Objective

Fusion Receivables incorporates key foundational elements that contribute to an overall enhanced user experience
and increased productivity. One of the goals of Fusion v1 is to focus on increasing user productivity by optimizing
the user interfaces and focusing on a business process oriented approach. Part of the strategy associated with these
goals relates to pushing the required tasks for a given role to the user instead of requiring the user to run reports
and/or search for the data that requires further processing to complete routine tasks. Understanding the Accounts
Receivables work area will be critical to achieving this goal. The entry page provides information and actions which
help the user accomplish work in the work area.

The purpose of this story board is to demonstrate how a Receivables Specialist uses the Fusion Accounts
Receivables Work Area to quickly perform daily and/or routine tasks. In addition, the user will navigate to review
the list of scored recommendations due to an inexact match on a transaction reference.

Important:

Please test the uploads in an instance you will NOT be demo’ing in as once you upload these Invoices and
Receipts to your instance to test, you will not be able to upload again because the receipt and transaction
numbers are designed to work with the AutoMatch Rule algorithm and you won’t be able to re-upload the
same transaction and receipt numbers again.

You can tell if someone has already done this demo in your instance by going to Accounts Receivable >
Unapplied Receipts Infotile and search for unapplied receipts with Recommendation column greater than
zero. If you find some that are greater than zero, you will not need to do the pre-demo steps.

The new Accounts receivable work area allows you to gain comprehensive control and visibility of your accounts
receivable department. Efficiently prioritize your work with at-a-glance reviews of your current receivables data,
conveniently summarized into four infotiles. The summary information on each information tile appears in the
corresponding detail table for your review. Take immediate action in the detail tables on pending items, or drill
down to individual UIs for more complex activities.

 Receipt Batches information tile provides summary information of all receipt batches requiring your
attention: Manual receipt batches, Lockbox batches, and Automatic Receipt batches with the status of Out
of Balance, Ready to Post, Pending Approval, or Pending Confirmation. The corresponding detail table lets
you sort columns, filter specific information, take immediate action on the batch, or drill down for more
details.

 Lockbox Exceptions information tile summarizes both the number of lockbox transmission errors and the
number of receipts pending creation in each transmission file. The receipt information blocked by lockbox
transmission errors will help you determine the level of criticality for clearing out exceptions. The detail
table displays transmission errors for prompt review and correction.

 Unapplied Receipts information tile provides a convenient graphical representation of your unapplied
receipt counts, categorized into three date-range buckets. In this way you can easily assess and manage
your open receipt volumes. The detail table also shows the count of application recommendations that were
automatically generated for the receipt. You can also reassign receipts to another Receivables specialist.

 Unapplied Credits infotile provides a convenient graphical representation of your unapplied credit counts,
categorized into three date-range buckets. This helps you to manage your open credit volumes.

Note: There are several features inherent on all tables in the work area

o By selecting Reorder Columns or Sort, the data can be presented to the user based upon specific needs

o By selecting the Export to Excel button, the rows can be exported to Excel

Pre-Demo Steps

Create Invoices (For Recommendations) and Unapplied Credits using Excel AutoInvoice upload

The AutoInvoice Excel spreadsheet (‘Transactions for Accounts Receivable Storyboard’) for this demo script is
included in the downloadable files. The transactions need to be uploaded before the receipts since this will load the
invoices needed for the receipt recommendations.

1) Open the spreadsheet

a. Change the xxx in column AM (Line Transactions Flexfield Segment 1) and BF (Sales Order Number)
to your initials or something unique. Note that once you upload this to your instance to test, you will not
be able to upload again as the transaction numbers are designed to work with the AutoMatch Rule
algorithm and you won’t be able to re-upload the same invoice numbers since the combination of the
Flexfield Segment 1 and Flexfield Segment 2 needs to be a unique combination.

2) Review dates

a. Credit Memos that should be “0-6” Days old are highlighted in Green. The Credit Memos will appear
in the “0-6” Days bucket of your Unapplied Credits Infotile

b. Credit Memos that should be “7-10” Days old are highlighted in Blue. The Credit Memos will appear
in the “7-10” Days bucket of your Unapplied Credits Infotile

c. Credit Memos that should be greater than 10 Days old are highlighted in Tan. The Credit Memos will
appear in the “>10” Days bucket of your Unapplied Credits Infotile

d. The Invoices in White will be dated so that your receipt date is not earlier than your invoice date.

3) Click on Instructions and CSV Generation tab > click on Generate CSV File button

4) Save the zip file to your PC somewhere where it will be easy to find. (I use the Desktop).

5) Close the Excel sheet without saving

6) Sign in as Tracey.Allen/pwd

7) Navigator > Tools > File Import and Export

8) Click the + icon in the Search Results region to import your zip file

9) Click the Save and Close button

10) Click Favorites > Submit and Monitor Process or Navigator > Tools > Scheduled Processes

11) Click Schedule New Process button

1. Open the spreadsheet called ‘Unapplied Receipts for Accounts Receivable Storyboard’ (also included in
the downloadable files).

2. Review dates:

Receipts that should be “0-6” Days old are highlighted in Green. These receipts will appear in the “0-6”
Days bucket of your Unapplied Receipts Infotile.

Receipts that should be “7-10” Days old are highlighted in Blue. These receipts will appear in the “7-10”
Days bucket of your Unapplied Receipts Infotile.

3. Sign in as Receivables Manager Tracey.Allen/Pwd

4. Click the Receivables icon on the springboard > Accounts Receivable Navigator > Receivables >
Accounts Receivable

The premise is that we will be creating receipts based upon recent EFT activity as shown on a bank web
site.

5. Click Tasks icon > Create Receipts in Spreadsheet

6. Click OK when Prompted to Open Spreadsheet CreateReceiptBatches.xslx

7. Click Yes when Prompted to Connect to Fusion Applications URL and sign in

This enables online web picker functionality, which means that list of value fields and search fields will be
enabled and will show real-time data from Fusion Receivables and you will be uploading to your instance.

Note that some of the fields default to today’s date and others are marked with an asterisk indicating they
are required.

8. Unprotect the worksheet


a. Review tab > Unprotect Sheet icon

9. Insert enough rows (should be 21) so you have 35 data rows.


a. Please insert in the middle of the data portion (not added to the end). The colored section should
go to at least row 53.

10. Then copy the data portion (A2 to Q36) of the Unapplied Receipts for Accounts Receivable
Storyboard spreadsheet where you modified the dates and paste into this spreadsheet (that you opened
from this instance) starting with E19.

11. Click the Create Receipt Batch tab > Upload icon > OK

12. Make sure the Status of all rows is ‘Row inserted successfully.’ Exit the Excel spreadsheet without saving
to return to the Accounts Receivable Work Area.

13. The unposted batch is added to the Receipt Batches information tile.

Note: Sometimes it doesn’t refresh right away. Easiest way is to change the dropdown list (above the
Receipt Batches tile) from All Business Units to US1 Business Unit.

14. Post your Unposted Receipt Batch

a. Select the Row with your Batch Number (created in pre-demo steps, Storyboard–xxx) in the
Receipt Batches detail table

b. Click the Post button

(Note that multiple rows can be selected using standard rows select features (<Shift> and/or
<Ctrl>)

15. Navigator > Tools > Scheduled Processes or Favorites > Submit and Monitor Processes

Wait until the Post Receipt Batch (API) process Status is Succeeded.

Demonstration Flow

1. Sign in as Receivables Specialist (Charles.Demong/Pwd)

2. Access the Accounts Receivable work area. Click the Receivables icon on the springboard > Accounts
Receivable Navigator > Receivables > Accounts Receivable

3. In the Accounts Receivables work area, if you have access to more than one BU, you may use the page
level Business Unit list of values to filter and review data for a specific business unit.

4. Review unapplied receipts and apply a receipt

a. Use the Unapplied Receipts information tile to review summarized receipt counts of your open
receipt volumes displayed in graphical representation and categorized into three date-range
buckets: 0-6 days old, 7-10 days old, and >10 days old. Click on a specific date range bar on the
graph (0-6), and the detail table filters the receipt data accordingly.

The detail table also shows the count of application recommendations that were automatically
generated for the receipt.

c. Drill down on a Receipt Number hyperlink (for one of the receipts created in the pre-demo step
upload that has a number > 0 in the Recommendations column) to navigate to the Edit Receipt
page.

d. Review the receipt and the recommendations in the Recommendations region.

The back story is that the invoice number that was referenced in their receipt was incorrect. This
invoice was credited and re-billed. They were mistakenly referencing the original invoice number
but we will apply the receipt to the correct invoice number and enter an Exception Reason =
Rebilled Invoice.

e. If not already expanded, Expand the top row and Expand the row with the highest reference
score. Note that the amount matches our receipt amount even though the Reference Number
entered does not. Based on our back story above, this is the correct Invoice to apply this receipt to.
Highlight the row with the Customer Name > Click on the Accept button.

Note:

o If the Reference Score had been 100, you would not have to manually Accept it.

o As the recommendation is accepted, the data is transferred to the Application tab in the
Receipt Details region.

o Any unapplied amount is tracked in the Receipt Information header region.

o AutoApply Exceptions (user extensible) can be entered for each application as needed. These
are used to track why the receipt was not automatically applied and/or a particular business
situation. The historical information for this customer appears in the contextual region on the
right. This can be used to assist subsequent receipt applications and/or drive setup changes
that lead to an increase in the AutoApply hit rate.

f. Select Rebilled invoice from the Exception Reason LOV in the Receipt Details region.

g. Click Page Level Save button

h. Click Page Level Actions > Account In Draft

5. View Accounting

i. Click Page Level Actions > View Accounting

j. Click on the View T-Accounts button

6. Click Done > Done > click page level Save and Close button.
