JOB TITLE: Admin Support Officer

INTRODUCTION:
CARE is an international development and humanitarian aid organisation fighting global
poverty, with a special focus on working with women and girls to bring lasting change to their

to help overcome poverty by supporting development efforts and providing emergency

sustainable outcomes in poor communities.

CARE International in Myanmar’s programmes focus on gender based violence; food and
livelihood security; disaster risk reduction; sexual reproductive health rights; peace-building;
policy and Law reform in related areas.

Care’s Aung Myin Hmu project, in collaboration with the Ministry of Labour, Immigration
and Population (MoLIP), supports the growth of the industry through a strengthened vocational
training system and safe workplaces for garment workers. AMH also supports the advancement
of women workers through the combination of skills training and ‘outside factory’ support
services.
PURPOSE OF THE POSITION:

Provide administrative and operations support to the Aung Myin Hmu Skills Component
programme. Reporting to the Programme Director- Skills Component this position will work
closely with finance, operations and programme staff.

MAIN RESPONSIBILITIES:

 Provide assistance to the programme staff with the administration of all matters including
record keeping, HR, procurement, timely delivery of materials and documents
 Provide support with logistics and asset inventories, prepare regular reports to submit to
country office
 Ensure the smooth operation of the office: IT maintenance, telecoms and infrastructure etc.
 Assist the programme staff in producing reports/ information/data as required.
 Assist and coordinating with Finance officer for the planning, monitoring and evaluation of
budget and payment processes
 Maintain Office calendar to coordinate work flow and meetings.
 Collect information and maintain database of all contacts relevant to project implementation.
 Give logistical support to programme staff to organise events etc.
 Arrange flights, transportation, and accommodation for international and national staff.
 Arrange printing of all written documentation, including training materials, brochures and
visibility materials

 Undertake other activities assigned by the Programme Director-Skills Component.

OTHER RESPONSIBILITIES:

 Maintain comprehensive filing systems/database for all documents.


 Promote a safe and secure work environment; foster a culture of safety and security
awareness and consistently follow all CARE safety and security policies, procedures and
directives.
 Demonstrate an understanding of gender equality and women’s empowerment and a
commitment to CARE’s approach and values including ethnic diversity and cultural sensitivity.
 Uphold and promote CARE’s commitment to Child Protection.
COMMON ACCOUNTABILITIES:
 To proactively participate in the APPA process including the annual appraisal, midyear review
and regular 1:1 meetings, ensuring that the APPA process (including the paperwork) is an
integral component of Annual Work Plans and activities as ways of improving performance and
outcomes;
 Engage in emergency preparedness, assist in any emergency response as required;
 Promote a safe and secure work environment; foster a culture of safety and security awareness
and ensure compliance with the safety and security policies, procedures;
 Demonstrate an ongoing commitment to Gender Equality, Diversity, Child Protection and
Protection from Sexual harassment, Exploitation and Abuse; and
 Comply with CARE Myanmar’s financial and operational requirements, foster strong
communication between operations and program teams and uphold high standards of honesty
and integrity in personal conduct.

EXPERIENCE AND QUALIFICATIONS:

 A Bachelor’s degree in a relevant subject.


 Minimum 2 years of administrative experience, of which 2 years must be working with an NGO
and with good knowledge of NGO context and good staff supervision experience
 Competent in using information technology including word-processing and spreadsheets.
 Good understanding of different international donor regulations and strong experience in
various reporting requirements.
 Knowledge of principles and practices of planning, records management and general
administration.
 Knowledge of standard office equipment (e.g. computers, photocopy, fax machines, etc.)
 Ability to lead and work well in teams
 A highly motivated person, self-starting, resourceful and work independently.
 Strong analytical, interpersonal skills, decision making and communication skills, including good
oral and written English communication skills. Fluent oral and written in Myanmar is required.
