EXECUTIVE SUMMARY
This document is the Dissemination and Exploitation plan of the E-ORTHOproject. Its purpose is
to present the approach of dissemination, advertisement and exploitation strategy of the
project results.

It introduces into dissemination activities that have already been achieved and into those that
are planned to be carried out by the E-ORTHO project partners. It provides the all steps needed
to be taken during and after the project to achieve maximum effect of the dissemination
process and reach the relevant target audience.

This document presents the initial version of Dissemination and Exploitation plan. The strategy
and plan of dissemination and exploitation will be continually monitored, updated and reported
during the project. In a sense it is a living document that will develop through the project and it
will change in accordance with the needs of the dissemination process.

Document is structured as follows:


 Section 2 provides the most important facts about the E-ORTHO project, its vision and
objectives.
 Section 3 describes the objectives of the dissemination strategy.
 Section 4 describes the dissemination and communication strategy.

1. KEY DEFINITIONS

Dissemination: a planned process of providing information to potentially interested parties on


the quality, relevance and effectiveness of the results of projects and initiatives.
Exploitation: a process of making use of and deriving benefit from a result. It embodies the act
of employing results to the greatest possible advantage and needs appropriate mechanisms to
make results more attractive for use to the target group; tailor the results to the needs of
specific target groups, sectors or organisations; transfer results that could be used by new
target groups or sectors; sustain results and keep them in use and existence; influence and
change mainstream practice and policy. It primarily involves the two processes of
'mainstreaming' and 'multiplication'.
'Mainstreaming' is the planned process of transferring the successful results of programmes
and initiatives to to a wider context: appropriate decision-makers and policy-makers,
stakeholders and "end-users" outside the original project environment (in local, regional,
national or European systems) to adopt, for example, tools or practices developed by the
project
Multiplication is the planned process of convincing individual endusers to adopt and/or apply
the results of programmes and initiatives. Again, this can happen at both project and
programme level.
Ex-Ante Dissemination and Exploitation involves planning, dissemination and exploitation of
results from the beginning of a project. It is based on an ex–ante needs analysis of target group
towards which the project is addressed and involves interaction between the stakeholders and
promoters (or coordinators) during the project. This process ensures more impact and
sustainability of a project
Ex-Post Dissemination and Exploitation is connected with the linear model of innovation*. It
involves dissemination and exploitation after the project has finished, when the results have
been developed and are ready to be used. In general late dissemination and exploitation of
results reduces the chances for the project to have real impact. One of the forms of ex–post
dissemination and exploitation is the transfer of innovation.
* In the linear model the dissemination and exploitation of results follow a more chorological
pattern and takes place only at the end of a project or even after it has been completed.
Sustainability. Just because a project is completed does not mean its results disappear. It is
important to keep them visible and available, especially through websites, so that target
audiences can access them, learn from them, adapt them to their own needs and even build on
them and take them to the next level. And of course both transfer and commercialisation aid
sustainability.
Follow-up activities take place in general when the project is finished in administrative terms.
Their aim is to keep results alive and sustainable. The activities could imply
• updating the results after the project has been completed
• recognising/certifying the result
• involvement of policy – makers taking up results
• transfer and exploitation of results by other sectors/target groups/environments
• commercialisation of a project results

Commercialisation is especially appropriate to tangible products and is suitable for the end
users. Project managers will need an entrepreneurial streak to persuade manufacturers,
publishers or other commercial concerns to take up the product. But beware! There can be
complications for results that involve complex intellectual property rights or where a lack of
clarity in product ownership exists.
Transfer enhances good practice by spreading results. The transfer can take place at all levels
and the results can be used into new contexts or other organisations can customise the results
to suit their conditions. Thus, for example, a project that takes place in a university context in
one country could yield results that would benefit a rural community in another.
Target groups are entities and/or individuals that can potentially benefit from the project
results.
Final beneficiary (end beneficiary). A final beneficiary is an individual or an organisation
directly positively influenced by the project outcome. Not necessarily receiving a financial grant
and even not directly involved in the project, the beneficiary may exploit project outcomes for
its own purposes.

2.2 Project key points


In general, the progress programs are based on existing professional directional lines on the
concrete area. However, there is only limited guidance in the management of complex trauma,
the data regarding its management are conflicting and the existing materials are only on
national level. Even if complex trauma is a main priority in all EU countries, in present the
training for physicians in different countries is quite diverse both in curricula and topics and
acces to training materials is limited to the learning group.

In this context e-TRAUMA project aimes to support the testing and implementation of
innovative practices in the field of orthopaedic vocational education ,leading to the delivery of
key competences, enhancement of practical and transversal skills of the medical professionals
to decrease morbidity and mortality due to complex skeletal trauma. Innovation will focus on
the use of open educational resources and better exploitation of the ICT potential, but also on
setting up new forms of practical training schemes and study of real life cases in orthopaedics
(virtual workplaces).

The consortium was designed to reflect the specific necessities required to implement the main
ideas and objectives of e-TRAUMA and includes 5 partners from 4 countries (Romania, Turkey,
Greece, Germany). In this way the project is following up on the experiences from different
national initiatives, but extending the orthopaedic training and focusing on a broader progress
program based on a comprehensive multi-disciplinary, multi-sectoral and coordinated efforts
for management of complex trauma.

3. OBJECTIVES OF THE DISSEMINATION STRATEGY

The main purpose of the dissemination strategy is to disseminate the generated knowledge to
the largest extent as possible, develop exploitation strategies and activities to ensure a
sustainable deployment of results. This includes the following objectives of the dissemination
strategy:

 Set up the information dissemination mechanisms and strategies,


 Create a community composed by the project partners and interested stakeholders,
 Perform targeted communication activities for different stakeholders,
 Carry out dissemination activities to raise awareness and interest in project activities
and achieved results,
 Contribute the relevant project results to the corresponding bodies,
 Conduct liaison with other EU, regional and national projects to maximise the impact,
 Investigate the routes by which the partners can secure a successful downstream
exploitation of the results,
 Develop an eLearning Plan.

4 COMMUNICATION AND DISSEMINATION STRATEGY
Dissemination activities aim to establish critical mass and commitment from different
stakeholders. Results from project activities will be disseminated to the widest possible
community through various channels and instruments. External participation and knowledge
sharing will be encouraged through networking activities and events aimed at increasing the
impact potential and enriching the scientific and industry contribution to the project.
E-ORTHO dissemination strategy is divided into internal and external communication and
dissemination. Both are presented below.
Internal communication and dissemination allows members of the E-ORTHO consortium to be
involved in every project activity and sharing their knowledge and experience. Internal
communication will be conducted via tele-conferences, e-mail messages and periodic physical
meetings. Share documents will be stored on a login section of the website, ensuring all
partners access and safety all the time.
Internal dissemination will be reached by development of links from the project website to the
partners’ web pages, informal meetings inside the partnership, participation in multiplier
events. The target group is formed by members of the organisations and institutions interested
in the project development and results and/or promotion of the eLearning.
External dissemination is considered the most important activity in this respect, because the
intention with the project is to establish a professional dialogue leading to eLearning
opportunities based on hands-on as well as research best practice examples and illustrations. In
this perspective, the project has the main target groups as showed in next section.
The goals of external dissemination strategy are:
 Prepare strategy and plan of dissemination activities,
 Create a corporative image of the project,
 Establish, update and maintain the project website,
 Use social networking tools,
 Prepare articles, publications, press releases and brochures/flyers,
 Prepare video release,
 Participate in events.

We used a basic tool for planning project dissemination.

professionals/institutions to be reached.

5. COMMUNICATION TARGETED AUDIENCES
For a productive and effective dissemination and exploitation of the project outcomes, it is
essential that target groups are identified at an early stage of the project.Also, in order for a
project’s results to be exploited, target groups need to understand exactly how these
results meet their needs and how they can be transferred to their situation. The diffusion of
the results to all levels is especially important because the lessons learnt can have an
influence on policy-making and thus reverberate through future programmes and systems.
Therefore, the exploitation process needs to make provision for reaching key policy-makers,
for focusing on the adaptation, sustainability, transferability and commercialisation of
results, as well as their potential accreditation.

5.1. Identification of targeted audiences

e-ORTHO’s dissemination activities will ensure wide reaching impact and use of project
deliverables among two categories of the targeted audience:
 Primary communication targets: these are stakeholders of our high interest.
 Secondary communication targets: these are stakeholders of our less interest but still
very important for the project.

We have prioritized the primary communication targets (direct target group), which are
organisations and individuals with whom we want to have a dialogue on the content of our
work and demonstration activities.
In this way the direct target group – includes orthopaedic organisations, institutions and
individuals that be direct users of the project results and will be involved in learning activities,
evaluation of outcomes and dissemination.
In terms of individuals: residents and specialists in orthopaedics, with a special emphasis on
young medical staff, and with an importance on senior medical doctors and specialists in
transferring their experience.
In terms of organisations and institutions: Hospitals, private health institutions, vocational
training providers, universities, other providers of medical education, public and private
professional associations.
These are the main actors in development of new and innovative projects and vocational
training programmes; orthopaedic specialists will benefit directly from the new training
pathways (first users) while institutions, vocational training centres and universities could be the
vehicle to spread the learning material and obtain a multiplier effect as well as contributing new
practical procedures.

Secondary communication targets (indirect target group) are individuals and organisations with
whom we plan to have a less intensive dialogue about outcomes and user experiences include:
 Sector or geographical organisations of end users
 Wider research community in areas related to our project activities,
 Bodies involved in vocational training

 Policy makers at European or national level.

In this way the Indirect target groups includes organisations, institutions and individuals that
indirectly are related to the direct target groups of the project. These persons will function as
key stakeholders and will be involved in dissemination activities, evaluation of outcomes, in
reaching the target group. The indirect target group is represented by:
- Staff in the medical educational system in participant countries, including individuals with local
responsibility for educational programs at all levels of the continuum (deans and their staff,
department chairs, ressponsibles for resident training programmes in orthopedy) from
organisations with whom project partners are networking. These individuals have high
credibility as well as detailed knowledge of their own organizations and can be future
beneficiaries of the e-learning materials in terms of trainees. HEIs administrators of practice
are critical to ensure that proposed changes are accordingly to requirements at the work place
- Institutional officials at clinical orthopedic departments, as directly interested in CME of their
employees. They also may provide financial and other resources.
- Organisations that set standards in medical field, accreditors, certifying and licensing bodies.
Romanian College of Physicians and other similar organisation in partner countries), Ministry of
Health and Education in participant countries are important in that they set expectations at the
level of the medical education system.
- National , professional medical societies and related associations in the field of orthopedics as
they serve as forums to bring individuals together and bring the voice of the profession and the
medical education community to external groups.
- Research communities in areas of the project, system developers as interested in the
development of OEDRand inclusion into medical education.
For all participation will also highlight the potential value of e-TRAUMA project as well as help to
spread the news to other interested parties throughout Europe.
The Europe Commission and Executive Agencies, National Agencies in participant countries and
the networks and projects funded by different actions of the Erasmus+ which will be targets of
our dissemination, too. I.e. via EPALE.

Estimated no. of persons involved as Indirect Target Group- min 400

Long-term beneficiaries are certain interest groups that will benefit from the project outcomes
on a long-term basis, i.e. families and their organisations. The dissemination plan indicates
scanning activities to identify broader target groups with potential interest in the results, so,
they will be targeted by the project’s dissemination as potential users after the finalization of
the project. Other actors in this project field are, most notably, the Europe Commission and
Executive Agencies, National Agencies in participant countries and the networks and projects
funded by different actions of the Erasmus+ which will be targets of our dissemination, too. I.e.
via EPALE.

Local participants in multiplier events include persons that will be invited to participate to these
events, as potential interested in the project outcomes and future beneficiaries These include
HEI s staff, educational program leaderships, students, managers in orthopaedic institutions,
professionals, associations representing the different professions and students, professional
societies and associations in the field from each participating country. Apart from the
beneficiaries mentioned before,decision makers will be invited .

Estimated no. of persons 200 (4 events x 50 participants);

Patients and their families will form a specific group beneficiaries that will be targeted by the
project activities . Individualised orthopaedic approaches is one of the major innovations of this
project , leading to increasment of the level of care, decreasing the health time and costs.

5.2. Methodology in accesing and involving the target group

This reffers to identification of potential users; identifying similar EU projects and networks;
E-ORTHOpartners identified concrete organizations and individuals in their countries belonging
to both the primary and the secondary target groups. Also other activities took place:
- identification of relevant professional bodies and organisations; local, regional and
national decision makers e-learning in Vocational Education in Health Care, EU and Health Care
Committees
- identification of networks of professionals institutions and groups, internet material
banks, EU websites related with the field
On the basis of this research, a database will be elaborated containing the contacts of the
relevant organizations and individuals provided by each parner (min. 50/partner). Furthermore,
partner started to co-operate with professionals to create networks;
The identification of key stakeholders will allow partners to transfer project results more easily
and carry out more focused exploitation activities. This will also increase the probability that the
project results are applied by the target group beyond the project and will be done in
connection with the dissemination activities.
As the category of Stakeholders. leaded to several discussions, we consider that the best
approach is in defining the term. The most comprehensive definition for stakeholders is *a
person, group, or organization that has direct or indirect stake in an organization because it can
affect or be affected by the organization's actions, objectives, and policies. Key stakeholders in a
business organization include creditors, customers, directors, employees, government (and its
agencies), owners (shareholders), suppliers, unions, and the community from which the
business draws its resources. Rachel Thompson statest that "Stakeholder management is critical
to the success of the project. By engaging the right people in the right way in your project, you
can make a big difference to its success... and to your career."
So, the partnership appreciated that the importance of stakeholder management to support
the project in achieving its strategic objectives is crucial. In order to attain this we must first
identify and assess the key people, groups of people, or institutions that may significantly

influence the success of our project, interpreting and influencing both the external and
internal environments and involve them from an early stage of the project,so their views can
be considered in the development of outcomes.
The benefits of using a stakeholder-based approach are that:
• we can use the opinions of the most powerful stakeholders to shape our project at an
early stage. Not only does this make it more likely that they will support us, but their input can
also improve the quality of our project
• by communicating with stakeholders early and frequently, we can ensure that they fully
understand what we are doing and understand the benefits of our project – this means they can
support us actively when necessary and help for a future continuation of the project.
For this reason we will draw a list of all potential stakeholders and periodically review the list
aiming to acces tha key stakeholders and to identify the specific interests these have in our
project, considering issues like: the project's benefit(s) to the stakeholder; the changes that the
project might require the stakeholder to make.

5.3. Communication with stakeholders.

We think we will be most effective in reaching the general public through collaboration with
organisations, channels and content providers that are already established and effective in
reaching this wide and fragmented audience. We believe this approach can maximise the
impact we have on this audience at a moderate investment.

5.4. Involving the stakeholders

5.4.1. Assesing the training needs of the target group

This action aimes to define and evaluate the needs of the target group and to orientate project
activities to effectively answer these needs, taking into considerations the different educational
contexts of European partner countries.
Motivation in selecting the structure of the target group was based on the fact that medical
doctors (residents and specialists in orthopaedic medicine represent the first beneficiary of the
training courses developed by E-ORTHO partnership. A deep overview of their training needs,
learning career expectations, restrictions related to digital divide, lack of time and job
commitments, is essential in this first project phase in order to better tailor the training offer
and cope with target group needs.

Institutional officials at clinical sites in orthopaedic as directly interested in the competence
development of their employees will be interviewed as future beneficiaries of the e-learning
materials in terms of trainees, on order to detect their training expectations and an update
overview of the basic Medical training offer. A deep picture of the actual first training medical
offer will allow the partnership to cope with the future medical professionals training needs,
avoid redundant existing modules and focus on precise future career prospective. Training
courses will be developed according to field work and documentary research thus they will be
effective and innovative for the next years and will allow tailoring a valuable lasting training
offer.

Staff in the educational system, including persons with local responsibility for educational
programmes and will be beneficiaries of the e-learning materials in terms of trainers, so their
opinion is crucial. More, an overview of their skills in ICT is of most importance in developing the
materials.

Evaluation of products effectiveness and impact (expectations and customer satisfaction
questionnaire for the target group) and evaluation of project usability and transferability by
questionaires adresses to end users, stakeholders and open public must will take place.

A.4. As beneficiaries of intensive and continous dissemination by newsletters, distribution of


paper based materials, presentations in events, personal interviews, social media, publications,
advertising on project web site, advertising on other relatedWEB sites, joining similar networks
and EU forums.

6. PLANNING ON DISSEMINATION TOOLS
The first thing to do is to send out the message: We exist, this is who we are, this is where
we are and this is our mission! When spreading this basic information expectations for the

The project logo is one of the most important elements of the project's identity. Its main
purpose is to directly and effectively represent the core message of the project. That is why it is
one of the basic means of the dissemination strategy. This logo captures the vision, mission and
objectives of the E-ORTHOproject, and therefore the project logo has already been designed in
the first month of the project.

The Website is one of the most effective sources of dissemination. It enables communication
with the public as well as communication among the consortium partners. Also it will act as
the central marketing instrument, information, downloads and assuring access to LMS. It
offers a gateway for information on our project and a communication, management and
dissemination tool. Another role is in evaluation of feedback from users and open public by
on line questionaires

The project website will act as a dissemination hub, central repository and news broadcast
channel for all public information.
It will contain documents and dissemination material produced as a part of the E-ORTHO
project, such as press releases, newsletters and leaflets, conferences presentations, news and
publications related to the project, etc.

The website will be continually updated throughout the project so that it will constantly present
update source of information for the interested stakeholders.

The website construction is in progress and shall be accessible by Mid-February 2019.

In setting up the project website basic principles of website usability and online reading
behaviour were taken into account (Cf. Jakob Nielsen, www.useit.com):
- Internet users seek immediate gratification and do not spend much time looking for
relevant information:

- The value of the website should become clear at a first glance
- Internet users do not normally read whole pages, but scan for information: provide texts
and materials which are concise and easy to scan; longer texts should be broken into several

6.2. DELIVERABLES

Public E-ORTHO project deliverables will be published on the project website and available for
download. In this way all interested stakeholders will be informed about the achieved project
results.
Partners are responsible to notify the project coordinator and dissemination WP leader to
publish the deliverables on the website.

NEWSLETTERS and LEFLETS

To inform a wide range of audience of the E-ORTHOproject will enhance its visibility, different
dissemination materials will be prepared. Dissemination materials will contain E-ORTHOlogo
and Erasmus+ logo, brief description of the project, and list of the partners.
Dissemination materials will be published on the website and will be available for download.
They will be also distributed at the events attended by the partners to increase the visibility of
the project and extend our network and contacts.
Durring the project lifetime we will develop 5 newsletters and 5 leaflets in direct relation with
project milestones.

PUBLICATIONS

Scientific journals: Journal articles are a broad based dissemination tool. The consortium
partners will cement the impact of dissemination activities by preparing and publishing reports
and scientific articles in open access journals. Articles will introduce the project achievements as
case studies, professional technics, method in official and professional publications related to
the specific target groups This will ensure the long lasting impact beyond project duration,
particularly in relation to academic discourse in the area.

Durring the project lifetime we will develop min 2 articles/partner in direct relation with
project milestones.

PROJECT PRESENTATION AT EXTERNAL EVENTS

The partners will participate at external events relevant to the project in order to:
 present the project and project results to the audience,
 promote the project,
 increase the project visibility and
 establish new contacts.

Consortium partners who will have a presence at international, national or regional events will
where appropriate represent the project. A list with potential events for the educational field
(including e-learning and LLL) and orthopedic field will be elaborated from the second month of
the project and peranently updated.

MULTIPLIER EVENTS

These events aim to increase the interest of direct and indirect target group about our project.
During the project lifetime we have 4 multiplier events:
- E1 for the dissemination of O1; organised by P1 in Romania; 06-2019
- E2 for the dissemination of O1and O2; organised by P5in Gemany; 11-2019
- E3 for the dissemination of O1, O2 and O3; organised by P2 in Turkey; 05-2020
- E4: for the dissemination of all outputs; organised by P1 in Romania; 10.2020
EVENT PREPARATION. Each partner will collaborate to prepare presentations and dissemination
materials to be used and distributed during the event. The materials will be available in english
and national language. An agenda and invitation for the event will be created and distributed
among partnership, potential participants and media representatives.
The hosting partner will be ressponsible with preparation of the following materials:
- Agenda, invitation and list of participants for the event
- Agenda and list of participants for the workshop
- Questionaires for evaluation of the event and workshop
- Press releases and other media approaches.
Also it will take care of sending invitations, location and needed facilities, receiving
participants. A multimedia clip of the conference will be posted on the project web site and on
Youtube and Twitter. At the end of the event participants will fill in questionaires regarding
their satisfaction. and further interest.

POWER Point BASIC PRESENTATION

The basic project presentation has been made, and all partners can use it for dissemination
purposes. It is available on the website. This presentation will be constantly updated. All
partners can additionally upload it with their contents.

VIDEO RELEASE

To provide an audio - visual support to the whole project achievements and objectives, the
video – record will be released in the main stages of the project and at the end of the project
life cycle. The video films will be uploaded on the project website and on social media. This is
the new but powerful medium for dissemination of the project results in particular in reaching
specific targeted audience.

However, it shall be mentioned that orthopaedic involves individuals, and the project must and
will respect the privacy of individuals. Therefore informations and images/videos of ptients will
be available only with restricted acces for medical professionals. The public videos will contain
only general informations about the project and its outputs.

SOCIAL MEDIA AND BLOGS

The project will activate also social channels in order to promote the finding of the project and
foster the creation of a bi-directional collaborative community of interested stakeholder. Social
media are a very dynamic environment and one of the most popular and fastest ways to
promote the project and enhance its visibility; therefore we will create a Twitter account, blog
account, Facebook account and LinkedIn account.

Playing an active role in social media is a far more effective way of engaging in conversation
than merely posting something on the project website and hoping that one of our conversation
targets will find it - and respond on it. The good thing about using the social web is that it does
not require us to share only full formed ideas or complete pieces of research - we can share
work in progress and get feedback that will improve results.

PERSONAL COMMUNICATION

One of the primary, quickest and easiest means of being in contact with all partners in E-
ORTHOproject will be via:

Contacting relevant public bodies and key authorities was taken into consideration - National
College of Physicians that is officialy in charge with management of CME activities by conducting
the national continuing medical education program in accordance with the procedures provided
for in this Decision, directives and recommendations of the European Community (EC) and
mutual recognition of credits as established with European Union of Medical
Specialists/European Accreditation Council for Continuing Medical Education (UEMS/EACCME).

MEETINGS AND MEETING PLAN

A planned schedule of meetings during the overall project duration has been prepared in the
application and these TN meetings were confirmed at the first meeting in Bucharest. Output
specific meetings can be scheduled by request as Skype meetings. Important meetings will be
held face - to - face, especially SC meetings. The SC meetings will always be combined with the
TN working meetings to save costs and reduce overall effort for travel. Because of the same
reasons, several meetings will also be held as telephone conferences

REACH-THROUGH COMMUNICATIONS

With reach - through communications we mean the re - packaging of our content by others who
will integrate it into their communication activities with their target audiences - audiences that
are of secondary importance to us and difficult to reach directly. This is especially true for the
general public.

7. EXECUTION OF DISSEMINATION STRATEGY

7.1 PARTNERS CONTRIBUTION


As indicated here, the dissemination task is huge in this project and of such importance that it
shall not be allocated to just one partner. It is crucial that all partners involve themselves in this
process, and in this project each partner will undertake dissemination tasks – both concerning
materials and activities. The dissemination contact person of each country will be responsible to
translate materials to their language when needed.
All partners possess institutional networks that will be a strong tool in the dissemination.
P2 will lead the execution of the dissemination strategy. However, all consortium partners will
make a significant contribution to its full and effective implementation. P1 will play an especially
important role as the coordinator of consortium activities in aligning them to support P2’s
objectives.
All partners will take part and contribute to the dissemination activities by appointing a
dissemination contact person and a team behind. These partner dissemination teams will
elaborate the dissemination plan details.
During the project, all partners will disseminate same activities:
a. The project aim, its objectives and target groups – dissemination tools as mentioned
above. Additional will be press coverage, presentation at staff meetings,
presentations for different target groups (internal and external)
b. The project website - dissemination tools as mentioned above.
c. The European network EPALE and other sites – tools: posting detailed information on
the project website network; distributing links from the project site on Facebook
page, promoting the network by each partner (P1-P3) to at least three national
events, like conference/seminar –

d. Workshops – tools: post on the project website: Pictures, curricula, methods,
learning outcomes and certification, transmission links from the Facebook page,
appearance at least one media in the country where the workshop takes place,
copying the content to online access by the target group, other than those

e. Open source methodology for accessing network and the guidelines and eLearning
platform - dissemination tools as mentioned above + producing and distributing min.

f. multiplier events – promotion of the project website, posting links on Facebook. In
the host country: Min. three media advertisements, 10 posters, mailing invitations to
potential participants.
g. Final conference: The project results – Facebook page, project website, press
conference (1/partner P1-P3), PPTs presentations at meetings of four specific
organisations, PPTs presentations to adults with disabilities in 3 countries
h. All of these will be combined with webinars streamed at the project website and/or
Facebook page.
i. After the project completion:
i. The project results will be presented at Facebook page, project website, PPT
presentations at meetings of the partners, best practice examples in media
and communities in the three countries, promoting expansion of networking
of orthopaedic organisations
ii. Promote the project products: eLearning platform, guidelines, methodology,
videos, etc. - dissemination tools as mentioned above.

7.2. TIMETABLE

The timetable for all dissemination activities was mapped out from the beginning of the
project and will be updated during the project lifetime. Human and financial resources were
allocated and all partners involved.

All partners timed their dissemination activities at an early stage of project and will update
this timetable regularly. Large European conferences, for instance, which provide an
excellent forum for dissemination, issue their calls for papers several months before the
event, so for this reason the partnership identified the main conferrences from the kick off
meeting for the year 2019 and will poste a list on the project WEB site.

While at the early stages of the project dissemination activities ensure that the project is
addressing the needs and demands of the target group, further on the process will moove
on to potential users. This time perspective makes it clear that dissemination is not a
separate activity, instead there is a close link between all promotion activities and the
development of the project.

7.3. AKNOWLEDGEMENT OF EUROPEAN UNIONS'S FUNDING/ VISUAL IDENTY OF THE
PROJECT
All dissemination material needs to include the EU emblem and the following
acknowledgement:
»This project has received funding from the European Union's Erasmus+ programme.
When the EU emblem is displayed together with other logos, it must have appropriate
prominence.

8 . EXPLOITATION
The issue of the exploitation of results were high on the project agenda from the very
beginning. The exploitation plan was constantly revised and updated, and in its final stages will
define how the project products will be used by the partners after the end of funding. For this,
intellectual property rights (IPR) were discussed from the beggining of the project.

The main objectives of the exploitation activities are:


 To promote and raise awareness about the project contents, developments and results
 To successfully transfer the results to appropriate decision-makers to achieve their
sustainable promotion and support
 To convince individual end-users to adopt and/or apply the results, also after the project
and support by its partnership has ended.

This will be cared for establishing a detailed exploitation plan following tactical objectives
defined before and accordingly to measures described.

For more details please see Annex 4 and 5.

8.1. INTELLECTUAL PROPERTY RIGHTS

During the second transnational meeting the partnership will agree on an copyright agreement
that regulates the rights of each partner to use the educational products developed and applied
in the framework of the project. Each partner remains the copyright holder for his or her
contribution - this may be a text, a design or a concept of material or media of transmission.

All Parties shall have free use of all Foreground Intellectual Property to exploit the project
results by themselves, without commercialization. The training and online materials, or
derivatives of these products, can be used by all partners for training, dissemination, research or
consultancy at national and European level with the obligation to mention the project and
financing by the European Commission.

The Coordinator must be informed of any derivative. As soon as the project ends, if a partner
has the intention to use the collective products for commercial purposes, each copyright holder
has to be asked for permission of reproduction and/or license for its own contribution. In this
way, each Party can grant sublicenses, subject to prior approval by all Parties, which will not be
withheld without fair and reasonable cause. Each Party can make derivative works on the basis
of the Foreground Intellectual Property and can grant sub-licenses of the derivative work. When
partners have the intention of adapting and reusing parts of the collective material or translate
the material in any other language than their own they have to obtain their permission from the
individual copyright holders. If any of the partners has the intention to transfer his or her rights
for the collective product to a third party he or she must check back and ask for permission from

all copyright holders for their parts. In this case, the third party takes the role and obligations of
the partner.

8.2. SUSTAINABILITY

Just because a project is completed does not mean its results disappear. It is important to keep
them visible and available, especially through websites, so that target audiences can access
them, learn from them, adapt them to their own needs and even build on them and take them
to the next level. The patnership agreed that the project website will be maintained and fully
operational for 3 years after the end of the funding period (secured by the partners if
necessary). Through the website potential users can access the project results and ask for
support from the project partnership when using them. In the same way, the e-learning
platform will be maintained active for consulting all training materials. It should be noted that
open access is rooted in existing copyright law: Copyright owners permit users to freely access
their works and grant them additional rights that remove permission barriers.

8.3. FOLLOW UP ACTIVITIES - LIFE AFTER THE END OF THE PROJECT

One of the guiding principles in planning dissemination and exploitation of results is that the
end of the funding period should not be the end of dissemination activities. The project period
is often a phase of intensive work towards ambitious goals. It is wise to think of the time after
the project period while still in the first phase. If dissemination can continue after the end of
funding the project’s impact and sustainability can be increased.

We considered that 2 key activities can help us in achievment of this task:


- To successfully transfer the results to appropriate decision-makers to achieve their
sustainable promotion and support please see suistanability agreements)
- To convince individual end-users to adopt and/or apply the results, also after the project
and support by its partnership has ended. For this reason at the end of the project the home
page of the E-ORTHOweb site will contain the announcement;

9. REPORTING ON DISSEMINATION AND EXPLOITATION


Every partner needs to report each year the dissemination activities and exploitable
foreground and any IP protection measures such as patents or trademarks. For this purpose, the
reporting templates will be available on E-ORTHO webpage. These reporting forms need to be
maintained continuously to:
• show the impact of e-ORTHO project,
• ensure proper handling of the rules stated in the consortium agreement and
• feed the lists needed for the project reporting.
Also each partner will yearly complete a communication report based on an agreed template.
Based on partners reports P2 will elaborate a summative report.

10.MONITORING AND EVALUATING DISSEMINATION PROCESS

11. CONCLUSION
The Dissemination and exploitation plan is the key tool, which we will use for dissemination and
exploitation of the project and project results. This plan presents dissemination tools for
particular targeted audience and draft of the exploitation strategy. It is a living document, which
will be continually monitored, updated and reported during the project.
