INTRODUCTION

This document outlines the steps to integrate Onboarding checklists in Global Human Resources with
HireRight, a third-party service provider that provides I-9 verification for employment eligibility (US
specific).

You use the I-9 verification task type to screen workers either during onboarding or as part of the
employment verification process that needs to be done at regular intervals.

Note: This feature is available from Release 19D (Release 19.10).

STEPS TO INTEGRATE WITH HIRERIGHT


1. Register and obtain a license from HireRight. Note that this is a one-time activity.

a. Note down the account code from the HireRight.

2. In Fusion Applications, configure integration details obtained from HireRight using the Checklist Integrations setup task.

a. In the Setup and Maintenance work area, go to the following task: Checklist Integrations.

b. On the Configure Checklist Integration page, click Add.

c. Use the details obtained from the HireRight web site to enter the values:

Integration Type HireRight
Integration Code User defined name for this integration. This is referred during I-9 Task setup.
Account Code Company account code (provided by HireRight)
Web Service URL Retain default value, do not update
Administrator User Reference A valid user account in HireRight with administrator privileges to initiate the I-9 process,
generate the employee web link, and check status.
Web Service User Name Retain default value, do not update
Web Service Password Retain default value, do not update
Integration Account Retain default value, do not update
Employee Email Type Update default value if required
Employee Address Type Update default value if required
Enable integration and send information to Enabled
external service provider

d. Click Validate to confirm that integration details are verified

3. Create checklist tasks and associate the I-9 Verification task action type.

Ensure that you consider these points:

 Tasks are all in the same onboarding phase.


 Performers of section 2 tasks have a user account defined in HireRight.

a. In the Setup and Maintenance work area, go to the following:

 Offering: Workforce Deployment


 Functional Area: Workforce Information
 Task: Checklist Templates

b. On the Create Checklist Templates page, enter details in the General tab.

c. Click Save and then click the Tasks tab.

d. Click Add and enter details for three tasks as detailed here:

END USER EXPERIENCE

1. When the new hire accesses the task to complete the I-9 verification, they see the following screen.

2. By clicking Go to Task, they are taken to the HireRight site where they can update/verify their details. (Certain data such as
Person Name, Address, etc. is pre-populated from Fusion Applications to HireRight when the task is allocated).

3. Once details are entered/verified on HireRight by new hire as part of Section 1 and completed on the HireRight site, the new hire
will need to navigate back to Fusion Applications task page and mark this task as Complete.

4. Once the new hire marks the task complete, the 2nd task will be unlocked and allocated to the HR Representative (as this task
has been configured as a task dependent on the 1 st task).

5. The HR Representative will verify the details provided by the new hire as part of the checklist task for Section 2 of the I-9 form.
Once completed on the HireRight site, the HR Representative will need to navigate back to Fusion Applications task page and
mark this task as Complete.

Note: At any point in the process, the Line Manager or HR Representative can view the I-9 status of the new hire by accessing
the I-9 Verification Status process task.

6. When the I-9 Verification Status task is marked as Complete, the appropriate I-9 status is updated in the Fusion Applications
Work Relationship section.
