1.0 Introduction

Technology has become an integral part of our lives and is responsible for our changing

lifestyle. Technological advances have certainly entered to facilitate people’s lives. The

roles that technology has played on communication, business, and education have been

more impactful. Through the centuries, the way people used technology has progressed

from a thing people once viewed and defined as simple. Though technology continues to

amaze us with the advances that people make from time to time. There is no denying the

fact that people are now in the generation where new technologies have been developed

and introduced to help operate or effectively manage time in a way that would be beneficial

to humans. The use of computer-based online system spreads like a wild fire nowadays and

has been proven reliable, easy to use, and gives a lot of advantages to both the users and

the public.

“If your business is not on the internet, then your business will be out of business.” –

Bill Gates. One of the products of technology is the so-called Electronic commerce (E-

commerce). E-commerce involves any businesses conducted through the internet and any

business enveloped or covered by the internet. With the quick growth of the internet, many

companies or anyone who are in the business world, are finding new and exciting ways to

expand their business opportunities. E-commerce is simply the exchange of business

information between two organizations. One example is the equipment rental system.

Equipment rental system is a computer-based online system because it is easier and faster

for a client to rent specific equipment. This project has been proposed to provide equipment

history details, their uses, how much the equipment costs, and the payment method. New

customers are required to fill basic information about themselves like name, address,

number of days to rent, location and payment method, if customers are taking an equipment

rent. Customers will have the facility to select any type of equipment and search equipment

by their brand name. Upon selection of particular type, customers will be able to get their

entire details like rent type, cost for taking a particular equipment, equipment’s usage, and

equipment’s prices. Basically, this system helps the beneficiary to make daily records of

equipment being rented or will be rented and easy billing of customers. Customers can use

this system from anywhere and anytime.

The qualities of the system will be categorized by the following: 1) Saving Time,

transactions are now made easier through online rental system. Customers can rent

equipment in their comfort zones instead of waiting for a long queue and going to the

physical store or company. The system also gives advantages on both the customers and

the company. Looking around phone numbers/emails/locations of event equipment rental

is time consuming. With the introduction of the system, the system will be available 24/7

to the users and also for the company who have just to check bookings daily and delivers

equipment to the named location. 2) Security, payments are the most crucial part of any

online transactions, the system tends to provide authentication and encryption of the

customer’s banking details which is not even accessible to the company. Nowadays, almost

human life becomes more and more easy, it is possible because of the technology. Various

online system has been developed which have made the life of human very comfortable.

One clicks and you can get whatever you want at home.

1.1 Background of the Study

Image Plus Production (formerly known as Dream Pulse Production) is a

production company in Makati City established in October 25, 2005. The company is

located at 9310-A Dungon St. Brgy. San Antonio Village, Makati City the company is

initially a multi-media services outfit, founded by veterans in the technical and creative

fields. The company is recognized as complete events solution factory. The company is a

team of creative, enthusiastic and dynamic professionals with sparkling stream of ideas

having vast experience in the field of events and production. The company has

approximately 40 known clients. The traditional transaction of the company is from client

to production management. The company had been encountering problems in terms of the

exact number of the equipment being rented or delivered. According to the production

team, the number of equipment delivered are sometimes lacking or exceeds the expected

quantity of items delivered. First, the client and the company staff will hold a meeting

tackling the details of the rent. Upon agreement, the client will now then fill up a form

containing personal details. After filling up the form, the company will ask for a down

payment and will deliver the selected equipment the client wants to rent few hours before

the event. The remaining balance will be given after the event.

1.2 Objective of the Study

1.2.1 General Objective

To create and design a “Computer Based Event Equipment Rental System” for

ImagePlus Production that will display all the information about all equipment rentals for

different events.

1.2.2 Specific Objectives

The specific objectives of the study:

- To create a module that displays availability and prices of the

equipment.

- To construct a module that displays orders of customers.

- To create a database that can record and retrieve equipment.

- To minimize the time of reservation and to print information about the

equipment.

- To create a module that displays picture of the equipment.

1.3 Scope and Limitation

The proposed system can monitor the rented equipment status. The company will

know how many of the equipment have been rented by a specific customer.

Upon the costumer’s selection on a specific equipment, the system will record the

date of any equipment being rented, the price, and of how many days the customer will

want to rent his/her choice of equipment.

The proposed system will limit the access by providing accounts for the authorized

users only. There will be required login in which only those who are authorized can access.

The proposed system has a database system for recording and retrieval of the

equipment’s records.

The proposed system is available for any updates suggested by the company.

In order to rent an equipment through the system:

- Customers must create their own legitimate profile.

- Customers must fill up all the requirements asked by the system.

Owner of the company, admin or any of the employee who has access to the system

will not be granted access to any of the customer’s bank account.

The system does not allow to rent the same equipment for the same date.

1.4 Significance of the Study

The study can be used as a reference to the owners or to anyone who are interested

in rental business. The study was conducted to contribute additional information to serve

rental business owners and individuals. This will be an effective tool for customers who

would intend to rent and to owners who are particularly in a rental business. The study will

help owners of a rental business to know what are the problems and barriers that a rental

business encounter. The rental system is imperative as it acts as an auxiliary to effectively

manage resources and to provide optimal service for clients. Rental system helps the owner

or business holders in making records of the customer’s information and to make sure that

the records are secured. The study will provide the researchers valuable skills and

knowledge in analyzing and encoding the system. This can also help the researchers fulfill

their requirements, thus helping them to grow professionally in their chosen career.

2.0 Review of Related Studies and Literature

This chapter is a presentation of literature and studies on renting production

equipment which the researchers to provide a clearer view of the problem researches on

relevant writing and studies in both local and foreign to obtain a wider view on the concept

of the study.

This chapter presents the related literature and studies after through and in-depth

research done by the researchers. It provides review of related concepts and principles that

were relevant for examining the problem and serves as a guide to examine relationship

between factors affecting the study. This will also guide the researchers to achieve their

target objectives by getting ideas on other related studies and make improvement as

possible.

2.1 Local Studies

According to Marc Adrian (2015) Philippines has a vibrant rental market which

currently is experiencing a strong demand from both local and foreign tenants looking for

places in pretty much every range. From budget to mid and high-end units. A study released

last year by property listing site Lamudi, found that 69% of Filipinos prefer to rent than

buy a home and majority of renters fall between the ages of 21 to 35 years old. Aside from

the strong local demand, the rental market is also being driven by Manila’s foreign

investors and multinational company executives, who prefer prime real estate. The high

demand for rental properties has push vacancy rates downward, especially in the country’s

financial hubs. This means landlords can worry less that their property will sit for very long

without finding a tenant.

2.2 Local Literature

Nissan Rent-A-Car

According to Faye Soriano (2014) the car rental in the Philippines began in 1992,

when Nissan Car Lease Philippines, Incorporated started its rental and leasing operations

in the Philippines with 10 vehicles. It is the product of collaboration among Nissan Motor

Philippines, Inc., with the participation of Universal Motors Corporation. Unlike its

competitors, Nissan Rent-A-Car is truly corporate-owned. Nissan Rent-A-Car can provide

its clients with a wide array of vehicles from the biggest fleet of high-end limousines, such

as the Mercedes Benz S and E class. Nissan Rent-A-Car also offers a better alternative to

metered taxis for guests and patrons of hotels and corporate clients. As the top car rental

company in the country, dedicated to its mission of providing premium land transport

services, the company continues to conceptualize new and improved services to its clients

and by using a Rental System, the company is more efficient than ever.

Cebu Trip Rent-A-Car is the best way to get around Cebu City, this is according to

the author Faye Soriano (2014). The Cebu hire companies provide professional drivers who

are trained in passenger travel and are experts in the geography of Cebu City. It is very

convenient and easy to have a car rental in Cebu through one of the numerous car hire Cebu

agencies located throughout the city. The rental system proves to provide efficient and a

con to time-consuming by accessing the internet.

Hertz outbound car rentals are available for bookings at all Global Distribution

Systems (GDS) in the Philippines. “Hertz is a first major car rental company to appoint an

outbound representative in the Philippines. Our country continues to enjoy a vibrant

outbound travel market for both leisure and business. We look forward to promoting Hertz

to more than 2,000 travel agencies and various corporate clients, and collaborating with

Hertz Philippines” says Francis E. Julco, Country Director, Discover the World Marketing

Philippines (2014).

According to the literatures mentioned, online car rental has been widely used in

order to provide an instant car confirmation service to the website’s visitor, hopefully

turning them into bookers. An Online Rental System allows people to receive rentals 24

hours a day, therefore their car rental services are always open. A lot of car rental

companies are now using the power of the internet into making their business successful

because just like what Avis said, their system enables them to process over one million

incoming customer inquiries each day, providing their customers with accurate and timely

information about the locations, rental rates and vehicle availability.

Car rental hire in the Philippines is popular among inbound tourists looking to travel

around the city and to and from provinces freely and with the privacy of driving

themselves; this is common for both domestic travelers as well as for business trips. In

the travel package. However, in reaching another town or city, public transportation such

as by bus is still commonly used by domestic passengers, mainly because it is usually the

an opportunity for car rental companies as the demand continues to grow and the

destinations are within their usual range of trips, such as CALABARZON, which continues

to be the leading domestic destination. The growing middle class and family-oriented

markets, which are more likely to travel in groups and thus hire a car, are also a good

opportunity for the industry. However, in terms of business travel and foreign passengers,

there is an increasing threat from increasing competition and also by security threats.

Philippines has a young population with a median age at 23.4 years, according to the 2010

Census of Population and Housing. This means that half of the household population is

younger than 23.4 years old, and will soon be joining the workforce. Aside from the strong

local demand, the rental market is also being driven by Manila’s foreign investors and

multinational company executives, who prefer prime real estate. Foreign nationals who

come from countries with a more mature real estate market may find accommodations in

the Philippines relatively cheaper. They would be in a position to better afford the pricier

rentals in the market. And executives from multinationals typically come with generous

housing allowances to ease their transition into the Philippines. “Buoyed by the demand

from Metro Manila’s huge expat population, leasing activities in Metro Manila’s high-end

Research and Valuation in a separate Lamudi research, adding “premium locations are still

very bullish, while we’re seeing healthy demand from the growing middle class for Metro

Manila’s secondary locations.” When asked for comment about current conditions, Mr.

Cordero told iMoney that prospects remain the same for this year.

system gives car rental service for both foreign and local customers. This organization

carries out its daily work by providing services to the customers using manually system.

Car Rental System provides the features for booking a car online. It provides car

reservation facility online where customers can visit the website and check for various cars.

The online car rental solution is fully functional, flexible and easy to use. The Car Rental

System helps in back office administration by streamlining and standardizing the

procedures which saves a lot of time, money, and labor. According to researchers, the

application acts as an office that is open 24/7 and it also increases the efficiency of the

management at offering quality services to the customers.

Video Rental System for EZzy Video

According to Essays, UK (2018) the project they investigated is a video rental

system called EZzy Video which is a chain of 14 video stores scattered throughout a major

metropolitan area. The chain started with a single store several years ago and has grown to

its present size. According to the owner of the chain, Eddie Stone, it is important to keep

track of each movie title to know and to identify its category or genre, its rental type, movie

rating, and other general information such as movie producers, release date, cost, and so

forth. Customers are also tracked; any given customer may be authorized to rent videos

and games. Each time a movie is rented, the system must keep track of which copies of

movie and games are rented: the rental date and time, the return date and time, and the

person renting the movie or games. Each rental is considered to be open, until all of the

movie and games have been returned. Eddie Stone establish the Ezzy with a goal to make

customers have a more convenient and comfortable environment to rent movies.

Car Rental Ghana

According to Kristajam (2015) People get a rental car for various reasons. One of them

could be because they do not possess a car and would need an escort for a special event

like a wedding, a gala or probably touring and travelling around. In order to achieve their

aims and save a lot of their time going up and down in quest of a good rental car company,

they could find about 80 percent of the information they need about rental car companies

around their location and the services they provide on the internet. On the other hand, rental

car companies can increase their return on investment (ROI), reach and maintain a potential

market or group of clients on the side. Online services seem to be the best solution to both

parties’ situation. In fact, various business processes and communication between

companies and between their customers have been improve thanks to the advancement of

Information Technology and internet penetration in various parts of the world. This online

car rental system is an opportunity to help car rental companies in Ghana and in Africa to

achieve their goals and also give full satisfaction to customers in quest of good customers’

care and services. This system seeks to provide the following: * The enhancement of

business processes: the rental company uses the site has a platform to project itself and its

services globally and no more locally. With the use of the internet technology the company

can introduce its services worldwide. The online car reservation: customers with a simple

click of their mouse can make reservation of cars through the internet prior to their expected

pick-up date or time. The registration of customers: there will be a registration portal

available to the management team of the rental company in order to keep track of

customers’ details and their various transactions. The objective of this portal is to offer

better and/or improve customers’ services. The registration portal or control panel will

contain customers’ details as well as the transactions made.

2.4 Foreign Literature

According to Faye Soriano (2014) the first car rental company started by Saunders,

witnessed exponential growth following which many other businessmen started their car-

rental system firms in America. When the levels of growth started reaching extreme

heights, John Hertz and Walter Jacobs could not sustain, they entered into venture with the

automobile giant, General Mills.

According to the author, the first online car rental Avis Wizard System, is on of the

world’s best-known car rental brands with approximately 5,570 locations in more than 165

countries. Avis has a long history of innovation in the car rental industry and is one of the

world’s top brands for customer loyalty. Avis also created the first online computerized car

rental reservation system in 1972 with the introduction of the Wizard System. The Wizard

System, Avis Worldwide Reservation Rental, data processing and information

management system, enables them to process over one million incoming customer

inquiries each day, providing their customers with accurate and timely information about

the locations, rental rates and vehicle availability, as well as the ability to place or modify

reservations. Additionally, the Wizard System is also link to all major travel distribution

networks worldwide and provides real-time processing for travel agents, travel industry

partners and more.

Easy rent pro is the most complete car rental solution for the vehicle rental industry

according to Soriano (2014). It is now used by hundreds of operators and agents across the

United States, Australia, New Zealand, Europe and the UK. Customers can connect to the

internet and reserve and rent the vehicle of their choice on an own online reservation and

rental site. This online rental car booking system gives the customers immediate view of

availability, rates and instant booking confirmation. Their order can be sent directly to an

e-mail address as an alert and integrated into Easy Rent Pro vehicle rental software. Easy

rental online caters for a wide range of online business requirements, whether they hire

cars, camper vans or any other type of vehicle. Easy rental online also offers complete

content management system (CMS) which lets the owner change their rates for any vehicle

category at any time.

Executive Rent a Car (the car rental company I worked for) was a national business

of 44 locations with a combined rental fleet of approximately 800 cars and trucks. The

owners of the business attempted a restructuring to survive the downturn in the Mexican

tourism industry and the cut throat competition rental rates that resulted from that downturn

but finally decided to close operations and focus investment with their other interests.

Because my role as head of the assessment exercise was to test the competitiveness of the ORION

car rental management software we had operated with for almost 25 years, this restructuring

period provided me an invaluable understanding of the car rental software system options

available and the advantages versus the disadvantages of each.

Car Rental Industry Outlook 2018 for China

According to Ernest Willer (2015) Chinese car rental market emerged in 1990 when

the Asian Games was held in Beijing. Afterwards, Beijing, Shanghai, Guangzhou and

Shenzhen with higher internationalization level began to develop the market at first. Until

2000, the car rental market extended to other cities. Over more than a decade of

development, China had more than 400,000 vehicles for lease by 2014 with the market size

of nearly RMB40 billion, and the figures are expected to be 750,000 and over RMB60

billion by 2018. Compared with foreign mature markets, the fast-growing car rental

industry of China is featured with lower access threshold, more small-sized enterprises and

lower industry concentration, meaning China’s car rental industry is still in its infancy. In

2014, the penetration rate of China car rental industry was 0.5%, lower than 1.7% in the

United States, 2.6% in Japan, 2.1% in South Korea and 1.5% in Brazil. At the same time,

the top three car rental companies accounted for 12.6% of Chinese car rental market

together, wherein CAR Inc., eHi and Avis occupied 8.1%, 2.9% and 1.6% respectively.

China car rental industry targeted foreign companies and large state-owned enterprises in

early time, but car rental services for individuals just sprang up in recent ten years. In

foreign car rental markets, about 50% of the demand comes from individuals. Chinese

individual customers usually desire cars during holidays and peak seasons, and they are

more concerned about prices, brand reputation, quality of services and process convenience

than models.

SOFTWARE

In developing the system, the proponents used a Windows 10 as an operating

system. The proponents used was PHP, VISUAL BASIC and for the database is XAMPP.

Upon designing the logo of the site, the researchers also used Adobe Photoshop as a picture

editor.

The researchers expected this type of cycle with the availing clients of the Image Plus

Production. In which the client will decide if the client wants a certain service for

themselves. Then the clients will go to the site provided by the researchers for the Image

Plus Production. From there, they can choose which product will they avail. And finally,

after inquiring on the office with the client preferred date and time, the client can go to the

Image Plus Production’s Office for the products they needed.
