Q) 'Write approximately 350 words on the importance of open communications within an
organization before a change process is introduced'.

Introduction

Communication is one of the basic functions of management in any organization and its importance
can hardly be overemphasized. It is a process of transmitting information, ideas, thoughts, opinions
and plans between various parts of an organization. It is not possible to have human relations without
communication. However, good and effective communication is required not only for good human
relations but also for good and successful business.

Communication Importance of open communication within an organization before a change


process is introduced

Communication plays a crucial role in the organization before a Change process is introduced. The
lack of communication between the processes in an organization can result in failure of Change
implementation. If a particular part of the process in an organization is uninformed then the change
process will give big impact to the present flow of the process which will be a big loss for the
organizations.

If we follow the existing and well recognized communication process around the organization then
the possibility of successfully implementing a change is increased.

Below is the well recognized flow methodology among the organizations that can differentiate flows
in two types.

Vertical Flow:

Communication that flows up and down in the organization, usually along formal reporting lines
takes place between managers and subordinates and may involve several levels of the organization.

Upward Flow

 Consists of messages from subordinates to superiors and is more subject to distortion.

Downward Flow

 Occurs when information flows down the hierarchy from superiors to subordinates

Horizontal Flow:

Communication that flows laterally within the organization involves persons at the same level of the
organization.

 Facilitates coordination among independent units.


 Useful in joint problem solving.
 Plays a major role in communications among members of work teams drawn from different
departments.

Barriers within an organization before a change process:

Communication barriers are anything that interferes with accurate communication between two
people

There are two types of barriers:

1. Physical barriers include things like time-zone differences, office walls, and crashed computers.

2. Semantic barriers occur when words can be interpreted in different ways Does “right away” mean
today, tomorrow, in the next hour? The problem is intensified when jargon (terminology specific to a
particular profession or group) is used.

These barriers can overcome when we maintain the communication flow methodology within the
organization throughout the process change. The higher level management and the manager should
take initiation and responsibility and maintain for the Change flow communication within the
organization. This is one of the best examples of well know methodologies that can be successfully
implement the Change process.
