Control Resources:
 This process ensures that the;
 Planned and assigned physical resources are available.
 Monitoring them against the plan.
 And taking corrective actions when required.
 By doing this;
 Making sure that the right resources are available to the project at the right time and place.
 And released when no longer required.
 Physical resources include materials, equipment, infrastructure, and facilities. Maximum utilization of
resources to optimize the cost.
 Usage of resources is tracked along with their expenditures, shortages, surpluses, their use, and
release. Factors influencing their utilization and change management are also addressed.
 This is achieved using a variety of techniques like;
 Cost-benefit analysis, performance reviews, alternatives, trend analysis, problem-solving,
negotiation, and influencing.
Example:
 Considering the example of one of my organization’s ongoing project. All necessary
documentations have been completed before starting a project that can impact or influence
resources.
 Physical resources that are used in our project includes schedule 40 pipes, scaffoldings, Fire Alarm
and Fire Suppression equipment, cable for wiring of Fire Alarm equipment, etc.
 Resources are assigned by using physical resource assignments in order to know whether to
procure the material internally or from outside and also from the information available from previous
projects which are similar in nature.
 A detailed project schedule is created which provides clarity about when the prerequisite resources
are needed for different activities.
 Agreements are also created as some of the material which is not available from stock such as
customized Fire Alarm Panels and Fire Suppression System Containers filled with specified
suppressing agent, has to be procured OEM.
 Risk register is also created to cater any potential risks related to resource availability, supply, stock
availability or shortage, resource usage etc.
 Quantity and type of resources used on the project can be seen from work performance data.
 As the project involves customized Fire Alarm and Fire Suppression equipment that are to be
procured from the OEM, alternative analysis are used in order to avoid LD charges against late
delivery or on pro-rata basis.
 Status of project is checked up by making use of trend analysis, whether the project is on track or
is getting away from the track, and forecasting the needs of resources for the upcoming stages of
project.
 Due to some deviation in the utilization of resources cost benefit analysis also comes forward and
where corrective actions are required. For this purpose, cost of every possible alternatives and their
benefits are considered.
 Due to COVID-19, delay in delivery of consignment from OEM occurs and the work is being churned
out against the plan and the project manager raises change request and now have to address them
through change control process.
 At the end of the project, all the plans and project documents used as input can potentially be
updated based on changes made during project execution.
