GUIDELINES FOR ONLINE SPECIAL EDUCATION

SESSIONS

In light of the ongoing situation in our country in its fight against


COVID19, TW Community Enablers has initiated holding online special
education sessions to help students and parents how to continue the child’s
education amidst the quarantine. Although face to face classes are still
preferrable, our situation has pushed us to discover creative ways to
continue in our passion to educate your children. The use of online
technology has been studied in recent researches and has shown promise
in ensuring that the teaching -learning process is facilitated.

Online special education sessions will only be offered and given to


existing students of TW Community Enablers, wherein all professionals
are licensed and registered.
It is to be noted that this is a temporary measure TW Community
Enablers, Inc. is inviting its stakeholders to participate in due to the
constricting circumstances we are presently in. Online special education
sessions will only be done during the period of the community
quarantine set by the government due to the Covid-19 threat, that is
from March 18 to April 30, 2020. If the government decides to lift the
community quarantine and orders businesses to resume, Online special
education sessions will no longer be provided. On the other hand, if the
government extends the community quarantine period, provision of
Online special education sessions may likewise be continued based on
the directive of the government.
The option for Online special education sessions is to ensure the
continuity of care during these extreme circumstances when students
and teachers are unable to physically attend sessions in the facility. The
therapist may use tele therapy to fulfil the evaluation process (eg - if the
parent-teacher / case conference is the only part missing, you may
engage the parents to participate in this activity).
Prior to engaging in Online Special Education Sessions, the following
conditions must be understood and agreed upon by both the parents/
clients and the therapist in charge:
A. For the teacher:
1. Find out if the parents of your students are willing to have their
child participate in Online special education sessions by calling
them. 


2. Ensure your internet connection is stable enough for a 40 minute


to 1 hour session. You may use apps that your clients are used to
or you may have them download the zoom app. It is free and for
1:1 calls, time is unlimited. However, if 3 people are on the call,
time is limited to 40 mins.

3. Have the parent or guardian sign the Online special education


sessions agreement form, complete with the fee schedule, and
send this to twce.setep@gmail.com with the following subject
heading: Online special education sessions agreement form_
student last name/first name_teacher’s last name.

4. Each teacher must have one for each of their students. The form
must be emailed to the parents for their signature. Once
accomplished, the parents will email it to the teacher-in-charge
who, in turn, will email it to the above mentioned email address.
The teacher should fill out the form and sign it prior to sending it to
the parent. If the parent is having difficulty downloading the form,
they may acknowledge through SMS with the name of the child,
teacher and agreement with the terms of Online Special Education
sessions. The teacher can just take a screenshot of the message
and be the one to email the image.

5. Please be guided by the high quality that the center and your
professional obligations expect from its teachers:
• Be prepared prior to starting a session. Assume the
disposition of a person who is actually going to conduct
Online Special Education sessions. Groom and dress
yourself accordingly. 


• Set an appointment convenient to you, the student and


person-in-charge at home; Appointment may be set on a
weekly schedule or more frequently, depending on the need
of the student. 


• Send notice of materials or equipment that may be


necessary. If there are worksheets, send this 1 day ahead of
time to give them time to print it out. 


• Choose a well lit area that is free of loud noises while


engaged in the session. Once you are online, you may
choose to wear earbuds. However, if you are to make them
listen to something on your laptop, they will not hear it while
the earbuds are connected.

• For coaching or guidance sessions wherein the teacher will


not be with the student for the whole duration of the session,
advice the person-in-charge to take 1-2 minute videos of the
implementation of the activity to be sent to the teacher after
the session. The teacher will then comment and give
suggestons for improvement of the implementation.


• When the session is done, email your notes to the parents


and the clinic, as well as keep it for your own records. The
following format should be followed when emailing to

• 1) subject heading: Notes date (yyyy/mm/


dd)_student’s last name/first name_teacher’s last

• 2) subject body: time started and time ended;

• 3) send a screen shot of start time, middle, end time 


• 4) Notes will be uploaded to folders in a google drive,


the format of which is still being determined. However,
parents must receive the notes (in PDF format) within
the same day as the session. 


6. Ensure that the child has a caregiver or 2 present. You do not


need to hold the session with the child, you may hold it with the
caregiver and she will apply it to the child. At times, you need 2
adults present, one to take in your instructions and the other to
engage the child; 


7. Fees will be the same as center based sessions.

8. Sessions are strictly confidential, and under no circumstances


should they be shared with anyone else. However, teacher may
record the session with the express consent of the parent. (Parent
must be recorded saying they agree to the recording.) for
teacher’s own feedback. 


9. Sessions may be in the form of

• direct intervention with the child if the child is able to sit still
and focus on the laptop or gadget; 

• parent coaching regarding the issues that are of immediate
concern (child is present with 1-2 caregivers)/ guidance via
suggestions on sent implementation videos


10. Consideration during active sessions:

• Plan together with the parent. Set your manageable goals. 



“This is where we left off. Is it something you’d like to tackle
now?” “Is ___ still struggling with this ____?”

“His last homework was this, how is he doing with it?” 


• Assess what they are doing by asking to watch how they’re


doing it 


• Recommend and watch them do it 


• Reflection and feedback 


• Homework 


• Set next schedule 


• Remember you don't have to know everything and you don’t


have to tackle everything. Prioritise and choose your battle. 


10. Share online resources in 1 page on google docs - build the page
and add a short description to each program
11. Encourage parents to visit and like TWCE Parents Group FB page
for videos and other online resources.


12. Should parents decide to terminate participation in Online special


education sessions, provide the appropriate discontinuation notes
citing reasons for discontinuing of service, number of sessions,
and goals achieved. 


13. Everyone must set up a gmail account to make full use of google
drives. A professional sounding email such as
dtpaguio@gmail.com is encouraged. 


B. For the parent / caregiver:


1. Once the parent has expressed desire to participate in Online
special education sessions, they must sign the agreement form
with the fee schedule. 


2. Parents may withdraw from sessions if they feel this is not


beneficial to their child; 


3. Download the zoom app for free on their computers or phones; 


4. Ensure their internet connection is stable by trying it out with


another participant; 


5. Set a schedule with the teacher. If you are unfamiliar with Zoom,
set a short 5 minute trial time with the teacher to practice ahead of
time; 

6. Ensure that there are 1-2 adults with the child, a person to engage
with the teacher, and another to engage the child. 


7. Sessions may or may not be direct to the patient, meaning


coaching may also be done by the teacher for your particular
situation and issues; 


8. Regarding payment:

• Payment may be made online to TWCE, Inc’s BPI account at


the end of each session, with the deposit slip being sent to
therapyworks2001@yahoo.com.ph with the subject heading:
Payment: last name/ child’s first name_date (example:
2020/03/23)_service (SETEP/tutorial)_teacher

• In the absence of the client having an online BPI account,


they may pay when sessions at the facility will resume. 


• Receipts will be given once sessions in the facility resume.
