Instruction / Guidelines for Candidates Applying for Pilots ONLINE Examination

(http://udaan.nic.in)
(Issued under Sub Rule (1) of Rule 41A of Aircraft Rules 1937)
The Pilot License Examination system has been brought ONLINE with effect from Oct
2011. The applicants / candidates are required to interact with the online system of
examination (udaan.nic.in) for registration, allotment of Computer Number, Roll Number,
uploading of Photo & Signature, printing of admit cards, etc. The examination with respect to
all categories of Pilots License Examination - General Subjects (excluding technical) are
being held ONLINE with effect from Oct. 2011 session. However, the examination for
Technical Subjects will continue to be held under OMR paper based. Given below are the
instruction with respect to submission of application, appearing in examination and other
exam related activity for applicant’s strict compliance:

The applicant is advised to carefully read the instruction contained hereunder.

PART – A. Old Pilot Candidate Registration.

This part prescribes the procedure for registering with Online System of Examination to
whom the Computer Number has been allotted prior to July 2011 and who haven’t registered
/ interacted with the online system of examination.
1. The Site http://udaan.nic.in is available on Internet explorer Version 7.0 and higher,
Mozilla Firefox, Google Chrome.
2. Individual Email ID of the candidate is an important component of the System. All
important information such as Computer Number, Roll Number, Examination
Schedules, and Application Status etc. will be communicated to the candidate on this
email ID only.
3. No two candidates can share the same email ID while submitting their application
ONLINE.

4. The prerequisite for a candidate for using the system is his login ID & Password. To
get the login details, candidates are required to use ‘Old Pilot Candidate
Registration’. The old candidates who already have a Computer Number can use this
option. For the new applicants, they have to fill the application for Computer Number
using “Online application for computer number” link.

5. The old pilot candidate registration form looks like the screen given below. Candidate
is required to fill in his Computer number, Date of Birth from the visual dropdown
calendar and the letters shown in the respective cell to proceed further.

6. When the entered details viz. Computer Number & Date of Birth, matches with the
existing data in the online system of examination, the candidates will see the following
screen.

7. Candidates will now be required to fill in all mandatory details important for registration
process. The details already with DGCA will be displayed on the screen.
8. On selecting the SUBMIT button, an auto generated password is sent to the
registered e-mail address (ID). The Computer Number will be his / her Login ID.
9. With the combination of login ID & Password, the applicant gets the rights to access
the online system of examination for activities such as submitting application online for
examination, uploading of photograph & signature as per guidelines given here under,
viewing the result cards, printing of admit cards for a specific session etc..
Caution:
The Login ID and the Password is unique to each applicant and candidate is
responsible to protect it from loss / sharing with someone else for security reasons.
DGCA will not be held responsible for misuse of the login credentials.

Note:
In case the qualification field indicated as “NOT KNOWN”, against the profile of the
applicant in online system of examination, the applicant on log in to udaan.nic.in will
get a screen as displayed below:

If the above message appears, applicant will not be able to apply for examination and
he/she is required to furnish necessary documentary evidence in support of his / her
qualification to CEO and acceptance by CEO. Applicants in this regard are advised to
submit a request to CEO along with the copies of the qualification (10th and / or 10+2 /
equivalent / evidence in support of Rule 47A of Aircraft Rulers 1937 as applicable) self
attested, by speed post / registered post to The Director of Airworthiness, Central
Examination Organisation, O/o Director General of Civil Aviation, Govt. of India, East
Block – III, R K Puram, New Delhi – 110 066, so as to facilitate CEO for updation of
the profile of the candidate in the database of the Online System of Examination. On
acceptance of qualification details by CEO, the profile will be updated which inturn
completes the registration formality. On completion of the above activity, the applicant
can submit the application for examination.

10. After successful registration please complete the formalities with respect to uploading
of Photograph & Signature as per the instruction given in the following section at Part
– D.
11. In case of mismatch of Date of Birth detail, the registration may not be successful.
Under this circumstances, the applicant may contact the CEO through e-mail
(ceo.dgca@nic.in) with the details such as Computer Number, Applicant’s Full Name,
Date of Birth, Father’s Name, Mother’s Name for resolving the issue related to
unsuccessful registration.
12. The applicant can fill online application for examination only after successful
registration.
13. The “Old Pilot Candidate Registration” is an one time exercise and not required
for each session of examination.
14. After successful registration, candidates are advised to complete the formalities
with respect to uploading of photograph and signature in udaan site in
accordance with the Part – D to this guideline given below before submitting
application for examination.

Part – B. Guidelines for filling up of the Application for Allotment of Computer
Number:
1. For submission of application for Allotment of Computer Number, the applicant is
required to submit the application online using the link “Online Application for
Computer Number” under the site udaan.nic.in given in the home screen

2. When the link as mentioned above in Part – B, Para – 1, is selected the screen will appear as
shown below:

3. The applicant is required to fill-in all the mandated information before selecting the
SUBMIT option. When the SUBMIT button selected, and after successful submission,
a Temp ID No. will be displayed on the screen with an advisory for printing of the
application. It is required to take the print of the online submitted application
immediately on successful submission, as no provision is available in the
system to print the application later. The Temp ID No. shall remain as a reference
number till such time the application either accepted or rejected by CEO.
The printed application (hard copy) along with the required supporting documents self
attested are to be forwarded to Central Examination Organisation within 10 days of
submission of online application as per instructions given hereunder in PART – C.

Part – C: Instruction for submission of hard copy of application. (after having


submitted the application ONLINE for Computer Number).

1. Printout of the submitted ONLINE application duly signed with latest Passport
sized color Photograph pasted on it. The photograph on the second page under the
“CERTIFICATION BY ATTESTING OFFICER” required to be attested in such a way
that the signature & stamp of the attesting officer covers partly both the photograph &
the page.
2. Date of birth proof – 10th Std. Certificate & Mark List of a recognized Board
(recognized by Council of Boards of School Education) or its equivalent or the Birth
Certificate issued by a Municipal Corporation / Committee shall be the documents
acceptable as proof of age.
3. Name: - The name will be accepted as mentioned in 10th Std. Mark Sheet /
Matriculation certificate. If the name appears different and / or has been changed
subsequent to acquiring the basic qualification or equivalent qualification / due to
marriage / any other reason, the self attested copy(s) of amended mark sheet & pass
certificate / Gazette Notification issued by the state or central government for name
change and / or the recent passport issued with the current name shall be accepted
against proof of name.

4. Educational Qualification

a. 10th Std. Certificate & Mark List, Matriculation certificate (for both PPL, CPL
category & above) from a recognised Board (recognised by Council of Boards
of Secondary Education, State Govt. Education Board) or its equivalent.

b. 10+2 Standard Mark List & Pass certificate (for CPL category and above) as
a proof of having passed 10+2 with Maths & Physics subjects from a
recognized Board / University (recognised by Council of Boards of Secondary
Education, State Govt. Education Board) or its equivalent examination. In the
case of applicant not having 10+2 with Maths & Physics and like to use the
provision of Rule 47A of Aircraft Rules 1937, as an evidence for having flown
before1st Jan 1994, the self attested copies of first page of his Log Book where
his personal particulars are mentioned and the page where the Date of First
Flight is recorded.

Note: The equivalent qualification acquired by the applicant from the
board recognized by COBSE, State Govt. Education Board and in the
case of Technical education like Diploma, it should be recognized either
by AICTE or by the respective Directorate of Technical Education of state
Govt. shall be considered acceptable.

With respect to acceptance of pass status, the applicant has to be


declared passed including the Physics & Mathematics subjects (in 10+2
STD) and pass awarded by the board with fail status of these subjects
shall not be considered acceptable.

c. Verification Certificate of 10th and 10+2 Standard (with Maths & Physics)
mark lists obtained from the Board / University concerned, either they are under
the education system of 1) INDIAN School / Board / University situated in India
or Abroad 2) International School / Board / University situated in India or
Abroad.

The candidate himself or the institution where the candidate has enrolled for
flying training will apply to the concerned Board / University (Indian /
International) to obtain Verification Certificate with respect to 10th and 10+2
Standard Mark list before applying for allotment of Computer Number.
Candidate may obtain the verification certificate personally or request the Board
/ University to send the same to Director of Airworthiness, CEO, O/o DGCA,
East Block – III, R K Puram, New Delhi – 110066.

In case, the candidate personally collects the verification certificate, the same
must be presented / submitted to CEO in a sealed envelope (Sealed by the
Concerned Board under their Official Seal). If the verification has been obtained
by the training institutions and / or verification addressed to the training
institutions, the applicant should send an attested copy of (attested by the Chief
Flying Instructor) the Verification along with his application for allotment of
Computer Number.

In case the Board / University intends to forward the verification certificate to


CEO directly, the candidate has to submit the evidence, such as application
acknowledgement received from the board and / or the challan copy for having
submitted the fee to the Board / University along with the application for
allotment of Computer Number & in such cases, the application will be
processed only after receipt of the Verification Certificate from the Board /
University concerned by CEO.
Note:
i) If Verification Certificate of 10th and 10+2 Standard (with Maths & Physics)
mark lists are obtained by the candidate from the Board / University concerned
addressed to Director of Airworthiness, CEO, O/o DGCA and not submitted in
original by the applicant (in a sealed envelope), to CEO, O/o DGCA, the
computer number will not be issued.

ii) In the case of applicants who earned the qualification from foreign university,
education system and / or studied in foreign country, the verification certificates
for such qualifications are to be forwarded by the concerned board (under
whom the institution is awarding pass certificates / mark sheets) to CEO, O/o
DGCA by e-mail at ceo.dgca@nic.in. In this regard, the applicant may request
and submit necessary application to the Board / University concerned as
required by them.

iii) If Verification Certificate of 10th and 10+2 Standard (with Maths & Physics)
mark lists obtained from the Board / University concerned addressed to Flying
Training Institutions, the Computer Number shall be issued on the basis of the
attested (attested by the Chief Flying Instructor of the approved flying training
institute) copy of the board verification. However, at the time of applying for
issue of Flight Crew License, the applicant has to submit the original to
licensing authority as per the requirement of Directorate of Training &
Licensing.

iv) In the recent past certain Boards / Institutions / Universities have made the
qualification verifications available in their respective web site. If such
verifications are accessible in web site, DGCA will have no objection in taking
such verifications for acceptance of the Computer Number application for
further processing. The respective link for the said verification should be
mentioned in the application. If such verifications are not made available
directly online and if any registration process mandated by such boards, DGCA
will not be in a position to entertain the applications submitted without proper
verification obtained by the applicant as mentioned above in Para – “c” and
Note (i) to (iii).

d. In case the applicant has acquired the Basic Qualification (10th, 10+2 or
equivalent) from Indian or International School / Board / University situated in
India or abroad, in addition to the verification certificate mentioned as above at
Para-c, enclose self attested copy of equivalent certificate issued by
Association of Indian Universities (AIU) House, 16, Kotla Marg, New Delhi –
110022.

e. Self Attested copy of an identification such as

i) SPL issued by the CFI of approved Flying Training Institute


ii) FRTOL / PPL / CPL as the case may be issued by DGCA (India)
iii) Passport
iv) Airport entry card – issued by BCAS
v) UID / AADHAR
vi) Voter ID
vii) Defense Identity Card in the case of Defense Personnel
viii) Dependent Card issued by Defense Organisation.
ix) Ration Card if, candidate’s Photograph is printed therein.
x) Pass certificate / Mark List of 10th, 10+2, Diploma, Degree issued by
recognized Board / University wherein the photograph of the candidate
printed and clearly visible.
xi) Central / State Govt. Health Cards with photograph of the candidate printed
therein.

5. Copy of Passport in case of foreign national.

In case the applicant is a citizen of other than India / holder of Overseas Citizen of
India (OCI) status / Persons of Indian Origin (PIO) status, they are required to be
cleared from security point of view from authorities concerned before allotment of
Computer Number.

For obtaining the Security Clearance, an individual or the sponsoring organization may
apply to CEO, DGCA in the prescribed format given in Annexure-B to this guidelines.
Duly filled in application Should be forwarded in quintuplicate (5 sets of application &
documents) to The Director of Airworthiness, Central Examination Organisation, Office of
The Director General of Civil Aviation, East Block – III, R K Puram, New Delhi – 110066
along with all necessary supporting documents as mentioned in the form by Speed /
Registered Post for necessary action.

The application for Security Clearance will be processed only after satisfying with the
application and documents submitted for Allotment of Computer Number. Queries if any,
the candidates may contact CEO at ceo.dgca@nic.in for clarification and initiating the
process of Security Clearance.

6. Proof of Address: Self attested copies of one of the following:

a. Aadhaar Card
b. Passport,
c. Voter ID,
d. Ration Card
e. License issued by DGCA
f. Proof of address issued by State / Central Government

The applications meeting all of the requirement as above shall be processed and
Computer Number shall be issued. The Allotted Computer Number will be sent to the
registered e-mail ID. There will be a second e-mail giving the password. The
Computer No. (P-xxxxxxxx) will be the Login ID for udaan.nic.in site. The password
can be changed by the applicant after first successful login.

Note:

i) The envelop / cover containing the hard copy of the application along with all
the enclosures must be superscripted with “APPLICATION FOR ALLOTMENT
OF COMPUTER NUMBER - PILOT” and sent to the Director of Airworthiness,
Central Examination Organisation, O/o DGCA, East Block-III, R K Puram, New
Delhi - 110066

II) After obtaining Computer Number, candidates are advised to complete


the formalities with respect to uploading of photograph and signature in
udaan site in accordance with the Part – D to this guideline given below.

III) The allotment of Computer Number does not automatically enroll the applicant for
written examination. Applicant will have to apply separately for Roll Number for
appearing in the examination in http://udaan.nic.in after login.

Part – D. Instruction & Procedure for uploading the images of Photograph &
Signature on the Pilots Online System of Examination –
http://udaan.nic.in.

After having completed all the requirement with respect to allotment of Computer Number
and after having received the Computer Number through the system generated mail to
this effect, applicants are required to complete the formality with respect to uploading of
Photograph & Signature for approval by DGCA so as the eligible candidates can print
their own Admit Card for the purpose of appearing in Pilot License Examination.

I. Specification of the Images:

1. The Size of the colour photograph is 45mm X 35mm taken on a white background
without borders. The face on the photograph must be of 35mm height and
25mm width. The photograph must be of MATT finish.
2. The size of the scanned colour photo image should not be more than 70kb size.
3. The size of the scanned signature image should not be more than 20kb size.
4. The photograph and signature must be of JPEG format and kept in a readily
accessible folder in your personal computer.

II. Uploading procedure:

1. Open the web site http://udaan.nic.in and login as candidate using the Computer
Number and Password as User Name and Password respectively.

2. On successful login, the screen will appear as shown below. Click on the tab
“UPLOAD”.

3. On selecting the tab “UPLOAD”, the drop down will appear as “PHOTO AND
SIGNATURE”.

4. On selecting “PHOTO AND SIGNATURE”, the screen as shown below will appear.

5. Click on the respective “Browse” buttons and select the Photograph and Signature
image files from the folder you have stored. After selecting appropriate files use the
“UPLOAD” button. The screen as shown below will appear.

6. On selecting “OK” button, the images get uploaded in UDAAN site against your
computer number and the screen as shown below will appear, which is the
conformation for successful uploading of Photograph & Signature.

7. If you are not satisfied with the upload, you may redo so by using “UPLOAD NEW
IMAGE”. On selection of the “UPLOAD NEW IMAGE” button, you will be directed back
to the screen as shown under Para.4 above. You may now upload the desired
images.

8. Once the images of your photograph and signature are uploaded, please fill up the
hard copy of the “Form for submission of Photograph and Signature of the applicant
appearing for Pilots License Examination” attached as Annexure –A to this guidelines
and forward the same to “The Director of Airworthiness, Central Examination
Organisation, O/o Director General of Civil Aviation, Civil Aviation Department, East
Block – III, R K Puram, New Delhi – 110066” by Speed Post / Registered Post along
with a self attested copy of any one of the following document as an Identification
proof for acceptance of the said form.

a. SPL issued by the CFI of approved Flying Training Institute


b. FRTOL / PPL / CPL as the case may be issued by DGCA (India)
c. Passport
d. Airport entry card – issued by BCAS
e. UID / AADHAR
f. Voter ID
g. Defense Identity Card in the case of Defense Personnel
h. Dependent Card issued by Defense Organisation.

CAUTION:

1. Approval of Photograph and Signature is a onetime exercise and the


uploaded images once approved by DGCA, a change / reload is not possible.
It is therefore advised that only candidate’s latest colour Photograph and
Signature are uploaded.

2. Photo Forms may get rejected if the candidates do not adhere to the above
instruction seriously. To avoid rejection, it is advised to make sure that the
images are in correct format, correct size, application duly completed in all
respect, signed, supporting document(s) are attested and attached.

Admit Card printing provision will be made available to the admitted candidates for the
active session with prior intimation through Public Notice in DGCA web site and / or
Notice Board in UDAAN site.

Candidates should print their Admit Card only after release of the list of
Admitted candidates in DGCA web site / Udaan Site.

PART – E: Guidelines for filling up of the ONLINE Application for applying for
Examination.

1. The availability of Udaan.nic.in for submission of application for appearing in Pilot


License Examination for any given session is announced through DGCA website /
Udaan Site under Notice Board. The online examination application link in
udaan.nic.in for a particular session is made available to the candidate only after the
above announcement.

Caution: Please ensure that the formality of approval of Photograph & Signature have
been completed in accordance with the procedure mentioned in Part – D before
applying for the Pilot License Examination.

2. The candidates can fill their online examination forms by logging in the system with his
login details under the link – “Candidate Login”.

3. The online application forms for both type of exams (ONLINE & OMR Based) are
different as can be seen in the links named “Pilot Exam Application form -
ONLINE”, “Pilot Exam Application form – OMR Sensitive” & “Oral Exam Form”
(for 2nd and / or 3rd Oral) under the “EXAMINATION” tab after logging in to Udaan.

4. After login the screen as shown below will appear with the links relevant to the
examination.

5. On selection of “Pilot Exam Application Form-Online” / “Pilot Exam Application


Form-OMR Sensitive” / “Oral Exam Form” the Page as similar to the one below will
be displayed: Fill up all relevant particulars Like Session Type, Session Code, Exam
Type, Examination Centre etc., select the Payment Mode, complete the transaction
and select SUBMIT button.

Note: Only those EXAM CATEGORIES and PAPERS will be available for candidate
selection, whose tentative schedule is already made available. Categories & Papers
scheduled for OMR Exams (Technical Papers) will not be visible in the Exam
application form for online Exam (General Papers) and vice versa.

6. The candidate should make

(1) one single application for all the General Papers (Online-Computer Based),

(2) one single application for all Orals (2nd & 3rd Oral)

(3) one single application for all the Technical Papers (OMR Based)

as the case may be and submit the signed printout of the online submitted
applications with required documents and necessary fee as detailed under Part – F,
given below.

7. Once, the required details are filled, the fee required to be submitted is automatically
calculated and shown to the candidate.

8. The candidate has 2 options for submitting the required fee
a. Using the newly introduced payment gateway through Net Banking or Credit
Card or Debit Card.

If payment is made using Credit / Debit Card / Net Banking, a nominal amount
shall be charged towards service charges as applicable, by the bank in addition
to the fee charged by DGCA in accordance with Regulation.

b. Demand Draft.
In case candidate desires to pay the fee through Demand Draft, prior to
applying for examination, must make sure that he / she has the DD for the
required amount as spelt out in Part – F, Para – 3 given below.

9. Fee once submitted will not be refunded back / adjusted for the next or later
sessions under any circumstances including rejections. Further no
communication in this regard shall be entertained by this office.

Note: Candidate should submit the form only if he / she is sure that the details filled
are correct. Once the application is submitted the resubmission of online application is
not possible for the same paper and for the same session.

10. For the successfully submitted applications, a Temp. ID will be generated, and will be
displayed on screen along with the instructions. The same information will also be
sent to the Candidates’ registered email ID.

11. The Signed print out of the filled application form, along with required
documents (as per instruction given in PART – F & G, below as applicable)
should reach the Director of Airworthiness, Central Examination Organisation, O/o
Director General of Civil Aviation, Govt. of India, East Block – III, R K Puram, New
Delhi – 110 066 by speed / registered post within 10 days of online submission of
application.

12. In case the candidate is not able to take the printout of the online submitted
examination form at that instant, he/she can take the print out later, by using the link –
“Print Examination Application Form” under the “Examination” tab after logging-
in to his account in http://udaan.nic.in.

13. The candidate can check the status of the application by logging in UDAAN and using
the link – “Query Your Application Status” under the “Examination” tab.

14. CEO will process the application and the approval status along with Roll Number,
Exam Schedule and allotted Centre / Venue details and in case of rejection, along
with reason will be sent to the candidates’ registered email ID. The admitted / rejected
list of candidates along with date, time and venue for the examination shall also be
published in DGCA web site – http://www.dgca.nic.in. and / or in udaan site –
http://udaan.nic.in under the “Notice Board”
15. Incomplete applications or applications received with insufficient fee, wrong
and / or DD details not matching with the details as mentioned in the application
shall be summarily rejected and no further communication in this regard shall
be entertained.

PART – F: Fee - The mode of payment of fee and its acceptance for obtaining Roll
Number

Note: The fee for Online Computer Based Examination (General Papers – all categories)
has been revised recently. In this regard kindly refer to Gazette Notification No. G.S.R.
213(E), dated the 5th April 2013.

1. The fee required to be paid is Rs.2500/- per paper in the case of ONLINE Computer
Based Examination (General Papers – all categories) and Rs.500/- per paper in the
case of OMR Based Examination (Technical Papers) and ATPL - Oral Examination of
2nd and 3rd attempt. Fee for the first attempt of the ATPL - Oral Examinations are
covered under the respective papers of ONLINE Computer Based Examination
(General Papers) and payment of separate fee is not required.

2. For ONLINE (General Papers), Oral (2nd & 3rd Oral) and OMR based (Regular -
Technical papers) examinations candidate should apply separately and submit the
signed printout of the online submitted applications with required documents and
separate payment through the newly introduced payment gate way by Net Banking,
Credit Card, Debit Card or Demand Drafts. The candidate should make (1) one
common payment through Net Banking or Credit Card or Debit Card or DD
(Consolidated), for all the General Papers, (2) one common payment through Net
Banking or Credit Card or Debit Card or DD (Consolidated), for all Orals (2nd & 3rd
Oral) and (3) one common payment through Net Banking or Credit Card or Debit Card
or DD (Consolidated) for all the Technical Papers. In all the above three cases, if
payment is made through DD, the DD should be drawn in favor of PAO, DGCA, MCA,
New Delhi, Payable at New Delhi.

For example if a candidate wishes to apply for

i) Pilots General Papers – Air Navigation, Aviation Metrology, Radio Aids &
Instruments and Air Regulation, shall submit one single application to cover such
general papers and a fee of Rs. 2500/- per paper made through Net Banking or
Credit Card or Debit Card or DD.

ii) Pilots Oral (2nd & 3rd Oral only) shall submit one single oral exam application to

3. By Demand Draft – The candidate should submit one common (Consolidated) DD for
all the General Papers (Online Exam), one common (Consolidated) DD for all the 2nd
and / or 3rd attempts of ATPL – Oral Examination and one common (Consolidated) DD
for all the Technical Papers (OMR Based Exam). and the DD should be

a) Drawn from Scheduled bank in India.


b) Drawn in favor of “PAO, DGCA, MCA, New Delhi”
c) Payable at New Delhi
d) Valid for 3 months from the date of issue of Demand Draft.
e) Drawn within 3 days prior to the date of online submission of application.
f) And to indicate the Name, Computer Number, Temp. ID Number &
Session on the back side of the Demand Draft.

Incomplete application or application with insufficient evidences / inappropriate


details and applications received with insufficient fee, wrong and / or DD details
not matching with the details as mentioned in the application shall be summarily
rejected and no further communication in this regard shall be entertained.

Note: DGCA will not hold any responsibility for any unsuccessful transaction made
through Net Banking or Credit Card or Debit Card due to any reason what so ever it may
be.

PART – G: Documents required to be submitted by the applicant for obtaining Roll


Number are as follows.

a. PPL / CPL
Printout of the ONLINE submitted application signed and duly completed in all
respect must reach CEO within 10 days of submission of online application.

b. ATPL

1) Printout of the ONLINE submitted application signed and duly completed in all
respect.
2) Proof of having Indian CPL with Multi Engine endorsement. In the case of
Defense Personnel in lieu of CPL, evidence for having completed 500Hrs flying
experience of which 200 Hrs. should be as Pilot-in-Command.
3) In the case of ATPL 2nd and / or 3rd Oral examination, Printout of the ONLINE
submitted application signed and duly completed in all respect.

The documents mentioned at Para above at b(2) must be self attested. Hard copy of
the signed application completed in all respects and along with its enclosures must reach
CEO within 10 days of submission of online application.

c. Conversion of Pilots License (CPL/ATPL) issued by Foreign Authority.

1) Printout of the ONLINE submitted application signed and duly completed in all
respect.
2) Copy of Foreign Flight Crew License issued by ICAO Contracting State for the
respective category.
The document mentioned at Para above at c(2) must be attested. Hard copy of the
application along with its enclosures must reach CEO within 10 days of submission of
online application.

d. Technical – specific / performance papers with respect to Issue /
Extension under PPL / CPL.

1) Printout of the ONLINE submitted application signed and duly completed in all
respect must reach CEO within 10 days of submission of online application.

2) In case of desired type aircraft is more than 5700Kgs. MTOW / twin engine
Helicopters, Certificate for having successfully completed the ground training
classes on technical specific / performance on the type aircraft from the DGCA
approved training institute. It is also required to enclose an evidence to support the
approval status of the training/institute to that effect in accordance with CAR,
Section-7, Series-B, Part-I.

e. Technical – specific / performance papers with respect to Issue /


Extension under ATPL

1) Printout of the ONLINE submitted application signed and duly completed in all
respect.

2) Proof of having Indian CPL with Multi Engine endorsement. In the case of

ROLL NUMBER - PILOT”.

Part – H: Instruction for printing Admit Card

1. Only upon publication of the list of Admitted Candidates for any particular session in
DGCA web site and / or in Udaan site, the candidate may login to http://udaan.nic.in
and print their Admit Card under the link “DOWNLOAD”.

2. When you select the “Admit Card” the screen will appear as given below:

3. You may now enter the allotted Roll Number of the current session (ONLINE-General
Papers and OMR based – Technical Papers) in the respective cell and click on the
SUBMIT button. The printable Admit Card will appear in the screen for immediate
printing. On printing, Immediately append your signature on the Admit Card.

Note: No provision is available to save the Admit card.

4. Candidates are required to produce this Admit Card for the purpose of
appearing in examinations. No identification document other than this Admit
Card will be acceptable for the purpose of entry into the examination hall at all
centers.

5. Only those candidates who have uploaded their photograph and signature and
completed all necessary formalities required in accordance with the Part – D to this
guideline given above, shall be allowed to appear for the Pilots License
Examination.

CAUTION

From the sessions of examination conducted in the recent past it is observed


that in spite of the clear instruction / Guidelines, many applications gets rejected
due to any / all of the reasons such as:

1. Application not dated & signed by the applicant.


2. Required supporting documents are not attached and / or attachment of improper /
irrelevant documents.
3. Improper attestation of the supporting documents.
4. Mentioning incorrect / inappropriate category of examination.
5. Demand Drafts
a. are drawn in favor of incorrect name, with spelling mistakes.
b. are drawn before the acceptable date.
c. number and date are incorrectly mentioned on the application form
d. are mutilated
e. are drawn consolidated for General / Technical / Oral.
f. of insufficient amount / value
g. are found not attached with application, etc.

To avoid rejection due to any of the reasons mentioned above, it is advised that
the candidate should read the instruction / guidelines carefully before submission of
ONLINE application and subsequently while forwarding the hard copy of the
application. It is reiterated here that if applications received are found not
complete in all respect, it will be summarily rejected and no further
communication in this regard will be entertained.

Part – I: Guidelines to candidates Appearing for Pilot License Examination - ONLINE
(Computer Based)
Section – A
GUIDELINES FOR THE ONLINE TEST
This document details the Instructions and Procedures to be performed by the
Candidate while appearing for Online Examination.

1. Enter the URL http://vimanic.nic.in on the IE Browser or double click on the shortcut
provided on the desktop and press Enter Key. A screen as shown below is displayed.

2. Click on the "CANDIDATE LOGIN" link provided in the above screen. A screen as
shown below is displayed.

3. Enter the particulars like Computer Number and the Password (Password as provided
by the Controller of Examination / invigilator). On providing the necessary particulars, a
screen as shown below will display the Instructions / Guidelines to the candidates.

Please Scroll through all the pages and read the instructions thoroughly and then
click on the “Accept, I have read Instructions Thoroughly” check box and press the
“PROCEED” button.
4. Click on “PROCEED” button navigates to the screen as shown below:

5. Please confirm the details shown such as your computer number, Roll Number,
name, Subject, Exam Category, and enter the PIN Number as provided by the
Controller of Examination / Invigilator before start of the examination in the
above displayed screen. Start of Examination is possible only at the scheduled time
of Examination. In case of morning batch the examination will start by 1000 Hrs. and
for the afternoon batch it will start only at 1500 Hrs.

Note: Candidates can have a successful login only within half an hour of the start of
the exam. For example, if the exam is supposed to start at 10:00 hours, then the
candidate can log in only up to 10:30 hours. The time lost here (say from the start
of the examination to the successful log in time) cannot be gained, which means a
maximum of half an hour late LOGIN is allowed by the system and this late time is
deducted from the total time. This provision is used to cater for unforeseen
circumstances only. After half-an-hour of the start of examination, candidate(s)
cannot login.
After half an hour of the start time of exam the candidate is displayed a message “No
Batches Defined”.

6. After entering the Test Screen, you will be presented with the first question. The
questions will appear one at a time. Each question has three choices for an answer.
You have to select any ONE Option ONLY (A or B or C option). After selecting the
Radio Button against A or B or C, please press “CONFIRM” button to indicate the
confirmation of your choice.

After pressing “CONFIRM” on the screen, the next question will appear. The
“RESET” button is to reset the answer already selected. Once “RESET” button is
pressed, selection of choice has to be confirmed again by pressing “CONFIRM”
button.

Please note that if a choice of answer is made by choosing A or B or C, but


“CONFIRM” button is not pressed, then the system considers this status as
unchanged from its previous state, whatever it may be.

7. You can navigate between Questions by using the Next and Previous buttons. Also
one can jump to any desired question for answering during the exam time using the
Navigational Panel. Answers can be modified any number of times by the candidate
during the time available to complete the exam.

8. All the questions answered/confirmed are indicated in ‘Green’ colour in the navigation
panel shown at the bottom of the screen. If you don’t see the navigation panel fully
on the bottom of the screen, please scroll down. It is suggested that you may jump to
a question for answering by selecting it from the navigational panel. The current un-
attempted question being selected for answering is shown in “Yellow” color and
present attempted question but to be confirmed being selected is shown in “Brown”
colour.

9. The time available for the candidate at any point of time will be shown on the screen
as “Time Left” in HH:MM:SS indicating the remaining time in Hours, Minutes and
Seconds. This timer clicks down the total Exam Time to Zero Seconds. The Panel
also indicates the Grace time granted due to system / network related problem and
where “Candidates Re-Login” option availed.

10. The “FINISH” button may be used only after the candidate successfully answered
as many as he/she can do and wants to end the exam

If by accident you click the “FINISH” button, the system will prompt you with a
message as displayed below.

If the “FINISH” Button had been clicked by accident, then select the button “NO” on
the screen displayed.

If you confirm the Finish action by clicking “TERMINATE”, the candidate is prompted
for his / her re-confirmation. Finishing the Exam would mean complete and final exit
from the Exam and you will not be able to come back to exam screen for the same
batch on the same session.

11. When the candidate selects “End the Exam” the Exam answers are submitted and the
Exam is deemed to be finished with.

12. As soon as the candidate confirms that the exam is completed or on the completion of
the Exam, On pressing the “END OF EXAM” button the candidate’s performance is
evaluated and the score will be displayed as mentioned below:

13. After having seen the marks, the candidate may press the “CLOSE” to close the
browser.

14. If you face any problem with your terminal, while giving examination, don’t panic.
Just inform the invigilator and you will be given another terminal. The time lost on
account of this will be taken care by the system automatically and displayed under
“GRACE TIME”

15. There is No provision for revaluation of answer papers at any stage by CEO.
Candidates shall refrain from making request for revaluation from DGCA
Part – B.
GUIDELINES FOR RELOGIN TO THE ONLINE TEST

Due to any technical problem like power failure, Network failure, Computer
malfunction etc. after the START of the exam, if candidate is unable to
continue the exam, then the candidate has to inform the invigilator /
Controller of Examination (COE).

The COE will check the status of the candidate on the COE’s Dash Board.
If the status is shown as “EXAM STARTED”, then the COE will close the
browser of that candidate.

After thorough investigation, if found genuine, COE will select “CANDIDATE


RELOGIN”. In the next screen the COE will enter the MASTER PASSWORD
and permit the candidate to RELOGIN.

The screen for candidate RELOGIN is as shown below:

After the Site Controller enters the Master Password, Candidate has to enter his
credentials. On entering the valid credentials, the exam screen is displayed

The time lost between the last accessed time of the exam screen and the time when
“SUBMIT” button was pressed under the RELOGIN page is taken care and added as
the re-login grace time.

Only those candidates who could successfully LOGIN at the first attempt and
started the examination can avail this RELOGIN option.

Due to any reason, if a candidate was not successful to LOGIN to online exam
even after the FIRST TIME with in the allowed grace period (30 Min), then that
candidate CANNOT exercise the RELOGIN option.

Candidate who terminates the exam by choosing the “FINISH” button and RE-
CONFIRMING TWICE to end the exam, they CANNOT utilize CANDIDATE
RELOGIN option.

Candidate RELOGIN option CANNOT be utilized if the exam has been


terminated / stopped by the COE.
