Dear Charles James,

I am honored that you choose the Sunny resort lodge as the place to conduct your two-day
staff meeting. We here at the Sunny Resort Lodge value everyone’s business, and we look
forward to being able to work with you and hold all of your staffing meeting here in our
beautiful lodge for the foreseeable future.

We are proud of the beautiful lodge, there are a number of fixed and variable costs that go
with keeping the lodge up to client expectation such as cleaning, lighting, and air
conditioning.

In order to pay for these costs, we charge every client a total of $1,500 per day. So, in order
to keep good faith with other clients and keep up with the cost for the needs of the lodge, I
must decline your request to use the room free of charge.

We hope you understand and continue to have interest in our lodge for you to conduct your
staff meeting here. Please feel free to contact me with any questions you might have on the
cost.
