Introduction to Hotel Management System

The HMS is designed and developed to help hotels work smarter – not harder. It
is a comprehensive software system consisting of integrated modules for various
aspects of hotel management. our software is often referred to as Property
Management System. HMS includes Reservation, Front Office, Point of Sales,
House Keeping, Store & Accounting modules tightly integrated. Our HMS
allow us to provide our customers with reliable and error-free software
system/s, regardless of complexity. This means that they can concentrate on our
clients' business goals and keep them involved in every stage through the entire
project of software developement. Our meticulous approach of the PMBook
norms has helped us to build a strong project with no failed or aborted.
Gantt Chart
OBJECTIVES
During the past several decades personnel function has been transformed from a
relatively obscure record keeping staff to central and top level management
function.
There are many factors that have influenced this transformation like
technological advances, professionalism, and general recognition of human
beings as most important resources:

 A computer based management system is designed to handle all the


primary information required to calculate monthly statements. Separate
database is maintained to handle all the details required for the correct
statement calculation and generation.

 This project intends to introduce more user friendliness in the various


activities such as record updation, maintenance, and searching.

 The searching of record has been made quite simple as all the details of
the customer can be obtained by simply keying in the identification of that
customer.

 Similarly, record maintenance and updation can also be accomplished by


using the identification of the customer with all the details being
automatically generated. These details are also being promptly
automatically updated in the master file thus keeping the record
absolutely up-to-date.
The entire information has maintained in the database or Files and whoever
wants to retrieve can’t retrieve, only authorization user can retrieve the
necessary information which can be easily be accessible from the file.

HMS description

The following steps that give the detailed information of the need of proposed
system are:
Performance: During past several decades, the records are supposed to be
manually handled for all activities. The manual handling of the record is time
consuming and highly prone to error. To improve the performance of the Hotel
Management System, the computerized system is to be undertaken. This project
is fully computerized and user friendly even that any of the members can see the
report and status of the company.

Efficiency: The basic need of this website is efficiency. The website should be
efficient so that whenever a new user submits his/her details the website is
updated automatically.
This record will be useful for other users instantly.

Control: The complete control of the project is under the hands of authorized
person who has the password to access this project and illegal access is not
supposed to deal with. All the control is under the administrator and the other
members have the rights to just see the records not to change any transaction or
entry.

Security: Security is the main criteria for the proposed system. Since illegal
access may corrupt the database. So security has to be given in this project.

This project is used by two types of users:

a. Online Users.
b. Administrator (management of the Hotel).

a/ Online users can see the required articles or news.

b/ Administrator can maintain daily updates in the hotel records. Administrator


is must be an authorized user. He can further change the password. There is the
facility for password recovery, logout etc.
The main aim of the entire activity is to automate the process of day to day
activities of Hotel like Room activities, Admission of a New Customer, Assign a
room according to customer’s demand, checkout of a computer and releasing the
room and finally compute the bill etc.
The limited time and resources have restricted us to incorporate, in this project,
only a main activities that are performed in a HOTEL Management System, but
utmost care has been taken to make the system efficient and user friendly.

Report of the meeting

1st meeting / Wednesday 09/12/2009 : After a long brainstorming , defining


objectives , needs, requirement. We define each member task and way of
procedures doing it. We also start the Gathering information Phase.
We define also the project planning & gantt chart

2nd meeting / Thursday 17/12/2009: After the first Gathering information


Phase, the second meeting was about the last phase of Gathering info. The
Project leader has make sure that we follow the Pmbook norms, The
documentation chief gather the information from each member for a e-
documentation using appropriate db.
The organizer has make sure that we follow the timing end planning for this
meeting, and also manage with the other member help to schedule a hotel visit
planning to Hayat regency hotel ( scheduled a meeting with a responsible of a
department within the Hayat regency hotel)

3rd meeting / Wednesday 23/12/2009: The organizer) has scheduled for this day
a hotel visit to Hayat regency at 3pm. The group has met a chair department
within the hotel. The reporter took note and remark of this meeting.

4th meeting / Thursday 24/12/2009: After the Hotel visit , the group scheduled
a meeting to review the report of the visit , and discuss different issue of the
HMS system. All the document is organized by the DC.
The group also scheduled this day for the First step of the DFD phase.

5 meeting / Wednesday 30/12/2009: The organizer scheduled the last step of


the DFD phase on this day, the meeting will be at 2pm.

6th meeting / Saturday 02/01/2010: The organizer scheduled this day for a
review of the work done so far. The document chief will show the document
gathered from day one of the project , and as a team , we re-organize the work,
and establish the information needed for the next phase of the project.

7th meeting / Monday 04/01/2010: The organizer scheduled for this day, a
review of the work done by the member within this weekend, concerning the
HMS implementing system in Ms access.

8th meeting / Friday 08/01/2010: For this meeting, the team implement the
HMS system in Ms access , gather each member work , choose the best one ,
and improve it according to the need & objectives of the project
9th & last meeting / Monday 11/01/2010 : The team gather the work done from
the beging of the project , projected in ms word , organized for print it.

Place of the visit : Hotel Hayat regency
Purpose : Meeting to a Department Chair whiten the hotel
Description of the hotel:

main commercial and financial hub of Morocco. Located right in the United Nations Square,
the hotel is steps away from the Old Medina, the Quarter of Habbous and the central market.

 MS access 2007:

Implementation of Database

• The database tables were successfully created using My SQL and MS Access.
• All the tables mentioned were designed and implemented appropriately with
the appropriate fields and their data types

 Gantt Chart :

First-rate tools when used by PM’s that seek to envision, prepare, and track
estimated and true progress of projects.

 PMBook guide:

The PMBOK Guide is process-based, meaning it describes work as being accomplished by


processes. This approach is consistent with other management standards such as ISO 9000
and the Software Engineering Institute's CMMI. Processes overlap and interact throughout a
project or its various phases. Processes are described in terms of:
