that fund your organization's business products will also be your organization's key stakeholders.
Your organization's key external stakeholders are your organizations suppliers, consumers,
lenders, and shareholders. In your organization, employees and management will be stakeholders
because your organizational decisions come from management and employees run the day to day
job duties. The key stakeholders for your organization should be those who play a critical role in
day to day activities, operations and projects. These key stakeholders are an essential part of your

RECOMMENDATION ON DATA COLLECTION AND TIMEFRAME 2 Data Collection

Analysis and Recommendation

From my analysis and recommendation, the data that should be tracked are your monthly
sales growth, sales target, type of products sold and average purchase value. Looking at
your company’s monthly sales growth data will help your key stakeholders recognize
revenue trends that are happening. The sales target data will help your organization
compare how many products you are selling as well as profit over a certain amount of
time, this can also be a way of finding ways to improve your organization's sales
performance. By having a sales target, you will be able to review data from the past to
establish future goals. Data on the type of products sold will be able to help your
organization by establishing which products are there a demand for and which products
are not performing well. Through this data your organization will be able to remove or
replace bad products with better or different products to increase your organizational
profits and efficiency. The Average purchase value data will help your organization to
calculate the average value of each sale, and thus aids the sales team through placing
quantitative data on each possible opportunity . These types of data can also be tied into
your company's key performance indicators. Some key performance indicators that your
organization should consider are product performance. The product performance
indicator will help your organization find which products are selling better than others.
This key performance indicator is very important since your company relies on the
products that results in a good performance. Quantitative data will be important to your
organization. It will help your organization by using and incorporating mathematical
analytics and information to look at vital statistics about your organization. The
quantitative data that should be collected should be about numerical statistics of your
organization. This can be things such as net profit margin, gross profit margin, monthly
revenue, products sold etc.... It will be necessary for your organization to collect
quantitative data because it will keep track of each product in your company and it will
allow your organization to mathematically and statistically view the amount of products
sold as a whole and the amount of products sold individually. This is important to know
so you can change or remove the products that are not performing well. In your
organization the quantitative data that should be collected are statistics about sales
growth, quantitative data regarding number of products sold, and amount of profit
revenue generated from the sold products are some quantitative data that your
organization should collect. It is necessary to collect qualitative data because it gives your
organization vital information about consumer behavior, preferences and demographics.
Qualitative data are things that are non-numerical, but descriptive. Some qualitative data
that your company can collect are things in regard to promoting your organizational
brand and helping increase your customer satisfaction which will tremendously help out
your organization. It will also help customers return for more products which is part of
qualitative data.

RECOMMENDATION ON PROCESS FOR DATA COLLECTION AND ANALYSIS 3

Collection of Data
Analysis and Recommendation

The data that your company should collect, will be dependent upon the type of organization that
is in place and the goals and objectives that the organization wants to accomplish. Depending on
organizational goals and objectives, the data that should be collected should be changed
accordingly so that it may be accomplished. Data can be collected through surveys, observations,
focus groups and case studies. Observation is a simple and effective way of collecting data for
your organization. Surveys should be collected because it will be a good way of gathering
information through an extensive amount of data. Data should also be collected from focus
groups. Data from focus groups can provide quality information from a group of individuals.
Focus group data is beneficial when looking at social and complex matters. For your
organization the type of data that should be collected will be gross profit margin, types of
products sold and customer service. It will be important to collect gross profit margin data to
assess the company's organizational financial status. Collecting data for types of products sold is
vital for your company. By collecting this data, it will allow you to evaluate which products are
high in demand and which products are under performing. It will also allow your company to
look for trends in your products. Collecting customer service data is also important for the
success of your company. Collecting customer service data such as involvements regarding
issues and complaints can be utilized to improve upon customer relationships to heighten and
keep the lifetime value of those customers. The data that your organization will collect will need
to be stored properly. The data can be stored properly where your data will be safe and not be
compromised. It is also important that the data can be accessed easily and be readily available
when needed. The data can be stored on computer disks, flash drives, etc… Data can be stored
on Microsoft Office ( word, excel, PowerPoint)
KPQ’s are important when analyzing data and impact what questions that needs to be asked.
There are several questions that your organization needs to ask when doing data analysis.
Questions that need to be asked are “From what source does the data come from?” “What
specifically does your organization wants to find out?” “How can we guarantee the quality of the
data?” When considering your organization's KPQ’s, the questions that need to be asked are “
What is the gross profit margin for this month” “ What are the consumer rates?” “How is the
employee satisfaction?” and “What are the prices of our competitors?” These are the various
types of questions that needs to be asked when analyzing data, including KPQ’s. The gross
profit margin will be used to assess your organizational financial status. Your gross profit margin
can be calculated. Gross profit margin can be calculated by calculating your total revenue and
then subtracting the cost of producing your products. Employee satisfaction can be calculated
through ordinal data. For example, your company can have your customers complete and fill out
customer satisfaction surveys. This will help guide your organization to accommodate to what
the consumer wants and likes which will encourage the push for certain or new products. Key
performance questions need to be specific to your organizational goals, objectives and needs.
Key performance questions can be answered by having a defined strategy. When developing key
performance questions and key performance indicators it is necessary that your organization
incorporates your stakeholders to improve upon KPQ and KPI'S. By incorporating stakeholders,
it will allow the organization to assess which questions would be most relevant to the
organization that is related to the stated goals and objectives. When considering organizational
KPQs it is important that it addresses future and present goals and objectives of the organization.
This would help your organization evaluate the data and will make certain the data that your
organization collects assists in informing data driven decision making in your organization.
The 5 step business process would apply to your organization. The process that would apply is
the design process. The design process is important. Your organization will need a designed
structured process to gather the information and data that is needed. You need to define your
organizational structure and establish who will be in charge of these processes. The design
process is essentially an established blueprint of organizational ideas, plans and job duties that
gathers data and additionally provides a clear set of rules and directions for top management and
employees in your organization.

There are many tools that your organization can use. One tool is called a run chart. A run chart is
an easy, effective and efficient way of tracking organizational data. It is essentially a graph that
represents data performance through the use of lines. Another tool that can be utilized is a
control chart. A control chart is a diagram that is utilized to research statistical and analytical
process changes within the organization. As your organizational consultant the type of trend
analysis that I would recommend to your organization will be chart patterns. Chart patterns are
used by various sales organizations just like your company to recognize, optimize and stay on
top of trends.

DATA DISTRIBUTION FINDINGS ONCE THE DATA ANALYSIS IS COMPLETE 4 [Data
distribution]
Analysis and Recommendation
Investors, stakeholders, lenders and shareholders should be aware of your data analysis to help
advance and to be aware of the growth of your organization. Those who will help, contribute and
influence to the success of your organization should be made aware of your data analysis. You
can disseminate the data analysis through using emails, automated phone messages, through your
organizational website and through social media. Data visualization will give Investors,
stakeholders, creditors and shareholders a clear visual understanding about the data your
organization has collected. It will give viewers a better visual understanding which can help
detect patterns and trends in your organization. The type of data visualization tool that I would
recommend is a pie chart. By using a pie chart, it will be easier to evaluate each product in your
organization and determine if they are in high demand and which products are not being sold.
Another useful data visualization tool will be a line chart. A line chart will help determine the
increase/decrease of products sold as a whole in the organization. The five-business process
would apply here. The business process that would apply here regarding data visualization is the
“Model” process. This is a process of visual representation. It is tied into things like subtitles,
names, deadlines etc… it is a visual model of processes of informational data. It is imperative
you have a model in your organization to be able to utilize and track the data correctly which will
optimize and boost organizational efficiency.

SELF ASSESSMENT
From completing this project, I learned that there are a lot of things to consider when running an
organization. From the viewer's perspective you wouldn't realize all the measures that need to be
taken to run a successful organization. This project really opened my eyes to understanding what
it takes to collect data, making sure it is the correct data, and applying it to businesses. It also
reminded me about the importance of data visualization and how it can affect the success of an
organization. Completing this project reinforced how important key performance indicators and
key performance questions are in developing a data driven organization. Most importantly this
project taught me the importance of a data driven culture and how this data influences and
impacts organizations around the world today.
