SuccessFactors". My name is Ross Wainwright.
00:00:20 I'm the global head of SAP S/4HANA Cloud. In this course, you'll learn about how SAP
S/4HANA Cloud, the modern digital core,
00:00:30 and SAP SuccessFactors human capital management are coming together to harmonize
processes between HR and finance. In this first unit of the course, I'll cover finance and HR
in the cloud.
00:00:44 You'll learn how finance and human resource functions can be transformed to unleash new
opportunities to drive revenue and reduce costs, while increasing collaboration across the
business from strategy through to execution.
00:00:58 So let's get started. The first thing I'd like to talk about is an outside- in perspective.
00:01:08 Let's look at the market dynamics. The business challenge that we see every single day is
this concept of digital disruption.
00:01:18 And frankly folks, it is changing the game. And I've got three specific examples.
00:01:24 First of all, business models. Now business models are evolving every single
00:01:29 and I've got some examples that I'm going to share with you in the next couple of minutes.
But I knew that something was changing
00:01:36 when my two kids, who are today 22 and 19, at the time they were early teenagers and their
heads were in their iPhones, they were in their iPads,
00:01:47 they were in Facebook, they were in Instagram. This whole concept of digital technology
and social media was taking over their lives.
00:01:57 For good or for bad, it was definitely changing the market, and I knew from a consumer
perspective something was changing.
00:02:04 Now this change also extended to the business environment. And we're going to walk
through some specific examples of how companies have either reinvented themselves,
00:02:15 how they've reemerged from tougher places or how companies have actually turned and
are no longer on the footprint of today's market,
00:02:24 because of digital disruption. Secondly, unrelenting growth expectations.
00:02:32 Now we're in the budget season inside of SAP right now. Whether you're budgeting for top-
line revenue or perhaps trying to control your costs in your business,
00:02:40 budgeting is an interesting process. And have you ever noticed that expectations are getting
higher and higher?
00:02:47 Now we find a way to fight through it. But the expectations are intense.
00:02:53 And it seems that the bar keeps getting higher and higher. This is a product of digital
disruption.
00:03:00 This is a product of competition raising the bar and forcing all of us to get out of our comfort
zone. And finally, closer business connections.
00:03:11 Now this truly is about collaboration. But in our business, in S/4HANA, we are going to be
driving a strong, indirect channel.
00:03:19 So we're going to be doing businesses that we haven't even been introduced to at this
stage. That's the changing landscape, specifically around business connections.
00:03:30 Now when you think about digital disruption, what I think about is a beautiful application, an
intuitive user experience.
00:03:39 And something that's pervasive across the market. Now the beautiful thing about digital
disruption is that although it does create chaos, it also creates opportunity.
00:03:53 Let me put this in the context of both HR and finance. Now many organizations see a
challenge of bringing silo departments together.
00:04:05 Many organizations suffer from being a disconnected company where customers, suppliers,
and partners try to work together but they have different business processes.
00:04:16 They have inefficiencies, they have a lack of insight and coordinated action. And as a result,
they miss true opportunities within the business.
00:04:27 Now specifically leveraging S/4HANA. Between S/4HANA from a finance perspective and
from an HR perspective,
00:04:36 we can create the truly connected company. First of all, it starts with a digital core.
00:04:42 This is the foundation of how this connected company operates. And then it brings together
customers, partners, and suppliers to collaborate in a way where it's seamless,
00:04:54 where they're truly fully aligned. And the benefit of this integrated company can actually be
described in what we call the three
00:05:04 First of all – "integrated". These increased connections create agility, create the ability for
departments to not only operate together,
00:05:13 but to align with global partners, global customers, and suppliers. The connected company
also operates with immediacy – it is "immediate".
00:05:25 And this increased velocity in the business actually enables you to not only act with
transparency, but act in the moment. And finally – "intelligent".
00:05:36 Now this is beyond automation, it's about gaining insight to better understand and predict
what's next in the business. Now being a connected company, a truly connected company,
between finance and HR,
00:05:53 there are some really strong benefits that I want to share with you. Imagine if you could
bring finance together in the real world and manage your workforce requirements,
00:06:05 calculate the cost and impact of hires through the lifecycle of an employee, but understand
how those labor costs tie back to your budgeting process,
00:06:15 or tie back directly to your financial reporting processes. Now in the truly connected
company, S/4HANA Finance Cloud and specifically the SuccessFactors HR solution,
00:06:29 they connect seamlessly. And they enable your entire organization to become smarter,
faster, and more agile than ever before.
00:06:40 And you're going to see some improvements. Whether it be in the context of hire-to-retire,
quote-to-cash,
00:06:46 whether plan-to-ship, concept-to-performance, or record-to-report. All of these functions are
tied between the human capital management side of the business and the financial
reporting.
00:07:00 And bringing these two together is the first step in creating the truly connected company. Let
me give you an example.
00:07:10 I'd like to put this in the context of a company that we are working with today. Now this case
study is a company that is roughly $10 billion in revenue,
00:07:21 they're based in the United States, and they're a manufacturer with global operations. Now
their challenge is they have 26 discrete business processes connecting their supply chain.
00:07:36 And they're looking for an opportunity to create synergy and a seamless supply chain
process to help reduce costs and improve their TCO, to rationalize their IT organization.
00:07:48 Now their objective is to work with SAP to take on this context, to run this portion of their
business and really dramatically impact their TCO and drive simplicity across their business.

00:08:02 They're approaching what we refer to as a two- tier ERP platform. They're leveraging SAP,
our traditional S/4
on-premise solution for the headquarters.

00:08:13 But then their divisions are operating specifically for S/4 in the HANA Cloud. And the ability
to unite both the on-premise and the public cloud offering from S/4HANA is a true
differentiator for them.
00:08:30 And as a result of this business process, they now have three divisions in Singapore,
Shanghai, and Switzerland up and running. And they're now planning to extend this across
all of their divisions around the world.
00:08:45 So why SAP? Why should you look at SAP for finance and for HR in the cloud?
00:08:53 Well first of all, we have a leadership in transformation, in digital transformation. This is part
of the core of our business.
00:09:02 We have extensive experience in end-to-end enterprise management, but we also truly
understand the power of cloud delivery from the series of cloud acquisitions we've made
over the last seven or eight years.
00:09:15 And the result is that we help you run simple. Simple to use, simple to run, and ultimately
simple to succeed.
00:09:25 Well this concludes the first unit of the course on finance and HR in the cloud. In the next
unit, you will learn about how the end-to-end suite and the digital core help organizations to

Cloud and SAP SuccessFactors". My name is Alex Joseph, and I am from the S/4HANA
Cloud product management team.
00:00:25 In this unit, you will learn about how the HR- Finance suite can help organizations manage
their key assets – people and money – for best business outcomes.
00:00:36 You will gain an understanding of the productized integrations and innovations like
intelligent services that enable companies to run simple, leveraging modern Finance and
HR capabilities.
00:00:48 At the end, I will also show you a couple of product demos. So let's get started.
00:00:55 Why HR and Finance? Any business owner or startup CEO instinctively understands that
people and money are the two most important priorities for running a business.
00:01:07 If you don't have money, you don't have a business. If your people are not happy and
engaged, you won't have a business tomorrow.
00:01:15 However, when the organization grows and dedicated departments come in to serve these
priorities, their perspectives are sometimes not well aligned.
00:01:26 The CHRO – Chief Human Resource Officer – thinks that people are the biggest asset,
while the CFO and the Finance department sometimes worry about the costs that people
drive.
00:01:37 There's nothing wrong with the differences, but the perspectives result in different
terminology, behavior, and application characteristics catering to different personas.
00:01:49 HR applications are used by casual users and all employees dealing more with qualitative
data, and then they are also expecting constant changes to their experience,
00:02:00 whereas Finance applications are mostly used by expert users, professional users who deal
with quantitative data and prefer a controlled pace of change.
00:02:12 Again, this is how organizations work, and there's nothing wrong with that, but they make it
difficult for a business owner or a CEO or a manager at any level
00:02:22 to get insights across the functions to make the right business decisions. For example, how
do you understand the ROI on a recruiting campaign?
00:02:32 How do you manage the performance and compensation against financial metrics? So we
need a holistic view across HR and Finance then.
00:02:45 What's the best way to get there in cloud applications? There are essentially two options:
either a modular suite or a monolithic system.
00:02:57 A modular suite is a pre-integrated suite from the same vendor, loosely coupled with aligned
innovation cycles across HR and Finance
00:03:06 But it does not force both applications to be the same. A modular cloud suite allows you, the
customer, to start with any module and grow based on your needs,
00:03:18 and not constrained by the vendor architecture and limitations. You have the flexibility to
consume innovation cycles at your own pace.
00:03:29 The experience is optimized for the different end user personas, unlike a monolithic suite
that forces a slow lockstep innovation cycle across both.
00:03:43 So SAP SuccessFactors and SAP S/4HANA Finance Cloud offer such a modular cloud
suite. Let's look at each of them and how they harmonize HR and Finance.
00:03:55 The SAP SuccessFactors solution is the leading HCM suite, covering the entire HR
application spectrum from core HR to talent management to workforce analytics.
00:04:06 It is central to your digital HR strategy to manage employees and organizational information
as well as support and engage your total workforce from recruiting to onboarding

00:04:16 through performance management to compensation and succession as well as grow them
through learning solutions.
00:04:26 On the other hand, SAP S/4HANA Finance Cloud is a digital finance solution and part of
SAP S/4HANA Enterprise Management Cloud.

00:04:35 It's a public cloud solution built on the radical simplifications and innovations based on SAP
and also has an SAP Fiori user experience.
00:04:46 It brings more than 40 years of SAP's ERP Financials expertise to a modern finance
solution in the public cloud. It includes Core Finance solutions such as accounting and
financial close,
00:05:00 cost management, profitability analysis, cash management, and collections, as well as
select solutions from procure to pay and order to cash.
00:05:11 Everything you need to get started with your digital core in the cloud with a modern finance
solution, and gradually grow from there to later move to other S/4HANA cloud editions,
00:05:22 including manufacturing or professional services capabilities. Why is the Finance Cloud
solution unique?
00:05:29 Traditionally, finance organizations spend a lot of time in manual efforts to ensure efficiency
and compliance by reconciling transactions and performing a lot of activities for month-end
and period-end close activities.
00:05:45 This leaves very limited bandwidth to engage in strategic activities, such as evaluating due
business models or becoming a strategic partner to the business.
00:05:55 S/4HANA Finance Cloud reduces the manual reconciliation effort as all transactions and
analytics are from a single source of truth – the universal journal on SAP HANA.
00:06:07 It helps finance organizations engage in strategic activities such as planning and modeling,
freeing up the time to ensure efficiency and compliance.
00:06:17 When you combine these solutions, they offer a modular solution to harmonize processes
between HR and Finance through data integration, UX harmonization, intelligent services
scenarios, and analytics scenarios.
00:06:30 So let's look at some of these in more detail. Let's start with data integration.
00:06:39 It's delivered as a pre-delivered integration through packaged best practices content
between these two cloud solutions. The integration is managed by SAP through HANA
Cloud Platform, integration service.
00:06:54 SuccessFactors accesses the system of record for employee and organization-related
information while S/4HANA Finance Cloud accesses the system of record for financial
information.
00:07:05 So we have several data integrations available today, such as employee and cost center
data, organizational and cost center assignments, as well as contingent workforce data,
00:07:15 along with employee availability, which is important for you to staff employees based on
their availability. On the near-term roadmap, we have more data flowing from S/4HANA
Cloud to SuccessFactors,
00:07:29 such as currency exchange rates and bank information as well as purchase order and work
order information. Let's also take a quick look at the UX harmonization.
00:07:43 Here you see the SAP SuccessFactors home page, and on the other side, you see the
S/4HANA Cloud home page for a purchaser or a user.
00:07:53 As you can see, both of them are applying SAP Fiori design principles to offer a role-based
experience based on who you are.
00:08:03 S/4HANA Cloud was built from the ground up using SAP Fiori, and SuccessFactors has
been renewing the user experience, applying SAP Fiori design principles.
00:08:13 We will continue to offer a more corporate experience for any user role that goes across the
solutions. Now let's talk about intelligent services.
00:08:25 Some of you might have heard about intelligent services from SuccessFactors sessions or
events. It was introduced last year within SuccessFactors solutions to transform self-
services and shared services.
00:08:38 The intelligent services concept is all about making applications smarter. Every company
has many events happening every day in different domains,
00:08:46 such as a new employee joining, a relocation happening, a leave of absence. It's like a rock
that you throw into a pond – it creates a lot of ripples and follow-on events.

00:08:58 Many of these follow-on events need to be performed in other systems, and it often used to
be done by manual actions or through a checklist on an intranet page that you had to go
and then perform one by one.
00:09:13 Intelligent services bring smart automation to these processes by consolidating events and
predicting the follow-on steps
00:09:20 based on configurable rules and the workflow that makes it easier for the right user to act at
the right time, simplifying the end-to-end process and sometimes using machine learning.

00:09:35 So what are the benefits of bringing intelligent services across HR and Finance now,
beyond the SuccessFactors solutions? First of all, you get a lot of productivity gains.
00:09:45 You are really driving process automation across functions, producing manual steps and
interactions and dialogs across departments. And for a financial system, it's also important
to have early problem detection
00:09:59 that can result in real-time notifications for financially material events such as budget
overrun, and we will see this later in a demonstration.
00:10:08 It also lowers your training efforts, because the workflow guides the users to complete only
the necessary action without guesswork and provides you with recommendations to act
upon.
00:10:19 So what are some of the examples across HR and Finance for intelligent service scenarios?
One key area is workforce planning and budgeting.
00:10:27 That happens in both the HR domain and in the Finance domain – we will show that in a
little bit. But you also have other examples, such as project staffing.
00:10:37 When a new employee comes in with certain skills, the project manager needs to be aware
of the right project for them to be staffed. Another example is performance and
compensation management,
00:10:50 where you want to manage employees' performance based on the real financial results and
in a real-time fashion. So now let's switch to a couple of demos to illustrate these integration
points.
00:11:08 I want to show you two demos. The first one is an employee and cost center information
integration between S/4HANA Finance Cloud and then SuccessFactors.
00:11:18 It's available today and then you can view that. And another one is something in
development, which I just mentioned:
00:11:27 an intelligent services scenario across workforce planning and budgeting, which we call
"hire-to- budget". So that's something that is expected to be available early next year.
00:11:37 So let me switch to the first demo where the HR administrator creates an employee in the
SuccessFactors employee center as the system of record,
00:11:49 and then that employee gets reflected in S/4HANA Cloud. So right now I'm an administrator,
so I'm going to my...
00:12:01 Admin Center. So here I am adding a new employee.
00:12:17 As you can see, you do have lots of fields to enter when you create a new employee. I'm
going to make it very simple and just enter the minimum requirements.
00:12:28 Let me pick a company, so it's the US company called... and it's a new hire, the employee's
a "New Hire".
00:12:40 And then let's name this employee "Karen Jones". So I'm going to skip most of the detail
fields,
00:12:52 but let me just pick one example of the "Person Id" that you need and then I'm going to
leave the "National ID" for now. Then we have to enter some more information, we can add
the details for the "Personal Information".
00:13:12 The "Global Information", if we need e-mail contact information. I'm just going to add one
phone number. And skip the "Social Accounts" and "Home Address" and everything for
now.
00:13:35 And I also need to create a position in "Organizational Information", so the company is
already filled in. Within that I am adding the business unit,

00:13:47 and the division – it's a consulting company that we are looking at. And here, I also get the
cost center from S/4HANA Cloud coming here, and then I am assigning to one cost center.

00:14:03 So this illustrates both employee and organizational information, as well as cost center
information. So I'm going to skip most of the job-related information.
00:14:15 Let's see. I'm going to add the manager... that shows up.
00:14:31 I need to add the job classification... okay. So let's skip that as an analyst, and then that
should be it.
00:14:44 Now I should be able to submit. I just created a new employee.
00:14:52 I can add all the compensation information, but for now, let's just complete this by
submitting it. So as an HR administrator, I just created a new employee very quickly in
SuccessFactors.
00:15:11 And then when I look at the employee profile... so I get this view of the employee profile.
And again, this is a view from the perspective of an administrator looking at an employee,
00:15:22 so it's showing all the national ID information, employment information, and things like that.
So immediately what happens is that as part of the integration through HANA Cloud
Platform, integration service,
00:15:37 the information gets immediately replicated to the S/4HANA Cloud system that it's
integrated with. So I'm just looking at the information that we entered here...
00:15:49 We have the contact information, then the compensation information is blank for now. So
let's come back to the S/4HANA Cloud system.
00:16:01 So this is... So I'm really a project manager in this scenario, and I'm just looking for the new
employee that was added.
00:16:21 Yes, it's already replicated immediately. So this is what we had, this is the person we just
created.
00:16:33 And the view here... as you can see, there is a similarity between the employee profile view
both in SuccessFactors and S/4HANA Cloud. But here, obviously, the view is from the
perspective of a project manager looking at an employee.
00:16:49 This is not an HR administrator view. So even though the information is exactly the same,
00:16:54 the cost center and the... employee ID, but it's showing more of the project-related
information. Yes, you see the contact information that we added, as well as employment,
and obviously there are no projects yet.
00:17:30 But that's really what the project manager would like to see. So again, it's a role-based
experience, and the information such as employee, name,
00:17:40 and all the other organizational information and call center has been replicated very quickly
to the S/4HANA Cloud system. So that shows the data integration that you would expect
with SuccessFactors being the
00:17:55 system of record for employees that's available today. You've just seen how an employee
gets created in SuccessFactors and then gets replicated into S/4HANA Cloud.
00:18:07 And later on in one of the units you will see how the employee can get staffed in projects
and assigned later on. So now let's switch to the second demo.
00:18:18 As I said earlier, this is in development and will be available early next year. So now,
intelligent services.
00:18:31 I will show this in an iPad demo. And here there are two personas: There is an HR
manager, Daniela, who has an organization of 2,000 people,
00:18:41 and we have Andy, who is a financial controller who supports her. So when you look at the
headcount planning solution of SuccessFactors which was announced recently,
00:18:56 Daniela as the HR manager is looking at her plan, and then she is seeing the subplan
submitted by her team members.
00:19:06 And then when she looks at it, everything looks good and then she just goes ahead and
submits the plan. So a few things happen now behind the scenes.

00:19:18 So intelligent services also send events when the plan gets saved, and then the controller
and financial controller get alerted based on the configurable rules
00:19:30 if it's material for him to react. And when the controller comes in through the application
SAP RealSpend, which is an add-on to S/4HANA Finance Cloud,
00:19:42 he sees the following message. So SAP RealSpend is an application that shows the future,
the real situation of the spend
00:19:51 not just based on the Actuals and Committed, which are the first two areas, but even
including the forecasted spend based on several business events that are happening,
00:20:00 such as employee hire, but also based on other data sources as well. So here he sees that,
towards the end of the year, this workforce plan is likely to exceed the budget and the
forecast is going to be affected.
00:20:14 And not only that, the system also provides some intelligent recommendations based on
past behavior and then it provides options for the financial controller to propose to the
manager,
00:20:28 such as reducing the salary grade level of the hire, postponing the hire to the next quarter,
or hiring in another location. These are some of the typical responses or options that you
have when you have a budget challenge.
00:20:44 And then the financial controller understands the business and he realizes that it's going to
be hard for the manager to postpone the hire or move it to another location,
00:20:54 so he proposes reducing the salary level to T2 and he sends the suggestion back. So at this
point it's still connected to Daniela in her SuccessFactors application.
00:21:08 It really comes as a to-do because the plan is over budget and she needs to revise it. And
then it makes it very simple, she doesn't really have to troubleshoot any more.
00:21:24 So once she comes to the headcount planning application again, she sees the view of the
financial situation embedded within the application, the RealSpend view, and then she
understands the impact of the budget towards the end of the year.
00:21:39 And then she also sees the recommendation by the controller at the top: "To solve the
budget overrun... ... reduce the level of" the new hire for the job requisition that she's
creating as part of the plan.
00:21:51 She accepts it in this case, and then it moves to the SuccessFactors recruiting solution,
where the requisition gets created and she can actually reduce the salary grade.
00:22:07 And the rest of the information remains unchanged, and then she goes ahead and submits.
And again, during this entire process, the systems do communicate through events,

00:22:16 and then Andy also understands that the plan has changed, and with the changes that were
made for the new plan, there is no risk of the spend overrunning the budget,
00:22:32 and then it really helps him hit the target and then the overall budget looks great. So at this
point it's still a bit of a forecast,
00:22:40 but after several weeks and months when the hiring happens and the execution for the rest
of the year is in motion, then it also becomes "Committed" from "Pending" spend.
00:22:56 So again, just to recap what we saw here, we are really seeing a concerted orchestration
between HR and Finance where both the personas are in sync and the application becomes
smarter.
00:23:10 They really increase productivity without a lot of discussions and negotiations, as well as
making it simpler, making a real difference to the financial bottom line of the company
00:23:23 and being budget-conscious in your spend. So that concludes the second unit of our course
on "SAP S/4HANA Finance with SAP SuccessFactors HCM Suite".

We support an organization that's global, so a lot of us spend a lot of time on the road.
00:01:45 And because of that, we needed a mobile-first technology platform. We needed the ability to
track and look at real- time data as the business is evolving each and every day.
00:01:57 So that was one very key attribute that we were looking for in a solution. Cloud – for our
organization, we've invested heavily in cloud solutions,
00:02:13 so with this next investment we've made with we'll be a completely cloud-based
organization across all of our applications and systems.
00:02:30 Our business operates across a number of different lines of business. One of those is on
the professional services side.
00:02:37 Actually our fastest-growing area of our business is around project management – very
significant enterprise type engagements. Because of that, we wanted tools and technology
to really be able to understand how successful a project is,
00:02:54 both from a delivery standpoint (customer satisfaction), but also the financials behind the
performance of those engagements.
00:03:02 How they are performing based on the scope, how we've scoped an engagement, and
being able to track that in real time. And that's what we get with S/4HANA Professional
Services Cloud along with SuccessFactors:
00:03:15 real-time visibility to the success of project engagements. One of the exciting features that
we really like specifically within SuccessFactors is
00:03:33 being able to track and manage the goals and objectives of both the company and the
individual, and then being able to tie that also into the financial goals of the company,
00:03:43 and for the organization to really see what they're achieving on a day-to-day basis. That
was something that was very high on our list of what we were looking for in a solution.
00:04:01 With S/4HANA Cloud and with SuccessFactors, our organization will move at a much faster
pace. And with that is how we from a reporting standpoint...
00:04:14 Today, a lot of customized reports are needed to track and dive deeper into the
performance of the business. With SuccessFactors and S/4HANA Cloud, our business will
be able to run more standard reports that will come out of these systems
00:04:31 that will help us to manage the day-to-day operations. We're very excited about the
roadmap of the product.
00:04:46 This is the time for us as an organization. We viewed ourselves gaining a significant
advantage over our competition by leveraging what already exists in these products.
00:04:57 You have 40 years of best practices from SAP to leverage with in this product. But it's also a
journey – this product will continue to evolve.
00:05:06 Another great factor for us is every quarter a new release will release additional features
that we can take advantage of as a business. I'm Don Dickinson, and Dickinson +

Dickinson has been in business for 18 years as an SAP Partner and our company has
evolved over the years,
00:05:38 and principally in the last 4–5 years, we've really split into 4 or 5 different lines of business.
And that's created a number of complexities that our old systems wouldn't support in a
multiline business environment.
00:05:57 Well, as we began the company, we started with very simplistic systems because we had a
very simplistic business. And that can carry your so far,
00:06:04 but it came to a point as we opened these multiple lines of business and we had multiple
folks running different resource teams that the solutions we had didn't talk to one another,
they weren't scalable,
00:06:15 and we just had a lot of issues of doing an enormous amount of offline analysis in the last
few years that slows us down from making decisions.
00:06:29 So we wanted to first address the immediate needs and the immediate pain points. Those
are integrated financials, integrated project profitability viewpoints,
00:06:37 and also the ability to collect time, because those are the things that are bread and butter of
our business. But we also wanted to look to a view of HCM, expense tracking, even
contingent workforce labor planning.
00:06:49 And all of those things we know we will need in the future, and when we looked at SAP, it
seemed to have all the right elements.
00:06:55 And on top of that, we also wanted something that was cloud because I didn't want to have
to invest in more infrastructure for our own business.
00:07:09 You know, it's interesting – some companies adopt systems to reduce cost. We have a
different challenge: We're growing rapidly, and with these new lines of business, we expect
to continue that rapid growth.
00:07:20 And so this is more about not increasing the percentage of spend that is on IT infrastructure,
and we think we're going to be able to hold it level.
00:07:34 We selected SAP because of the broad set of functionality and the additional components
that we can bring in as we need
00:07:42 and the best practices that are built in that will speed up the implementation of getting the
product up and running. As our business grows and becomes more complex,
00:07:51 the foundational functionality of the ERP component of S/4HANA certainly meets our needs.
But what we like about the solution is that because it's cloud based,
00:07:59 it has a prescriptive model built in which allows for an easier implementation. But it also
allows you, on the architecture of the HANA Cloud Platform, to be able to bring in those
extensibility features
00:08:09 that aren't in a best practice solution but are things that differentiate your business. So in
other words, we believe that by using HANA Cloud Platform there will be opportunities to
build in special differentiators
00:08:19 to accommodate special processes that set us apart from some of our competition. So in a
professional services business like ours... I mean, if you think about what we do:
00:08:35 We're providing consulting services, implementations, things like that. We're also
developing our own products and solutions and supporting the software we resell.
00:08:44 So people are at the core of what we do, and understanding where to deploy those folks
and how to get the best benefit given their cost profile, given their talent capabilities,
00:08:56 and trying to fit that chessboard that is professional services, trying to get the right people in
the right places, and hopefully have it make a profit,
00:09:02 the visibility of an SAP solution gives you real- time time collection, real-time skill matching
within the projects to understand what you're doing from a cost and a profitability
perspective, and so we think it's going to be a great benefit.
00:09:22 Moving to the cloud is the only option for us. If we went another direction, we would become
distracted and not focused on the business that we're engaged to perform.

to become experts in the environment of security,
00:09:40 and also be able to scale up as we have more capacity need. So what we think is it's going
to give us a better overall view of the real-time state of the business,
00:09:55 and really what that means is, if you think about our business: We have consultants all over
the country on consulting projects, we have consultants working on developing solutions
within our own business that "bolt on",
00:10:05 if you will, or integrate in through HANA Cloud Platform on the solutions we implement. So
we have both internal projects and external projects.
00:10:12 We need information on time and expense and resource allocation much more quickly, and
with time input on mobile devices that the solution allows, with real-time views to project
profitability,
00:10:25 so budget versus actuals, on how we're doing versus our commitments to our customers.
It's going to give us that view, and that all rolls up to understanding how the business as a
whole is doing in the context of financials.
00:10:43 When you think about the fact that we're going to have real-time time collection on mobile
devices, that's going to expedite understanding the exposure and the spend that's on our
projects.
00:10:54 And that's going to help us do more integrated, more efficient billing processes, which in
effect is going to help us to gain more control and more time on cashflow.
00:11:04 And I think all those things together – understanding what's going on on the projects with
our resources – will allow us to have better resource matching.
00:11:12 So skill sets needed versus skill sets available – supply and demand – which is at the heart
of how we run our business. From another view, there's a benefit indirectly to our clients.

00:11:29 And it's really about not only managing exposure on the projects and the commitments of
"on time" and "on budget", which is certainly important to them and we're contractually
accountable for,
00:11:38 but it's also about resource planning. If we have a better handle on our resources and
understanding of when and where they're

responsive and be able to help our customers get on with the things they need to do more
quickly.

contemplating the journey with SAP S/4HANA Cloud, SuccessFactors, Concur,
00:12:09 here would be my feedback. There's a number of opportunities with the solution.
00:12:16 You have to decide where to start, and my recommendation is: Start small, leverage the
best practices – they're your best bet to get up and running –
00:12:26 and then look at HANA Cloud Platform for the extensibility features that you want and build
them into a roadmap. Leverage the Partner ecosystem that has the expertise,
00:12:34 whether it's Dickinson + Associates or any of the other great Partners that are out there, and
sit down and plan your journey together, and certainly involve SAP along the way because
they'll have your back.

system will automatically notify the user that there is a problem,
00:06:13 allow that user to analyze that problem, and with just a few clicks to solve that problem. All
of this is done in real time, it's intuitive and easy for the user.
00:06:25 Let's go to the demo. So let's say you've just logged into the SAP S/4HANA Cloud solution.

00:06:35 Immediately on your homepage, you'll notice that the system is delivering relevant
information to your role. So I've logged in now as an accounting manager,
00:06:46 and as an accounting manager you're going to get information like overdue payables,
overdue receivables, and supplier payment information, as well as other areas.
00:06:56 You'll notice that these smart tiles are giving you real-time alerts and KPIs. So here I've
noticed that we've got overdue receivables.
00:07:05 And this is a real concern to me because I've noticed that 94% of our receivables that are
due today have not yet been paid. And as an accounting manager, you know this can cause
significant issues in your business related to cash flow.
00:07:18 So let's drill into this further so we can investigate the problem. As you drill into this, you'll
notice the system changes the information on the screen.
00:07:29 You'll see that you now have $780,000 that are still overdue. You wonder which of these
customers are not paying you.
00:07:38 Let's go ahead and take a look even further. From here, you'll notice that these are your top
10 customers that have not been paying you.
00:07:47 And you notice that Miller & Son Corp is at the top of that list. Having worked with this
customer before, you know they've been late in the past.
00:07:54 So let's go try to figure out which of the invoices are still open. The system immediately
delivers all of the relevant information to you.
00:08:06 And you can see that these are the three invoices that make up the $145,000 that's
currently overdue. If you want to get further information, you can drill even further down to
the line item detail.
00:08:18 Let's go take a look. From here, you'll notice that there has been one broken promise.
00:08:27 And you can tell from this that one of your colleagues has already spoken to Miller & Son in
the past, and they had promised to pay about a month

And if we look at the professional services industry, we typically want to address the front-

digital core of our S/4HANA cloud offering.
00:04:14 The SAP S/4HANA Professional Services Cloud consists of five key elements and process
steps that we deliver. Project services, the core finance, delivering not only the core
financials for projects but also the complete GL/AR/AP capabilities
00:04:30 to run your company fully in the cloud. Optimized order to cash, the streamlined procure to
pay, and the human resources foundation or connectivity
00:04:38 where we build this integration into the talent supply chain on the right-hand side. The other
parts of the cloud are topics that we are currently investigating in order to deliver them as
part of the roadmap,
00:04:52 natively integrated into the S/4HANA Cloud. What we are also offering here is a mobile first
user experience.
00:05:01 So whatever we do as part of this cloud, it will be available on any device. You can do a
timesheet entry on a smartphone.
00:05:08 You can manage your projects on the tablet. Or even bigger, you can do all sorts of billing
and finance capabilities as part of the desktop application.
00:05:16 And again, this is all driven by SAP HANA in-memory technology, enabling us to merge
transaction and analytical views on all of the process information we put into the system.
00:05:29 What I would like to do now is take you into the solution itself. We will have a look at the
people, we will have a look at the projects, time entry,
00:05:36 and the financials in terms of how we generate that invoice to the end customer. And in
order to start the demo, I will switch in my laptop between the presentation we just saw
00:05:47 and the S/4HANA Professional Services Cloud that you see up here. The starting point of
the S/4HANA Professional Services Cloud is what we call the Fiori launchpad.
00:05:57 And the Fiori launchpad allows me to log onto the environment, and based upon my role
and my authorization, I see a number of tiles addressing the capabilities of the process I can
handle as a person.
00:06:08 I have some favorites on My Home, I can do Project Management - Customer Projects. I
can do Time & Collaboration, and as collaboration already addresses a little bit of the
integration that we deliver with SAP Jam,
00:06:19 part of the SuccessFactors portfolio And I can also execute some of the sales and billing
capabilities as part of my role.
00:06:27 Within this solution, what I can easily do is go to Plan Customer Projects. I'm currently
managing one project in which certain elements of the project are represented in detail.
00:06:40 The screen here shows me that we have a calculated margin of about 57%. And at the top, I
can see the header data of my project,
00:06:48 who is the customer – Hypercom Inc. in this case – the project ID, start and end date,
00:06:52 the fact that this project is already in execution, some accounting objects, and some
additional project roles of those colleagues in my company
00:07:01 that have a certain responsibility as part of the project as well. Next to that, I have the work
packages representing the work breakdown structure of my project.
00:07:09 In this case, we have a Prepare, Explore, Realize, and Deploy phase with representative
start and end dates.
00:07:18 The work item's assigned, meaning that I can have additional detail of this. Within the
Prepare phase I'm doing a workshop, I'm doing a little bit of project management,
00:07:26 likewise for the other ones that we see up here. The staffing status also tells me that we
have the first two phases fully staffed and confirmed.
00:07:35 The third phase, Realize, has not been fully confirmed, and the last phase, Deploy, which is
still a little bit into the future, needs to be staffed appropriately.

screen, so to speak, and we can then manipulate or change the data of the project itself.

Discussion option.
00:08:06 And while I click this button, on the right-hand side I see a side panel opening up telling me
what has been the collaboration so far on this project.
00:08:14 It gives me a thread of the specific notifications and posts that have been done on SAP
Jam. The capability within SAP S/4HANA Professional Services Cloud is that I can generate
a group on Jam,
00:08:26 invite all of the members of my project, and then start to collaborate through that application.
So a native integration between S/4HANA Cloud and SAP SuccessFactors.
00:08:36 And out of these details, I can just easily go and see what this project and this group is all
about. What we see up here is that out of S/4HANA Cloud, I have directly logged on and
connected to SAP Jam.
00:08:57 I can see that specific document, I just wanted a view. And out of here, I can also have a
view of the cloud project that was generated automatically out of this.
00:09:05 The featured content, the topics, all of those capabilities you are expecting from SAP Jam in
order to drive collaboration, part of the project that we are running in S/4HANA Cloud
specifically.
00:09:16 And out of Jam, I can then easily move to the company info. In this case, the information
shown on the screen will tell me that myself, Harry Cruz in this case,
00:09:26 I am kind of managing one external worker, a contingent worker. And this indicates that as
part of the employee central capabilities of SAP SuccessFactors,
I have a complete view of my workforce.
00:09:38 Not only my own employees, but also the contingent workers which are the external
contractors that we may utilize into the solution, and run them as part of the project.
00:09:48 If I now go up one level, I would even see the complete tree of my organization at the
moment. I see Judy Morgan who is my manager.
00:09:56 And I also see my peers as part of my team who are working on specific projects being a
program manager, being a consultant, and so on, who can drive some of that work.
00:10:05 Finally, on the right-hand side, next to... the fact that I have an external worker as part of my
team. Trevor Thompson also has five contingent workers.
00:10:16 So again within Employee Central, we can both visualize and manage the internal and
external workforce, so completing that view on the workforce that we have up here.
00:10:27 I will get back to the SAP S/4HANA cloud solution. And what we will do in the next step, as I
hide the discussion, is go into the details of the Realize phase.
00:10:37 If I select a line in the details here, I can see the various roles that we are planning. I can
see if there has been any assignment to the roles already.
00:10:45 And what you see here, we have three roles. Brenda Ronalds is a junior consultant, doing
testing as part of this phase.

junior consultant who can do bits of the development on this S/4HANA cloud project.

specific skill. So I could say not only does this need to be a junior consultant, he or she also
needs to be able to provide HTML5 skills,

front I could see Chris Miller being the only employee here who can do this.

now include the contingent worker. As you may recall, as I was showing the Employee
Central piece with the tree,

00:12:04 So again, by maintaining the total workforce in Employee Central, which we natively
integrate into S/4HANA Cloud, I now also have a view of who can best do this work.

00:12:53 The text-based search actually also allows me to do a text-based search holistically on the
system itself. Based upon the role that I have and the authorization I have, I can easily
search for any of those capabilities.
00:13:04 And as I was doing the HTML5 search in the staffing, I can do something similar here at the
top of the screen. Just by selecting and clicking HTML5, I can see the exact same hit with
the two people that we saw from a staffing perspective.
00:13:18 With the difference here being that I can now actually go into Chris Miller with the fact sheet
and show a little bit of the normal data that we store in the S/4HANA cloud for Chris Miller
itself.
00:13:30 Generic information, employment, the projects, the tags – I'm getting into the tags here – we
would see that this person has HTML5, as well as Java and user experience (UX)
capabilities.
00:13:41 If I scroll up a little bit, we also see this project to which he has been assigned. I will go to
the homepage, and we will do some of the final steps of the demo.
00:13:53 One step I wanted to show to you is managing my timesheet. It's an application which is
available on the mobile device, the smartphone, the tablet, as well as the desktop,
00:14:02 enabling the end users to do time recording at any time and any place. I could see that I've
been staffed in this week for two parts of the project.
00:14:11 There's probably an overlap between the two phases. And in the prepare phase, of course, I
need to do these project management capabilities here.
00:14:20 I will select two hours of Wednesday, 5 October, and in the details I will just enter this is the
openSAP course that I'm now presenting to yourselves.
00:14:31 I will save the time entry. And these details are now being flown through the system and will
be ready for billing and invoicing.
00:14:42 And that is the next step as part of the demo here. I'm going to release the billing proposal.

00:14:47 And what I can see here, starting up to today, I have one of the points here that I wanted to
showcase.
00:14:54 I select the project that we've been looking at, I go into the Edit mode, and the system is
now collecting all of the timesheet entries that have been created up to
00:15:03 of all of the individuals that are part of the projects. And as the system is collecting the
details, we will see a complete list of all of those individual items.
00:15:15 And I am sorting those by service performer. Here I can see that Brenda Ronalds already
put some time in.
00:15:22 And of course I also see the time for myself. I will freeze the columns a little bit so we can
easily move from one screen to the other.

00:15:36 And now if I move a little bit to the right, you will see that the entry that I just created, the
openSAP time entry is also recorded here. I can release this billing request, making a billing
proposal.
00:15:51 And then finally, we can generate the invoice out of this. So what we see now on the screen
is that the DMR, the debit memo request as we call this,
00:16:05 or the billing proposal has been successfully generated. We see the document number,
starting with a 7 and ending in 3.
00:16:11 We press OK and we go back to the Home screen. A final step of my demo would now be to
generate the billing document,
00:16:18 which is the commercial document that we represent to the customer, as well as the
financial posting that we want to bring to that as well.
00:16:25 As I have started the list, the top one is the document that we just generated. I will select
this one and we're going to create the final invoice document to the end customer.
00:16:35 So in the next step out of the billing proposal that we just had, we are generating the official
commercial invoice to the end customer. This invoice represents all of the individual timeline
items that we just saw,
00:16:46 and that we are now sending as a bill to the customer itself. The invoice that you see up
here ending in 56 represents those individual line items here – all five of them.
00:16:56 And the fact that they are double represents the case that we have booked time in two
different months that we are charging to the customer. And I can easily see this through the
preview of the document itself.
00:17:09 This is the PDF or the invoice that we send out to the customer. In September we have the
project manager role as well as the junior consultant.
00:17:17 We may have some expenses, but not for this time. And then again we have some
subcontractor specifics here in the details.
00:17:25 In total, if I now scroll down, I would also see the level of detail on the line items. And what
you'll recognize is one of the bottom items here is the openSAP time recording that we just
did.
00:17:36 I will just close this screen and we will go back here. And as a final step, I can now post a
billing document,
00:17:42 meaning I will make this available to the accounts receivable part of the process. I will go
back to the presentation to conclude that part of our demo.

SuccessFactors, SAP Jam, fully integrated with SAP S/4HANA,
00:18:09 Professional Services Clouds, the way we can manage and run the project, that we can
start internal as well as external persons, employees, contingent workforce.
00:18:17 We can record time, we can generate the bill and the invoice, and also making sure that this
ends up in the financials of our S/4HANA Cloud environment.

to ensure you have an optimum mix of talent, internal and external.

running through talent, performance, and goals, for example,
