RECRUITMENT MODULE
INTRODUCTION
Recruitment and Selection Module of HRMIS will be used to ensure the
exact match up of the vacant position. This sub component consists of
different business processes which are discussed below:
Cost Center
Position Applicant
Advertisement
Correspondence
Org. Unit
Employee
ENTITIES
Cost Center
An expense center which is used to record to expenses of the positions
Organizational Units
Organizational unit is used to display the departments of the company
Positions
A position vacant / closed / filled for an organizational unit and paid out
from a specific cost center
Advertisements
Advertisements produced against one or more positions
Applicants
A person that applies against a position in an advertisement
Correspondence
Correspondence that takes place between a designated employee
representing an organizational unit and an applicant
Employee
A hired employee belonging to an a department with a company
RELATIONS
Position – Advertisements
An advertisement may be generated against one or more positions
(vacant)
Advertisement – Applicant
An applicant generally applies for a position against a published
advertisement
Applicant – Correspondence
A company communicates with the applicant through an advertisement
Correspondence – Employees
An employee generates correspondence for the applicants

EXPLANATION
Input
1. the system will take jobs / positions as an input for generating
vacancies or advertisements. These will be defined in organizational
management sub component
2. the system will provide the facility to maintain applicant’s data. These
data will be used for further processing
3. workload evaluation standards, will be used to do employment
planning for the organization. These standards will serve as an input
Processes / Techniques
1. The system shall provide the facility to create / maintain vacancies
(vacant positions) against the positions of the company maintained in
organization management component
2. The system shall provide the facility to maintain advertisements
against the vacancies having all the details
3. The system shall have the facility of maintaining of planned and
completed activities having dates and person responsible, for the
applicant
4. The system will provide the facility to auto generate the
correspondence (letters, emails etc, etc) according to planned
activities
5. The system shall provide the facility to maintain Applicant Master
Data (personal data, org. assignment, addresses etc, etc.)
6. The system shall provide the facility to match the profile of the
position (vacant position whose advertisement has been done)
maintained in “Career and succession Planning and organization
management components” and the applicants profile maintained in
“Recruitment” component and shall produce the report
7. The sub component must be integrated with other sub components
like organizational management, personnel administration, personnel
development
Output
1. One of the end result of the recruitment process would be that
applicant will be hired as an employee of the organization
2. It is also possible that the applicant may not be hired as an employee
of the company
3. The system shall have the facility to transfer master data of applicant
to the employee master data based on the condition / status that
applicant has been hired and an employee
