Scholarship Contract

The Erasmus Mundus Action 2 ARCOIRIS Partnership represented by its Local Coordinator

agree upon the following:

1. Project

Erasmus Mundus Action 2 ARCOIRIS, hereinafter referred to as Project, is an institution-


based mobility and scholarship project organized by a Partnership of some the most
prestigious universities in Europe and Argentina, is funded by the Erasmus Mundus
programme of the European Union. The Partnership is coordinated by Politecnico di Torino,
Italy, hereinafter referred to as Partnership Coordinator.

2. Scholarship

The Grantee is awarded with a Scholarship in the framework of the Project, which will cover
a monthly subsistence allowance, travel costs and insurance. The Grantee will not be
required to pay any participation cost The Scholarship will financially support the period of
studies and/or research, teaching or other relevant activity at the Host University, for the
period previously agreed upon with the Host University.

The subsistence allowance will be paid to the Grantee’s bank account in Europe:

The subsistence allowance will be paid on a monthly basis and the last instalment will be
paid following the signature of the Certificate of Attendance, one week before the scheduled
departure from the Host country.

The Grantee must respect the mobility start and end dates as established above. In case of
earlier Scholarship termination, a monthly allowance will be paid in full if the portion of the
last month of permanence is more than 15 days. If the portion of the last month of
permanence is less or equal to 15 days, no monthly allowance will be paid.

The Grantee will not accept any other grant during the period of the Scholarship without
written authorization by the Partnership. Failure to do so will make the present contract
invalid and the Grantee may have to reimburse the Scholarship.

The Grantee hereby declares not to have resided or carried out his/her main activity (studies,
work, etc.) for more than a total of 12 months over the last 5 years in any European country.

The Grantee commits to return to his/her Home University or Home country following the end
of the scholarship period, thus actively contributing to avoiding brain-drain.

Doctorate Grantees commit to carry out the research activities related to the mobility
respecting the Ethics guidelines established within the FP7 programme of the European
Union: http://cordis.europa.eu/pf7/ethics_en.html.

The Grantee commits to clearly acknowledge the European Union' s contribution in all
publications or in conjunction with activities for which the grant is used with the following
statement:
"This project has been funded with support from the European Commission. This publication
[communication] reflects the views only of the author, and the Commission cannot be held
responsible for any use which may be made of the information contained therein."

3. Attendance obligations

The Scholarship is due to the Grantee while he/she is carrying out academic/research
activities in the host University.

Apart from the regular holidays, the Grantee is not expected to leave the Host University
during the mobility period. Leave or absence from the host university due to academic
reasons can only be authorized by the Host University, after approval by the Partnership
Coordinator and the EACEA. In all other cases of leave or absence longer that 1 week, the
Grantee shall immediately inform the Host University and the Partnership Coordinator.
During any absence on non-regular holidays the scholarship payments may be interrupted
until the Grantee’s return.

The Grantee must ensure a sufficient progress in studies/research/work. Failure to do so


may lead to the Scholarship termination.

While registered at the Host University, the Grantee is expected to follow the rules and
regulations of the Institution, including the registration and admissions procedure. In
particular he/she must participate fully in the academic/research activities stated in the
Learning Agreement/Work Plan Proposal during the entire period of the Scholarship.

4. Travel and Insurance Services

The Partnership covers the Grantee’s travel costs for one round trip between the home
university (for target Group 1) or the location of origin (for Target Group 2 and 3) and the
hosting university premises, within the total limit of:
- 2,000 euro, for distances of at least 5.000 km (one way)
- 2,500 euro, for distances of at least 10.000 km (one way)

The Host University provides for the purchase of one round-trip flight ticket and refunds the
Grantee for other additional eligible expenses within the limit defined above.

If the Grantee buys a flight ticket on his/her own, he/she will not be reimbursed by the
Partnership for the related expense.

One additional return trip may be allowed to Academic Staff in case the mobility is split in two
different periods, if authorized by the Host University and the Partnership Coordinator.

Grantees may plan for departures up to a maximum of 15 days before the scholarship start
date. If the Grantee does not use the ticket provided without previously informing the Host
University, he/she will not be provided with another travel solution. Grantees are responsible
for respecting the flight terms and conditions and for checking that the travel itinerary is
compatible with the visa/residence permit.

The Grantee must keep the original plane boarding cards and deliver them to the
Partnership.

The Partnership provides all grant holders with a global insurance coverage valid for the
Schengen visa, including coverage for health, travel and accident. The insurance covers the
Grantee for the whole duration of the scholarship period, from a maximum of 15 days before
the scholarship start date and until a maximum of two months after the end of the mobility.
The insurance cost will be paid directly by the Partnership Coordinator to the insurance
company. No payment will be required from the Grantee.

5. Recognition

Students attending full degree programs will be awarded the Host institution degree and a
diploma supplement upon request.

For exchange students, the process of recognition of studies done abroad will include the
following steps:
- Definition of a study path agreed by both Home and Host Universities. This is done
through the Learning Agreement or the Work Plan Proposal;
- Certification by the Host University of the successful completion of all or part of the
study/research activity through the Transcript of Records or the Final Report;
- Recognition of the study/research activity into the student’s career record at the
Home University.

Doctorate students must complete the Learning Agreement or the Work Plan Proposal
before the start of the mobility. Post Doctorates and Staff must complete the Work Plan
Proposal. These documents must be approved and signed by both Home and Host
Institutions.

6. Mobility Documents

The Grantee commits to fill in and submit all documents required by the Partnership, as
described on the project web site.

7. Special Circumstances

Any changes or interruptions of the agreed programme, mobility dates, changes of the
supervisor or other, must be promptly communicated to the Local Coordinator and will be
subject to the approval of the Partnership and the EACEA.

In case of a withdrawal, the Grantee must notify the Partnership Coordinator with an official
letter stating the reason of withdrawal.

8. Scholarship Termination

The Scholarship may be terminated if:


- The Grantee withdraws from the project, also in case of force majeure;
- The Grantee does not comply with the regulations set in this Contract;
- The Grantee does not fulfill the requirements of his study/work programme;
- The Grantee does not comply with the internal regulations of the host Institution.

In case of Scholarship termination, the Partnership will suspend the payment of the
scholarship and may demand the reimbursement of the Scholarship, in part or in full.
