Use
When you use investment programs, you normally want to guarantee that all newly created measures and appropriation requests are
assigned to investment programs. Therefore, you can make this assignment mandatory in newly created measures and appropriation
requests.

Features
Assignment by Means of Screen Layout Control

Normally you assign an appropriation request to an investment program position in the appropriation request master data (on
the Control data tab page). The program position field appears in the screen layout control of the appropriation request, and can be
designated as a required entry field there. If you make this a required entry field in Customizing for Investment Management, you
guarantee that the appropriation request is always assigned to a program position (Choose Appropriation Requests  Master
Data  Control Data  Define Screen Layout for Appropriation Requests ).

In a similar way, you can ensure the assignment of WBS elements to a program position using the screen layout control for WBS
elements (choose Projects as Investment Measures  Master Data    WBS Elements    Define Field Selection). Keep in mind,
though, that within a given project you can normally assign only WBS elements of a given level (usually level 1) to a program position.
Therefore, you should define only fields for a given level as required entry fields for assignment to a program position.

Assignment by Means of Budget Profile

There is another option for ensuring that measures are assigned to program positions. You can enter a program type for investment
programs in the budget profile of the measure. The results of making this entry are as follows:

• You cannot enter the overall budget for the measure until it is assigned to an investment program position. This restriction applies,
even if you specified explicit budget distribution in the program position (by means of the Budget dist. overall indicator in the
program position). It also applies if you specified that the measure should be budgeted separately (refer to Distributing the Budget
from the Program Position to the Measures ).

• The measure has to be assigned to an investment program of the program type entered in the budget profile.

You assign a budget profile to an investment measure either in the project profile or in the order type.

Example
The following graphic shows the function of the budget profile in controlling the assignment of measures to program positions. You
cannot budget Project 1 unless it is assigned to an investment program that has program type 0001 . In addition, you can only budget
it using program position 2 (overall budget).

Multiple Assignment of Investment Measures

Sometimes it is not possible to assign an investment measure or an appropriation request clearly to a single program position.
Therefore, the system allows you to assign one investment measure or appropriation request to multiple program positions. You use
percentages to determine how the distribution is made. You enter these distribution percentage rates in the master record of the
investment measure or appropriation request.

Make sure these percentage rates always total to 100%.

Features
In standard reports, an investment measure that is assigned to multiple program positions appears under each of the positions to
which it is assigned. The system displays the budget, plan and actual values for the investment measure broken down according to
the percentage rates used to assign it.

Assignment to Several Programs

Multiple assignment is not limited just to different program positions in one investment program. You can assign an investment
measure to program positions in several different investment programs. However, these investment programs must all be in the same
approval year. For example, you cannot assign an investment measure to a program position in investment program INVEST/1998
and to investment program INVEST/1999 at the same time.

Note
Assignment to multiple program positions cannot be used at the same time as budget distribution, and vice versa (refer to Distributing
the Budget from the Program Position to the Measures ). Make sure that the budget distribution indicator is not set in any of the
positions assigned to a measure that has multiple assignment. Otherwise, the hierarchy cannot clearly identify amounts for budget
distribution.

In the master data transaction for program positions, you are limited to making 100% assignments. Multiple assignment of investment
measures or appropriation requests is not possible here. You can only make multiple assignments in the master data transactions of
investment measures or appropriation requests.

Assignment of WBS Elements

Use
In most cases, an entire project is clearly assigned to one investment program position. In this case, the assignment to an investment
program is made at the level of the top WBS element. Some projects, however, have a much broader scope within an enterprise. The
WBS elements belonging to such a project receive their budgets from various sources. Therefore it is also possible to assign non-top
WBS elements to different investment program positions.

Features
You can make assignments to the investment program from all levels of the work breakdown structure. The individual WBS elements
in a work breakdown structure can be assigned to different investment program positions.

The following graphic shows an example of possible assignments. The WBS elements for Hardware and Application are each
assigned to one investment program position, respectively. None of the other WBS elements are assigned to an investment program
position.
Assignment to Different Program Positions
WBS elements that are assigned to program positions do not have to be at the same level in the work breakdown structure. It is also
permissible for subtrees of the work breakdown structure not to have any assignment at all to an investment program position (in the
graphic, the Licenses subtree has no assignment).

The system guarantees the consistency of budget values within a work breakdown structure as follows:

• You can assign a WBS element to a program position only if the WBS elements directly above and below it in the hierarchy are
not assigned to a program position.

• If the WBS element receives its budget from budget distribution from a program position, then the system automatically rolls up the
budget received to the superior WBS elements in the work breakdown structure. If there are already budget values on the superior
WBS elements, the system adds the rolled up budget to the existing budget.

Automatic Assignment of Maintenance Orders

Use
You can assign maintenance orders to investment programs in the same way as you do other measures (WBS elements and internal
orders) and appropriation requests. In this way, you can budget and plan for maintenance orders using the investment program. In
comparison with other measures, maintenance orders are usually created much more frequently. Therefore, the system provides
functions for automatically assigning a maintenance order to an investment program position.

Features
You control the assignment of maintenance orders to program positions by means of the organizational units in the master data of the
program positions and the maintenance orders. You define the necessary assignment keys and assign them to order types in
Customizing for Investment Management  :   Investment Programs  Master Data  Assignment of Maintenance Orders .

In the assignment key, you specify the fields the system should use when automatically determining the investment program position.
The possible fields are the organizational units of the maintenance order, or the organizational units from the maintenance data of the
reference object (functional location or equipment) to which the order is assigned.
Automatic Assignment of Maintenance Orders

When you create a maintenance order, the system automatically establishes the assignment to a program position, but only if the
organizational units specified in the assignment key in the maintenance order agree with those in the program position. The system
issues a message when a unique assignment is not possible.
