Food service industry – encompasses all the activities, services, and

business functions involved in preparing and serving food to people

eating away from home.

CHAPTER 2

SYSTEM ANALYSIS

2.1 Business Processes

Long Time Ago Chinese Restaurant currently uses traditional manual

system in some of their processes. For their delivery system, they let the

customers make a call and dictate their orders. The process is the same for

their reservation system. The reservation details are recorded on papers. The

restaurant’s ordering system is the usual as the other restaurants in the

Philippines; it is paper based.

The restaurant does not have their own website for marketing, online

delivery and reservation, and other strategies that advanced restaurants have

nowadays.

2.2 Problem Definition

Efficient systems in food service industry are one important aspect of

having a quality food and service. Long Time Ago Chinese Restaurant Inc. has

6
POLYTECHNIC UNIVERSITY OF THE PHILIPPINES

been operating for more than two years now in the Philippines using the

traditional manual system in their processes.

According to an interview done with one of the corporate stockholders, the

restaurant has the provision of customers making a call to the restaurant in

advance to order a meal to be ready for them for pick-up or to be delivered to

them. However, there are times of misunderstanding due to some factors that

may lead to incorrect data.

The restaurant presently runs a manual reservation system. Since it is thru

call or text message, the supervisor or an administrative staff of the restaurant

will have to check the records first for the availability of the schedule which

prompts time wastage.

There is also another factor that needs to be considered in a restaurant

business which is the customers’ waiting time. Though Long Time Ago Chinese

Restaurant is a high-class restaurant that serves freshly cooked foods;

customers might have a bad experience because of the long waiting time.

The challenges encountered by the existing systems of the said restaurant

serve as a major drawback to the realization of efficiency and customer

satisfaction.

2.3 Proposed Solution

In fast paced time of today, computers have become part of the life for

accessing almost any kind of information. Life nowadays is full of technological

7
POLYTECHNIC UNIVERSITY OF THE PHILIPPINES

advancement. It is difficult for business establishments to survive without

utilizing technology.

The proponents have thought of six systems connected in a centralized

database in order to suffice the improvement for Long Time Ago Chinese

Restaurant’s processes. The systems proposed are of great benefit to the

different factors that run the restaurant.

The systems that will benefit the customers by increasing the time-

efficiency and request-accuracy are the online delivery system and the online

reservation system. These two systems will allow to quickly and easily manage

an online menu which customers browse and use to place order with just few

clicks. These systems will also benefit the restaurant in terms of organizing the

sales and receiving a precise order.

Another system that will benefit the customers is the customer ordering

system. This is the solution to minimize the waiting time per customer before

being served. Related to this system is the kitchen queueing system which

manages the organization of the customers’ orders so that there will be no

extra time wasted.

The remaining proposed systems will greatly benefit the administrators

and managers of the restaurant. The customer feedback system, though it also

benefits the customers by providing them convenience for their Long Time Ago

Chinese Restaurant experience, will greatly provide convenience to the staff

of the restaurant in managing and organizing the customers’ feedbacks. This

8
POLYTECHNIC UNIVERSITY OF THE PHILIPPINES

will help them in determining the improvement the restaurant needs. The

account management system focuses on the management of the users’

access. While the content management system focuses on the organization

and management of the website content. The website can be easily updated

by the restaurant staffs without learning to code.

The systems proposed will increase efficiency and improve services

provided to the customers of Long Time Ago Chinese Restaurant through

better application of technology in daily operations.

2.4 Significance of the Study

The results of the systems will be of great benefit to the following:

Customers of Long Time Ago Chinese Restaurant. The systems will

provide convenience and satisfaction to the customers of Long Time Ago

Chinese Restaurant.

Staff of Long Time Ago Chinese Restaurant. The systems will provide a

more efficient way in providing services for the customers of the restaurant.

These will help the staff of Long Time Ago Chinese Restaurant to increase the

quality of their performance in doing their job.

Managers and Administrator of Long Time Ago Chinese Restaurant. The

systems will provide a better management system for the staff of the restaurant

and its operations. These will enable the managers and administrators to

organize and manage their data.

9
POLYTECHNIC UNIVERSITY OF THE PHILIPPINES

Long Time Ago Chinese Restaurant. The systems will improve the overall

processes in the restaurant and its promise of providing quality food service.

These systems will foster advanced ways of food industry processes,

preparing for a competitive restaurant. The systems will also help in the

advancement of restaurant management, data organization, and customer

engagement.

2.5 Scope and Limitation

Scope

The systems will be compiled in a web-based application whose main

language of programming will be C#. The main aim of these system is to

simplify and improve the efficiency of the processes in Long Time Ago Chinese

Restaurant for both its customers and its staff. The systems will be in a website

that can be used by different type of users: customers, restaurant staff,

administrators and/or restaurant owner. The customers will be able to access

the online delivery system, and the online reservation system. These two

systems will allow them to be able to input the correct details of their desires.

The restaurant staff will be able to access the customer ordering system and

the kitchen queueing system. These two systems will allow them to manage

the queueing of the customers’ order that will reduce service time, idle time

and customer’s waiting time. The administrator and/or restaurant owner will be

able to access the payment and sales report system, customer feedback

system, content management system, and account management system.

These four systems will allow them to analyze the performance of the whole

restaurant and to manage the processes in Long Time Ago Chinese

Restaurant.

Limitations

The systems require internet connection when deployed and also the

users must be computer literate. For the online delivery system, the said

system will only be convenient to people around the area of the restaurant. The

customers target are adults with access to computer systems, this is also

applicable to the online reservation system.

CHAPTER 3

SYSTEM DESIGN

3.1 Business Processes

The proponents have thought of six systems connected in a centralized

database in order to suffice the improvement for Long Time Ago Chinese

Restaurant’s processes. These proposals are listed below:

3.1.1 Online delivery system, this allows the restaurant to let their

customers to order foods online for delivery. This will also enable

customers to have a visual confirmation that the order was placed

11
POLYTECHNIC UNIVERSITY OF THE PHILIPPINES

correctly that increases level of accuracy, speed of service, sales

volume, and customer satisfaction.

3.1.1.1 Payment and Sales Report System, this allows the restaurant

administrative staff to have an overview and summary of the

sales of all related to food delivery. The payment and sales

report are always reflected in a centralized database, so that

the sales report for delivery can be used for overall sales report

of the restaurant, including the dine-ins.

3.1.2 Online reservation system, this allows the customers to request a

reservation to the restaurant a day before the scheduled date. This

system will make the reservation process more efficient since it will

show a confirmation right away if a certain schedule and type of

reservation is available.

3.1.3 Customer ordering system, this allows the floor staff which are the

waitress and food runners to manage the queueing of customers.

3.1.3.1 Kitchen queueing system, this allows the kitchen staff to

manage the queueing of food orders. Since the current process

in the kitchen is still paper based, the proponents thought of

decreasing the paper and time wastage by installing a

queueing system in the kitchen.

3.1.4 Customer feedback system, this allows the restaurant customers to

give a feedback regarding the food and service provided by Long

12
POLYTECHNIC UNIVERSITY OF THE PHILIPPINES

Time Ago Chinese Restaurant. Having a system like this, the

restaurant will be able to utilize the data they collected and analyze

the customer feedback quickly. The analyzed data will help the

restaurant to improve their services and strategies.

3.1.5 Account management system, this system determines the level of

access of the logged-in user. The website contains registered

customers, restaurant staff, administrator and restaurant owner.

These accounts have different roles in running the restaurant and

therefore must have different access in the website.

3.1.6 Content management system, this allows the administrator and/or

restaurant owner of the restaurant to dynamically update their menu,

announcements, schedule, and other contents in the site. This

intends to let the restaurant owner and administrator to manage the

website on their own for a long period of time. The proponents will

make the website as future proof as possible.
