What is ADEA PASS®?


The American Dental Education Association Postdoctoral Application Support Service (ADEA
PASS) is a centralized application service for advanced dental education programs. Applicants
complete one application for multiple programs.

The ADEA PASS Search Engine allows applicants to view information for each participating
program with program details searchable by name, program type and/or state. Access the
ADEA PASS Search Engine at programpages.passweb.org/search. Individual programs provide
the content of their ADEA PASS Search Engine entries; therefore, all programs are responsible
for the accuracy of their program information. ADEA advises applicants to contact the
programs directly if there are questions or discrepancies.

The ADEA PASS cycle is open from May through February each year. Applicants can create
only one application per cycle. Applicants must begin a brand new application each cycle and
resubmit all application materials.

It is the applicant’s responsibility to read, understand and follow all ADEA PASS and program-
specific instructions.

Getting Started
Create Account
Each applicant must create one account with a username and password at portal.passweb.org.
It is important to use the appropriate capitalization in your name and mailing address. Do not
use any special symbols or characters.

DENTPIN®
A DENTPIN is a unique identification number assigned to each applicant and student in dental
education and standardized testing programs. Visit the American Dental Association (ADA)
website to retrieve an existing DENTPIN.

Applicant Information
This section includes biographic data, background information, professional experience, test
scores, awards/distinctions/prizes, extracurricular activities and additional information.

Biographic Data: Collected information includes address, contact information, gender, race
and ethnicity and citizenship. With the exception of the gender, ethnicity and race fields, this
section can be updated throughout the application process.

Background Information: Collected information includes disclosure of legal and disciplinary


actions.

Professional Experience: Collected information includes data that would be provided on a


curriculum vitae (CV) or resume.

Test Scores: Collected information includes self-reported TOEFL and ETS® GRE scores, which
can be updated throughout the application process. The National Board Dental Examination
(NBDE) results and the Advanced Dental Admission Test (ADAT) are not self-reported.

and dates of awards.

Extracurricular Activities: Collected information includes types, dates and descriptions of

American Dental Association Advanced Dental Admission Test (ADA ADAT)


The ADA ADAT provides information to advanced dental education programs about
applicants’ potential for success in their program. The ADA developed the ADAT as a means to
aid programs with selecting the best-qualified applicants. It is distinct from the National Board
Dental Examination, which is designed for licensure decisions.

Submitting the official ADA ADAT scores are optional to complete the ADEA PASS application.
Applicants should refer to the ADEA PASS Search Engine or the ADA website to find out if
programs require, accept or do not require these scores. Applicants should contact programs
directly with questions. Applicants must select at least one ADEA PASS participating program
at the time they submit the application to ensure ADEA PASS receives the scores. If at least
one ADEA PASS participating program is selected, the official scores are viewable by all
programs to which the applicant has applied.

Official ADA ADAT scores will be released to ADEA PASS electronically three to four weeks
after the test date and matched to the application based on the name, birthdate and
DENTPIN. Applicants who previously applied to ADEA PASS and released the ADAT scores to
their application will be visible to all programs selected when the new application is submitted.
Applicants can submit their ADEA PASS application before the official test scores are received.

To confirm scores have been received, applicants can check their application by logging in to
the application portal and selecting “Status.” In this menu, official scores will be marked as
received along with confirmation of receipt for evaluations, dental school transcripts and
payments. If an applicant believes his or her score(s) should be posted but are not, the
individual should first contact the ADA to ensure the scores were sent. If it has been three days
since the score(s) was sent, the applicant should send a score search request email to
passinfo@passweb.org and include the ADEA PASS ID number, DENTPIN, date of birth, the
date the test was taken and the date the ADA released the score to ADEA PASS. As ADEA
PASS does not release detailed score information, customer service will only confirm if scores
for that applicant have been received.

Academic History
This section includes information on undergraduate/graduate colleges attended, dental
schools attended and advanced dental education programs attended. The applicant should
add each academic credential to only one of these three sections. An exception is the case of a
Bachelor of Dental Surgery. If a Bachelor of Dental Surgery was earned, the applicant should
add one entry for the B.D.S. under “Undergraduate/Graduate Colleges Attended” and another

entry (with the same information) to the “Dental Schools Attended” section. Only official dental
school transcripts and unofficial undergraduate transcripts will be accepted.

Undergraduate/Graduate Colleges Attended


Unofficial undergraduate transcripts can be uploaded under “Additional Documents” and
should not be mailed to ADEA PASS. List any undergraduate and graduate colleges attended
in this section. Applicants will enter the college, major, GPA, credit hours, degree granted or
expected and the dates of attendance. Optional undergraduate transcripts are accepted. For
information on uploading undergraduate transcripts see the section on “Document Uploads”
on page 8.

Dental Schools Attended


Dental school transcripts are required. To avoid processing delays, ADEA PASS strongly
encourages applicants to complete the “Dental Schools Attended” section of the application
first. ADEA PASS cannot post dental school transcripts or foreign evaluations received from an
institution until this section is completed.

U.S. Dental School Transcripts: ADEA PASS prefers that all dental school transcripts be sent
directly from the issuing institution to ADEA PASS as original, official documents in hard copy
form.

• For every dental school entered, a transcript request form will be generated. The applicant
prints this form and provides it to the register’s office to accompany the dental school
transcript. This form enables ADEA PASS to digitally match each dental school transcript
to the correct application and is encouraged but not required. Failure to include this form
with transcripts may increase the processing time of the documents once they arrive at
ADEA PASS.

Non-U.S. Dental School Transcripts: Official transcripts of coursework taken at dental


institutions outside the United States must be translated into English and evaluated for U.S.
equivalence.

• International dental graduates must submit foreign dental school transcript evaluation.
• ADEA recommends that applicants use World Education Services (wes.org) or Educational
Credential Evaluators (ece.org). Request a course-by-course evaluation of the dental
school transcript. Mark sheets will not be accepted.
• Submit the original, evaluated transcript to ADEA PASS with the required documents by
the evaluation service directly to ADEA PASS.
• ADEA PASS does not verify coursework.

Electronic Transcripts:

If your school requires that you use a service other than Credential Solutions, you should ask
that service to mail the transcripts instead of sending them electronically. Since you cannot
include the Transcript Request Form, you should include your full ADEA PASS ID # when
entering the ADEA PASS mailing address.

Credential Solutions

Click here to see if your school offers the Credentials Solutions service. If your school is not
listed, your transcript must be sent by mail. If your school is listed, click here and follow the
instructions to proceed. Once your transcript is requested, it takes 7-10 business days for it to
post to your application. If your transcript is not posted after this timeframe, contact Credential
Solutions directly to confirm the order was completed, then contact customer service.

Advanced Dental Education Programs


List any advanced dental education programs completed, or in-progress at the time of
application. Applicants can only list programs under the program types provided. Be sure to
provide the name of the program, the institution and country where it was completed, the level
of the program (internship, externship, fellowship, graduate certificate or residency) and the
dates of attendance.

Evaluations
Two types of evaluations are required in the ADEA PASS application. Both evaluations must be
submitted electronically.

1. Institution Evaluation Form (IEF)


The Institution Evaluation Form (also called the dean’s letter) is an evaluation of the applicant
completed by the dean of the dental school attended. It is strongly encouraged that the IEF
does not reference any program type because it cannot be revised at any time during the
application process. Included in the IEF are NBDE scores or results, GPA and class rank (if
applicable), an evaluation of ethical behavior and mandatory narrative statement. This
electronic evaluation is required for every applicant.

Select dental school attended from the drop-down menu to submit a request to the dental
school. If an applicant is unable to locate their dental school within the drop-down list, then the
applicant should select “Other.” Next, a valid email from the dean or the dean’s designation
must be entered. Contact the dean’s office to obtain this information.

An email will be sent to the evaluator with instructions on how to log in and complete this
evaluation.

Request for Exception (IEF)


Applicants may submit a request for exception for their IEF under the following circumstances:

• The U.S. or non-U.S. dental school has closed, and the applicant cannot obtain an IEF.
• The applicant attended a non-U.S. dental school and cannot obtain an IEF.

The applicant must provide a reason for being unable to obtain the document. Requesting an
exception will waive the requirement for the documents in the ADEA PASS application, but
individual programs may still require the document. The request will be processed with the
application in lieu of the IEF and distributed electronically to each program designated. ADEA
PASS cannot guarantee whether a program will accept the reason given for requesting the
exception. The applicant is responsible for inquiring directly with the program whether a
request for exception can be used for the IEF.

2. Professional Evaluation Form (PEF)


The PEF is the traditional letter of recommendation required for every applicant. Evaluators will
provide required comments to 10 attributes (integrity, professional demeanor, clinical skills,
reaction to criticism, didactic knowledge, critical thinking, interpersonal skills, organizational
skills, self-awareness and maturity) for each applicant. Additionally, the evaluator will be able to
submit a one-page narrative statement. ADEA PASS will process two to four PEFs per
designation. The programs identify the number of evaluations they prefer on their search
engine profiles.

Evaluators should be contacted to obtain a valid email. Enter the evaluator’s information,
including email address. An email will be sent to the evaluator with instructions on how to log
in and complete the evaluation. The applicant should not request a PEF from the dean or
designee who is expected to submit the IEF.

Program directors were surveyed about the evaluations they would most like to receive with
ADEA PASS applications. The most popular selections have been indicated on the website.

Supporting Information
Essays
The essay provides an opportunity for the applicant to communicate why they want to pursue
an advanced dental education program. One essay can be used for every program or
applicants can submit multiple essays—each program can receive only one essay. Essays must
be electronically assigned to the appropriate program designation. Each essay is limited to
5,200 characters.

Documents
Required Documents
In addition to completing the online components of the ADEA PASS application, the applicant
is responsible for ensuring that all other required documents are received to complete the
ADEA PASS application. Processing time for hard-copy dental school transcripts is
approximately seven to 10 business days from the time a document is mailed or five to seven
business days from the time an overnight document reaches the ADEA PASS office.

• An official dental school transcript is required to complete the ADEA PASS application.
One of the following must be received to fulfill this requirement: official U.S. dental school
transcript, foreign dental school transcript evaluation or request for exception.
• An IEF or request for exception* must be received to fulfill this requirement.

• Two to four PEFs. Applicants are responsible to attach all necessary PEFs to their
designated programs prior to submitting to ADEA PASS.

Documents not Accepted by ADEA PASS


• Official test score report (hard copy) of any kind.
• Mark sheets.
• Birth certificates.
• Diplomas.
• Bank/financial statements.
• Photographs.
• Advanced dental education program transcripts or externship certificates.

If any of these items are required by a program, they must be sent directly to the program and
not to ADEA PASS. Non-required or non-accepted materials sent to ADEA PASS will be
discarded and cannot be returned to the applicant. Use the ADEA PASS Search Engine to learn
more about required documents.

Additional Documents (Document Uploads)


This section allows the applicant to upload a CV/resume and unofficial undergraduate
transcript to the ADEA PASS application. The CV/resume and undergraduate transcripts cannot
be customized by program and will be sent to all designations.

Document Uploads: Uploaded files are limited to 1 MB. It is best to use the most current
Mozilla Firefox browser or Internet Explorer 8 (or higher). The document must be (.doc/.docx),
(.rtf), (.pdf), or a (.txt) file.

• CV/Resume: It is strongly encouraged to limit this section to three uploaded


documents. Anything over three documents may not be reviewed by the programs.
• Unofficial Undergraduate Transcript: It is strongly encouraged to limit this section to five
uploaded documents. Anything over five documents may not be reviewed by the
programs. Applicants who earned a B.D.S. are not required to upload an
undergraduate transcript, as official documentation will need to be mailed to ADEA
PASS.

*Note: These are the ONLY documents that should be uploaded in these sections. Inclusion of
documents not requested by a program may be viewed negatively.

Program Designations/Fees
When designating programs to the application, the essay and PEFs must be assigned to each
program designated using the drop-down menu. If the PEFs are not assigned to the individual
designations at this time, they cannot be added later. Once the application has been
submitted, the applicant will not be able to delete any of the evaluations associated with a
program designation.

The processing fee is $190 for one program and $80 for each additional program. Payment
must be made online by credit card (preferred) or by money order (mail). The application will
not be processed until a payment is received.

Deadlines
ADEA PASS deadlines vary from August 1 through February, so please check due dates
carefully. All deadlines are listed in the program profiles in the ADEA PASS Search Engine and
in the Program Designations section of the application. ADEA PASS must receive the
completed electronic application, payment and all required documents by 11:59 p.m. Eastern
Time of the listed deadline.

Applicants can apply after a program’s deadline has passed. ADEA PASS cannot, however,
guarantee that the program will consider the application. Before designating a program in
ADEA PASS whose deadline has passed, the applicant must contact the program directly for
authorization to apply post deadline.

If the deadline falls on a holiday, the application, payment and documents must arrive by close
of business on the business day prior to the holiday.

Criminal Background Check


ADEA PASS provides a service to advanced dental education programs that wish to obtain a
criminal background check on admitted applicants through Certiphi Screening. Applicants can
view a list of programs that participate in the ADEA criminal background check by visiting the
website at adeapass.org.

What Makes an Application Complete?


• Application is e-submitted.
• Application fee is paid.
• Official dental school transcript or foreign dental school transcript evaluation is received.
• Institutional Evaluation Form (IEF) or a request for exception is received.
• All Professional Evaluation Forms (PEFs) listed for a program designation are received.

Note: It is possible for an application to become complete for one program and not for
another, even if they were submitted at the same time, if PEFs have not been received for one.
Monitor the document status to ensure all applications are completed.

Monitoring the Application


The ADEA PASS application will not be marked as complete until all required documents have
been received and posted to the application. Use the ADEA PASS Application Checklist to

ensure all required documents are submitted. ADEA PASS will not notify applicants if
documents are missing or if the application is incomplete. It is the applicant’s responsibility to
monitor the status of the application and to follow up with ADEA PASS on any incomplete or
missing documents. Applicants can check the status of the documents in the ADEA PASS
application or on the mobile webpage.

ADEA PASS sends notifications both via email and to the “Messages” section of the online
application. Due to some email notifications filtered as junk, applicants are responsible for
monitoring the ADEA PASS “My Messages” inbox. ADEA PASS is not responsible for
notifications that applicants do not receive in their email inboxes.

Release Statement
I agree to the following ADEA PASS Release Statement:
• I have read, reviewed, and understand the application instructions and school-specific
admissions requirements, including provisions that note I am responsible for monitoring
the status of my application and ensuring my application and all supporting materials
are submitted timely.
• I have provided ADEA PASS information in this application that is complete and
accurate to the best of my knowledge. I understand that omitting relevant information
or providing misrepresentations or false or misleading information in my application
and supporting documents during the application process may jeopardize my
application or result in other actions, including the possibility of expulsion from a
school, if enrolled.
• I certify that all written passages, such as the personal statement, essays and
descriptions of work/activities, are my own and have not been written, in part or in
whole, by a third party.
• I understand that all documents provided to ADEA PASS will not be returned to me.
• I acknowledge my responsibility to inform the schools to which I have applied in a
timely manner in the event there is any change in the information I have provided,
including but not limited to, educational information, legal and conduct violations and
contact information. Schools will consider new information submitted, and in
appropriate circumstances, reserve the right to change the status of an applicant or
student.
• I authorize ADEA PASS and the dental schools to which I am applying to investigate any
information, including my educational background, disciplinary history and record of
criminal convictions that it believes is relevant to my application.
• I give permission for ADEA PASS to release and disclose the information provided
within my application, as well as all supporting application materials, to my designated
schools, and I acknowledge that my designated schools may use my information for
admission purposes and otherwise in accordance with my designated schools’ policies.

contact the school directly. To the fullest extent permitted by applicable law, we
exclude all liability arising from the use of your information by your designated school.
• I acknowledge that the role of ADEA PASS in the collection and transmission of
information does not mean that ADEA PASS is my agent or an agent of any school.
ADEA PASS has no authority to alter or waive any requirement of any school and any
disputes I have with a school must be resolved directly what that school.

• Subject to applicable laws or regulations, I agree to receive communication from the


ADEA PASS, including communication via email.
• I authorize the use of information provided in connection with the application, including
information provided from third party sources, for research, applicant tracking and
reporting purposes.
• I acknowledge that ADEA is operated in the United States. By using ADEA PASS, I
consent to the storage and access of my information in the United States.
• I acknowledge that my only recourse to errors or omissions related to the handling or
processing of my application by ADEA PASS is to obtain a refund from ADEA PASS. A
refund is not guaranteed. Errors or omissions that are my responsibility are not subject
to refund or waiver of fees in a future cycle.
• I acknowledge that the ADEA PASS application process requires setting up an account
with a user name and password. I agree not to: (a) create an account for anyone other
than myself without permission, (b) share my password, or (c) do anything else that is
reasonably likely to jeopardize the security of my account. I understand that I am solely
responsible for any unauthorized use of my login credentials.
• I agree to act with honesty, forthrightness and integrity throughout the admissions
process. I will behave professionally throughout the application process, including in my
interactions with ADEA PASS staff, school admissions staff and admissions committees.
• I authorize the ADEA PASS to disclose my information to (a) a limited number of third-
party organizations that are involved in the application process, including ADEA PASS’
third-party service providers, and (b) tuition assistance services that request this
information, such as those that use information to identify and contact applicants who
may be eligible for scholarships.
• I have read, reviewed, understand, and agree to the use and disclosure of my
information as outlined in the ADEA Privacy Statement found within the ADEA PASS
instructions and/or on the ADEA website.
• I understand that an official transcript is required by the ADEA PASS for all college level
institutions I have previously attended, and that failure to provide these required
documents may cause my application to remain incomplete. By submitting my ADEA
PASS application, I am indicating that I have requested official copies of my college
level transcripts be sent directly to the ADEA PASS.
• I understand that beginning on March 1 and thereafter, when considering multiple
offers of acceptance, I should hold only one position by accepting the offer of one
dental school and declining other offers. After this time, if I hold offer(s) at more than
one dental school, my status will be shared with all applicable schools and may result in
offers being changed or revoked.

Browser Support Policy


ADEA PASS supports the latest versions of Chrome, Firefox and Safari. The application uses
cookies, JavaScript and pop-up windows, so please be sure all are enabled within your
browser. (The default setting is “on,” so it is unlikely that you will need to make any changes.)

Browser vendors recommend users stay up to date on the latest versions of the browsers, and
we recommend the same for the optimal application experience. If you experience an issue,

Email Policy
To ensure that you receive email notifications from ADEA PASS, you may need to designate
ADEA PASS as a “Trusted Source” through your email provider. This is usually accomplished
by adding our email addresses to your address book, contact list or safe list. Add the following
email addresses to receive email subscriptions:

How to White-list Sender Addresses:

ADEA Policies
The policies of ADEA that govern the ADEA Postdoctoral Application Support Service (ADEA
PASS) are recommended by the ADEA PASS Task Force, an official committee of the
Association. ADEA PASS makes every effort to process and transmit application materials to
the advanced dental education programs designated by the applicant. ADEA, however,
assumes no responsibility for delays in processing application materials caused by the
applicant’s failure to follow instructions or circumstances beyond the control of ADEA PASS.

ADEA does not discriminate on the basis of sex, race, color, creed, religion, national origin,
marital status, age or handicap. Such information in the ADEA PASS application is requested
only for the purpose of gathering and reporting applicant flow data or to confirm information
used to process the application.

ADEA Application Services Refund Policy


ADEA PASS application fees are non-refundable. It is vital that the full application instructions
are read and that the application is monitored to ensure that all necessary steps are
completed. Programs provide the content of their ADEA PASS Program Search Engine profiles
and are responsible for the accuracy of their program information. ADEA PASS encourages
applicants to contact the program directly if there are questions or discrepancies. Once an
application is submitted, refunds are not granted for delays in processing application materials
caused by the applicant’s failure to follow instructions. ADEA PASS will not issue refunds on
applications that have been successfully processed and transmitted to the programs selected.

In special circumstances, such as closed programs during the cycle, refund requests will be
considered. Applicants must submit a brief, written request within 30 calendar days of the end
of the cycle to JonesY@adea.org. ADEA reserves the right to grant or deny requests at its own
discretion. Any refund granted will be returned to the applicant at the conclusion of the
application cycle in the format it was paid.

ADEA Privacy/Confidentiality Statement


ADEA will generally not release personally identifiable data without the permission of the
individual involved. Except as described below, information about individual applicants and
matriculants is not shared with anyone outside of ADEA in a way that would permit individual
identification.

Information about applicants is disclosed to the schools and/or programs to which a student
applies using one of ADEA’s centralized application services. Information about applicants who
use one of ADEA’s centralized application services may also be disclosed to a limited number
of third-party organizations that are involved in the application process and tuition assistance
services, such as those that use information to identify and contact applicants who may be
eligible for scholarships. Applicants to one of ADEA’s centralized application services will be
required to release their application information and supporting documents by agreeing to the
Release Statement and Code of Conduct within the application.

Application data submitted by an applicant will generally not be shared with third-party
individuals or organizations. ADEA will only discuss an application with the applicant and the
applicant’s designated schools and/or programs. Staff will not discuss an application with a
parent, spouse, relative, friend or employer of the applicant. ADEA reserves the right to release
information from an applicant or matriculant’s file to: (i) respond to information requests by law
enforcement or other governmental authorities; (ii) comply with any law, regulation,
enforceable subpoena or other legal process or court order; (iii) investigate or prevent security
threats, fraud, malicious activity or inappropriate, unauthorized or illegal activity involving
ADEA’s services or computer networks; or (iv) enforce or protect ADEA’s rights and property. In
such circumstances, personal information may be disclosed without notice to the individual
applicant or matriculant.

ADEA may disclose to the public data that it gathers through its centralized application
services in aggregate de-identified form. ADEA reserves the right to use applicant data,
including individually identifiable applicant data, for its own purposes, including research
purposes. However, in publishing research, ADEA will not include individual applicant
information.
