When entering time in OTL please follow the instructions outlined below. I am still seeing mistakes every week and
hopefully these simple instructions will significantly reduce the rework we need to do to fix the incorrect entries. Please
share this with your teams as well. Let me know if you have any questions.

Client Projects

All billable and non-billable hours for project deliverable work should be reported on client projects. If there
are non-billable project deliverable hours, you need to get it approved from the PM and document the
reason when entering time in OTL. OTL flags need to be setup as shown below when entering time for
client projects.

Practice Projects

Each practice has a project setup by region to capture non-billable hours that are not related to project
deliverable. This includes travel including client project travel time, sales support, vacation, holidays,
training etc. and should all be captured under the practice project and not the client project. The
Expenditure Type should be selected based on the type of hours (sales, vacation etc.) and the billable flag
should be No.

OTL entry and approval

OTL time and expenses should be entered by end of the day Friday and approved by the PM's by end of
the day Monday. We have started tracking weekly the list of people who are not completing OTL entries and
approvals on time. If there are issues related to project setups and access, please create a support ticket for
resolution. We will review the list of defaulters during bonus and performance appraisal to decide if the
bonus needs to be adjusted for not complying with the process.

PM reports

All PM's should have access to OTL time and expenses report by client project. Finance will send the
Project Setup report to the PM that will provide details on the budget, resources, hours, rates etc. when a
project is setup or revised. The PM's can use the project setup report as the baseline and then get the
actual from OTL reports to monitor the budget in our PM budget tracking template. Currently, there is no

trigger from Fusion if the actual get close to the PO/Budget which means the PM's would need to monitor
this manually.
