RECRUITMENT RULES OF THE UNIVERSITY OF


TEXAS AT TYLER COLLEGE PANHELLENIC
ASSOCIATION
RECRUITMENT CODE OF ETHICS OF THE UNIVERSITY OF TEXAS AT TYLER
COLLEGE PANHELLENIC ASSOCIATION

We, the members of women’s sororities at The University of Texas at Tyler, agree to promote honesty,
respect, sisterhood and cooperation within the College Panhellenic and our respective chapters, and in
our daily lives. This code of ethics is designed to inspire our members, reinforce exemplary conduct and
values-based leadership, and perpetuate lifelong membership to enrich the sorority and Panhellenic
experience.

We, as Panhellenic women of The University of Texas at Tyler, agree on and commit to:

 Uphold and demonstrate the Panhellenic spirit in thought, word and action through our chapters
as well as individual members.
 Demonstrate ethical behavior and conduct ourselves in a manner consistent with the mission and
values of the College Panhellenic, each inter/national organization and our institution.
 Respectfully adhere to the Unanimous Agreements and all policies established by the National
Panhellenic Conference.
 Avoid disparaging remarks about any sorority or collegiate woman and refrain from discussing
Panhellenic matters with nonmembers, in accordance with the dignity and good manners of
sorority women.
 Recognize friendly relations with all collegiate women, both sorority members and nonmembers,
realizing the importance of creating and building friendships.
 Plan recruitment events that provide opportunities for the greatest possible number of women to
become sorority members while protecting the rights and privileges of individuals and the
chapters.
 Provide a safe, positive and enriching recruitment experience, understanding that membership is
a social experience arrived at by mutual selection.
 Strive to be truthful, honorable, open and friendly to all potential new members during all
recruitment events.
 Be respectful of the rights of every potential new member to make her own choices, including the
right not to join the women’s sorority community.
 Refrain from limiting a potential new member’s chances of becoming a member of the
Panhellenic community by encouraging her to make a single intentional preference or to limit her
choices.

We, as Panhellenic women of The University of Texas at Tyler, also agree on and commit to:

 Respectfully adhere to the bylaws and recruitment rules of The University of Texas at Tyler
Panhellenic Association.
 Abide by all local and federal laws and NPC inter/national member organization bylaws.
 Hold one another accountable to these standards, remembering at all times that we represent not
only our individual chapters but also the Panhellenic community as a whole.

As Panhellenic women of The University of Texas at Tyler, these are the tenets by which we strive to live.

I. Statement of Positive Panhellenic Contact

We, the women of The University of Texas at Tyler, will promote panhellenic-spirited contact with all
potential new members throughout the year. Strict silence will begin at [time of MRABA signing] and last
until bid distribution 3:00. If potential new members live in a residence hall with sorority members, only
casual greetings and contact are permitted.

II. Statement of Adherence to NPC Unanimous Agreements and Policies Regarding Recruitment
All NPC member organizations represented at The University of Texas at Tyler believe in strictly adhering
to NPC Unanimous Agreements and policies. All organizations will follow these valued and non-
negotiable policies during the recruitment process.

III. Statement of Values-Based Recruitment

All NPC member organizations represented at University of Texas at Tyler will promote the following
practices during membership recruitment:
1. Engage in values-based conversations.
2. Choose recruitment activities and behaviors that reflect the core values of our organizations.
3. Make informed choices, based on shared values, about potential new members.
4. Educate potential new members about the values, benefits and obligations of sorority
membership.

In accordance with NPC policy, The University of Texas at Tyler recruitment events do not include skits,
elaborate decorations and costumes.

All recruitment chairs shall complete the Recruitment Approval Form, which must be submitted to the
Panhellenic Recruitment Officer for approval. (August 23rd)

The budget for each chapter is set at $850, including any donations made towards recruitment.
Documentation of spending and donations must be submitted to the Panhellenic Recruitment Officer by
September 16th by 5pm in the form of copies of receipts from purchases and donations. This includes the
budget pamphlets.

Keep decorations to a minimum, we need to be focusing on a values-based conversation. Themes are


not allowed in recruitment rooms during primary recruitment. Also, no glitter is to be used during
recruitment or bid day. This includes but is not limited to on decorations or on the body. Decorations
include but are not limited to, balloons, posters, streamers, etc. All decorations must be pre-approved by
the Panhellenic Recruitment Officer. There shall be no decorations outside of the chapter’s given space
for recruitment (i.e. on the outside door, hallway, etc.). Decorations may only be allowed outside of the
recruitment room on Bid Day. (September 2nd)

Although members are allowed to have similar attire, chapters shall limit elaborate costumes. A loose no-
frills policy is put in place this year. You can have the girls were specific bottoms, shoes or colors but you
cannot make them purchase a certain brand. It will be required for Round 1 of Primary Recruitment, “Go
Greek”, for chapter members to wear their own version of the PNM and Gamma Chi shirt. Each chapter
may change the colors of the shirt, but all PNMs, Gamma Chis, and Chapter members will be wearing the
same design to truly promote “Go Greek”. Round two will be a Values Based round that needs to focus
on the philanthropy. Round three will be a Preference round which needs to focus on selling the
experience on the sorority life.

There shall be no gifts, favors, preference round letters, or notes promising bids given to Potential New
Members until they have formally accepted a bid. Any items that are given to Potential New Members
during a recruitment party are not allowed to leave the room with the Potential New Member. All items will
result in a fine of $25.

A craft may be part of the second round but must follow the following rules: must be donated to the
chapter’s philanthropy, and must provide proof of the donation to the Panhellenic Recruitment Officer
along with receipts. The philanthropy donation must be turned in by the following Monday (September
9th).

No sorority women, including Potential New Members, are allowed on fraternity property, have any
contact with men, attend parties or consume alcohol starting the Sunday before recruitment (August 25th)
until the day after Bid Day, (Dry week) A violation of dry week is a $25 fine per chapter member per
incident.

Up to seven alumnae members, including inter-/national officers, sorority consultants, guests and
advisors may assist inside the recruitment parties each day. A list of all alumnae members present at
recruitment parties must be turned into the Panhellenic Recruitment Officer.

Recruitment videos need be a values-based Philanthropy video or slide-show and will be shown on round
two of recruitment.

VP Recruitment and President will view each chapter’s room an hour prior to the start of each round.

Promising of bids will not be allowed and will result in a fine of $100 if found guilty. If there is suspect of
promising bids, the evidence will be turned to Panhellenic Judicial board, and it will be through a hearing
to find a chapter, or specific chapter member, guilty.

Strict silence is intended for a short period — not more than 24 hours — from signing the membership
recruitment acceptance binding agreement (MRABA) until bid distribution. Additional silence rules are not
desirable, because they can suppress participation in recruitment and stunt growth in your Panhellenic
community. Panhellenics are encouraged to eliminate all silence and no-contact statements from their
recruitment rules, except for the strict silence required during the short time period between preference
events and bid distribution. All member organizations are expected to display ethical behavior at all times.

IV. Statement of Membership Recruitment Acceptance Binding Agreement (MRABA)

The University of Texas at Tyler Panhellenic will uphold and use the membership recruitment acceptance
binding agreement (MRABA) for each potential new member interested in joining a sorority, whether
during primary recruitment or continuous open bidding. We agree to all policies and steps pertaining to
the MRABA.

V. Statement of Automatic Reset of Total


Total is the allowable chapter size as determined by the College Panhellenic.

To allow chapters to achieve parity as quickly as possible, total will be automatically adjusted every
regular academic term. This is to be done no later than 72 hours following bid distribution in the academic

term that primary recruitment is held and within one week (no more than seven days) from the start of the
academic term in which primary recruitment is not held. Total will be determined by largest chapter size.

VI. Gamma Chi Rules

The Panhellenic Executive Board and Gamma Chi’s shall not be required to attend any Pre-Recruitment
Workshops, Recruitment Prep Week, discussions about voting, etc. with their respective chapters.
Panhellenic will host a Pre-Recruitment Workshop for the Gammas Chi’s members prior to the Fall
Semester.
o Chapter Recruitment Events (1989) – POLICY NPC disapproves of the presence of
membership recruitment counselors and other designated Panhellenic personnel at chapter
membership recruitment events, with the exception of fraternity/sorority advisors and official
NPC recruitment observers.

To ensure confidentiality, Panhellenic Executive Board and Gamma Chis, as well as anyone else with
access to Campus Director online program, shall not attend any chapters' meetings or events beginning
the fall semester until the day after primary recruitment ends. They are allowed to attend officer meetings
if they hold a position.

The chapter affiliation of the Panhellenic Executive Board and Gamma Chi’s will be kept secret. 30 days
(July 26th) prior to recruitment all Panhellenic Executive Board members and Gamma Chi’s will take their
letters out of any social media bios, they will need to on private and can’t accept any potential new members
to follow them. Chapters and chapter members will have to take down any photos on social media that have
a Gamma Chi or Panhellenic Executive Board member in them. Gamma Chi’s and Panhellenic Executive
Board will not be able to wear any chapter jewelry or badges. If any girls bring bags, keys or laptops to
recruitment then need to cover up or take off any things that have their chapter affiliation on them.

Panhellenic Executive Board Members as well as Gamma Chis will not be allowed to stand with or near a
Potential New Member during voting or signing of the MRABA. Gamma Chis will stand an appropriate
distance away while Potential New Members are directed to cast their selections during the silence period.

VII. Continuous Open Bidding

No bids may be extended to unaffiliated women between the last day of classes in the spring semester
until midnight after formal recruitment bid day. “Continuous Open Bidding is not intended to precede or
take the place of the regular membership recruitment period, nor is it intended that Continuous Open
Bidding begin prior to fall membership recruitment,” (NPC Manual of Information, MR-65).

Continuous Open Bidding is only eligible to those chapters that have not met or exceeded the automatic
total reset after formal recruitment, as decided by the Panhellenic Association.

Any chapter participating in Continuous Open Bidding must inform the Panhellenic Recruitment Officer.
An updated roster must be given to Panhellenic by delegate meeting following Bid Day.
