
 A user can be member in many groups, he/she will enjoy highest privileges of the his/her
groups, for example if user is a member of a group which have limited access to a module,
and he/she is member of another group with admin rights for the same module then user
will have access with admin rights to this module.
 For each group admin can assign a group manager,
 An e-mail will be defined for each group to be used to send email notification to users.
 Groups control access to functional roles.
 Groups control user access to forms/reports.
 Groups control user access to system modules
 Group Permission over certain Forms or Fields will be defined over each Object (TT, CRQ and
NCI).

Group attrubutes

 Group Info
o Group ID: auto generated
o group company: look up from companies with company type should be any of the
following values Operating Company, Customer, service provider or Vendor

o Support Organization: for new Organization user can enter a name, or select from
drop down list for existing support organizations already created in previous step)
o Group Name: Name of the group should be unique under the organization
o Description: admin can add any other details about the group
o Vendor Group(Yes/No): Flag to distinguish the vendor teams
o On-call Group(Yes/No): Flag to distinguish on-call teams
o Support Group Role: Help Desk, Tier1, Tier2, Tier3, Line of Business
o Incident type (IT, Network), this means which Type of Ticket group can create
o Change For (IT, Network), this means which type of CRQ group can request
o Status: admin can put status for the group
 Enabled
 Disabled
 Proposed
 Archive
 Delete

Group should be enabled to be viewed in other modules in the system.

o Group email

o IT problem master(Yes/No)
o SM DB(Yes/No)
o Schedule Dates Allowed(Yes/No), If “Yes” it means that the group can violate 24-
Rule of creating change requests.

 Group members: list of users who are part of this group will be displayed.
 Admin can search for certain user to add in the group, delete user from this list, also user
can assign Roles for each user

 Business hours, for each group user can define business, attributes will include the
following

2.1.2. Manage users


This function will be used by system admin to define system user, where admin can create user login
details, assign users to support group.

Admin can create application user (User not retrieved from LDAP) and reset user password if
needed.

User profile will have the following details

 Following fields are populated automatically from LDAP


o First Name
o Last name
o Corporate ID
o Full Name (+, Vodafone Egypt)
o Manager name
o Manage Login ID
o Manager email
o Location
o Company-->Organization-->Department
o Mobile Number
o E-mail
o Login ID
o LDAP password
 Profile status(Active/Suspended): User should be active to be viewed in other modules
 Support staff(Yes/No)
 Assignment availability (Yes/No): When this field is “No”, no TT or tasks can be assigned to
this Employee
 Job title
 Group list (admin will Add/Delete user to group) one group need to be defined as default
where user permission will be mapped to the default group
 User Notifications setting, define the following attributes and system notifications events for
this user.

o User Mobile Number: to receive SMS


o User Email: to receive mails and notifications and tasks
 Alternate delegate, where user can define a delegate within a period per module, user can
define following attribute
o Select alternate Delegate name (from existing users in the system)
o Start date
 Assignment, where admin will set user capacity and display current assigned capacity
o Incident capacity rating: this is the maximum number of Incidents can be assigned
to this Employee
o assigned open tickets (display only)
o Task capacity rating, this is the maximum number of tasks can be assigned to this
Employee
o Open tasks (display only)
o Knowledge capacity rating
o Assigned knowledge (read only)

Delegation, Admin can set assign delegate for Employee for all modules and the delegation will start
from certain date entered by the admin.

2.1.3. User Profile


This function will allow user to view their user profiles, set user delegation and change availability
flag, this function can be accessed by Press “Update my Information” in the menu beside Profile
picture.

2.1.4. Manage countries


This function allows managing counties details in the system, for each country the following will be
fields will be available

This function will allow user to configure group business segments when is the user is available

2.1.10. Vacation
Admin will use this function to declare that certain day is vacation for certain company.

The engine will take the vacation in his calculations if task is assigned to certain Employee in this
company.

Ex: If employee started his task at 20-11-2017 at 2:00 PM and this task SLA is (1 man-
day) but 21-11-2017 is defined as “Vacation” in the company of this employee so this
task should de finished at 22-11-2017 at 2:00 PM.

 If user doesn’t select the "Company” so the vacation will be applied to all
companies in the system.

Vacation attributes

Day: Day of the vacation

Month: Month of the vacation

Year: Year of the vacation

Description: admin can describe the vacation and add any other details

Company: which company will apply this vacation for its employees

2.2. Other System Functions


2.2.1. User import
System job will run in the below schedule at 2:00 AM to retrieve the user information

o Tuesday

o Thursday

o Saturday

In the job if the corporate id is not existing in Stage we’ll have to create a new user with his
retrieved information and will update if the corporate id is existing.

Imported new user status will be “Disabled” and Assignment availability will be “No”.in the in the
following table, the attributes which will be Updated or inserted from LDAP to Employee table.

2.2.2. Copy user Privileges


This function will allow system admin to copy user privileges from a user to another, admin can copy
application permission, access restriction, group membership by copy the groups from the source
user to the destination user.

2.2.3. Batch import to group


This function will allow system admin to batch import list of users to add or remove from a support
group based on predefine CSV file template where action could be Add/Remove to set the required
task, system need to set group as default user group if it is the first group user will join and system
should not allow removing a user from a group if user is only assigned to this group.

2.2.4. Add permission to group


This function will allow system admin to add access restriction to all user within a selected group,
there are two levels of permission over group

 Form (business Type)


 Field (UDA)

Note: if certain group doesn’t have permission to access all forms (business types) inside certain
module (System Object), the whole System object will disappear from the main menu for any logged
in user related to this group.

2.2.5. User search


this function will allow system admin to view users in the system in a list view,

Admin can select a user and update following user main details in addition to other secondary
details like:

 job title
 groups
