ERP - enterprise resource planning

Enterprise resource planning (ERP) is business process management software that

allows an organization to use a system of integrated applications to manage the
business and automate many back office functions related to technology, services
and human resources.

ERP software typically integrates all facets of an operation — including product

planning, development, manufacturing, sales and marketing — in a single database,
application and user interface.

ERP is an Enterprise Application

ERP software is considered to be a type of enterprise application, that is software

designed to be used by larger businesses and often requires dedicated teams to
customize and analyze the data and to handle upgrades and deployment. In
contrast, Small business ERP applications are lightweight business management
software solutions, often customized for a specific business industry or vertical.

Today most organizations implement ERP systems to replace legacy software or to

incorporate ERP applications because no system currently exists. In fact, a 2016
study by Panorama Consulting Solutions, LLC., indicates that organizations
implement ERP for the following reasons:

 To replace out-of-date ERP software (49%)

 To replace homegrown systems (16%)
 To replace accounting software (15%)
 To replace other non-ERP systems / had no system (20%)
A Brief History of ERP
The term ERP was coined in 1990 by Gartner1, but its roots date to the 1960s.
Back then, the concept applied to inventory management and control in the
manufacturing sector. Software engineers created programs to monitor inventory,
reconcile balances, and report on status. By the 1970s, this had evolved into
Material Requirements Planning (MRP) systems for scheduling production
processes.
In the 1980s, MRP grew to encompass more manufacturing processes,
prompting many to call it MRP-II or Manufacturing Resource Planning. By 1990,
these systems had expanded beyond inventory control and other operational
processes to other back-office functions like accounting and human resources,
setting the stage for ERP as we've come to know it.

MICROSOFT DYNAMICS
GREAT PLANES

What is Dynamics GP?

PAGE 7
Dynamics GP is a piece of business software made by Microsoft. It’s an
enterprise resource management—or ERP—program that helps businesses
manage the back-end operations such as accounting that keeps it running on
a day-to-day basis.

Dynamics GP covers areas like business intelligence, warehouse management,

financial management, retail and e-commerce, inventory management, project
management, service management, human resources, manufacturing, and
distribution. Although it doesn’t boast all the features of a full CRM, it also has
some sales and service capabilities too.

How was Dynamics GP developed?

Dynamics GP started out as an administrative system, geared towards the US
market. Unlike other Dynamics platforms, GP does not feature extensive multi-
language or multi-currency capabilities, which limited its scope for expansion.

Dynamics GP is sometimes referred to as Great Plains, after the software

company that originally developed the product. An independent company
based in Fargo, North Dakota, Great Plains released the first variation of what
would later become Dynamics GP in 1993. Dynamics Release 1.0, as it was
known, was one of the first multi-user accounting programs available in the
US.

In 2001, Microsoft purchased Great Plains, who had themselves recently

acquired another ERP company named Solomon Software, bringing both
Solomon IV and what was by then Dynamics Release 8.0 under the Microsoft
umbrella. These two products were later renamed Dynamics SL, and Dynamics
GP respectively.

In November 2016, Microsoft rebranded its Dynamics suite, rolling several of

its CRM and ERP softwares under a single new product name; Dynamics 365.

However, Dynamics GP, like Dynamics SL, remains a standalone product.

What does Dynamics GP offer?

Dynamics GP allows businesses to run core processes like financial
management, business intelligence and reporting, procurement, inventory,

PAGE 8
field service management, supply chain management, and project and job
accounting.

It includes more functionality than entry-level accounting systems, and is

comprehensive enough to support continued long-term growth as it can be
used to manage multiple companies or units.

It also supports simple manufacturing processes, such as kitting or light

assembly, and ships with integrated payroll functionality.

Who uses Dynamics GP?

Known for its strong financial management, Dynamics GP is used primarily by
larger businesses than Dynamics NAV, appealing largely to companies with a
$3-5m turnover. It’s a particular favorite amongst distribution companies.

Dynamics GP tends to be used by businesses who are not “IT lead”; those who
are not fast-changing, who have no desire or need for cutting-edge features,
and are happy to stick with what works for them.

What are the main benefits of using

Dynamics GP?
There are many reasons why businesses who require an ERP might choose
Dynamics GP. Firstly, it’s a proven product, having been in use since the early
2000s. It also has the benefit of Microsoft’s trusted name, and the familiar
look and feel of other Microsoft products.

Another perk of its longevity is that GP has grown a strong network of partners
and professionals around it, who are available to help businesses realize their
ERP vision. These partners have built a broad range of solutions that address
specific industry needs.

Dynamics GP is a robust system, and most business can enjoy extensive

functionality right out of the box, with minimal customization required. Those
who do want to extend its capabilities can do so easily, thanks to the vast
catalog of third-party add-ons available for GP.

The platform can also be deployed in a number of ways, giving businesses

flexibility when it comes to how they choose to store their Dynamics data and

PAGE 9
how they access the system. GP can be accessed through the web, via a
SharePoint portal, or using a traditional desktop computer, so both office and
remote employees can perform business processes whenever they need to.

The business intelligence capabilities of Dynamics GP help users become

proactive when it comes to their financials, allowing businesses to not only fix
problems, but also prevent them from occurring in the first place.

GP’s native integration with Microsoft Office, and other commonly used
business tools like SharePoint and Outlook, makes it easy for businesses to
further centralize their tasks, and collaborate with other departments and
other businesses more easily.

Does Dynamics GP offer integration

options?
The software also integrates naturally with another popular Microsoft product;
Power BI. Microsoft’s powerful, cutting-edge business intelligence platform,
Power BI can help GP users get more out of their business data, helping
visualize key information, and offering AI-fueled guidance on next steps and
areas where efficiency could be improved.

There’s also the guaranteed support; whichever version users opt for,
Microsoft will provide updates and fixes for up to 10 years after its release.

How can it help businesses grow?

Businesses can’t grow their operations unless they’re able to properly assess
the way they currently work. Dynamics GP allows businesses to improve
visibility internally, and get a complete picture of their processes so they can
see exactly where they can do better. Real-time analytics enable businesses
to spot trends in their data, so they can quickly respond to changes in the
market, and generate forecasts that ensure they’re always ready to meet
demand.

On the most basic level, using an intelligent ERP like GP improves record
accuracy, making sure every user has access to the right information first
time, which not only saves time, but improves the quality of a company’s
engagement with their customers and clients, helping to boost customer
satisfaction and cement long-term loyalty.

PAGE 10
Having a single repository for operational data enables businesses to get a
clear, complete picture of things like production costs and outgoings, so
budgets can be assessed and reevaluated on a regular basis to keep spending
as low as possible.

What releases are currently available?

The latest available version of Dynamics GP is GP 2018, which was released in December 2017.

There are still a number of older versions—GP 2013, GP 2015, and GP 2016—which are still supported by
Microsoft, and remain in use by many businesses.

Dynamics GP vs. Dynamics NAV

Both GP and NAV are full-featured, industry-leading business management solutions. Both have been
proven in tens of thousands of businesses worldwide, providing financial management and operations
capabilities that save time and support business growth.

Though its suitability for international growth was limited by its language capabilities, Dynamics GP was
always developed as a fully functional product for English-speaking markets, ready to be used by
businesses straight out of the box.

Dynamics NAV, on the other hand, was built primarily as a foundational platform on which ISVs could
develop their own product. Businesses opting to use Dynamics NAV can expect around 65% of the
functionality they need to be available in an off-the-shelf iteration of NAV; they then have the space to be
able to add in what else they need based on their own business-specific requirements.

Here are some key differences in functionality between NAV and GP:

PAGE 11
DYNAMICS GP IS NOT AS ADAPTABLE, AS IT IS DESIGNED TO BE USED RIGHT
OFF THE SHELF.

How is Dynamics GP sold?

Dynamics GP is purchased through Microsoft partners, who sell GP on
Microsoft’s behalf. Users purchase a “base” version of Dynamics GP, known as
the Starter Pack, and can choose to add in extensions and other modules to
build out the platform’s capabilities if necessary.

The Starter Pack includes three Full User Licenses, and covers GP’s core
functionality including finance, distribution, and payroll.

For an additional one-off cost, users can purchase the Extended Pack, which
includes modules for manufacturing, warehousing, and project management,
plus some CRM and business intelligence capabilities.

Further expansion packs include the Customization Pack, featuring the

Integration Suite and Customization Suite, and the Extended HR and Payroll
Pack, which gives users access to advanced payroll and HR features, PTO
manager, and benefits self-service.

How much does Dynamics GP cost?

 Starter Pack: $5,000 for 3 concurrent users
 Additional Full Users: $3,000 each
 Additional Limited Users: $600 each (read-only access)
 Self-Serve Users: $60 each

ORACLE PEOPLESOFT

PURPOSE:

PAGE 12
PeopleSoft is an e-business software product line owned
by Oracle. PeopleSoft originally offered human resources
and finance applications. Over the years, it has added tools
and applications for general business processes, such as
materials management, and applications for specific
industries, such as the automotive, communications and
higher-education fields.

PeopleSoft now provides users with an integrated ERP

(Enterprise Resource Planning) software package that
assists in the day-to-day execution of various business
operations. PeopleSoft applications are used by human
resource departments in large corporations. These
applications include human resource management systems
(HRMS), customer relationship management (CRM),
financials and supply chain management (FSCM) and
enterprise performance management (EPM).

HISTORY:
PeopleSoft was founded in 1987 by Dave Duffield and Ken
Morris to launch their human resources application. Their
mission was to provide software to meet the changing
demands of the business world. PeopleSoft became well
known for its HR capabilities in managing a company’s
workforce. It was initially a client/server architecture, which
was popular in the 80’s and 90’s, but by the late 90’s they
realized that the web was the future. In 2000, the company
launched the web-based version of its software,
PeopleSoft8. Its web-based applications are intended to

PAGE 13
integrate systems easily, so a company can connect
customers, employees and suppliers more cost-effectively.

In 2003, PeopleSoft and rival company JD Edwards merged.

By merging with JD Edwards, PeopleSoft was able to
properly provide for these companies, thus expanding its
customer base. In 2005, Oracle purchased PeopleSoft for
$10.3 billion, adding CRM software to its product lineup.
Shortly after acquiring PeopleSoft, Oracle laid off 5,000 of
the company's employees. Oracle later rebranded the former
JD Edwards product line, PeopleSoft Enterprise One
became JD Edwards Enterprise One, and PeopleSoft World
became JD Edwards World.

Since the Oracle takeover in 2005, the product line has been
reduced and release pace has dropped dramatically.
Following the death of PeopleSoft, Dave Duffield started a
new company, which was called Workday. Still a lot of
companies are using PeopleSoft. Its market share is
decreasing but not so rapidly.

MAIN POINTS ABOUT PeopleSoft:

 PeopleSoft Application Engine allows users to develop,
test and run batch or online programs that perform
high-volume background processing against data.

 PeopleSoft Application Engine's updates are more

efficient, because the definition itself is stored in the
database.

PAGE 14
 PeopleSoft Human Capital Management (HCM) allows
users to execute common HR tasks, such as approving
a promotion transaction, managing their team, viewing
a pay slip or editing personal information.

 PeopleSoft HCM can be customized to fit the needs of

specific industries for managing, tracking and
administrating the entire workforce, including
managers, employees

 PeopleSoft HCM can be used on any mobile device,

 PeopleSoft products are available via Oracle Cloud

 In PeopleSoft's Deployment Framework and

PeopleTools 8.55, users can transfer data to virtual
machines in the Oracle Compute Cloud

 Users are also able to use their own custom data with
PeopleSoft and create multinode PeopleSoft clusters
on the Oracle Cloud.

DOWNSIDES:
Nearly half of the organizations using Oracle’s
PeopleSoft applications are vulnerable to cyber attacks,
according to a report from ERPScan, a company that
specializes in securing business-critical enterprise
resource planning (ERP) solutions from SAP and Oracle.
Using a special Google search, ERPScan has determined
that there are 549 PeopleSoft systems accessible through
the Internet. Researchers discovered that an attacker can
log in to the system as any user by brute forcing this hash.
According to ERPScan, the token can be decrypted within
one day using a GPU that costs roughly $500. Oracle
PeopleSoft solutions are used by many public and private
organizations worldwide for human capital, financial, supplier
relationship, and supply chain management. The popularity
of applications such as PeopleSoft Human Resource
Management Systems (HRMS), reportedly used by more
than 7,000 companies, makes them an attractive target for
cybercriminals.

FUTURE OF PeopleSoft:

PAGE 16
Today’s PeopleSoft delivers continuous innovation with new
features, functionality, and enhancements across the
applications suite. Oracle’s PeopleSoft applications are
designed to address the most complex business
requirements. They provide comprehensive business and
industry solutions, enabling organizations to increase
productivity, accelerate business performance, and provide a
lower cost of ownership.
1-SAP (Systems Applications and Products in Data
Processing)

Introduction:

SAP (Systems Applications and Products in Data

Processing) Software was Founded in 1972 by Wellenreuther, Hopp, Hector,
Plattner and Tschira. SAP system consists of a number of fully integrated
modules which covers virtually every aspect of the business management. SAP
is number one in the ERP market. As of 2010, SAP has more than 140,000
installations worldwide, over 25 industry specific business solutions and more
than 75,000 customers in 120 countries.

An ERP was built based on the former SAP R/3 software. SAP R/3, which was
officially launched on 6 July 1992, consisted of various applications on top of
SAP Basis, SAP's set of middleware programs and tools. All applications were
built on top of the SAP Web Application Server. Extension sets were used to
deliver new features and keep the core as stable as possible. The Web
Application Server contained all the capabilities of SAP Basis.

A complete architecture change took place with the introduction of mySAP ERP
in 2004. R/3 Enterprise was replaced with the introduction of ERP Central
Component (SAP ECC). The SAP Business Warehouse, SAP Strategic
Enterprise Management and Internet Transaction Server were also merged into
SAP ECC, allowing users to run them under one instance. The SAP Web
Application Server was wrapped into SAP NetWeaver, which was introduced in
2003. Architectural changes were also made to support an enterprise service
architecture to transition customers to a Service-oriented architecture.[5]

PAGE 17
The latest version, SAP ERP 6.0, was released in 2006. SAP ERP 6.0 has since
then been updated through SAP enhancement packs, the most recent: SAP
enhancement package 8 for SAP ERP 6.0 in 2016.

SAP ERP Implementation:

SAP implementation is a collection of practices and workflows intended to

design, build and tune an SAP landscape. SAP landscapes are all unique, so
SAP implementations are seldom the same. Each has its own organization
specific requirements based on distinctive SAP configurations, customizations
and combinations of SAP and third party modules. Unique adaptations aside, an
SAP implementation is always about taking a vision for SAP in the business and
turning it into a reality. It’s a multi-step process, with distinct phases.

It consists of several modules, including Financial Accounting, Controlling, Asset

Accounting, Sales & Distribution, Material Management, Product Planning,
Quality Management, Project System, Planned Maintenance, Human Resource.
SAP ERP collects and combines data from the separate modules to provide the
company or organization with enterprise resource planning.
Implementation phases consist of:

1. Project Preparation

2. Business Blueprint

3. Realization

4. Final Preparation

5. Go live Support

Project Preparation:
The purpose of this phase is to provide initial planning and preparation for your
SAP project.
Business Blueprint:
The purpose of this phase is to achieve a common understanding of how the
company intends to run its business within the SAP System. The result is the
Business Blueprint, a detailed documentation of the results gathered during
requirements workshops. The Business Blueprint document represents the
business process requirements of the company. It is the agreed statement of how
the company intends to run its business within the SAP System.

PAGE 18
Realization:
The purpose of this phase is to implement all the business process requirements
based on the Business Blueprint. The system configuration methodology is
provided in two work packages: Baseline (major scope); and Final configuration
(remaining scope).
Final Preparation:
The purpose of this phase is to complete the final preparation (including testing,
end user training, system management and cutover activities) to finalize your
readiness to go live. The Final Preparation phase also serves to resolve all
critical open issues. On successful completion of this phase, you are ready to run
your business in your SAP System.
Go Live and Support:
The purpose of this phase is to move from a project-oriented, pre-production
environment to live production operation.

Costs of an Implementation:
There is no straight answer, but it is not an inexpensive process. Each
implementation is different in terms of scope, length of time and required
resources. Thus, the budgets vary accordingly. Good planning helps keep
projects as economical as possible. And, an investment early on in detailing the
requirements review and scoping will pay dividends in lower costs over time.
Hiring the right project managers similarly keeps the process under control, in
terms of cost.

Advantages of SAP:

SAP provides a lot of advantages to companies, some are as follows:

1- Flexibility

2- Features

Flexibility:

One advantage of SAP is its flexibility. SAP allows companies to create their
own rules within the SAP structure. These rules set the parameters for

PAGE 19
acceptable and unacceptable transactions. For example, the system will not
allow a journal entry to process if it does not balance. Companies determine
which employees access each area in the SAP environment. Only qualified
personnel receive access to personnel data, such as wage rates. SAP also has
the flexibility to integrate its data with a variety of databases. Users can
download information into spreadsheets for further analysis .

Features:

SAP allows businesses to manage financial transactions, product life cycles

and supply chain activities. The software has various analytical features, such
as evaluating performance, reporting and decision making.

SAP can analyze data from any source and conduct collaborative decision
making. These features allow SAP to meet the needs of many complex
businesses and government organizations.

Disadvantages of SAP:

Disadvantages are also there, which are:

 High cost

 Complexity

High cost:

A disadvantage of SAP is the high cost of purchasing and implementing this

program. The company must purchase the software and hardware necessary
to run the programs company wide. Costs include labor costs of internal
information technology employees or external consultants overseeing the
process. Once the company implements the software, employees need to be

PAGE 20
trained. This involves training each employee in the functions they have access
to. Ongoing costs include software maintenance and periodic upgrades.

Complexity:

Another disadvantage of SAP is the complexity built into the software. Most
companies implement one feature or function of the software at a time. The
complete implementation process may take several years because first they
allow employees to get familiar with the existing feature of the software before
moving forward to implement the new ones.
