62nd ANNUAL NASA CONVENTION

MANDATORY RULES AND REGULATIONS

1. The official dates of the convention will be: 07th – 10th February 2020. 06th February will be
observed as Day Zero, reserved for the registration process in and for the convention.

2. Delegation fee for ANC:


o Faculty – ₹ 9000 Each (Including Accommodation)
o Unit Secretary – ₹ 1500 Each (Including Accommodation)
o Unit Designee – ₹ 4500 (Including Accommodation)
o Delegates – ₹ 6000 Each (Including Accommodation)

In case of the absence of the unit secretary and/or unit designee, acting Unit Secretary and/or
acting Unit Designee have to be appointed and, in such cases, the forms (whichever is needed):

o FORM F-Appointment of an Acting Unit Secretary


o FORM G-Appointment of an Acting Unit Designee

have to be filled in the NASA, India website and submitted in hard copy (duly signed and sealed
by the HOD) at the registration desk. In the absence of these forms, the Unit secretary and/or
Unit Designee will be considered as delegates and the delegate registration fee has to be paid.

3. Caution Deposit for ANC


o ₹500 from each delegate has to be paid at the registration desk.
o The caution deposit will be refunded at the time of departure to each unit upon removing
the exact number of wrist bands and caution receipt issued to the respective units.
o All delegates must compulsorily wear the wrist bands after registration until the end of the
convention.
o The bands will be cut by the security/ registration team upon which the caution deposit
will be refunded.
o Failure to comply with this rule will result in revoking the caution deposit in full.
o In case of any damage to the property or if any delegate is found breaking any of
the rules, the caution money of that institution will be withheld under the knowledge
of a council member.

4. The Delegation fee for ANC includes Venue, Accommodation, Kit, Food, Participation in
respective workshops and events, Transportation and Common Facilities
o Any purchase from stalls of merchandise, sponsors, food trucks, etc. will be extra as per
vendor’s prices.
o The registration of delegation will take place from 6th February 10AM to 6th February
11PM at the registration desk.
o Prior permission from the President has to be taken for colleges registering beyond this
time limit.
o Unit Secretary & Unit Designee of respective institutions should be present at the
registration desk with their NASA ID Cards and the following
 Security Deposit
 Hardcopy of the registration form duly signed and sealed by the HOD /
Director / Principal of the respective units.
 Music CD/pen drives for cultural performance.
 All required documents for registrations must be produced as a hard copy
at the desk, failing to do so might cancel the registration of the entire units’
participation in the convention.

5. General Rules for ANC


o The Unit Secretary of the college and the accompanying staff will be the representative
of the college and it shall be their responsibility to control his/her contingent throughout
the convention.
o They will also be responsible for the proper coordination and conduct of the delegates
from their respective units. All the delegates and accompanying faculties should bring
their original College Identity Card.
o Photocopies (Xerox) of the ID cards of all the students must be submitted at the
registration desk on Day 0, and originals must be produced for verification.
o All the delegates should wear their band and carry their institution ID card throughout the
convention, failing to produce any of them when required will be considered a breach of
62nd ANC Rules and Regulation.
o Participants should bring their own stationeries and instruments for trophy paneling and
workshops.
o Delegates are advised to bring their own pillows, blankets, comfortable warm clothes
and necessary toiletries, since there will be no provision store at the campus.
o Decision of the board of juries will be taken as final and dispute among the college will
not be encouraged. Students will maintain a standard of discipline all throughout the
convention and shall take special care during the inauguration, keynote session and
valedictory functions.
o During the panel discussions and keynote sessions, mobile phones should be kept silent
and drums, whistles or any other musical instruments are not to be used.
o Participants should return the materials provided for the events to the coordinators in
charge at the end of the events.
o Smoking, possession/consumption of alcohol and/or any other drugs are strictly
prohibited within the campus. The violation of this rule will strictly result in seizure of
caution deposit of the unit.
o Any student of any Institution found to be guilty of misbehaviour or misconduct at any
point of time shall result in expulsion from the convention and the decision of EC will be
binding & final.
o Any student of a particular college if found to break any rules, damage any property shall
result in total confiscation of their caution deposit. In case we don’t recognize the parties
responsible for such breakage, all college's caution deposit will be seized.
o Lottery for the sequence of cultural performance will take place on 07th February 2020 at
the registration desk. The Unit Secretary or Unit Designee has to be present at the time
of lottery, failing to which, the sequence will be decided by Executive Council.
o Cheering is allowed however any negative comments against the opponent shall lead to
disqualification. Delegates with medical problems should carry their own medicines and
medical certificates and must inform in the registration desk beforehand.
o No extra time will be given for delayed entry to the venue of any event.
o During any event, any participant found communicating to other delegate who is not a
fellow participant will be disqualified from that event.
o Discipline/ decorum and cleanliness should be maintained in Convention premises.
o Silence to be maintained near the Trophy area.
o Students are requested to dispose waste in the respective waste disposal points.
o All rules are applicable to all the delegates including the accompanying faculty.

6. Workshop Rules for ANC


o Laptops along with the pre-installed software are mandatory for students registering for
software related workshops, the list will be shared through mail
o Students must attend all days of the workshop they have registered for compulsorily.
o Only the students who have attendance on all days of their respective workshops will be
given certificates. Students must be on time at the workshop venue and must attend the
workshop for the entire duration.
o The name given during the registration will be written on the certificate as well.
o Judicious usage of materials is expected from all participants.

7. Event Rules for ANC:


o The rules and regulations drafted by the hosts pertaining to all the events are final. Any
discrepancies/doubts regarding the same will not be entertained during the days of the
convention.
o Participation in any events will be permitted only after registration and it must be done
only with respective college code.
o Number of participants is restricted for each event and its registration is strictly done on a
first come first basis. The name given during the registration will be written on the
certificate as well.
o Delegates will not be allowed to participate for an event without the following:
o Delegate wrist bands
o Events coupons given during events registration.
o It is mandatory for participants to be present at the commencement time of an event else
the college will be disqualified from the respective event.
o Decency and decorum to be maintained in the events venues. If in case any unit is found
misbehaving, that college shall not be entertained in that event and shall be reported to
the Executive Council, NASA India.
o Most of the events are planned in a friendly manner to educate, learn and entertain.

8. Transportation and Hospitality Rules for ANC


o Transportation will be provided to INNOVATIVE FILM CITY, BIDADI from the locations as
specified in the transportation form. Transportation request from any other place will not
be entertained.
o The transportation details (arrival and departure details) of each unit shall be updated
through the transportation Google form.
o Transportation pick-ups from all stations will end on 6TH FEBRUARY at 10pm.
o Any changes in the travel schedule (after filling up the Google form) should be intimated
in prior to the transport committee.
o Food will be provided from Dinner on 6th to Dinner on 10 TH February 2020.
o Food will be served at the allotted time as given in the time table.
o Accommodation will be provided from 6th February 2020 till 11 TH February 2020
(10:00am).
o Accommodation once allotted to the delegates will be final.
o Delegates are required to bring their own safety lock for their luggage & rooms.
o The host will not take responsibility of any personal belongings.
o All colleges are advised to bring their own spike busters to avoid shortage of plug points.
o Delegates will be provided with mattresses but they are also advised to bring extra
bedspreads and a pillow if need be.
o Delegates are also requested to bring blankets as the weather gets cold during the nights.
The temperature ranges from 12° to 30° in Bangalore during the convention dates.
o No boys will be allowed to enter the girl’s accommodation and vice versa under any
circumstances.
o No delegates will be allowed to move outside the Campus (cordoned off areas) premises
under any circumstances. In the case of an emergency, the Council should be informed.
o The Council will not bear the responsibility for any actions of the delegates outside the
campus premises (cordoned off areas).
o The Council will not be responsible for the loss or damage to any personal valuables.
o No student is allowed to stay off campus during the Convention.
o Delegates are requested to cooperate with the security guards and security team while
physical checking of the delegates and their belongings (if needed).
o Any member of a delegation failing to follow any of the above rules may result in barring
of the complete delegation from participation in any event or non–refund of the caution
money and immediate disqualification of the member or Institution from the convention.
o Breach in rules may also result in reducing the NASA membership status of that unit to
observer status or completely cancelling the NASA membership.

With reference to all the requests that have already been sent across, we (the organizers
of the event) would like to request every delegate attending the convention that each one
shall take his/her own care and also try to support this event in the best manner possible
to make it a grand success.
