Business Meeting Script (Final Meeting)

Chairperson Address (name): Good morning Everyone! I am Glad to Welcome all board members to
the 3rd meeting of 3R Corporation. Thank you for your presence. I will now call this meeting
into order. Please take your seat. Ms. Secretary, will you please read the minutes of the
previous meeting?

Ms. Secretary (name): Mr. Chairperson, I will now distribute the copies of the minutes of the previous
meetings instead of reading.

Ms. Chairperson (name): Is there anyone who would like to add corrections for the minutes?

All: None

Ms. Chairperson (name):

Alright, let us now proceed with the agenda for todays meeting. Ms. Secretary will please read
our agenda for today.

Ms. Secretary (name):

The agenda for todays meeting is summarized into two bullets and these are:

 Report on sales
 Ms. name’s Product Proposal

Ms. Chairperson (name): Is there anyone who would like to add?

All: None

Ms. Chairperson (name): Now let’s get started. Our first agenda is about the reports of our sales for
the whole month of September. In the vertical axis, these are the rate of sales and in the
horizontal axis, these are the consecutive months. As you may notice, the graph of our sales
may have not decreased but it also did not have much increase which means that our sales have
stayed stagnant for months. Mr. name, can you please report the reason for this.

Mr. name: I have summarized the reasons in bullets. These are:

 Increasing number of competitors producing similar products (Eco Bag)

 Products being produced are becoming too common thus the decrease in demand
 Foreign Investors are losing interest in continuing on-going investment within the
company.

Mr Chairperson (name): Thank you Mr. name. As you may have received my notice the other day, I
sent you an email that I will be accepting proposals today which is related to our company’s
concern. Fortunately, Ms. name submitted hers yesterday and I have approved it to be discussed
today. Ms. name, you may now start with your product proposals.

Ms. name: First of all, Good morning once again to everyone. I have been with the company
for quite some time now and I noticed the stable state of recent sales. I figured that we should
take action to change the direction of our stagnation. I have come up with a product that might
do wonders for the company and, as our company motto states, for the environment.
Introducing Plant Paper. Paper that can be planted once used up. It is made of recycled paper
bags and packaging with seeds of falcata tree, which is where actual paper comes from. Since its
materials are biodegradable the more so is this product. Its raw materials are also cheap and
inexpensive so this product will come out affordable to everyone. This is how it’s made.
Recycled papers are cut and blended with water. Seeds are sprinkled to the batter to complete
Plant Paper. It is dried in a rack and is cut into thin pieces. Once all used up it can be easily
buried in the soil and when watered daily will eventually grow into a new plant. Its benefits. It
helps with today’s environmental situations regarding waste management and greenhouse gas
 issues. It is Eco and Child-Friendly. It’s a plant you can use over and over again. I hope you all
consider my proposal and hopefully come up with a mannered decision.

Mr. Chairperson (name): Thank you Ms. name. Her proposal could be a good contribution
towards the rising of sales since we need something new to bring to the market and no
company I know of has produced this kind of product before. If we will consider this, where
would be a good start for distribution? What is the pleasure of the body?

Mr. name: I move that we should have our products sold to developed countries since we are certain
that it is affordable and chances are, they might purchase a huge amount of it.

Ms. name: Mr. Chairperson, I beg to differ. Developed Countries have provided policies already to
sustain their environment. According to recent data, they have less pollution than the ones in
less developed countries if we are talking about the product offering environment benefits for
the consumers.

Ms. name: What if we localize our product, here in the Philippines?

Ms. name: I agree, I have come to analyze that if we market it in our own county, we can monitor
whether the consumers favor our products. And if not, we won’t have huge amounts of losses
rather than if we set it off internationally.

Mr. name: Sounds convincing, I agree. I move that the products will be sold locally.

Ms. Chairperson (name): It has been moved and seconded that our new product will be sold locally.
Congratulations Ms. name! Your product proposal has now been approved. W can now
schedule our next meeting for the orientation and operation of this project. Ms. Secretary,
please check our schedule please.

Ms. Secretary (name): We are only free on Wednesday, October 9, 2019, Miss.

Mr. Chairperson (name): Alright then, Let’s save the date. The meeting is now adjourned.
