Background

The purpose of this guide is to walk through configuring Office 365 including PowerBI with the Microsoft
Dynamics AX 2012 R3 demo virtual machines. This guide is broken down into several sections:

 How to integrate with Office 365.


 How to set up a PowerBI site to show Business Intelligence (BI) integration with Microsoft Dynamics AX
2012 R3.

It is recommended to use the Microsoft Dynamics Demos Sales tool site to integrate with the Microsoft
Dynamics AX 2012 R3 solution. The Microsoft Dynamics Demos tool is a complete deployment tool to deploy
Microsoft Dynamics CRM Online, Office 365, and Power BI. It is not required to use this tool to set up all these
services; however, this tool will expedite the setup process.

In order to remove the Microsoft Exchange and Lync Server VMs (VM B and C), you need to configure the email
accounts different for the users in the Microsoft Dynamics AX 2012 R3 demo virtual machines. Download the
Office 365 release files associated with this document.

Create trial accounts via Microsoft Dynamics Demos site
Use this site to create a new Microsoft Dynamics CRM Online, Office 365, and Power BI deployment
1. Browse to https://www.microsoftdynamicsdemos.com/.
2. Log on by using Microsoft or Live ID credentials.
3. Scroll down to Empty Demo.
4. Click Deploy Now.

5. Fill out the “Empty Demo” demo form.

6. Enter a valid phone number, and then click Send SMS to receive a SMS code. Enter the SMS code.

7. Read through the terms and conditions, and then click Deploy.
8. Read the registration window that pops up, and then click OK.

9. After 5-10 minutes an email will be delivered to the email address used to sign into the site going over
the connection information. In some cases this may take 1-2 days.

Add Power BI for Office 365 trial to an existing Office 365 account
1. Log on to https://portal.microsoftonline.com by using the Office 365 credentials sent in the email from
demo builder.

2. Click Go to the Office 365 admin center

3. Click purchase services

4. Locate Power BI for Office 365 Trial

5. Click Trial.

6. Click try now.

7. Click continue.

13. The Power BI services are added to the subscription.

Import Office 365 users


1. From the downloaded files open O365Employees.csv, O365PublicSector.csv, or O365RetailUsers.csv,
depending on the setup.
2. Open the .csv file to verify that it contains the users used in the expected demo domain.

3. Update the Email address and the User Name respectively in the files to the previously configured Office
365 subscription. This can be accomplished by using Find and Replace commands.

4. Log on to https://portal.microsoftonline.com by using the Office 365 credentials sent in the email from
Microsoft Dynamics Demo.
5. Click Go to the Office 365 Admin Center if not redirected automatically.
6. Click users and groups.

7. Select all users except for CRM System and Web Portal

8. Select Delete

9. Click Bulk Add.

10. Click Browse to upload the .csv file.

11. Click Next.


12. Verify that there are no errors.

11. Select Allowed and United States (or applicable country) from the drop-down box.

12. Click Next.
13. Select Microsoft Dynamics CRM Online Professional, Microsoft Office 365 Plan E3, and Microsoft
Power BI for Office 365.
14. In Microsoft Power Bi for Office 365, clear the check box for SharePoint Online (Plan 2).

15. Click Next.


16. In Send results in email, enter a valid email address.

17. Click Create.
18. Take note of the temporary passwords, these will also be sent in email

19. Click Close. Users will be required to change their password after their logging on for the first time.

Create SharePoint team site and Power BI site


Assign Power BI license to admin user account (CRM System)
1. Log on to https://portal.microsoftonline.com by using the Microsoft Dynamics Demo account.
Example: admin@crmaxint.onmicrosoft.com
2. Click Users.

3. Select CRM System.

4. Go to licenses.

5. Select Microsoft Power BI for Office 365.

6. Click Save.

Create SharePoint team site


1. From the drop-down box next to the Admin name, click SharePoint.

2. In site collections, click New > Private Site Collection.

3. In the Title field, type Team Site or any other name.

4. In Web Site Address field, type Team or any other site name.

5. From Select a template, click Team Site.

6. In Administrator field, type admin.

7. In the Storage Quota field, type 10240.

8. Click OK.
9. Copy the URL to the team site

10. Go to the Office 365 home page

11. Select Sites

12. Select Add a promoted site

13. In Title field enter Contoso Team Site


14. In Link Location field paste the team site URL

15. Click Save changes


16. Browse to the new team site.

18. Click Power BI to go to the Power BI site.

19. Select Use my own data

Create Power BI Data Connection Gateway


1. Select the gear next to the user name

2. Select Power BI Admin Center
3. Select gateways

4. In details page, Name field, enter a name you like. Example: ContosoGateway

5. Click Next

7. Under option 1 select Download

8. From the Microsoft Data Management Gateway page, select Download

9. Select DataManagementGateway_1.2.5303.1_en-us (64-bit).msi

10. Click Next

NOTE: If the installation fails follow the these steps to continue


1. Because AX2012R2A VM is a domain controller, the NT Service\ account needs access to log on as
a service
2. Go to Start menu
3. Search for Group Policy Management
4. Expand nodes to Default Domain Controllers Policy

5. Browse to Computer Configuration > Windows Settings > Security Settings > User Rights
Assignment

6. Select Log on as a service

7. Select Add User/Group

8. Enter NT Service\DIAHostService
9. Click OK

10. Click OK
11. Launch a command prompt
12. Enter gpupdate /force
17. Click Finish when completed
18. The Microsoft Data Management Gateway Configuration Manager will appear

19. From the New Gateway page copy the Gateway key

20. Paste the key into the configuration manager

Create Power BI Data Source
1. Go to c:\demofiles\BI\Power BI
2. Select Sales analysis.xlxs
3. Double click to Open
4. Select Enable Content if needed

5. Select Details tab

6. Right click Customer Address query under Workbook Queries

7. Select Edit
8. Select Edit Credentials (if this option is shown)

9. Select Windows

10. Select Save


11. Select Apply and Close

12. Go to Power Query tab

15. Select the Data Tab
16. Select Connections

23. Select the + to add a Power Query

24. Paste the connection string into the Connection string box

35. Repeat Steps 15-29 for Power Query - States ranked by per capita income - List of U S states by
income
36. To set the credentials for Power Query - States ranked by per capita income - List of U S states by
income use Anonymous authentication.
Upload and configure data refresh
1. Browse to https://portal.microsoftonline.com
2. Authenticate using Office 365 credentials
3. From the home page select Sites

4. From the sites list select Contoso Team Site


5. From the Site Navigation select Power BI

6. In the Documents section select add

7. Select Upload file

8. Select Browse

9. Browse to C:\DemoFiles\BI\Power BI

10. Select Sales Analysis.xlsx


11. Click Open
12. Click OK
13. Select the ellipse next to the document name

14. Select Schedule Data Refresh

15. From the Refresh schedule select On

16. Configure refresh schedule, Set time, select a time closest to current time

17. Click save settings

18. Select history to view the status of the sync


19. Repeat steps 1-18 for remaining Excel spreadsheets

Install Office 365 for Business


Install Office 365 for Business in order to add synonyms for the Power BI reports. Follow the steps here,
http://office.microsoft.com/en-us/office365-suite-help/install-office-on-your-pc-or-mac-with-office-365-for-
business-HA102822111.aspx. Click Advanced installation in order to install 64-bit version of Office 365.

Update Email address for Users in Microsoft Dynamics AX to use in conjunction with Office 365
Lync and Exchange
Prior to completing this step, it is highly recommended to back up the MicrosoftDynamicsAX database. Follow
these steps:
1. Open PowerShell and enter this command:
Backup-SqlDatabase -ServerInstance AX2012R2A -Database MicrosoftDynamicsAX -BackupAction
Database

Add SMTP services to AX2012R2A


1. Launch Server Manager.

2. Click Add roles and features.

3. On the Before you begin page, click Next.

4. In Select installation type, select Role-based or feature-based installation, and then click Next.

5. In Select destination server, click Next.


6. In Select server roles, click Next.
7. In Select features, scroll down to SMTP Server, and then click Next.

8. If needed click Add Features, and then click Next.

9. Click Install.
10. Go to the Start menu, and search for IIS 6.0 to launch the application.

11. Expand AX2012R2A.

12. Right-click SMTP Virtual Server #1, and then click Properties.

13. Click the Access tab.

14. Click Connection.


15. Click Add.
16. In IP address, type: 127.0.0.1

17. Click OK.
18. Click Relay.
19. Click Add.
20. In IP address, type: 127.0.0.1

21. Click OK.


22. Launch Microsoft Dynamics AX client.
23. Go to System Administration.
24. Go to System > E-mail parameters.

25. In the Outgoing mail server field, type localhost.

26. Click Close

Update the email addresses for the Microsoft Dynamics AX users to receive alert emails, instant
messages, and any other communication
1. Download the Office 365 user pack.
2. Extract to the virtual machine.
3. Open O365*.txt and O365*.csv.

4. Update the Email address and the User Name respectively in the files to the previously configured
Office 365 subscription. This can be accomplished by using Find and Replace commands.

5. From the O365 User pack, edit UpdateEmail.SQL.
6. Update the '<update location here>' area with the location of the scripts.

7. Also update the errorfile location '<update location here>\emailaddresseserror.txt' with the location
of the scripts.
8. Save the script.
9. Launch SQL Server Management Studio.

10. Connect to Database Engine.

13. Click File > Open > File.

14. Browse to the updateemail.sql script.

15. Select updateemail.sql, and then click Open. This will load the SQL script into the Query window
16. Click Execute.

17. The output should be similar to this.

18. Once competed, you can run a SQL command similar to this to verify the change:
select * from SYSUSERINFO
where email like '%@mbsdaxdemos3%' <-replace name with Office 365 instance
