ADMINISTRATION CLASS OF 2016 WEEK CELEBRATION

ACTIVITY OF INTREST: CAR WASH

DATE: WEDNESDAY, 22ND MARCH, 2019

VENUE: SENIOR STAFF CLUB HOUSE

GROUP TASK: COORDINATION AND USHERING

REPORT ON GROUP TASK

General Overview of task (Standards)

Coordination involves all activities of making different people or things work together for the
attainment of a particular effect or goal. To coordinate effectively means to ensure that different
tasks are properly synchronized in a system.

Ushering, as well, entails escorting or directing people during an event to ensure smooth and
satisfactory operations.

Our task during the car wash was to synchronize or coordinate all other tasks to ensure that they
worked interdependently towards a successful activity. We were also responsible for liaising with
the publicity group to create awareness of the activity (car wash), attracting and directing incoming
and outgoing vehicles to the appropriate lodge.

Actual performance of task

Though scheduled for 9 o’clock a.m., the activity actually commenced at 12 o’clock p.m. because
of an unforeseen downpour earlier in the day. At the time the car wash was started, our group
members were present and were each allocated a specific job to do. Some stood at the entrance of
the Senior Staff Clubhouse in order to identify individuals who were interested in getting their
vehicles washed. Others also welcomed the interested persons and directed them to a place of
relaxation while they waited for their cars to be washed. And the group leader, while liaising with
the supervisory committee, ensured the effective coordination of all other tasks.
Challenges

The challenges that became hindrances on the smooth and effective execution of our task are
outlined below;

 The rainfall delayed the commencement of the car wash and some individuals were not
interested in the activity as the rain had already rinsed their cars; this made our work very
difficult.
 There wasn’t sufficient time to properly plan the task and organize ourselves for providing
a better ushering and coordinating services.
 There was absence of any form of refreshment whatsoever as the task was tiring and made
us weary.
 There were no logistics to help us to effectively perform our duty. e.g; no sign post to
indicate that there was an ongoing car wash.

Suggestions and recommendations

For the purpose carrying out similar or same activity in the future, the following suggestions
are what we recommend for addressing these challenges.

 We should choose an appropriate time in a season which is appropriate for undertaking


that particular activity.
 The activity must be well planned with the various task groups being accorded ample
time for preparation to ensure proper discharge of duties.
 The organizing team of the activity must ensure that there is some form of refreshment
available for members of various task groups.
 There should be provision of adequate logistics which will aid in and improve the
execution specific tasks.
