 A business letter normally begins with the letterhead, which is the name and address
of the person 
  writing the letter, or the sender. 
  Below the letterhead, the date of the letter is written, with the month first, the day of
the month and the year last. Next is the name and address of the person who will 
  receive the letter, or the receiver. A salutation comes next, which is where the
sender writes "
  Dear" next to the receiver's name or “To whom it may concern” if they do not know
the receiver’s name. The body of the letter follows, in which the sender can make a 
  request or inquiry or give information. At the end of the body, there is a 
  closing statement and sometimes a reference to future contact. Last comes the
closing, such as "
  Sincerely," with the signature of the sender directly underneath. It should also be
noted that letters can end with the letters “enc.” at the bottom of the page, which
stands for “enclosure”. This lets the reader know that there are other things in the

As you know, we are trying to make our meetings more productive. One of the criticisms we
received from staff feedback was that the position of 
 chairperson was never 
 rotated. Therefore, we’ve decided that everyone in the team should take on this role at
least once.
I know this will be a new experience for many of you, but I 
 encourage you to take advantage of this opportunity. To help you out, we are organizing a
speaker who is very experienced at chairing meetings to guide you through the correct stages.
He will 
 cover declaring the meeting open, introducing each participant and stating the 
 main objectives. And he will take you all the way through to 
 wrapping up, recapping, and suggesting and agreeing on a time and 
 place for the next meeting.
He will also give you lots of helpful phrases. This will include what to do when people speak
for too long and you need to 
 give control to a new speaker, when people don’t stay on topic, or if you need to 
 cool things down.
We’re currently looking at early next month for this training 
 session. Please let me know in advance if you know you will be out of the office.
