In a business or company meetings are held for various reasons in some instances they are

held for due to a crisis, how to make more profits and just after regular intervals to see the
progress of the company. It is important to keep records of meetings for reference on
previous decisions so methods of keeping records of meetings were introduced called
minutes. Minutes are official records of meetings of what was discussed and concluded.

This essay will look at two types of minutes, minutes of narration which can be called
narrative minutes and minutes of resolution or can be called resolution minutes.

This essay will define the types of minutes and how they can applied and the difference
between the two types of minutes adding the type of minute the essay prefers and to the
reasons why.

During the course of a meeting items or topics listed in the agenda are discussed serially one
by one. All participants express their views/opinions discuss amongst themselves the pros
cons of each of the agenda and finally come to conclusions and decisions, which are kept
official records which we call minutes of a meeting which are minutes of narration and
minutes of resolution.(, Al Switzler, Joseph Grenny, Ron Mcmillan(2002) Crucial
conversations).

Narrative minutes are a form of minutes collected during a business meeting that records the
discussions that take palace in detail. They can also serve as a legal document. The minutes
of writing also bends names to motions and provides a context and background information
to discussions that might not have appeared during the meeting.

Narrative minutes require a maximum narration of meetings, a more informative transcription

of a meeting. Narrative minutes get to the heart of the matter but preserve how decisions were
reached. The person who gives important contribution indicated, it must show the decision
making process, including the names of proposers and seconders and the exact wordings of
what is proposed: views for and against the proposition and the decision reached. It also
includes a summary of information passed on in the meeting.(Rigley T(1996)Times Business
English)

Resolution minutes only decisions are recorded, without mentioning how these decisions
were reached. No information on the contributors will be presented. These are usually used
for minutes of AG/Ms and other statuary meetings. (peter Hartley and Clive G. Bruckmann
2002 Business communication)

Narrative minutes and resolution minutes can differentiated from the other.

Narrative minutes are somewhat similar to a report and detailed records that look at the
matter at hand with a brief account of the discussion and the summary of information giving
insight of the conversations and there flow, outcomes of the given meeting and may be used
for future meetings.

On the other hand minutes of resolution no references are made decisions are within the
committee, are introduced by the word………… (It was resolved that). Sometimes members
of the meeting are not empowered to take decisions on the given matter. The can only
recommend there options to the higher authority who can take decisions, Recommendations
which need to be referred to an officer or others for approval are introduced by the words
…….It was resolved to recommend.( Vikram Bisen (2009) Business communication)

This essay prefers minutes of narration compared to minutes of resolution. Minutes of

narration are more detailed compared to the minutes of resolution, the minutes of narration
records all the discussions bends names to the motion and provides a context and background
information to discussions that might not have happened.

In minutes of resolution on the decisions are without mention how the decisions were reached
so hence no really giving a clear picture to what occurred in the previous meeting, minutes of
writing will give a step by step guide which will be clear for all to follow. No information of
the contributors will be mention in the minutes of narration. Hence the reasons of the essay
preference to minutes of narration as opposed to the minutes of resolution. ( Courtland l and
John V, T Thill (1986) Business Communication)

Thus bringing a conclusion to the essay which explains, defines and application. minutes of a
meeting and the types of minutes, minutes of narration and minutes of resolution. Pointing
out the differences between the two types of minutes and preferring minutes of nasrration
compared to minutes of resolution with reasons subjective view.
