Purpose and Scope of Specification

The purpose of this certification and specification document is to communicate Gap Inc.,
standard practices and requirements for its vendors to print and apply labels on shipping
containers. This specification covers all divisions - Gap, GapKids, Banana Republic, Old Navy.

This specification addresses only those shipping container labels used to label merchandise for
shipment to Gap Inc. The standard practices and requirements of this document are Gap Inc.’s
interpretation of the latest version of the UPC Shipping Container Code and Symbol
Specification Manual (Uniform Code Council, Inc.; 8163 Old Yankee Road, Suite J; Dayton, OH
45458)

NOTE: Other carton markings as required by the Gap Inc. Vendor Handbook still apply.

Bar Code Label Certification

Vendors will be certified for bar code labeling to insure proper scannability of cartons at Gap
Inc. DC’s and CD’s. Prior to the initial shipment from a vendor, sample labels must be sent to
Gap’s Logistics Department for testing and certification. The label will be tested for a variety of
technical aspects, primarily decodability.

The decodability, or bar code readability, is based on the quality of the bar code itself as well as
the quality of paper, printer, ink, etc. The data content and format of this bar code is detailed in
the Specification segment. The vendor should produce the label in accordance with these
specifications. Following the guidelines and procedures outlined here, the vendor must initiate
the certification process prior to actual rollout of carton bar code labeling at their facility.
Certification on the vendors label should be complete before the first labeled shipments are sent
to a DC/CD facility.

Certification Aspects

Symbology
The required symbology for the carton identification bar code is UCC/EAN Code 128,
Code Set C (High Density Numeric), x-dimension: 20 mil, aspect ratio: 2 to 1.
The symbology for the purchase order bar code is Code 128 alpha/numeric, x-dimension
10mil, aspect ratio 2.5 to 1.
Printers
You are free to select any printer that produces a label which meets the Gap standards.
These printer manufacturers are some which have proven to produce adequate labels:
Avery-Dennison Monarch Comtec
Zebra Datasouth Prodigy Plus (Fargo)
Intermec
(Inclusion or exclusion from this list is not an endorsement or rejection)
These printers are for use with thermal direct and thermal transfer paper. When using
thermal transfer paper, premium thermal transfer ribbons are required. When using thermal
direct paper, use premium thermal ink cartridge as required by printer.
Note: Gap Inc. would like to express a distinct preference for thermal transfer over direct
transfer. It is Gap Inc.’s experience that thermal transfer labels are more likely to pass a quality
audit than direct transfer labels. Å Note
Note: Applications preparing laser printer labels have also been approved. Laser printers are
normally not fit for high volume activity but may be considered when operational advantages
exist. Each instance of laser printer labels will be considered on a “special exception” basis.
Paper quality
Use thermal transfer receiver paper or direct thermal imaging paper. This paper should
have permanent pressure sensitive acrylic adhesive and silicone coated liner. This paper
should bear the following minimum standard qualities:

Matte or low gloss finish


Roughness of 390 to 400 Bekk sec
Face thickness of 0.0029 to 0.0035 inches;
Face weight of 43 to 49 pounds per 3000 square feet;
Opacity of 75%;
Adhesion factor of 1200 grams per inch.
Print contrast using RJS Inspector IV of 80% @ 633 nm

Vendors should consult with paper suppliers if additional paper quality information is needed.

Carton ID Number Generation Instructions

Requirements:

Implementation of the numbering standard supports the following carton types:


• Any carton ID’s generated by Gap Inc. HQ systems and sent to label vendors, manufacturers
or other remote sites for printing,
• Any inbound Carton ID (CD or future DC) generated by a manufacturing vendor,
• Any Carton ID generated by a DC (Gap Inc. or third party) for internal use or for outbound
cartons.

Additional requirements that must be supported by the defined formats include:


• Carton ID’s must be unique regardless of who generates them,
• All locations must be able to generate unique ID’s without accessing the host or maintaining
ranges of ID’s by location/vendor,

M2-7 Is a unique number assigned by the UCC to the member organization, i.e. UCC
manufacturer number.
S1-9 Is a nine digit serial number used to uniquely identify each container.
C Is a modulo 10 check character calculated from the preceding 17-digits.

M2-7 is further defined by the UCC as:

Within the EAN managed structure the company prefix may vary from four to ten digits and the
corresponding serial number would vary inversely to the company prefix keeping the total
number of digits constant.

The other exception between UCC and EAN structures is EAN recommends using only one
Packaging Type for the SSCC-18; it is 3 (undefined).

Gap Inc. Implementation:

All vendors are encouraged to obtain their unique number from the UCC or EAN organizations.
All carton ID’s generated by third parties must conform to the UCC/EAN SSCC-18 standard and
therefore must have a registered company number provided by the UCC or EAN organizations.

The symbology used to support the SSCC-18 standard is the UCC/EAN-128 bar code. As an
additional part of the bar code, an Application Identifier 00 precedes the 18-digit structure.

The parentheses are used in the human readable ID but are not included in the bar code
symbology. Note the spacing of the human readable text, with the spaces after the application
identifier, package type, manufacturer’s ID and carton ID.

Step 1: Starting with position 2, add up all the values in the even numbered positions.

Step 2: Multiply the result of step 1 by 3.


3 x 16 = 48

Step 3: Starting with position 3, add up all the values in the odd-numbered positions.
8 + 4 + 8 + 1 + 0 + 8 + 5 + 0 = 34

Step 4: Add the results of steps 2 and 3.


48 + 34 = 82

Step 5: The check character is the smallest number when added to the result of step 4 gives a
number that is a multiple of 10.
82 + x = 90; therefore x = 8

Certification Procedures

Vendors will become certified for producing bar code labels by following these procedures:

• SCAN Team will manage the certification process. This includes reporting on status and
results, and operating the testing equipment.

• SCAN Team will integrate the testing results and other aspects of certification into the
overall vendor management effort. These results of testing and certification will be
communicated regularly to all stakeholders.

• Vendors will submit bar code sample labels to SCAN Team via courier for testing, see the
address below.

• Vendors will be logged into a database and labels will be scheduled for testing. Testing will
be conducted, and results reported within a stated time frame, normally 2 days.

• Results will be logged in the database and reported to the vendors via e-mail or fax.

• Results contain pass/fail rating on the following items:


1. Decodability of bar code, including calculation of check digit;
2. Reflectance (quality of paper stock);
3. Minimum edge contrast;
4. Element determination;
5. Symbol contrast;
6. Modulation;
7. Defects.
An overall acceptance or rejection of sample labels will be based on a pass rating on all
of the above criteria. Adherence to guidelines on printer, paper, ink and the quiet zone
should result in a pass rating for above criteria.

• If failed, SCAN Team will include recommendations for corrective action.

• If failed, the vendor will resubmit label samples after taking corrective action (and begin
again.)

Shipping Container Label


Function This label is to be provided by the vendor on containers that contain products for a
Gap Inc. purchase order. The bar code, along with EDI information will improve
receipt accuracy and reduce the amount of labor and time required for the receiving
process. The label also provides visual information about the shipping and receiving
addresses.

Features The required label size is 4.0 X 6.0 inches. (NOTE): The standard for this label form
in Europe is 10cm x 15cm, which is approximately 2mm under the 4.0x6.0 inch label
mentioned above. This size is also acceptable. Data field text characters shall be as
defined on page 11. Vertical label border lines along the left and right edges of the
label are not allowed.

Placement On the outside of containers, labels should be applied in the upright position, in the upper
LEFT hand corner of the smallest face of the container, with the upper bar code folded over
the top of the container. If the smallest face of the container is too small to accept the label,
another face of the container may be used.
• The label shall be placed flat against the surfaces without wrinkling the bar codes.
• The label must be on the same carton surface as the other carton markings.
• Care shall be taken to avoid strapping, taping or other packaging methods that may damage
the label, cover up the label, or otherwise render it unscannable or illegible.

recommend that the code be allowed to increment through the entire alphabet
and in each number (1-99) to ensure the maximum cycle length before a repeat
sort code will be used.

Ship From This field value shall be the Business Name and Address from which the
shipment was sent. (D) NOTE: Under certain circumstances this field may
be left BLANK. Contact your GIS office if you have questions regarding
this exception.
The address value is to be determined by the vendor.

(NOTE) This box on the label form may also include vendor internal control information
if required to match the labels to cartons during the packing/labeling process.
Such internal control detail must not be sent in the EDI to Gap.
Ship To This field value shall be the Ship To Gap Inc. Location. (E)
The Ship To Location value corresponds to the information from the EDI X12
850 transmission sent from Gap Inc. This field should NOT make reference to
Gap, Banana Republic or Old Navy by name. Use the text in the 850 as
mapped below.
The text for field is as follows: We acknowledge that some few Gap Inc. addresses
may not fit in the space provided on the label. In that

Carton Barcode Label Audit


1.0 PURPOSE:

1.1 To define the quality assurance standards for carton barcode labels—UCC 128
labels.

2.0 SCOPE:

2.1 All vendors certified to apply bar coded labels and all QA personnel inspecting
shipments with bar coded labels.

2.2 This SOP is a supplement to “Quality Assurance Manual – Garments – 2001”.

3.0 PRINTING

3.1 This document was created in color and should be printed in color whenever
possible. Diagrams show explanatory notes in red and some sections use gray
shading for emphasis.

4.0 BACKGROUND

4.1 Gap Inc.’s Vendor E-Business Labeling Initiative (VELI) is a project aimed at
saving costs and increasing productivity by implementing Electronic Data
Interchange (EDI) and Automated Data Collection processes. One aspect of this
initiative is the use of a shipping label that contains a bar code. Once the bar
code is scanned, it is linked to the Advance Ship Notice (856 ASN) which is sent
electronically from the factory to Gap Inc. The electronic message reveals SKU
information and other details about the shipment. Gap Distribution Centers
benefit greatly from a reduced receiving time when processing shipments with
bar coded labels.

4.2 Not all vendors are currently applying this label. A roll out is still in process.

4.3 Inspection of the bar code label is a part of the factory pack audit.

5.0 REFERENCES

5.1 Please read the document “Gap Inc. Bar Code Label Certification &
Specification”. This manual can be obtained from your Gap International
Sourcing (GIS) Representative. Be sure that you are reading version E-5.02 or
the most current version. Changes to the standards described in the manual are
expected.

5.2 Please read “Quality Assurance Manual – Garments – 2001” pages 20 to 22, for
information pertaining to Pack Audits.

pertaining to packing shipments.

6.0 Label Versions

6.1 Acceptable label formats used:

6.1.1 E-5.03 and newer.

6.1.2 E-5.02

6.1.3 E-4.0

6.2 E-5.03: Has the exact same format as E-5.02, but allows for the Ship From
information to be left intentionally blank. This is allowed under certain
circumstances by permission of GIS. Check with your GIS representative if you
spot a label with a blank Ship From section. Use guides for E-5.02 when auditing
an E-5.03 label.

6.3 E-5.02: The main difference between E-4.0 and E-5.02 is that the newer version
changes the size and placement of information in the bottom section of the label.

6.4 E-4.0: Beginning September 2001, version E-4.0 will no longer be


acceptable.

6.5 All types of labels should be audited against the major/minor audit standards as
described in this SOP.

Note: It is acknowledged that some few Gap ship to addresses (in particular Japan) may not
completely fit in the space allocated on the bar code shipping label. If this is the case, it is
acceptable to abbreviate those lines that do not fit so long as the ship to address used on
the bill of lading and on any other carton marks match the Purchase Order.

7.0 AUDIT STANDARDS

7.1 Major Defects:

7.1.1 A carton with no bar code label.

7.1.2 A bar code label missing both UCC 128 bar codes. (Absence of one of
the two UCC bar codes and/or absence of the smaller PO # bar code are
considered minor defects.)

7.1.3 A bar code label with incorrect Ship To, Style Program #, PO#, Style #,
Size #, Qty #, Department #, Application #, Packing Type #, or
Manufacturer ID #.

7.2 Major defect is found:

7.2.1 Count the defect as a major defect towards the AQL for the QA pack
audit,

7.2.2 Proceed as explained in the QA pack audit instructions.

7.3 At this time, these three defects are the only mistakes counted as a major defect.
As the VELI project unfolds, the carton barcode label audit standards will change.

7.4 Other Defects: At this time, other faults found in the bar code label are
considered minor for the purposes of the pack audit. It is important to detect
minor defects because these mistakes may reveal bigger issues with the
production of bar code labels. Corrective action should help factories prepare for
more rigorous carton barcode label standards in the future. Therefore, the
discussion of minor defects with the factory representative should emphasize the
purpose of the bar code label and help the factory prepare for future audits.

7.5 If minor defects are detected, discuss the problems with the factory
representative. Ensure that corrective action is taken on future shipments and
see that the factory understands that higher expectations will be imposed in the
near future.

7.6 The following diagrams highlight requirements that are checkable by human
eyesight. These diagrams are not intended to be a comprehensive evaluation of
the label. Rather, it is meant to assist the auditor in identifying easy to see
mistakes. For comprehensive instruction on the specifications for carton barcode
labels, read the entire “Gap Inc. Bar Code Label Certification & Specification”
manual.

Manufacturer ID Number Is assigned either by the UCC organization or by Gap Inc. The number on the label should
be the ID number that was approved when the factory passed certification for carton
barcode labels, unless otherwise authorized.

Serial Number Should be a unique number, identifying this one carton. For the purposes of the pack audit,
check to see that the serial number is different from the serial numbers on other labels in the
sample—in other words, make sure that the same number is not being printed on all the
labels. It is okay if the serial numbers are sequential or seem random. The goal is a unique
number on each carton.

Check Digit For an explanation on how the Check Digit is calculated, please see “Gap Inc. Bar Code
Label Certification & Specification”. It is very difficult to calculate this number without the
assistance of a computer.

Sortation Code The EDI software used to produce the bar code labels produces the sortation code. This
code changes when the mixture of products in the carton changes. For example, boxes 1 to
5 in a shipment all contain 50 large red shirts and have sortation code A10. Boxes 6 to 10
all contain 45 medium green shirts and have sortation code A11.
