INTRODUCTION

Lessons learned is the learning gained from the process of performing the
project - 90’s Georgian Singers. It’s the documented information that reflects
both the positive and negative experiences of a project. It also can be used by
other project managers on similar future projects. In processes, such as
planning, problems analysis, team estimation and so on.
We want to make visible both, positive experiences– good ideas that improve
project efficiency or save money, and negative experiences– lessons learned
only after an undesirable outcome has already occurred.
At any point during the project life cycle, the project team and key
stakeholders may identify lessons. The lessons learned are compiled,
formalized, and stored through the project's duration. Upon project
completion a lessons learned session is conducted that focuses on identifying
project success and project failures, and includes recommendation to improve
future performance on projects.

LESSONS LEARNED APPROACH

Our approach was to gather lessons learned from both, realized and
unrealized risks in the project risk register as well as through interviews with
project team members and other stakeholder as necessary. We chose only
those participants count as “actively involved” who take part in shaping
the Lessons Learned and take on an active role. At the same time, we tried

experience, it reduces effectiveness of lessons learned forming process. 

Through gathering phase, we made it easier to use so-called logbook. This is


where our team could note down what happens on the project. This did not
have to be too detailed, but it should briefly report the situation.

The following chart lists the lessons learned for the 90’s Georgian Singers
project. These lessons are categorized by project knowledge area and
descriptions, impacts, and recommendations. As mentioned earlier, the
identification of lessons learned from each project is the primary
responsibility of each project manager.  Our purpose of the analysis is to
identify actions that can be taken within the organization to strengthen weak
areas of knowledge and implementation during each project. It is important
to note that not only failures or shortcomings are included but successes as
well.

LESSONS LEARNED KNOWLEDGE BASE / DATABASE

The lessons learned for the 90’s Georgian Singers Project will be contained in
the organizational lessons learned knowledge base maintained by the project
management office (PMO) and Beatswitch Software. Lessons learned
knowledge/databases contain large amounts of information. It includes
information on issues and risks as well as techniques that worked well, which
can be applied to future projects. This information will be cataloged under the
project’s year and the type of project and it will be valuable for any project
manager assigned to a concert/festival planning projects in the future.

LESSONS LEARNED APPLIED FROM PREVIOUS PROJECTS

The 90’s Georgian Singers Project utilized several lessons learned from past
projects:
1. We are organizers Tbilisi Open Air, so we have important experience in
this field. From previous experience, we know that in this type of
projects it is significant to choose suitable participants, which satisfies
customer demand.
2. From “Modern Dance” project we learned, that visual effect,
decorations and costumes are very important in this type of projects. So,
in 90’s Georgian Singers Project every details were taken into
consideration.

PROCESS IMPROVEMENT RECOMMENDATIONS

As indicated in the lessons learned chart above, the 90’s Georgian Singers
Project had problems about contract requirements. Contracts were not filled
fully, there were missed some important parts and because of this
consequences, project was requested from subcontractors to pay additional
fee, as mentioned above. Not only is this a lesson learned for similar future

projects; but the organization must ensure that PM must be fully engaged in
all contract processes and all important details must be written in contract
documents. This must be communicated to both PM and contract personnel.
