Absence Quota Scenario for Peers in SCN

Dear All,

A Scenario posted below . Without writing PCR, below can be achieved through
configuration of Tables: Generation Rule for Quota Type Selection and Rounding Rules
This will help us, if we face same kind of scenario in companies. Below is still pending, its
not complete, while configuration, we faced an issue, please have a look and let us know??
where it went wrong??. Simultaneously, I will be working on this and will keep updating
where it went wrong??.

In near future ,I will be positing more scenarios to understand the importance of


configuration without writing PCR.

Scenario: If an employee joins after 15 of the month He won’t receive General Leave of 1.75.
If an employee joins before 15th, He/she will receive General Leave of 1.75.

Formula: 21(Absence Quotas)/12 (Number of months) = 1.75 (Every month)

If absence quota is lower or equal 0.875 (1.75/2), 0 will be assigned to Info type 2006.
Normally every month has 30 or 31 days, so if employee is hired after 15th, the rate is less
than 0.5 (15/30). It’s the reason why 0.875 is a suitable value, every month has 1.75 days, so
a half is 1.75/2 = 0.875.

To achieve above scenario Below is the configuration I have done

Base Entitlement for Absence Quota Generation

V_T559E
Define Generation rule for Quota Type Selection

V_556A_B

Quota types

Base Entitlement: Already defined

Validity/deduction interval
Rounding Rule

V_T559L
Accrual Period

Base Entitlment
Accrual entitlement

Assign Rounding Rule


Employee joined on 1st of January So he should receive 1.75 of Leave.

Error

After executing PT60 ( Time Evaluation Program) till 31.01.2013 We can see "no data
stored for absence quota" It should show 1.75 for the month of January.

After executing PT60( Time Evaluation Program) till 31.12.2013. We can see 0 It should
show 1.75 X 12 = 21

Hi Rajesh,

Its a good one. As you planning to include more scenarios, please post this as a blog
and you can update whenever you come up with new scenarios. That way it will serve
the purpose.

Hi Madhav,

I cannot post this as a blog The configuration for above scenario is still
Pending we faced an issue during configuration. Please go through whole
scenario with screen shots You would be understanding the issue more
better?? This is for peers in the forum to solve and also for me to solve Once it
is done I will post this in blog

Request you to share your thoughts on issue faced

Hi Rajesh,

In your rounding rule you had taken 002 (99) value as 0.875 to 2 will be as
blank (target) then it means even 1.75 generated in Jan it will become 0, try by
changing the upper limit or Target value then as I know definitely your issue
will get resolved.

You can take lower limit as 0 & upper 0.875 & Target as 0 only in your
Rounding rule (99-001).

Let me know even any issue.

Hi Kedhar,

Thank you for participation in discussion. I didnt assign Rounding Rule as of


now Without Rounding Rule When Iam trying to generate I can face below
Issue Its creating three records Once below issue is resolved I will assign
rounding rule as suggested by you ??? What would be the reason for creating
three Is it because of Seniority that has been defined Three in Base
Entitlement

Yes it is right, because you had taken Accrual period as Monthly that's why it
is generating monthly. You can assign rounding rule as given & take two
employee's joined before & after 15 then check with PT60, hope that your
issue will resolve.

Employee joined in the month of Jan that is 01.01.2013 His Hiring Date is
01.01.2013

Its is generating for the month of oct nov and december.

It is due to Validity/deduction interval, you had taken Valid from Payroll


start to end, that's it is coming like that,

Ex: payroll start 01.10.2013 to 31.10.2013 then valid start of record will be
01.10.2013 to 31.10.2013 (end of valid period)

& you deduction will be End of valid period means 31.10.2013 to 31.12.9999

It is generating as per the payroll run, let me know that you want to generate
this monthly of yearly once.

Would like to generate monthly. Could you please elucidate on Payroll Run.
Employee hired on 01.04.2013 why it is taking 01.10.2013, 11 and 12
respectively but not for other periods .

Can you provide the details of your pt60 start date & payroll run upto details
& it 0003 details,

may be you run payroll upto october that may be the reason, or mail me screen
shots.

Below are the screen shots of PT 60 and 0003 Tested for another employee as
well The issue is same it is storing oct nov and dec in 2006 absence quotas
with 1.75 Leave. You mean to say I ran live run for three months No I didnt
run ...

I appreciate your response.

I would like to know why there are three records for only three months that is
for October, November and December.

Why system is creating three records If we select payroll period in Base


Entitlement??

That is my main concern

In Relative position if you keep -6 months The records which are created for
october , nov and dec

will be replaced with April , May and June That is October Month is 10th 10-
6= 4 So 4th Month is April Same incase with May and June. Nomatter
employee join in any month The system is creating three records that is
october, nov and december.

Yes it will generate as per Payroll area accrual period, your employee py area
last run may be October, that's why it is generating from October & you are
running PT60 up to Dec, so creating 3 records.

Can you check the date of py area in pa03 or paste here if not the case.

Run is zero???

I think Its not because of Payroll run. It is because of Payroll periods I believe
when we generate payroll periods The system will start from period 10th In
my case its started from 10th period 2010 so 1st period it is taking 10th month
I believe but when I have seen payroll period for 2013 it is 1st period Is
system is counting from 10th period 2010.

Another doubt why it is ending in the month of December but not considering
next year what would be the case??

If possible can you do same scenario i your system when we select Payroll
Period The system will calculate from 10th period Is that is case ??

Rounding Rule is working fine as per above screen. The Absence quotas is
taken as 21 days It should be 20 days.

The seniority defined in Base Entitlement is working fine.

For example: If an employee joined in the month of August 01.08. 2013. The
quota will get generated in the month of November after three months That is
after August September and October for seniority.

My Main Concern is Payroll Period If we select Payroll Periods why system is


considering October November and December for Quota Generation why not
for other periods Is that is normal behaviour for payroll period. Moreover its
considering for the month of 2013 Not for other years for example 2014.

Rajesh check once with payroll periods data in table t549q, even not the issue

Hi Kedhar,

I can see only one participation and That is you I appreciate you for response.
I was expecting few more people for Helping Hand to complete scenario so
That I can post this as Blog This will help all in future if they face same kind
of scenario in companies. Thank you for your thoughts and information

My Question is If I select Payroll Period in Base Entitilement Screen It is


considering only October, November and December Is that is normal
Behaviour??? In Base Entitlment Screen If I give -6 months The system is
considering April, May and June that is minus of 6 months from October
respectively with other two months.that is may and june.

The next question The system is considering only current year that is 2013 but
not next year. If i run time evaluation till 31.12.2014

Would like to know the behavior of Payroll periods??

If I want to generate Monthly Leaves that is 1.75 for every month that should
add to next month if employee wont take a leave It should add 3 Likewise for
other months??? Is it possible through above configuration??
