Agreement for Wedding Photography Coverage

First and foremost, thank you for choosing to consider Cloud Attic as the photographer for your wedding day.
We are very excited to work with you, and our primary goal is to capture all the beautiful moments of your big
day with the utmost professionalism from start to finish.

Upon reading this agreement between Cloud Attic and you, hereinafter mentioned on this agreement as “the
client” and following the completion of the required advance deposit to Cloud Attic, your booking will be
considered complete.

Overview

Cloud Attic is a non- intrusive wedding photography company, it is essential the client understands the
meaning of this as we are different from standard wedding photographers in Sri Lanka. Cloud Attic style is
modern and is targeted towards a clientele who is interested in a more western approach to wedding
photography.

the images will be less posed, simple and stylish. Although Cloud Attic may request simple poses to be done
during the portrait session, these will not be over the top and will never be anything the client is not willing to
do. Cloud Attic tries to keep the photography time to a minimum and focuses more on quality pictures without
making the client tired.

Cloud Attic aims to capture only natural pictures during the day. But ensures all the standard pictures will be
taken too (Décor, Family pictures, standard portraits, Rings etc.) Cloud Attic will steer clear from asking any
guest from the function to pose for pictures but will capture any images requested by guests.

Cloud Attic will not interfere in any of the day’s proceedings and manipulate it to create great pictures, Cloud
Attic aims to capture pictures as naturally as possible as they unfold, by that we believe we will capture real
emotion and moments.

The following will be a guideline and simple requests for the client to be aware of as we believe transparency
and understanding between the client and Cloud Attic is the key to a successful work journey together.

We have included all the client needs to know from the booking process to end delivery. Please read through
carefully.
1. BOOKING PROCEDURE

1.1 Price Guide

The Client will receive a price guide upon inquiring with us about our services. The price guide will be
allocated according to the year of your wedding and prices will differ with each year. The price mentioned
in each price guide will be final and they will not be changed under any circumstances.

1.2 Tentative Bookings

Cloud Attic will make a tentative booking for the date without any extra charge. This tentative booking will
only be held for a maximum of two weeks and Cloud Attic will remove it immediately thereafter, without
notice. If a separate inquiry is made for the same date within the said two-week period, we will first inform
The Client whose tentative booking was made initially, affording them the advantage of confirming this
date, despite the other party’s willingness to immediately confirm the date in question with Cloud Attic.

1.3 Advance Payment & Balance Payment

Cloud Attic requires a deposit of LKR 50,000 to be paid for confirmation of the booking. This needs to be made
via Bank Transfer to the Cloud Attic account mentioned on the booking details email. If an advance has not
been paid, Cloud Attic will not consider The Client’s booking to be confirmed. All Cloud Attic related payments
must be made to the following account and Cloud Attic will not be held responsible for transfers made to any
other account.

It is mandatory for proof of payment to be emailed to us after the payment. It is needed to be kept on record.
We will not be confirming any booking in which the receipt has not been issued to us. This can be a screenshot,
a picture or a scan of the receipt, in which the amount and the deposit account information needs to be clearly
visible.

Once an advance deposit is made it is considered that the client has read and understood this agreement.

1.4 Confirmation of the Booking

Along with the advance payment, you are required to provide the following information to Cloud Attic:

Bride and Grooms full names, Venue of the function, Time slot (morning/evening), two contact numbers, email
address & package selected.

After we receive this information along with the proof of deposit, Cloud Attic will send across a proforma
invoice with all the details and a receipt for the payment. The client is required to check all the information and
contact us immediately in case of errors on the invoice. We will then issue a fresh invoice with the corrected
information (if any).

The booking made by the client is then considered complete.

1.5 Advance Refunds

All Advances and payments made are non-refundable and non-transferrable.

The advance paid to Cloud Attic will be considered as a confirmation of the job; hence we will not be taking any
other work for the date the advance is paid for. Therefore, the advance is non-refundable or non-transferrable,
due to the cancellation occurring due to The Client’s personal reasons, issues man-made beyond our control or
natural disasters.

In an exceptional scenario where a lockdown or curfew is enforced during the time of the wedding, Cloud Attic
will take steps to carry forward the advance paid to the new date the wedding will be postponed to or kept as
Cloud Attic credit for later use. No cash refunds will be given under any circumstance.

If the function date is postponed on the client’s personal issues or wishes, a new advance must be paid to
secure a new date, and the old one will be considered a penalty for cancellation of the initial date.

1.6 Meetings

If the client wishes to see any albums or initiate a discussion with Cloud Attic, they may do so by making an
appointment. Cloud Attic meets on appointment basis only. Appointments can be made via phone or
WhatsApp on 07671765544.
2. PAYMENT STRUCTURE

2.1 Advance Payment

LKR 50,000 to confirm the booking.

2.2 Balance Payment

The ‘balance payment’ is the pending balance according to the package selected after deducting the advance
paid. This amount needs to be settled in full in no less than 1 month prior to the wedding date. Part payments
will not be accepted, and Cloud Attic reserves the right to not provide services during the wedding date, not to
release any images taken at the wedding or printed materials until the balance is finalized.

2.3 Payment for Extras

If any addons are required ex: Additional edited images, additional albums, additional frames apart from what
is included in the package, these must be paid for in full and receipts submitted before the editing process or
printing process begins. The costs for extras will be mentioned on the price guide given to you at the time of
booking.

2.4 Delivery Charges

The client is required to pick up any material from the Cloud Attic office. If a delivery needs to be arranged the
client will have to bear the delivery cost depending on where it needs to be delivered.

3. PRE-WEDDING CONSULTATION

The client must discuss the plan for the wedding day in detail with Cloud Attic. A meeting can be arranged one
month before the wedding to discuss the final plan. In an event a meeting may not be possible a phone call or
an online meeting is preferred. The online or phone call method is also preferred to save time for both parties.
4. THE WEDDING DAY

4.1 The Agenda

The agenda is the most important document which is required by Cloud Attic to ensure smooth sailing on the
function date. The timings on the agenda needs to be confirmed with Cloud Attic before being finalized.

4.2 Working on Time

The entire day’s schedule depends on the photographers’ and makeup artists’ time taken in the beginning of
the day. Cloud Attic recommends 2 hours of photography time for the portrait session to ensure there is no
rushing involved in having the images taken stress free. When Cloud Attic recommends the time, the photo
shoot needs to begin as mentioned on the agenda because it is absolutely imperative that the shoot begins at
that time. Cloud Attic will arrive 1 to 1.5 hours before the portrait session, in time to capture the ‘getting
ready’ photos of the bride and groom. Any delays may end up in less time for the photo shoot which may lead
to a reduction of photos which Cloud Attic will not be responsible for.

It is the duty of The Client and not Cloud Attic to make sure the makeup artist and the client starts and finishes
the ‘getting ready’ according to the schedule. This will be the key to the rest of the day’s events flowing
smoothly.

4.3 Client Cooperation & Understanding

Cloud Attic has a very friendly approach to capturing the best moments of The Client’s big day - we like to keep
things light with a mix of good humor and conversation. At the same time, it is our hope that The Client
respects and trusts Cloud Attic’s instructions, as we are an outfit comprised of professionals specializing in
wedding photography. Cloud Attic will not attempt to replicate any other photographers’ work as Cloud Attic
has its own unique style and workflow. Cloud Attic will be more than happy to receive reference images from
the client but will not be obligated to take those exact images.

If the portrait session is hampered by unfavorable weather situations & bad lighting situations, Cloud Attic will
attempt anything deemed possible to get the best images regardless of the situation. But it is important that
The Client adopts an open mind when viewing the images against what you may have initially imagined. Every
event and situation poses its unique set of challenges and pictures may look different from one event to the
other.

Cloud Attic reserves the right to have complete control over design and layout of any deliverables during the
function (thank you cards, signature boards etc.) There may be instances where same day deliverables may not
be possible due to printers being closed or public holidays etc. This will be communicated to The Client on the
day of the function.
4.4 House Rules

Cloud Attic are sometimes limited by rules imposed by registrars, ministers and venue management (I.e.
Restrictions on photography inside the hotel lobby, down the aisle or near the altar) Regarding such
restrictions, Cloud Attic will have no choice but to adhere to the rules and capture the images from the next
best possible angles. Cloud Attic will not go against rules in places of worship and hotel or reception halls
despite the requests of The Client. In such circumstances, The Client must accept the technical limitations that
maybe imposed on the equipment used as well. We advise The Clients to make themselves aware of the rules of
the venue concerned and if necessary, negotiate with the personnel concerned to arrive at a consensus.

4.5 Shooting in Bad Weather Conditions

In unfortunate scenarios where an outdoor ceremony or reception maybe hindered by rain, Cloud Attic will
make a decision to keep taking pictures or halt immediately. The equipment used by Cloud Attic will not be put
at any risk of damage even though The Client demands Cloud Attic keep shooting. It is Cloud Attic’s mission to
go above and beyond to fulfill our clients’ requirements, but at the same time, we must ensure that we are in
an environment that’s safe for both our employees and top-of-the-line equipment.

4.6 Guests

Cloud Attic must retain the priority to capture images at a wedding above any guest or family member. As we
are entrusted to provide a service which prioritizes you, The Client, Cloud Attic will require that freedom to
ensure the job is completed at the highest possible level. Paparazzi guests with cameras and mobile phones
may be kindly asked to step aside in such a scenario.

4.7 Videographer

Cloud Attic does not provide videography services. Cloud Attic suggests hiring a videographer of our
recommendation to ensure smooth cooperation during the wedding. In an event The Client hires a
videographer outside our recommended list, The Client agrees to inform them that Cloud Attic will have priority
over the Videographer, and they must shoot simultaneously with Cloud Attic and not use their own time cutting
into the photography time recommended by Cloud Attic.
4.8 Service Hours & Arrangements

Cloud Attic Packages consist of coverage hours. If the function may go on longer than expected or start earlier,
additional hours will be charged from the client. The full hour amount will be charged for every hour passed.
Additional hours amount will be mentioned in the price guide provided.

A table must be allocated separate from the band table for Cloud Attic. This table can be shared with the
videography crew if any, and the table must be inside the venue where a clear sight of the bride and groom is
possible. A meal is not mandatory but must be made aware in advance if it’s not provided and in such a case,
Cloud Attic will take a 45 min break from the wedding for dinner or lunch which will be considered as working
time.

4.9 Back to Back Weddings

The Cloud Attic team consists of seasoned individuals composed of 2 main photographers and 1 to 2 assistant
photographers depending on the number of guests. In the event of a back to back wedding, one of the main
photographers will leave the function early but only once the formalities are completed (entrance, cake cutting,
speeches, first dance etc) and the rest of the event will be handled by the other main photographer and
assistants.

5. Copyright Law

The copyright of photographs remains with the Photographer. The Clients may take copies of the images for
personal use by the Client and their friends and relatives.
6. Model Release

The Clients may grant the Photographer and its legal representatives consent to use the photographs for
promotional purposes on request by the Photographer. The images taken at the event will not be published on
any social media unless agreed to prior with the client.

any images from the function which may be used by any other vendors for their promotion must carry the
Cloud Attic logo and credit the photographer.

Cloud Attic will also not prioritize sending images to other vendors. Images will be released to any third party
only with the written consent from the client.

7. Limit of Liability

7.1 Illness or Injury

If a main photographer is too ill or becomes injured and cannot supply the wedding services specified above,
Cloud Attic will try to book a replacement wedding photographer. Under normal circumstances a second
photographer from Cloud Attic will be available to continue the job.

If both photographers are unavailable and a replacement photographer cannot be found, then liability is
limited to a refund of all payments received.

7.2 Theft, Loss or Damage

Cloud Attic has working methods in place to prevent loss or damage to your images. However, in an unlikely
possibility that images may be lost, stolen or destroyed for reasons in or beyond the control of Cloud Attic,
liability is limited to the return of fees paid for the service or part thereof according to the percentage of
images supplied. Clients are required to select and finalize albums within 6 months after the event date to
ensure the safety of their pictures after which Cloud Attic will release responsibility over the images.

Clients are free to supply the Photographer with an external hard drive device to copy all JPEG files of the
images taken at the event to ensure higher security.
8. Final Delivery Timeline & Penalties

8.1 Proofing images and a few selected previews will be given to The Client within 1-4 days of the function.

8.2 From the date the proofing images are received, there will be a time of Maximum 6 months for The Client
to send in their selected images. If the 6-month deadline is passed, there will be a 10% charge as penalty
according to the total cost of the package selected. This payment will be mandatory for Cloud Attic to deliver
any printed frames or albums. If the Client does not wish to pay, Cloud Attic will only provide the edited images
mentioned in the package. Cloud Attic guarantees all material will be finalized within 3 months from when the
selection is received, provided there is an immediate response from the client on emails sent.

This penalty system is to ensure The Client receives the final product as soon as possible and to safeguard Cloud
Attic from storage fees and fluctuating printing costs.

8.3 After the six-month deadline has passed Cloud Attic cannot be held responsible for any unlikely loss or
damage to images.

8.4 Any weddings not finalized within the time of one year from the function date will be cleared from our
systems after a notice is sent to The Client giving a grace period to take responsibility for the images where
they may copy all the raw files and take over the image storage responsibility.

8.5 Cloud Attic will have full control on album design and editing of images and it will be done according to the
style of photography Cloud Attic provides.

9. Cancellation policy

• Within 05 Months prior to the event 30% of balance payment + Advance payment.
• Within 02 Months prior to event 40% of balance payment + Advance payment.
• Within 07 Days prior to event 50% of balance payment + Advance payment.

In any situation or cause for cancellation, the booking fee is non-refundable. It will be considered as liquidated
damages to Cloud Attic. If the Client does not settle the payment according to the above-mentioned
cancellation policy, legal action may be taken by Cloud Attic.

Cloud Attic may reconsider cancellation penalties depending on the situation but is not obligated to.

By paying Cloud Attic an advance deposit for confirmation it is understood the contents of this contract were
read and agreed to.
