I. INTRODUCTION

According to techpedia dictionary, a website is a collection of publicly accessible, interlinked

Web pages data files or documents that share a single domain name that are accessed to the

internet. Websites can be created and maintained by an individual, group, business or

organization to serve a variety of purposes. Together, all publicly accessible websites constitute

the World Wide Web.

A web pages has its own unique web address that can be access through an internet

connection; it also contains any type of information and can include all types of multimedia files,

such as text, colors, images, audio and video presented to the attention of the internet users.

Websites are enabled through the internet constitute the Word Wide Web (www). The opening

page of a website is called Homepage which includes Hyperlinks to other pages or to another

site.

According to Accurate & Reliable Dictionary, a school is a place for learned intercourse

and instruction; an institution for learning; an educational establishment; a place for acquiring

knowledge and mental training. It is place where students are learned and acquire their

knowledge that helps them to face their everyday and for future life.

In order for the school to get know to other place and to promote its name and for the

growth of population of the students, we apply Information Technology (I.T). With the use od

Information Technology the school can be requested to the internet and can be known

Worldwide by having its own website. The school website is made to make things easy for the

school to show information that are related to the school on near or far places, and to help the

teachers save time and effort on promoting their school name. School website helps to introduce

the school to the people who do not know much about the school (such as parent, relatives of the
student, student itself who are considering moving into the district or foreign student who are

planning to study for from home, and teachers seeking employment) these are the advantages of

having the school its own website that are registered to the internet.

For this reason, the researcher decided to conduct a research study on making School

website for International Student Association (ISA).

PROJECT CONTEXT

The International Student Association website focus on the delivering of school and ISA
information such as latest school activities, announcements, programs and also reading of articles
and compositions authored by the students and teachers. This also allows the viewers to browse
photos, for them to see the past activities of the school.
The project also has a feature for the administrator to have opportunity to maintain and
update the website on time. This allows the administrator to enter data, edit, upload photos and
delete information on the website that are no longer needed.

PURPOSE and DESCRIPTION

This research study entitled Website for International Student Association could be a
great to help the International Student Association to introduce the school’s name globally by its
own website. The school could be seen visibly; the parents and students will be updated on the
upcoming school programs and activities and can view announcements via internet.
The school website provides friendly interface that the viewer could easily understand, it
displays pages that help the viewer to see admissions of the students, information about the
mission, vision, philosophy, student aims, the location and the contacts on the said website for
forum pages. The website also displays photos of activities happened on the school.

THEORETICAL FRAMEWORK
the research used the Interactive Process flow, which consists of communication, planning,

modeling, constructing deployment in developing the project.


The researcher used process model to define the proposed system. The process model is a

core diagram in structured analysis and design. Process model explains the key concepts needed

to describe what happens in the development process, on what, when in happens and why.

Data flow Diagram (DFD) uses various symbols to show how the system transforms

inputs data into useful information. DFD tracks the data from an original course, carries it

through a process, and then it goes to its final destination.

The researcher used also Data Model to describe the data stores. A data model says what

information is to be contained in a database, how the information will be used. And how the

items in the data will be related to each other.

The Functional Decomposition Diagram (FDD) is a specialized graphics that illustrate

the interrelationships between entities in the database. An entity is a piece of data- an object or

concept about which data is stored. A relationship is how data is shared between entities.
SIGNIFICANCE OF THE STUDY

This study is beneficial the school, International Student Association to gain identity to the

World Wide Web, to promote its names and be visible to other people who re interested of studying

to an Adventist Institution and to increase the growth of population of the student.

The study is beneficial to the teachers because it will help them to update their students,

parents and guardian. It will also help them promote the school via internet with the help of their

own website globally.

The study is also beneficial for the students because they could view announcements that

will help them prepare.

SCOPE AND LIMITATIONS

This study is fully centered on the ISA forum and articles, and other information of the

school news. The website also allows students and visitors to post comments and suggestion. It

also includes entering of data by the administrator on the webpage for the school updates. They

can also view photos from the past activities and programs. Also provides information of the school

and contact for the viewer who have inquiry on the school.

DEFINITION OF TERM

Administrators – persons who manage, update and maintain the page content

Announcements – A message, especially a program note, commercial or incoming

activities

Article – composition of students or staff that can be read by the viewer.

Forum – a paid where users exchange ideas, thoughts and suggestions.

Personal Account – user’s information that are used to access forum page to post

comments.
Web Page – a particular website content that seen on the screen.

Users – persons who posts on the forum page

Visitors – persons visit and view the website.


II. REVIEW OF RELATED LITERATURE/SYSTEM/SOFTWARE

A gathering of related literature and studies that discuss the role different of computers in

the organization and on system analysis will be presented on this chapter. Information system and

their impact on organizational efficiency and effectiveness are likewise presented.

A. RELATED LITERATURE

The study of Muhammad Asif and John Krogstie a mobile student information system

(MSIS) based on mobile computing and context-aware application concepts can provide more

user-centric information services to students. The purpose of this paper is to describe a system for

providing relevant information to students on a mobile platform. Design/methodology/approach –

The research followed a design science approach, including surveys to argue for the relevance of

the system and evaluation of different versions of the system using a mobile system acceptance

model (MSAM).Findings – It was found that the intention to use such services is high, in particular

relative to services providing information based on localization and the personal schedule and

interests of the student. Originality/value – Several mobile systems exist that provide generic

campus information for students and this paper describes one of the few systems of this sort of

AISIS Online (2006) posted a precise definition of Ateneo Integrated Student Information

System (AISIS) serves as the portal for Ateneo students, faculty and staff. Through the AISIS

Online officially enrolled Ateneo students may view pertinent school information including their

Individual Program of Study (IPS), grades, class schedules and the like. Students may also

eventually enlist using AISIS Online. Ateneo faculty and staff with access to AISIS, on the other

hand, may submit grades and access their class schedules from outside the campus.
Richard (2004) emphasized that information about students is vital, but time‐consuming to

manage and it is essential that the most effective tools be used to aid both staff and students go

about their work and studies. The Cambridge Student Information System (CAMSIS) replaced

various student records system used by the colleges, departments and universities. CAMSIS

provides comprehensive and accurate information about student body and also improves data

quality, reduce the administrative burden dramatically and provides better services to both

academic staff and students.

According to Evangelista (2008) the university’s Student Information System (SIS) of

Nueva Vizcaya State University is a secure, web accessible interactive computer system that

allows user access to grade reports, transcripts, schedule of classes, and remaining balance for the

semester and register for classes online. Through the system, students would be assigned a unique

identification number. All data to and from the university would use that unique identifier. The

use of individual student records would: 1) Increase the admissions capacity to follow a student’s

progress over time; 2) provide better quality data to drive more enlightened policy decisions

resulting in enhanced educational opportunities for all students; 3) reduce data collection burden

through a web enabled SIS; and 4) as a tool of parents in monitoring the academic performance of

their children.

Marrero (2009) in his study entitled “Student Information System for the University of the

Cordilleras” stressed that the concept of Information Systems (IS) emerged in the early 1960s.

More often, when information system is defined, the field Information Science is always

associated, IS is an academic field that deals with the generation, collection, organization, storage,

retrieval, and dissemination of recorded knowledge. Furthermore, it is a collection of related

components designed to support operations, management, and decision making in an organization.


Generally, IS is supposed to inform people. Information System supports people or users in making

intelligent decisions based upon the information derived from reliable data.

B. RELATED SYSTEM REVIEW

The study of Eileen Bayangan-Cosidon aimed to improve the efficiency of the existing

Student Information System of Kalinga State University Rizal campus. To attain this objective, an

assessment of the existing system was done through observation and interview methods from the

Acting Registrar, Campus Secretary, Faculty Members and students. Results reveal that the

existing student information system met the five requirements: reusability, maintainability,

security, usefulness and functionality and evaluation on the system appeal of a quality software

only to a “moderate extent”. Moreover, reliability of the existing system was given a “low extent”

rating. Based on the assessment results, the existing student information system was refined to

include suggestions such as the inclusion of online query access, online accessibility of student

information, and a role-based security in the system.

During the try-out of the developed student information system, it was assessed with “high

extent” of effectiveness in terms of all system components except for its usability and efficiency

which is rated as “moderate extent”. The developed Student Information System provided greater

satisfaction to the users compared with the existing system for an efficient querying of student

information records, keeping the student records in a more secured manner, and it gives more

reliable information records of students in Kalinga State University Rizal campus. Keywords:

III. RESEARCH METHODOLOGY

The first step that the researcher did in this study was to prepare an interview. After which

they conducted the interview questions through oral and via text with the ISA President and others

ISA members. The researcher also obtained photos of the ISA activities and to be used as sample

photos for the website.

The researcher used functional decomposition Diagram in Data Flow Diagram in designing

the proposed system. After which the researcher implemented the design through php language

and Mysql database.

The portal was tested to ensure that the proposed pages meets the need of the user. After

the system was tested, the researcher revised occurred errors that were encountered during

implementation of the project then updated it.

A. REQUIREMENTS GATHERING AND ANALYSIS TOOLS

The researchers used data collect through interview as a way of gathering data and

information for the development of the proposed system. The researchers prepare questions and

conducted interview to the principal of the Agat Elementary School, Mrs. Viginia Ocumen.

The researchers also obtained some forms and reports like grade sheet and grade slip as

progress report card (form 138), class room admission slip as reference in the development of the

proposed system.

B. DESIGN METHODOLOGY
The researchers used diagrams to show the flow and relationship of information:

a. Data Flow Diagram (DFD)

According to book of System Development a Practical Approach by William Amadio

a DFD is a system analysis model that represent the processing activities system of

the study.

Figure 3.1 shows the flow of data of the proposed Academic Information System for

Agat Elementary School


Add or delete users, the Pupil / Parent who will give the pupil’s personal information and will

receive the grade slip report, the Registrar who will input the enrollment details, the

Teacher/Adviser of a certain subject or class, who will input grade parameter and raw scores and

will receive grade list of achiever reports, and Principal of the Agat Elementary School who will

add the subject and teacher’s load and will receive the grade report.

Figure 3.2 shows a detailed breakdown or dissection of the proposed system. It shows the

five-key processes that make up the whole system and how the entities interact with it.

In Enter User Info (process 1), the Administrator will input the User Information and will be

saved in the User Data Store(D1).

A detailed narrative of each process modules will follow.

DFD of Load Assigning Subsystem

Figure 3.3 shows the Subject Details will be entered by the Principal and will be saved in

the Subject Data Store (D2) in Enter Subject Details (process 2.1). The Teacher’s Load Info

coming from the Principal, the User Details from the User Data Store (D1), and the Subject

Name from the Subject Data Store (D2) are needed to Create Teacher’s Load (process 2.2). This

process will be exploded in figure 3.4.

In figure 3.4, the process starts when the Teacher’s Load Info and User Details of the

teachers are used in Assign Section/ Advisory Class (process 2.2.1) and the Section Info will be

saved in the Section Info (D3) wherein the Section Info will be in the Enrollment Subsystem.

The same with Assign Subject Load (process 2.2.2), the process starts when Teacher’s Load Info

and User Detail are used in assigning the load details and it will be saved in the Subject Data

Store (D2) and will be used in Grade Generation Subsystem.

The Enrollment Subsystem process in figure 3.5 start when the Enrollment Details such

as grade level and section is entered by the registrar in Enter Enrollment Details (process 3.1).

Then the details will be saved in the Student data Store (D4). In storing the Class Roster (Process

3.2), the Student Info from the Student Data Store (D4) is needed and the Roster Details will be

saved in Roster Data Store (D5)

Figure 3.6 shows that Enter Grade Parameter (process 4.1) begins when the Subject Data

Store (D2) sends Subject Name and the teacher inputs the Grade Parameter data to create a grade

parameter details that will be saved in the Grade Parameter Data Store (D6). In Enter Score
(process 4.2), the Roster Data Store (D5) sends the Class Roster and the Raw Scores will be

entered by the teacher, then the scores will be saved in the Score Data Store (D7).

Figure 3.7 shows that all process need the Class Roster from Roster Data Store (D5) and

the Grade from the Grade Data Store (D8) to Generate Grade Slip (process 5.1), Generate Grade

Sheet (process 5.2) and Generate School Register (process 5.3). But in Generate List of

Achievers (process 5.5), the average must be computed first in compute Average (process 5.4)

The system Administrator can create or update user account, responsible for

backup and restore files of the system, can update his/her account

form 1, school form 5, can update his/ her account

c. Entity Relationship Diagram (ERD)


TECHNICAL BACKGROUND

In implanting the International Student Association website, it must be user friendly to meet the

need of the users. The website is easy to operate and comfortable to use. It will be easy to

communicate to the school’s staff and the students.

The project must meet the standard of technical requirement in order to run in the high performance

and satisfy the need of the users.

Specifications:

 Hosting Requirements

The Academic Information System is to be hosted in the new web hosting account of

the school. A web server would be required with a minimum web space of 10 GB. The

system requires the use of MYSQL for the database and PHP to save, update or retrieve

the data from the database in order to function properly.

 Software Requirements

-Windows

-Any browser but the recommended browser is Google Chrome

-XAMPP software. It is an Apache server that can create local web server for testing

and deployment purpose. Everything needed to setup a web server – server application

(Apache), database (MariaDB), and scripting language (PHP).

 Hardware Requirements

-Pentium Processor or Celeron or higher.

-512 RAM or higher.


-200 MB Hard disk space or higher

-printer

 User Requirements

The user of the system must have at least the basic knowledge on the use of computer

devices or mobile devices as well as the use of Internet

The Administrator must have adequate knowledge on maintaining a web-based

application. The user must also have basic knowledge about the use of database.
B. System Specification

a. Key Features

1. Administrator Access

Easy adding content or information on the pages data of the students on the pages such
as announcements, new, articles, add photos and even about the school mission, vision,
philosophy, etc. by entering or posting it on the admin page.

2. Ability to post announcements earlier

The viewer will be updated about the upcoming activities of the for them to be
prepared. The administrator has the ability to put new announcements ahead on time.

3. Flexibility of the administrator to update the content of the website


The content or information of the pages could be update by meaning of editing for
unexpected changes of information the administrator could also delete content or
information that is no longer need.
4. Public Access
Student, teachers and visitors could create and use user account for forum and
comment access. The website allows the viewer to make their own personal account
on the website by signing up. They could use their accounts for them to post their
own comments and inquiries on the form page.
5. Friendly graphical interface for the viewer
The website provides an easy interface for the viewer to view comments, articles,
announcements, admissions and also about us the page for them to know more about
the school.
