ITRA’s registration and membership guideline

Thank you for your email and your interest for ITRA. You will find in this guideline
all the necessary information concerning the registration and terms of use of our website.

Race registration condition

Only the organiser, with the consent of the competent authorities of his country, can register his races in ITRA’s website.

In any case, each organizer registering his races on our website agrees to :

✓ Check that his race meet the criterias of the Trail Running definiton.
✓ Provide as much information as possible about the characteristics of the race:
Date & time of start, maximum time allowed, distance & elevation gain, number of aid stations, type of terrain, gpx file ...
These informations must be updated after any changes, even minimal.
✓ Upload the results of the race in a maximum delay of 1 month after the end of the event.
The results must comply with this specific formatting

In order to ensure the reliability of our database, any file that does not include the information requested as well as
the complete date of birth of the runner (day month year) will be refused.

✓ If your race have to be cancelled, please inform us of the situation by email.

Note concerning race’s evaluation

The evaluation of races and the allocation of ITRA points rely on the quality of the GPX file transmitted by the organizer.
The ITRA points awarded for the races are valid only if the course evaluated corresponds exactly to the one followed
by the runners, the day of the race.

In case of mistake with the original GPX file submitted, or because of a change of course at the last minute, it is the responsibility
of the organizers to propose an equivalent course in terms of distance and elevation gain / loss in order to guarantee
the same number of ITRA points awarded after the initial evaluation.

Note concerning the Performance Index

To calculate the performance index and assign a score to the runners, our system needs the most accurate information
possible.
The information related to the race: distance, elevation gain & loss and information in the result file (name, surname, sex, nationality,
date of birth) must be accurate.
In case of doubt or mistake in the datas, the Performance Index may not be calculated.

How to create your organiser account in ITRA’s website ?

To create races on our website, you must first create a personal account (runner account). Then, you’ll be able to create an organizer
account.
Log in with your personal account (or create one here), then go to:

1. Runner Space > My account > Information > Linkages

2. Click on « An organization » then select « New Organisation »
3. Fill the information and click on create
Note : You only need to click ONCE in the Create button.
How does registration and membership work ?

We provide organizers and runners with specific tools on their personal space. The opening of an account is free and
allows to benefit from many services. Taking a membership allows you to participate in community life, benefit from
exclusive services and support the development of trail running on a global scale.

Free account, without membership

A free account give you acces to the basic function of our website.

✓ Referencing of your events on our calendar and submit the results.

✓ Calculation of the Performance Index of your race (Only if the quality of the datas filled are accurate)

✓ Advice from our Security Guidelines

✓ Allow runners to rate your race thanks to the Quality Index. You’ll be able to consult the score obtained.

This option do not allow you to apply for ITRA points.

Account with only one race evaluation

All the advantages of a free account + race evaluation of 1 race for 100€.

✓ Ask for the evaluation of one race / obtain ITRA points (10 days to make the request since the date of
payment)

✓ Referencing of your events on our calendar and submit the results.

✓ Calculation of the Performance Index of your race (Only if the quality of the datas filled are accurate)

✓ Advice from our Security Guidelines

✓ Allow runners to rate your race thanks to the Quality Index. You’ll be able to consult the score obtained

Account with one year membership

A one year membership gives you access to all the functions* of ITRA’s website

✓ Referencing of your events on our calendar with all the features (photos, decription…)

✓ Highlighting of your races on our calendar

✓ Ask for the evaluation of all your races / obtain ITRA points

✓ Calculation of the Performance Index of your race (Only if the quality of the datas filled are accurate)

Specific access to the tools of Trace de Trail (Gpx edition / mapping…)

✓
Advice from our Security Guidelines

✓ Allow runners to rate your race thanks to the Quality Index. Access to all the detailed result concerning the
score obtained.

✓ *Set up an Health Policy / Programm QUARTZ (Additional fees, please contact us by email)

✓ *Set up a management tool of qualifying races in your registration (additional fees, please contact us by email
 What is the cost of the annual membership fees ?

The annual membership is calculated according to

your registration budget for all the trail races you
organize during the year.

Calculation detail :
(Number of runners) X (bib price) for every
races.

After doing this calculation, you get the

corresponding amount of your annual
membership.

We know that it can be difficult to estimate this

budget, in case of overpayment, we refund the
difference.
In case your payment was underestimated, you
will have to make an additional payment.

In this example, membership fees would be of 150€, since the registration budget is bewteen 20 000 / 30 000€

Where and How can I proceed to the payment ?

Payment can be done by Credit card or bank transfer.

• Credit card : once the payment done, the account is automatically updated
• Bank transfer : You’ll need to wait that we receive the payment and validate your account ( expect a
delay of ~7 days.)

In order to go to the payment page, you need to click on :

Organiser space > My account > Information > Membership

NB : An invoice and ITRA’s logo are available from the « Membership » space.
Warning !!! Once the payment page reached, you need to select the correct payment !

Once the payment validated, you will be able to create your race and ask for the evaluation.
