Part 1 research question

1. A brochure illustrating products availnle:


a Layout
The brochure design aspects include not only the images, shapes and effects
but more importantly the layout of the document. It is been my observation
and you may agree that so many good projects are ruined or miss their mark
because of poor layouts. If you are producing a trifold brochure or threefold
brochure whatever you like to call it, then it is particularly important that you
have your document laid out effectively. With a brochure this is particularly
important because it has to be folded neatly and the text visible on all six
faces in the right order, with appropriate margins. Layout is a foundation of
document. Without a good foundation it is like building the house out of straw.
The first thing of the brochure illustrating products we are going to look at is
the foundation or document layout. When the document is laid out effectively
and locked the rest of the process is much easier to perform. In the illustration
below you will be able to see some of the foundation aspects of good
brochure design.

2. The department budget

Managing a budget can keep the finance organized and control the debt. It is
also help to plan the financial future. A spread sheet is a file made of rows
and columns that help sort data, arrange data easily, and calculate numerical
data. What makes a spreadsheet software program unique is its ability to
calculate values using mathematical formulas and the data in cells. A good
example of how a spreadsheet may be utilized is creating an overview of the
bank or financial balance of the companies or individuals. Spreadsheet is not
only has the value of calculation immediately appear, but also much more
dynamic with the data and can hide, show, and sort information to make
processing lots of information easier.

3. A 2000-word report
C word processing
A word processing is a computer program or device that provides for input,
editing, formatting and output of text, often with some additional. Word
processing is used to manipulate a text document, such as a resume or a
report. Some of the functions of word processing software include creating,
editing, saving and printing documents; correcting spelling and grammar;
copying, pasting, moving and deleting text within a document and so on those
are very useful and important for writing a report.

The datebase for a report is vital for somehow. The database queries and
contains useful data for decision-making and analysis. Most good business
applications contain a built-in-reporting tool, this is simply a front-end interface
that calls or runs back-end batabase queries that are formatted for easy
application usage. For example, a banking software application may contain
specifically defined reports on all customers with a large deposits or reports
on monthly loan summaries for all customers.

4. A letter to a customer
a Layout
A business letter is a formal document often sent from one company to
another or from a company to its clients, employees, and stakeholders.
Writing an effective, polished business letter can be an easy- to- follow task,
so long as you adhere to the established rules for layout and language. There
is no standard letter format for all companies. However, there is good to have
their own letter layout for their own company to show their professional
performance and consistency between the employees of the company.

c Word processing
The functions of word processing are include creating, editing, saving and
printing documents; correcting spelling and grammar; copying, pasting,
moving and deleting text within a document and so on. It is good to use to
check for the spelling and grammar before we send the letter out to the
customers.

5. Information on customers’ names and addresses to be kept


indefinitely, updated regularly and used for a variety of purposes.
D database
To collect and keep the customer information, we should have a professional
database system to storage the customer records. Collecting and storing
information about customers is essential to tailoring the customer service
program and growing the business. Any customer information that we collect
must comply with the privacy laws, whether we use this information or not.
The laws also cover how we can store and use the information. Last but not
least, make sure we have asked our customers if they would like to received
information or updates from us, and give them the options to opt-out. If you
spam customers without their consent they may react negatively to the
business.

6. Consider the examples shown below


a. JB Were Inventor:
It seems that the potential audience likely to be adult who are doing
business, financial or investors. This design has a very solid theme
throughout: beautiful photography, bold typography, appropriate line
lengths, a flawless responsive experience, and a proper user experience
that deals with a lot of written content.

b. Fun for Kids Festival


The potential audience should be kids, their parents and teacher who at
playing age or who are taking care of children. Therefore, the images
might not as beautiful as JB Were Inventor because they use a lot of color
with high saturation. The key is that all the faces in the photo must look
very happy in order to attract the other children to joint.

7. How might the way an organization operates change and how


might these changes affect the documentation standards used by
the organization?
In today’s business world, most of the organizations are facing a dynamic and
changing business environment. The major forces which make the changes
not only desirable but inevitable are technological, economic, political, social,
legal, international and labour market environment. It will also because of the
change of national or states policy, and some internal and external reasons.
When an organizational system is disturbed by some internal or external
force, change frequently occurs. Change, as a process, is simply modification
of the structure or process of a system.
Once the changes have been made and notice, the first thing to do is to back
up all the existing standard documents to avoid mission any information.
When a policy document has been consolidated into another policy document
or is no longer required, the existing policy document must be expired. The
approval authority, on the administrator’s advice, approves the expiration of
the policy document.

Part 2- Report
Correct ergonomic use of computer and keyboard
Introduction
Having appropriate furniture and equipment allows the individual to improve
the set up at their workstation, increase their comfort and reduce [potential
injury. It is strongly recommended that any new equipment or furniture be
trialled with users prior to purchase.

How we sit at the computer workstations


While there is not one correct to sit at a workstation, seating should support
postures that can be changed frequently within a comfortable range
throughout the day. It should accommodate the:
a. Work being done
b. Visual demands
c. Workers’ individual differences
Figure 1 below illustrates acceptable sitting position at the workstation. It
allows for well supported postures that can be changed within a comfortable
range throughout the day

why use an Ergonomic keyboard


a. To avoid excessive movement of the fingers, make use of light touches
b. Try as much as possible to avoid using two of finger of one of your hands
to combine two keys
c. Where possible, your wrist should be parallel to the desk with the middle
finger in line with your wrist and forearm
d. When reaching for keys that are on far ends of your keyboard, try not to
use your fingers and wrists, use the whole of the arms instead
e. Take time off your keyboard and rest your wrists at regular intervals

The importance of working comfortable
When working with a keyboard, or a mouse, or any other computer
accessories, there should be complete fit between you and these accessories,
this means that you should be completely comfortable when working and
should not be stressing/ straining any part of your body. Knowing the proper
way of typing while working will helps us take care of our body in a proper
manner without abusing and injuring it. Prolonged typing can put repeated
pressure on fingers, knuckles, wrists, hand and arms, shoulders and back.
And if this hoes unchecked, it could lead to an injury. The static posture of the
body while typing for hours together cab also lead to injury, the same thing
happens when we use awkward postures while working and typing.

A wrong sitting posture can result in pain in your back, arms, shoulders, and
hands. The ideal sitting position should be straight with a slight recline with
back on back support. This opens up the blood circulation. You should always
adjust the seat height so that your gaze should fall just below the upper edge
of the screen. If needed, use a stand to raise the monitor screen to this level.
Make sure you are comfortable while typing and can look straight without
looking up or down.

Keep your workstation clutter-free. Keeping things of immediate like document


holder etc nearby to avoid reaching for it. The desk should be clean and
sturdy for good efficiency. Avoid reaching out for the mouse by keeping it lose
by. And also keep the mouse it on a flat surface and make sure your wrists
are straight while working.

Last but not least, changing your posture at frequent intervals to minimize
fatigue, avoid awkward postures at the extremes of the joint ranges,
especially the wrists. Taking frequent short rest breaks rather than infrequent
longer ones. Avoid sharp increases in work rate. Changing should be gradual
enough to ensure that the workload does not result in excessive fatigue. After
prolonged absences from work the overall duration of period of keyboard work
should be increase gradually if conditions permit.
