How to Camp 2.0 2020

1. Remember what camp is about. What are the Essentials. Think about your camp culture and its
values. What defines your camp?
a. All Heartland UCC Summer Camps:
i. Faith
ii. Fun
iii. Community
iv. Bringing people together to support them along their Christian journey
b. Any other things specific to your camp session?
2. Think about ways you can include these camp values in projects they can do at home. Examples:
a. One of our camp values is Faith. How can we do this at home? What have they been
doing and what else can they do?
b. One of our camp values is Fun. How can we do this at home? What have they been
doing and what else can they do?
c. One of our camp values is Community. How can we do this at home? What have they
been doing and what else can they do?
i. What would it have looked like if for one week the values and culture of camp
happened in our families’ homes? What if they treated their brothers and sisters
like their cabin mates at camp? What if instead of parents and children they
acted as Counselors and campers? What if the children were hoppers at home
during meals?
3. Work with your team of staff to determine what you can do to meet your campers need during
this time in this environment within expanding the camp culture
4. Website content for each camp session:
a. Offer One-way videos of your staff leading things like:
i. Morning Watch
ii. Vespers
iii. Prayer Practices
iv. How to videos for activities
v. Camp Songs and Graces
vi. And more
vii. These can and should be shared between camp sessions
b. At least one two-way activity for participants each day.
i. A zoom type gathering is recommended
ii. Could be discussion, hang out, activity, fellowship, etc…
c. Links to appropriate related content on the internet
i. Online nature centers
ii. Craft how to’s
iii. Activity how to from experts
iv. And more
d. On site (Templed Hills) considerations for Videos to be uploaded to website:
i. We have been given permission for staff, including volunteers, to be on site
working on outside only projects if they are appropriately socially distanced.
1. All staff from different households must remain 6ft apart and wear
masks when communicating
2. Use only designated restroom (Andy will let you know upon arrival). Use
hand sanitizer provided in front of the door before entering and wash
hands appropriately upon leaving. Enter and exit door directly and do
not go anywhere else in building.
3. Do not do anything inside
4. Bring all your camp needs such as waterbottle, sunscreen, bugspray,
hat.. you know the drill😊
5. You may bring your own food to eat individually, socially distanced. Do
not bring food to share. There will be no food service.
ii. Directors must give Jill list of dates and times they wish to be out and number of
people ahead of time. Please provide dates and times and rough guess of
people by May 28th or sooner if possible. The more exact number of people can
be added closer to date
iii. Consider the tone displayed in any video carefully to ensure it is appropriate
given the unique time we are in. For example:
1. Remember that campers and their families are grieving not being able
to be at camp.
2. Acknowledge that and respect that. Your video should respectfully
provide your message using appropriately distanced people, wearing
PPE. So that it will be understood as “we are working hard to make
camp better than it’s ever been for you”
3. It should not show staff as jubilant, doing camp activities, arm in arm,
having fun and essentially saying, “we are here having fun and you are
not, too bad.”
4. I am certain that you understand this distinction and will do a great job
managing this aspect and walking the fine line of how to provide the
best program during this crazy time!
5. Where to I store my content before putting on website?
a. Videos will be stored on Vimeo in the folder for your camp

b. Documents and photos will be stored on the shared google drive: Outdoor Ministries
Camp 2.0 in the folder for your camp session.
6. How to upload content on website:
a. Watch video tutorials
i. These will be found on Vimeo
b. Ask if you have questions
7. Communicating with Campers:
a. Send emails through Camp Brain
i. There are tutorials in the help section.
ii. See folder on Google drive with screenshots here:
1. Step 1 click on auto emailer
2. Step 2 – choose recipient – Household: both parents and secondary
household
3. Step 3 – make sure your session is “Camp 2.0 2020” and lick on
registration/session
4. Step 4 – choose your session – and click apply
5. Step 5 – change the from address to your camp email below, add a
subject and write your letter. Optional: use the mail merge option to
give a personalized salutation.
6. Step 6 – choose your layout. We have a few options:
a. A header with all camps listed (All camps in Header)
b. A header with just your camp listed (MMADD Header)
c. A header with just your camp listed and the footer with all
camps listed (choir header all footer)
7. Step 7 – check the items at the bottom and click preview
8. Step 8 review preview close
9. Step 9 edit as necessary
10. Step 10 review
11. Step 11 if all good send

b. Use Camp Heartland Conference emails as return email (Camp Brain will automatically
populate your log in email. Delete that from the email and type in this email. If you want
to use this email for your Campbrain log in, let me know.):

c. Check this email after you send something out and on a regular basis incase families
respond to you with questions.
8. Volunteers
a. All Directors, leadership team, and staff interacting directly with campers in two way
activities, must be approved Heartland Conference Outdoor Ministries volunteers. This
means they must register for camp and fill out all forms, successfully complete the
background check, and complete training. Staff who already filled out forms on the
original camp 2020 registration do not need to do it again. Anyone who has not, need
to fill out the forms on the new camp 2.0 site now. This needs to be done quickly so that
we can complete the required steps before your camp session begins.
b. Guest presenters may present one-way pre-recorded videos including demonstrations,
songs, activities, etc. These guest presenters do not need to be conference approved
volunteers. They do need to be recruited and “vetted” by one of the 2020 Camp
Directors. The Camp Director needs to review video before posting to website to ensure
appropriateness.
c. Directors still need to train their volunteer teams on camp specifics.
9. Camper “supervision”
a. Although parents retain ultimate responsibility for what children do at home, camp staff
must supervise two-way activities for appropriate behavior.
b. All Conference policy must be followed for two-way interactions.
i. The rule of three is required. Where at least one person is an adult
ii. It is recommended that two adults always be present in two-way activities. If
breakout rooms are used, rooms may at minimum contain 1 adult and 2
children and there must be a floating staff person that pops into each room
randomly throughout the session.
iii. Jill is available to run all zoom conferences using the conference zoom platform
and can serve as that extra floating staff person.
10. Social media
a. Facebook Groups for each 2020 camp session will be created off the Outdoor Ministries
Heartland Conference page. This is a great way for campers/parents to share
throughout the week.
b. If a camp wants to use another platform for a closed group for a similar type of
interaction, please discuss with Jill.
c. If camps already have their own social media platforms such as
Facebook/Instagram/twitter/youtube/etc pages for promotion, please let Jill know. The
conference would like to tweak them to ensure some consistency and connection with
the conference. We’d also like to help provide a backup in case something happens to
you so that the page is not abandoned.
d. If you are contemplating opening a new page for your camp, please contact Jill first.
11. Policy/procedures
a. All conference Outdoor Ministries Policies and procedures must still be followed.

Please remember camp starts June 14th and so it is really a work in progress until then. And each
session will be adding things prior and during their week.. so it won’t really be done until the
