A. INTRODUCTION

We are pleased to announce the release of the new ISAP_DVD_Deptember2010: Integrated Service and
Application Platform in DVD format for our Partners.

The enclosed DVD contains all service and application related documents for the Tosoh analysers AIA-360,
AIA-600II, AIA-1800, AIA-2000, G7, and G8. It also contains the PIANO and TosohCatalogue software.

Complete the enclosed Response form to confirm good reception.

This New ISAP_DVD needs to be copied and handed over to ALL Service Engineers and
Application Specialists working with Tosoh instruments! Discard the previous version September
2010 and only use this version!

In this Newsletter you will find all REVIEWED instructions you need to follow when:

This document explains the instructions our Partners have to follow after receiving the ISAP.

1. Explanation

 Every Distributor Service Manager will receive 3 or 4 times a year a new ISAP_DVD (Integrated
Service and Application Platform) containing all updated service and application related documents
together with a Newsletter explaining all Critical Work Procedures and an overview of all new
released documents since the last ISAP edition.

 Only use the last ISAP_DVD and make sure to discard the previous version.

 Make sure that the new ISAP_DVD is copied and supplied to all Tosoh qualified Service Engineers
and Product Specialists.

 If important technical information is available in between 2 ISAP_DVD releases, the Service Manager
will receive the Technical Bulletins by E-mail. It is important to spread this information to all Tosoh
qualified Service Engineers.

 In order to follow up and to make sure that you actually received the ISAP_DVD, we ask you to
complete the TosohBioscienceISAPResponse Form and return it at the earliest convenience. This
Form is enclosed in the package together with DVD and Newsletter. This form is also available on the
ISAP_DVD in the folder NEWSLETTERS/ISAP_DVD_ResponseForm.

2. Procedure

 Step1: Upon receiving the ISAP_DVD complete the ISAP_DVD_ResponseForm


 Check if you can read the information on the DVD
 Fill in the names and E-mail addresses of new Service Engineers who want to receive the
new Technical Bulletins
 Fill in the names of Service Engineers how discontinued working for your company as they
will no longer receive information from us.
 Inform us about any changes in your organization.
 Send the document by Post or E-mail to distributor.support@tosoh.com

 Step2: Make Copies of the ISAP_DVD and spread to all qualified Service Engineers, Product
managers and Product Specialists.

This document explains the definitions and instructions to follow when one of our Partners
needs support in solving a technical or application problem: Support is available by Phone,
E-mail or by an Intervention from Tosoh.

1. SUPPORTLINE:

1.1. Definitions:

 The SupportLine is a FOC service to support our distributors.


 The SupportLine has been created to report ONLY urgent technical or application problems. Use E-
mail Support for all other requests (see chapter 2).
 Every Distributor Service Engineer or Application Specialist has to consult there local Tosoh trained
Service Engineer or Application Specialist for support in first line before contacting the SupportLine.
 All calls to the SupportLine will be registered in our Distributor Support Database by the SupportLine
Registration Desk and will create an „Open Ticket‟.
 After the creation of the „Ticket‟ the call is diverted to the responsible Tosoh Service Engineer who will
help you in handling your requests.
 The „Open Ticket‟ that was created in our Distributor Support Database during the SupportLine call
can only be closed when the reported problem is solved. Therefore we need after your intervention a
feedback by e-mail with a clear description of the solution or the actions that were undertaken to
solve the problem.

1.2. How to proceed:

Step1: Prepare the following information before calling the SupportLine:

 The name of the distributor and person calling.


 The contact telephone number.
 The type of Instrument involved.
 The serial number of the Instrument and the software version.
 A clear description of the reported problem and error codes.

Step2: Call the SupportLine:

1.3. SupportLine availability:

 The SupportLine is available from Monday till Friday from 9h until 17h (European time)
 After working hours you can speak in a message, this will generate a WAV file that will be send in the
form of an E-mail to the responsible Tosoh Service and Application specialist.
 The SupportLine is NOT available during the weekends on Saturday and Sunday and will not be
available on the legal holidays in 2011:

2. E-MAIL SUPPORT:

2.1. Definitions:

 The E-mail Support is a FOC service to support our distributors.


 Contact your local Tosoh Trained Service Engineers for support first before contacting us.
 All Instrument and Application related problems can be reported by E-mail and needs to be done in a
specific way by using the *D14_SRS or „SupportRequestSheet‟ form.
 Upon receiving the SRS the Tosoh Distributor department will create an „Open Ticket‟ in our
Distributor Support Database and will provide you with possible solutions for your reported problem
by e-mail within 24 working hours from Monday till Friday.
 The „Open Ticket‟ that was created in our Distributor Support Database can only be closed when the
reported problem is solved. Therefore we need after your intervention a feedback by sending us the
D14 document with section 5 completed with a clear description of the solution or the actions that
were undertaken to solve the problem.
 Open tickets will be closed after 1 month when no feedback was provided!

2.2. How to proceed:
In the ISAP/SERVICEORGANIZATION/SUPPORT select D14_SRS and follow the steps:

Step 1: Information from distributor and instrument:


o Fill in your name, Distributor name, date
o Instrument related details: type, installation date , serial number, software version

Step 2: Select the type of Problem and complete corresponding section 2A, 2B, 2C or 2D
o Select the kind of problem you want to report, only 1 selection possible
o Now complete the corresponding section!

Step 3: Now sent the document to distributor.support@tosoh.com in the following format:

DistributorName_SerialNumber_YYYYMMDD

Step 4: Analysing the problem by Tosoh


o Tosoh Distributor Department will now analyse your reported problem and will provide you with
possible solutions by E-mails.
o Further communication regarding this problem can be done just by E-mail or Phone.
o We will handle all E-mails within 24 working hours.

Step 5: Reporting the solution by the Distributor in section 5 of the D14 document
o Fill in the date when the problem was solved.
o Fill in the actions that you have undertaken to solve the reported problem.
o Fill in the cause of the problem and select if the cause was Instrument or Application related (only
select one possible cause).
o Fill in further explanations about the cause and main cause of the problem.

Step 6: Now Re-send the document to distributor.support@tosoh.com in the following format:

3. ESCALLATION SUPPORT:

3.1. Definitions:

 As a result of the service efforts performed by the Distributor‟s service organization, the request for
assistance can be used in the following cases :
 As a result of an intervention caused by an instrument malfunction and where a proper
troubleshooting is not possible, assistance can be requested by phone, e-Mail or remote
access as explained in chapter 1 and 2.
 Upon the efforts of the service engineer on site, the request for support may be raised -
without the special demand of spare parts or special delivery of parts- to restore the
instrument.
 In consequence to the escalation procedure, at the demand of the distributor an intervention can be
requested from Tosoh or Tosoh qualified staff members when the problem is not solved despite the
remote assistance via telephone, e-mail and/or remote access.
 The distributor commits to cover the costs linked to the request for support. He therefore accepts to
support the costs related to the arrival of a technical- and/or application support specialist. In order to
create a cost estimate, it is important that the demand for support does also contain a clear
description of the problem and an overview of the history of the service call by completing the
D14_SRS document. Based on the correctness of the supplied information, Tosoh will provide an
estimated cost definition sheet which is not restricted or binding for both parties. If due to incomplete
information, the cost would be higher than the estimate, a mutual acceptance of this access will be
worked out by Tosoh.
 During the intervention the involved Distributor SE or AS has to be present.

3.2. Document D15_ECDS ‘Estimated Cost Definition Sheet’:

Costs will be estimated based on the following requirements:


o Visa required?
o Travel Fee or transportation: Plane, Train, Car or public transport?
o Hotel Fee or aaccommodation.
o The spare parts required based on the diagnosis of the fault description
o Daily Fee or duration of intervention.

3.3. Validation:

A validation of the escalation process is required, once the estimated costs are accepted and confirmed
by date and signature of the distributor. Also when the estimated costs are not accepted, a confirmation
will be required with a clear disagreement to the offered cost calculation. The intervention in this case
will not be executed by Tosoh and the incident will be terminated within the Tosoh call registration .

3.4. How to proceed:

Step1: Sent a complete filled in D14_SRS (see chapter 2.2) to distributor.support@tosoh.com and
explain why a TSEN intervention is needed. Provide all history of the instrument: Interventions, errors,

Step2: The Tosoh Distributor Department will provide extra information by E-mail or Hotline in order to
verify if all possible solutions have been tried out by the Distributor and if an Intervention is justified.

Step3: If an intervention by TSEN is justified. TSEN will send the D15_ECDS after negotiation with an
indication of the estimated cost based on the information provided.

Step4: Sign and resend the D15_ECDS to distributor.support@tosoh.com.

Step5: Only after receiving a signed off D15_ ECDS, TSEN will contact the Distributor to take further
steps in organizing the intervention.

D. D17_INSTALLATION_v20101102

This document explains the definitions and instructions to follow when a Distributor installs a
new Tosoh Instrument.

1. Definitions and conditions:

 Every New first Installation of a Tosoh Instrument needs to be reported by the Distributor with the
Service Report provided ( ISAP/SERVICEORGANIZATION/GENERALDOC/D12_ServiceReport)

 After receiving the Service Report D12 the Installation and date will be registered by Tosoh on your
personalized Installed base document D08. This D08 document will be forwarded to each distributor
on a quarterly base.

 The installation report date will be used to calculate the warranty period and „end of warranty visit‟.

2. Procedure:

Step 1: Complete the document D12


 Select instrument type and serial number.
 Fill in all other details.
 Select Activity Installation

Step 2: Print out the document and let the customer sign.

Step 3: Send the Report to distributor.support@tosoh.com

E. D09_WARRANTY&EOW_v20101102

This document explains the definitions and instructions to follow when a Distributor wants to
claim a warranty and how to obtain the end of warranty maintenance kit.

1. Warranty Period Definition

The End of Warranty Date should be validated by TOSOH after reception of a copy of the 1 installation
report (see ISAP/SERVICEORGANIZATION/GENERALDOC/D12) signed by the end-user, according to
following rules:

 If the 1 installation occurs within a delay of 6 months after shipment date, the end of warranty date

will be fixed to 1 year (new instruments) or 6 months (refurbished instruments) after installation date.

 If the 1 installation occurs later than 6 months after shipment date, the warranty date will be fixed 1
st

year + 6 months (new instruments) or 1 year (refurbished instruments) after shipment date.

 This report (D12) should be sent to TOSOH within a delay of 2 months following this installation.

 The installation report should clearly show:


o The character of the visit (Installation).
o The serial number of the instrument.
o The installation date.

 If no installation report is received by TOSOH, the end of warranty date will be fixed 1 year new
instruments) or 6 months (refurbished instruments) after shipment date.

2. Warranty of parts

 If during the defined warranty period one or more parts of the instruments are malfunctioning, these
parts have to be ordered at Tosoh in the regular way using Document D11 (see
ISAP/SERVICEORGANIZATION/GENERALDOC/D11)

 Reporting of the malfunctioning should be done using customer signed Document D12 (or equivalent)
within a period of 2 months after detection of the malfunctioning.

 Based on the correct reporting, Tosoh will issue a credit note for the same amount as parts under
warranty have been ordered.

 Tosoh preserves the right to request the return of the defective part(s) or to directly contact the end-
user for further information.

3. End-of-Warranty Visit Definition

 The End of Warranty Visit is the maintenance visit made at the end of the manufacturer warranty
period (as defined under 1.).

 The End of Warranty visit compensation will concern the cost of the maintenance kit used during this
visit.

4. End-of-Warranty Compensation Conditions

The End of Warranty visit compensation will concern only new instruments bought directly to TOSOH
(Warranty is not valid for instrument acquired over third parties. Warranty is not transferrable to third
parties or sub-distributors).

The End of Warranty Visit should be made before the end of warranty date, if this date is overdue, the
compensation will not be applied.

The End of Warranty visit compensations request will be made on a quarterly basis, by sending to
TOSOH a copy of the End of warranty visits service reports signed by the end-user.

 This request should be sent to TOSOH before the 10 of following month (e.g. 10 of April, July,

October, and January).

 The end of warranty visit should be reported using customer signed Document D12 and should clearly
show:
o The character of the visit (Maintenance or End of Warranty).
o The serial number of the instrument.
o The maintenance date.
o The maintenance kit part number.

The end of warranty compensation will concern only the maintenance kit cost, i.e. the Maintenance kit
ordered by Distributor and used during the maintenance as a single part (single part number).

Parts replaced during end of warranty visit, other than contained in the maintenance kit, will not be
included in the compensation. The compensation of these parts may be reclaimed following the regular
warranty procedure (see 2.).

Any compensation on maintenance kits will be made on a quarterly basis, through a credit note, after
validation by TOSOH.

F. DWP_RETURNINSTRUMENTS_v20100818

This document explains the instruction that need to be followed strictly when returning a Tosoh
instrument to Tosoh Headquarters.

1. Explanation:

 All Tosoh instruments returned from a distributor to Tosoh HQ need to be decontaminated and
labelled with the decontamination label.

 These are mandatory requirements from our transport companies and our supply chain:

(1) Distributor will be held responsible for all claims caused by the fact the instrument
was not decontaminated.
(2) When a non decontaminated, non labelled instrument will be received, a fee of 800
Euro for in-house decontamination will be charged to the responsible distributor.

2. How to proceed:

Step 1: Request and inform distributor.support@tosoh.com the reason why you want to return an
instrument

Step 2: Follow the decontamination procedures that are available on the ISAP_DVD:

Make sure the Decontamination Label is located on the instrument as described in the procedure, printed
with name and signature of person who performed decontamination.

Step 3: Follow the instrument specific de-installation procedures available on the ISAP_DVD

Step 4: Include a Service Report to the instrument explaining reason of return and visual damages, send
the service report to distributor.support@tosoh.com

Step 5: Use the ORIGINAL boxes to pack your instrument and check if all accessories are available; in
case the boxes are not available please contact distributor.support@tosoh.com

This document explains how to apply for Training.

1. Definitions and conditions

 Refer to ISAP/SERVICEORGANIZATION/TRAININGACADEMY to find all documentation for Field


Engineering Service Trainings.

 Every Distributor need to be able to install, troubleshoot, repair and maintain Tosoh Bioscience
Instruments.

 Only qualified Service Engineers who participated training can service Tosoh Instruments.

 All qualified Service Engineers who received a Service Training from Tosoh will be logged in our
database and will receive a Certificate.

 Service Trainings are organized at Tosoh HQ or can be organized at the distributor site on special
request.

 All training participants to the training sessions should correspond to the following profile: Educational
level of bachelor in science with special attention for Electronics and Mechanics, basic tooling skills
like soldering, field experience and self management.

2. Requesting a Service Training at Tosoh HQ

Step 1: Select the training ISAP/SERVICEORGANIZATION/TRAININGACADEMY/


 Use the „PlanningTrainingAcademy‟ for exact dates.

Step 2: Complete the registration form Service Training Academy 2010 Registration form.

 You will be contacted by the Training Academy Department for further instructions.

I. D06_CRITICALTOOLS_v20101103

This document provides lists of general and specific tools that every distributor Tosoh Qualified
Service Engineer needs to have in their personal stock.

1. EXPLANATION:

 Every Distributor needs to provide all Service Engineers with the General Tools to be able to perform
technical interventions and maintenances. Non-compliance can lead to disqualification of the work
performed.
 For every Tool listed in the tables below an indicator explains whether the tool is: Mandatory, Strongly
advised or optional. All Tools can be ordered at Tosoh or similar items can be bought locally.
 General Tools are Tools that are required to work on all Tosoh equipment and are split up in:
IT, Check&Repair, Working, Measure, Lubricants, Cleaner, Decontaminate, Mics.
 Specific Tools are Tools necessary to perform specific adjustments or repairs and are listed per
instrument.
 For more detailed information all Tools can be looked up in the TosohCatalogue on the ISAP_DVD.
 Specific Instrument Toolkits will be provided as a „gift‟ with the active participation to the service training.

This document explains and defines the Minimum Spare Parts every Distributor needs to
have in stock to ensure fast repairs and quality interventions. It also provides the different
spare part lists.

1. Definitions and explanations

 Every Distributor has the commitment to have a minimum of Spare Parts in his Country for the following
reasons:

o Saving time and costs in the process of ordering and transportation of spare parts
o Faster troubleshooting and repair at first intervention
o Avoiding problem escalation and customer satisfaction
 Tosoh has defined the Minimum Country Stock based on experience and turnover of used parts.

 Detailed lists with pictures and alternative parts can be viewed and printed out from the
TosohCatalogue access program available on the ISAP.

 Every Distributor need to check on a regular base the availability of the Spare Parts he has in stock.
The Minimum Country Stock will be subject for future external audits.

 The Minimum Country Stock is used to perform fast interventions within the Distributor territory; the
parts are not to be used to carry out scheduled maintenances. Maintenances are carried out with parts
or kits specifically ordered to perform the planned maintenance.

 The Minimum Country Stock is split up in two stocks: Service Engineer stock and Warehouse Stock.

o Service Engineer Stock: Every Distributor SE servicing Tosoh Instruments and/or


responsible for a territory is due to carry the spare parts listed in column „Stock per SE‟

o Warehouse stock: Spare parts that need to be in the warehouse are listed in column
„Stock Warehouse‟. These are statistically low rated defective parts.

2. Minimum Spare Parts Lists

 The Minimum Spare Parts lists are available in document D07


(ISAP/SERVICEORGANIZATION/D07_MinimumSpareParts) in the following worksheets:
G7, G8, AIA-2000, AIA-1800, AIA-600II, AIA-360, AIA-21

 In the worksheet „CrossTablePartsInstruments‟ a list is available of Spare Parts that are used in
different Tosoh Instruments.

 The Spare Parts are alphabetically listed per Group and then per FunctionDescription.

 All Minimum Spare Part Lists can also be viewed and printed out by using the „TosohCatalogue‟
available on the ISAP

This document explains the work procedures for distributors on how to report there installed
base, instrument status & Origin, software upgrades, installations, maintenances and updates.

1. Request and Reporting Dates: Planning for 2010

 Every Distributor Service Manager will receive on a quarterly base an E-mail with his personal Tosoh
Installed Base in Excel format:

 In this report or document D08 the distributor need to report all changes within his Tosoh Installed Base:
Installation date, Software Upgrade, Updates, Instrument Status & Origin and Scheduled Maintenances.
Refer to chapter 7 to find the detailed instructions on how to complete the report.
 The format of the list is protected and can not be changed only extra rows can be added to add new
instruments you received from Tosoh or bought from third parties.
 The Excel sheet needs to be returned before the specified day as listed above.

2. Software Upgrades:
Why to keep your software up to date:

 To fix existing bugs.


 To make sure that all system parameters are up to date.
 To improve mechanical and electronically performance.
 To reproduce better and more accurate results
 To have access to new applications
 To be conform to all users and to be able to provide accurate
troubleshooting.

 The above table is the latest overview of all released software‟s: The ‘Goal end 2010’ is the software
version that was defined in January 2010 and is the minimum version that has to be installed before end
2010.
 For each request a dedicated column is foreseen were the distributor need to report the current installed
software. This column is coloured in Red. When the software version goal is entered the colour will change
to green.
 Use the instructions SoftwareUpgradeProc_Rev10 in ISAP/GENERALSERVICE to find the procedures on
how to upgrade the Tosoh Instruments. The Technical Bulletins listed in the table above are available on
the ISAP and are explaining the needs and contents of the upgrades.
 The ‘Latest Soft’ is the software version that was released during the current year, when visiting a
customer during a technical intervention or maintenance it‟s obvious to upgrade the instrument to that latest
version.
 Software updates are mandatory and is part of the yearly or half-yearly maintenances. Always check the
installed software during any technical intervention and upgrade to the latest version!
 Instruments still not upgraded to the ‘Goal End 20xx’ version as indicated in the table above need to
be upgrades to the latest version urgently and these upgrades should be performed with first
priority.
 All latest software versions can be downloaded from the ISAP.
o Tosoh does not guarantee that Instruments are delivered with the latest software; it‟s up to the Service
Engineer to upgrade the instrument during the installation with the latest available software available on the
ISAP.

3. Shipment Date, Installation Date, Contract Type & Service Contract:


 The Shipment date is the date when Tosoh has sent out new instruments and needs to be completed
whenever an instrument is added to the list. Instruments bought from third parties also need to be added to
the list together with the shipment date.
 The Installation date is important for the end of warranty visit and the warranty period calculation and will
be completed by Tosoh upon the receivable of a customer signed D12_ServiceReport. This report is
available on ISAP/SERVICEORGANIZATION/GENERALDOC/D12_ServiceReport.
 One column is foreseen with a drop down list to select the Contract Type.
 One column is foreseen to indicate if the customer has a service contract for this instrument: Service
Contract[Y/N]

4. Maintenance:

 Two columns are foreseen were the dates of ‘last maintenance’ and next „planned maintenance’ needs
to be reported. All maintenance procedures are available on the ISAP.

5. Instrument Status & Origin:

 As Tosoh is estimating the forecast of future reagent deliveries we need to know exactly which instruments
are active. An instrument is active when it‟s consuming reagents. Active [y/n] can be selected in the list.
 Three columns are foreseen were the distributor needs to report if the instrument is installed, still in the
Warehouse or Scrap. An instrument is „Scrap‟ when it no longer exists, sold to 3 party or when it is
confirmed that it will never be used again (demolished).
 The distributor is committed to report all Tosoh instruments he bought from 3 parties and from TSEN in his
territory and needs to add them to the list.
 Two columns are foreseen to report ‘Bought from 3 Party’ or ‘Sold to 3 Party’

6. Mandatory Updates:

 Tosoh will inform the distributor when mandatory updates needs to be performed. A Technical Bulletin will
be send out with the details and actions to perform
 Two columns are foreseen to report the „Update Date’ and „TB number’

7. Instructions on how to complete the Tosoh Installed Base document:

Perform the following after receiving the Tosoh Installed Base:

 Step 1: Verification Instrument Configurations and status:


o Add missing Instruments to the list that were recently received from TSEN or bought from third
parties. Colour the cells of new added instrument serial number in yellow. Do not delete
any instruments or rows from the list!
o In most cases TSEN will already add all new instruments to the list and will mark them in
yellow. Check the serial numbers to avoid adding the same instrument 2 times!
o Verify all other cells marked in yellow! It can indicate that the cell you entered last time is
not correct or incomplete.
o Report the „Contract Type’ and „Service Contract[Y/N]’ if any.
o Piano installations are considered as instruments and also need to be included in the
corresponding columns: Piano version (EVO3 or EVO4), serial number from licence key (3 digits),
installation date and software version
o Report the status of each instrument: Indicate with 'X' to select and color the cell in yellow
when you changed the status!
‘Installed': The instrument is physically installed at the customer site
'Scrap': The instrument does not exist any longer and can never be installed again: demolished,
sold. Add comments why this instrument is „Scrap‟. Scraps Instrument will be removed by TSEN.
'Warehouse': New instruments in warehouse, instruments in office for maintenance or
refurbishments, Instruments in office waiting for installation.
o Report the ‘Activity[y/n]‟: An instrument is active when it‟s consuming reagents.
It is indeed possible that an instrument is installed but not active.
o Report the 'Origin' of the instrument:
‘Bought from 3 Party’: If the instrument was bought or delivered by a third party
‘Sold to 3 Party’: Please indicate comments in comment field: Date, reason...
o Report the location of the Tosoh Instrument

 Step 2: Reporting the actual software version:


o Complete the column marked in RED with the software version that is actually installed also if this
version is the same version that was reported in the last software upgrade request!
o Report the software version in format: x.xx
o When the „goal 2010‟ or latest software is entered, the cells will turn GREEN.

 Step 3: Reporting the updates:


o Report the mandatory updates performed: ’Update Date’ and technical bulletin ‘TB’ number
(format Txxx)

 Step 4: Reporting the Maintenance Schedule:


o Fill in the column ‘Last Performed’ with the date when the last maintenance was performed for
this instrument.
o Fill in the column ‘Planned Maintenance’ with the date when the next maintenance is planned.

 Step 5: Reporting the information to Tosoh


o After complete verification resent the excel sheet back to distributor.support@tosoh.com before
the date as indicated in the table 1 above.

Remarks:
 The format of the list is protected and can not be changed only extra rows can be
added to add new instruments.
 Return the excel list by E-mail before the specified day (see table above)
 The goal is that ALL instruments need to be upgraded to the software version as listed in
table 2 above ‘Goal end 2010’
 Distributors not complying with the above instructions will be contacted personally

Software and system parameter update procedures per instrument:

Detailed procedures and explanations about software upgrades are also available in the service manuals,
training manuals or technical bulletins.

Remarks:
 Upgrading an instrument to a new version does not automatically install the new test file
parameters or sometimes system parameters!
 New test file parameters or sometimes system parameters need to be set manually
according to the released TB.
 Some new system parameters can only be set after a CLR function (for G7 and G8) or
Program reset as indicated in the TB. In this case a complete data backup or parameter
print out needs to be performed in order not to loose the instrument settings and/or
calibrations.
 Always double check the test file specifications in the instrument with the latest test file
overview in the ISAP before starting to calibrate this test:
AIA_Application/‟SelectInstrument‟/TestFiles
 If an instrument needs to be reinstalled, refurbished or facing software problems it is
recommended to perform a program erase and reinstall the complete new version with all
new system parameters and latest test files! Readjustment and recalibrating will be
required!
 Please check all technical bulletins for system parameter updates or modifications if you
are not sure if previous installed software was performed correctly! An overview is given
here below per instrument when upgrading the software from a specific version.
 To be sure if all former system parameters are set from previous versions by the SE you
need to check all system parameter updates since the introduction of the instrument
 The „TosohCatalogue‟ will enable you to search for all technical bulletins related to different
subjects: Test file Updates, Software updates, System parameter updates,…
 If software problems are suspected or if instruments causing unexplained problems
complete software reset might be very useful. Installing the latest software after a complete
reset will set all parameters at the default value and will add all latest system parameters.
In this case all calibrations will be lost.

A. AIA-360 short software upgrade procedure:

 The software upgrade is done by a Smart Media Card Max 32Mbyte. A special card
reader is needed to download the software from the ISAP to your PC: 940086
 Download the new software from the ISAP to the SM that was delivered with the
instrument or by a SM card that you ordered: 021139. Do not format the SM card on
your PC nor on the instrument, just copy all software files from the folder
AIA360/SOFTWARE/ version… from the ISAP to the SM card.
 Insert the SM card in the instrument slot at the right side with gold contacts facing to
the front.
 Start the instrument in the normal mode and perform a DATA BACKUP first: MAINTE
MENU/ DATA BACKUP all data will be saved on the SM as AIA360.dat.
 Now start the instrument with PAPER FEED to enter the software upgrade mode.
 A screen appears with 4 programs that can be downloaded: 1. Main, 2. Slave, 3. Touch
Panel, 4. Installation. The main program always needs to be uploaded.
 The other installed programs have a version number and are mentioned on the screen.
Check the actual version of these programs with the new versions mentioned in the TB
of the latest software release! Upload if necessary.
 After the software upgrade re-start the instrument in the normal mode.

AIA360 new system parameters or modifications to check after installing latest software 1.22:

Remarks:
 After setting new parameters, exit the screen to save new parameters,
then turn off and turn on the instrument again!
 The addition of test file parameter information mentioned in the TB‟s
should be done manually and are not updated automatically when
upgrading the software.
 Please note if one uses Test file initialize in Exam menu, all new test
specifications can be added when installing the new software but the
calibration information will be erased!

From soft 1.11: T042: parameter 57 was introduced: „Calib Void Period‟. (Please set on 60)

B. AIA-600II short software upgrade procedure:

 The software upgrade is done with a max 16Mbyte SM card. A card reader for your PC
can be ordered: 940086
 This instrument is not delivered with the SM card! If you don‟t have one you will need to
order one and use it to upgrade all your installed base of AIA-600II: 019400
 If the card contains old software, then just overwrite it with the new software from the
DVD, do not format the card!
 If the card is not delivered by Tosoh then it might be necessary to format the card first if
it‟s a complete new one:
 Start the instrument in Boot mode level 2: Start while pressing Assay Monitor &
Special menu.
 Perform SM format.
 Switch off instrument and card is now formatted and ready to load the software
from the DVD.
 Start the instrument in the test mode and make a printout of the machine conditions to
be on the save side if something should happen.
 Read TB of the latest released version for new features and remarks
 Insert the SM in the instrument at the right side panel slot with contacts facing to the
back.
 Start instrument in the Boot mode level 1: Start while pressing Assay Monitor to enter
the software upgrade mode.
 Press 1 to update
 Select Set Flash Card No [yes] and press enter.
 Wait until directory is listed and loading is processed
 After update, list disappears
 Press 2 to exit to boot menu.
 More information about software update can be found in the AIA-600II training guide.

AIA-600II new system parameters or modifications to check after installing latest software:

Remarks:
 After setting new parameters, exit the screen to save new parameters
then turn off and turn on the instrument again!
 The addition of test file parameter information mentioned in the TB‟s
should be done manually and are not updated automatically when
upgrading the new software.
 Please note if one uses 2: Memory initialize at 8: Support utility, test
specifications can be added when installing the new software but the
calibration information, and all other adjustments will be erased! This
option can be useful during instrument refurbishing to set everything at
default value.

Remarks:
 The system.prm version in software version 3.01 is different as the system.prm version
in software version 2.00 and lower. Therefore all system parameters will be automatically
initialized when downloading the new software in an instrument installed with version
2.00 and lower! This means all specific customer, engineer settings will be lost!
 Read T092 to be informed about the new features in this software!

Upgrade procedure to 3.01:


 Enter password MAINTE and print out all parameters in all the different modes the

N. TOSOHCATALOGUE AND NEW INTRODUCED PARTS
1. What is it?

 The Tosoh Catalogue is an access application database with advanced search functions and report
functions giving a total overview of all spare parts, consumables, accessories, reagents, technical
bulletins,… available with pictures. The search result can be printed out or exported in another format like
excel.
 Each search function will give a list with parts and also will give alternative parts that can be ordered if the
original is not available.
 In addition to the spare part database a technical document database has been introduced so from now
on you can view and look up technical bulletins by different categories.
Both spare parts and technical bulletin databases are linked so that specific information or technical
bulletins can be shown from a spare part.

2. What is new?

 A new version is available SP_Catalog_6.0 MDE on this ISAP


 Look up Part: a specific part number can be selected.
 Reports: now also reports without pictures can be printed out.
 Search For Parts in Diagrams: by Interconnection and Flow Diagram is ready for G8
and AIA360

This part will replace the part 006810 in our actual product portfolio and will be discontinued gradually on stock

AIA-2000 Spare parts:

1. 022193 10 l Tank kit


This is a instrument conversion kit in correspondence to the technical information AIA-2000 T049. This
conversion kit does allow the AIA-2000LA to be converted to 10L containers for Wash- and Diluent, in order to
increase the autonomy of the instrument. This is only feasible with the condition that the instrument can be
connected to a central draining system. Together with this kit, the Wash- and Diluent stoppers with level
sensors need to be exchanged for the 10 L tanks.
NOTE:
Before implementing this kit, do read the instructions carefully.
The retrofit of an instrument with this kit should be considered to be done in about 4 to 6 hours.

2. 022194 10 l washer electrode assembly


As described above, the stopper with level sensor need to be exchanged for the 10 l tank in correspondence to
the technical information T049

3. 022195 10 l diluent electrode assembly


As described above, the stopper with level sensor need to be exchanged for the 10 l tank in correspondence to
the technical information T049

4. 022191 Washing probe fixed kit


As introduced in the technical information AIA-2000 T051, an improvement has been made on the wash probe
holders. This kit does contain 4 pcs of probe base plates, in order to modify all wash probe holders on 1
instrument. There are in addition 4 pieces of Tygon tubing (1/32” x 3/32”, L=220mm) to route the dispense
tubing correctly.

5. 022192 Spring, B/F pipe guider
This part has been introduced in the same technical bulletin AIA-2000 T051 as the part mentioned above. This
item does contain 4 springs which should be mounted on the washer preheater output tubings in order to retain
the tubing straight. Like this, it can be avoided that the wash probe would “loose” a drop in the motion of the
washing mechanism.

6. 022332 OPT board for AIA-2000LA


The optional board for the LA connectivity has been introduced on the number 022331. This board is a revision
of the previous version in respect to the RoHS legislation.
The board itself is as thus downwards compatible with the board used on the AIA-1800LA.

7. 022335 Silent pulley


As mentioned in Technical information AIA-2000 T031, the noise produced by the actual pulley, rubbing the
drive belt of the incubator, can be reduced. In the instruction set of the technical information, it has been clearly
described how to exchange the pulley with the improved type. Read the technical information carefully before
applying.

8. 022336 Enlarged shelf for power strip


In order to use the European type of power strip inside the AIA-2000, an enlarged table tap installation space
extension kit has been introduced in Technical information T032. The improved shelf has been set already by
default on instruments as from serial number 91 for AIA-2000 Standard instruments and as from serial number
31 for AIA-2000 LA instruments.

9. 022338 Drain port B/F station


In technical information AIA-2000 T039, an improved drain port for the B/F station has been introduced. This
drain port has been enhanced in order to reduce the crystallization of wash solution around the drain ports of
the wash probes.
The improved drain port has been installed on the instruments as from serial number 86 (AIA-2000 Std) and 36
(AIA-2000 LA).

10. 022340 BCR bracket Set


As introduced in the technical information AIA-2000 T052, an improvement has been made on the specimen
barcode reader bracket in order to get aligned in a more accurate way in correspondence to the used type of
tubes by the customer.

11. 022341 Safety cover


As a countermeasure against foreign objects to interfere the proper barcode reading, a protective shielding
plate has been introduced in the same technical information AIA-2000 T052.

12. 022342 BCR Adjustment cable


In order to perform the alignment of the barcode reader in the utmost accurate way, Tosoh has introduced a
“BCR adjustment cable” to bring the RS-232 signal of the barcode reader to an external communication port.
Like this, by means of the Keyence supplied support program, the barcode reader can be triggered to read in
the most accurate way. The Keyence support program has been published on the SLXLibrary underneath the
folder “Technical Service/Common/Tools/auto_id_navigator_ver420_en.zip”. This tool can be freely installed
and distributed.

13. 023070 Cup tray plate set


As introduced in Technical information AIA-2000 T054, an improvement has been made on the sorter base
plates. This improvement has been put in place in order to reduce the collision risks on the cup transfer arm in
the sorter. Due to the speed and weight of the sorter transfer arm, a collision of the arm against a reagent tray
can have a very severe impact on the cups and transfer arm. Therefore, the cup tray plates should be replaced.
The article number does consist of one set of plates (5pcs) for one instrument.

14. 023071 Cup tray adjustment tool


In order to complete the exchange of the above mentioned cup tray plate, Tosoh has introduced an adjustment
tool to align the base plate after replacement. These tools are only meant for this update. See also instructions
in the technical information T054.

15. 910309 Earthing cable for LA to tracking line
A 10 mm² green/yellow connection cable with a length of 30 cm has been introduced to connect the AIA-2000
LA (or AIA-1800 LA) instrument to the chassis of the tracking line. The use of this equipotential lead is
mandatory in order to avoid problems on the level sensing based on electrostatic discharges. This cable should
be ordered upon installing an instrument to the tracking line. (KORUS, Evoline or others…)

16. 910310 Maintenance kit AIA-2000


In collaboration with our expert team, supply chain and instrument services, we are proud to introduce
the availability of the AIA-2000 Maintenance kits. The maintenance kit is available and can be ordered
directly from the main warehouse.
The AIA-2000 maintenance guideline has been published on ISONET in the FESM documents folder.

AIA-1800 Spare parts:

1. 022199 Dispensing syringe pump for drift prevention


In technical information AIA-1800 T123, an improvement has been introduced by using the AIA-2000 type of
sampling syringe with the improved pressure board. As a new pressure board has been introduced on the AIA-
2000 T058, this item has been put on hold up to the release of the improved pressure board for the AIA-1800
instrument. Most likely, this dispensing syringe pump will need to be ordered to install the new pressure board.
Please do not order until further notification!

2. 910299 Sampling unit for AIA-1800


The sampling unit for the AIA-1800 has been introduced as assembly. This will allow the exchange of the entire
sampling head in one piece.

3. 910302 Analyzer black plexiglass cover


The analyzer black plexi cover above the wash station has been introduced as spare part. In case a plexi cover
is damaged by the operator, the cover should be exchanged.

4. 910303 Sorter plexiglass smoke window


The sorter plexi cover has been introduced as spare part in order to replace damaged covers during
reconditioning. This cover should also be replaced in the field upon damage reports.

5. 910308 Diluent port for AIA-1800


The diluents port of the AIA-1800 has been introduced as spare part. It has been reported that the diluents port
connecting tube can get loose and result in an overflow below the diluents dispensing position. If such leaks are
detected, do replace the diluents port assembly.

6. 910313 Push ratch for AIA-1800 sorter door


The door latches for the AIA-1800 sorter and analyzer doors have been introduced as spare part. If door locks
are not working properly or being damaged in their daily use, the latches should be replaced.

7. 910314 Open/close solenoid for AIA-1800 sorter


The open/close solenoid latch has been introduced as spare part.

AIA-600II Spare parts:

1. 021597 Cap of diluents/washer


As a number of customer did complain about the breaking off from the diluents and wash container stoppers, an
improvement has been introduced in technical information AIA-600-2-T121.
The improvement consists out of a spacer that is added to the collar of the bottle. Like this the force of the
stopper is reduce to the top of the cap. This does prevent the stopper to crack at the top part.

2. 022185 Cup chuck block for AIA-600II


In technical information AIA-600II T116, an improvement has been introduced on the cup transfer waste
position. The improvement does consists out of a cup guiding block with 2 extended walls in order to retain the

cup transfer mechanism of “kicking” the cup off. With this improved chuck block, the cup will be released
without any force on top of the cup. Like this the cup will only follow the law of gravity. This will reduce the
content of the cup to be spilled in the guiding block.

2. 023072 Tubing guard for AIA-600II


As introduced in technical information AIA-600-2-T125, a tubing guard has been added to the tubing from the
sampling syringe unit in order to avoid obstructions to the cup transfer mechanism. Although the classification
has been set to “voluntary but should be applied when fixing the part in question”, it is recommendable to install
this tubing guard on all instruments.

3. 023088 Clamp filter for AIA-600II


The ferrite clamp filter, which is located on the sampling head flat cable near the sampling head driver board,
has been introduced as spare part. The importance of the clamp filter is to avoid any phantom spikes to
interfere the level sensing and clot detection of the sampling mechanism. If the clamp filter is damaged or no
longer available, please do replace the part in question.

4. 910305 Front belt wheel for sampling arm slide


The front wheel on the sampling arm for the Y axis transfer has been introduced as spare part.

5. 910306 Pulley support plate for sampling arm slide


Together with the above mentioned front belt wheel, a pulley support plate has been introduced as well. If the
support plate would get damaged in the field, the part in question can be replaced.

6. 910307 Wash syringe for AIA-600II


The wash syringe block of the AIA-600II has been introduced as spare part. As a result of the use of bleach, the
white syringe block might get affected by the use of it. As the polymer of the syringe becomes irritated, the
slightest forces could result in a fracture of the syringe, resulting in potential leaks.

7. 910312 Pump unit with syringe/valve for AIA-600II


The syringe unit at the left hand side inside the AIA-600II instrument has been introduced as a complete
assembly. Caused by liquid leaks, some assemblies get quite severally corroded, resulting in erratic
movements of the syringe units. If this happens, do replace the assembly.

AIA-360 Spare parts:

1. 910311 Sample/wash/substrate syringe motor


The stepper motor of the syringe assemblies has been introduced as spare part. This will allow a component
exchange of the syringe assembly and as such reduce the cost of repair.
