Mechanisms for files

Lever mechanism

This mechanism is a 2-ring mechanism with 80 mm separation. It can be

opened and closed with a lever. In the closed state it is also locked.
Other advantages of this mechanism are easy use and relatively large
filling capacities. It is available in two filling capacities (35 and 55 mm).
The straight sides of the ring allow the pages to sit straight, and the
rounded top enables easy leafing through the material.
The covers on the files are sturdy, and they provide a more aesthetically pleasing look to the home or office. You will
be able to label the spine so that you will be able to tell what the file contains without having to look through it.
Individuals and businesses will be able to find numerous uses for these handy files.

In addition, you will find that the files come in a variety of colors. This serves not only to brighten up your files, but
also as an added means of organization. Choosing certain colors of files depending on the types of documents they
hold will let you know at a glance what the file contains.

Businesses, whether it is a home business or a large corporation, will also be able to benefit from the use of these
files. Companies will be able to keep all of their standard operating procedures in these files, as well as any company
employee handbooks. The lever arch file is much better than traditional binding for this purpose because it is easy to
make changes and then simply replace the old page with the new page in the file.

2. Arch Lever Files

This type of file has cardboard folders with metal arches. These arches
are operated by a lever. The filing papers can be punched with two
holes. Then, the lever can be moved upward for opening of arches or
springs. After the paper is inserted through the holes, lever is pressed
down in order to close the springs. The papers lay one upon the other
in file. This filing method is very simple to operate and economical
also. The papers and letters are preserved very neatly. Any document
can be referred without even removing the papers lying upon it.

Advantages of Horizontal Filing

The following benefits are derived from horizontal filing

1. It is simple to understand and operate.

2. The papers can be easily found out since they are filled in
chronological order.

3. There is no chance of missing and misplacing of papers filed. The

reason is that papers are fixed on the arch.
4. The documents can be referred to without removing them from the
file.

5. The cost of maintenance of filing is very cheap.

6. The documents are maintained with free of dust.

Disadvantages of Horizontal Filing

The disadvantages of horizontal filing are presented below.

1. The removing of any paper or letter is very difficult since the papers
or letters are filed one on the other.

2. There is a need of more office space for maintenance.

3. The maintenance of an index is required in order to locate the

desired file.

4. There is no chance for expansion.

5. It is not suitable for large organizations.

Longevity, diversity and good structuring are the main principles of this category.
This range combines cost-effectiveness and sturdiness in a perfect way with eco
friendliness.
Having the right file or invoice on hand instead of wasting office minutes (and having your efficiency
questioned) when the client or the boss comes calling makes a huge difference to an office worker’s day.
With all the amount of paper that an office can generate from all the transactions handled through time,
organising all of it would be a challenge. Here are practical document management techniques that everyone in
the office – clerks, administrative assistants, department managers and Human Resource personnel would
greatly benefit from:
 Create a filing system based on easy retrieval. Your system will depend on the amount of paper
your office has accumulated and the transactions handled that will require hard copies of documents. This can
be as simple as arranging personnel or customer files by last name arranged alphabetically, invoices issued by
date, office memos by subject or date circulated. You can also create broad categories where each file will be
classified under. You may start with the name of each department as the main category, followed by the
operations in that department as sub-categories. For example, the main “accounting department” category will
have separate partitions for expense reports, tax documents, employee payslips, etc.
 Use an appropriate file organiser. Lever arch files, box files and ring binders are folders that can
store and hold large amounts of paper. You can use these to place groups of documents in an office filing
cabinet but also allow them to be portable enough to take them with you as you travel or go to different
meetings. Lever arch files are extra durable to hold a thick sheaf of papers due to the lever arch mechanism
that holds its contents together. Hence you can also use this to store cards, discs and thin items made of
plastic. Box files are similar to the lever arch in size and shape. However, they do not have the sprung
mechanism. Box files are intended to hold loose papers, usually in A4 and foolscap sizes. A ring binder has
rings attached to the spine of the folder. Each one holds about half a ream of paper, less than the lever arch
which makes it lighter and more suited to carrying smaller documents.
 Move papers around. To avoid papers piling up on your desk, practice the habit of going through the
stack at regular intervals (once a day or several times a week) and deciding whether each one is still needed at
the moment, needs to be forwarded to another person, stored long-term in a file organiser or tossed out
already.
