Summary
Open Text Archiving and Document Access for SAP Solutions offers a range of options for integrating SAP
documents and other documents in the different SAP applications, including e-mails, faxes, images and
informal correspondence, etc. Besides archiving documents, it allows you to manage, search, display and
edit them. This article is about accessing the various SAP business documents through OPEN TEXT
DocuLink, which are archived using the SAP archiving methods.

Introduction
Open Text Archiving and Document Access for SAP Solutions offers a range of options for integrating SAP
documents and other documents in the different SAP applications, including e-mails, faxes, images and
informal correspondence, etc. Besides archiving documents, it allows you to manage, search, display and
edit them.

Configuration Steps
1. Go to transaction J6NP. Click on New Version.

2. Give a Project Name and Description and save the project.

3. Now a new project will be created.

4. Now go to the demo version in edit mode.

5. Now create a new View. Save and Activate.

6. Now select the view and go to details.

7. Now the view screen will be displayed.

8. Click on the New Node button and create a Root Node.

9. The version should be saved in Expert Mode to get all the available options. Press YES in the message.

10. Now the Root Node will be created.

11. Double click on the root node to give the Root Node details like the Text which should be displayed for
the root node in output.

12. Now placing the cursor on the Root Node, click on the “Create as child” button. While creating a child,
place the cursor on its superior node.

13. Choose “Ordinary/normal Node type”.

14. Give the Node details and save. The text is used to

15. Now for each node, continue steps 12 to 14. In case of Nodes, which is used to display the values
fetched from database, we need to change the “Selection Type” of the node accordingly. i.e. “Value Table” in
our case.
In the Functions tab, we will add a function in “Function code PICK” field for performing a specific action at
the time of double clicking the displayed value.

16. Now in case of Value Table node, we need to create a Attribute Object.

17. Click on the Create Attribute Object against the Value Table Node. We can create all the attribute
objects, which needs to be used for the selection screen and output display.

Note: Here the Data Structure represents table structure of the respective documents. The SAP – Object Type
represents the respective Business Object of the corresponding structure. This is an important entry, which will be
used internally for the selection and display of the respective document from Open Text.

In the Data Archiving Tab, we will give the respective Archiving Object of the document and the Archive Info
Structure used for archiving the documents. The info structure fields in the Archive Info Structure are
important as the Open Text Node Selection Fields should be available in the info structure fields of the
Archive Info Structure. So while creating the Archive Info Structure, we need to plan all the info structure
fields with the selection screen fields of Open Text output also in mind.

18. Now create the Selection Field and Assignment for the Value Table Node and save.

Click continue and enter the required details in the following screen and save.

19. Continue step no 18 for all the required selection fields.

20. We will use these variables in the output display of the value table node. This is used to display all the
selected purchase order in the open text output screen.

21. Now we need to create the selection screen variables or use the existing attribute objects for selection
screen variables, which need to be used in the Open Text output report. For creation we need to click on the
“New” icon and for using the existing one, we need to click the “Hand” icon.

If we need to restrict the selection screen values, it can be done in the “Restrictions” tab. Click on Maintain
and give the required values.

Save and continue. Now we can see a filter icon against that selection attribute.

22. Now create the same selection criteria’s for the Value Node also.

23. Now go back and activate the project.

24. Now we can see all the objects created in our view in the respective tabs in the development screen.

25. Now select the view and click on “Test View” button. Or we can use transaction J6NZ for displaying the
output of each project.

On clicking “ME23N Display” node, the selection screen will be displayed.

After executing, we can see all the Purchase Orders which are Archived as well as which are available in the
database. The documents displayed in red colors are all archived and the rest is available in database.

While double clicking an archived document, we can view the respective documents from the archive.

27. We can change the colors of the respective documents from the settings menu.

Based on the requirements, change the colors accordingly and save the settings.

28. To change the display object, enter a picture name from SMW0, Binary data for WebRFC applications in
the Header of the respective View.

29. We can remove or add the Tool Bar Icons in the Open Text report output, from the respective view
Header data.
