1. Introduction
1.1. Software Overview
The 360˚ Credit Management system (CMS), is a state of the art, modular based software that manages the entire credit processing of
any lending company it provides a business organization with the tools and information to manage and monitor all micro-financing
processes throughout the entire business. The System assigns each task by category, by role and allows management to oversee the
process, measuring quality and productivity.

The 360o Credit Management System (CMS) supports the following browsers-:
These are the tried and tested and it is our belief that the system will efficiently run on any other browser because it was designed as a
platform independent system.
The log in screen expects valid credentials made up of a username and password. If a username and password has not yet been allocated
to you, you need to get the standard super user credentials from Escrow Systems. This super user profile must be the custody of the top
level management as it will control the rest of the system. This super user profile will be used to create all the other users including local
administrators
2.1. Logging In
To access the system, a user must have pre-created username and a corresponding password. Shown below is the log in form.

Password is a secret string usually alpha-numeric set by you that permit only you to use the system under the entered
Username.
The system verifies the user input, and on successful validation of the Username & corresponding Password, grants access
to the start-up window.

Once the user has logged in, they can visualize the statistics in numbers and in diagrammatic form. This will make the numbers easier to
understand. The statistics on the above comprise of Incoming Applications, Total Disbursements. Total repayments and Total
Applications. The user can be able to view the detailed reports of the unexpired balances loans, 1-30 days overdue loans, 31-60 days
overdue loans, 61-90 days Overdue, 91-180 days and Over 180 days Overdue.
1. Hover the mouse over the user icon in the top right corner.

3. Users
The system has 6 users and the roles of these users are summarised below:
1. Loan Officer
The loan officer is responsible for capturing all static details for new debtor. Once all the details are captured, the Loan Officer can now capture the loan
application. They can also view reports, rejected applications and amortisation schedules as well as performing enquiries.
2. Lending Manager
The roles of the lending manager are to create amortisation schedules and to draft agreement letters based on the information forwarded on the
application by the loan officer. The lending manager can also recommend applications that he/she deem fit. The lending manager can perform enquiries
as well pertaining to specific application. They can view reports and loan progress.
3. Head Lending1
The Head Lending is the first user with the authority to approve or reject loans. Depending on the structure of the organisation, the depth of the
approvers may go as deep as four or five protocols of approval. The head lending1 is also responsible for reviewing amortization schedules and agreement
letters. Other capabilities include viewing reports and performing enquires.
This user(s) is responsible for the credit committee approval. A loan is supposed to be approved by the set number of MCC approvers before it goes for, it
is sent to the disbursement officer for disbursement of funds.
5. Disbursement Officer
This is the user who does the actual release of funds to the loan applicant. If the required figure is available, the full loan is disbursed. However, if the
available amount is less than the required loan, a partial disbursement is done until the rest of the money is available. Also, this user is the one responsible
for capturing repayments. This user can also be called the finance officer.

6. Accounts Officer
The role of the accounts officer is to track all finances of the account. This user can view records like the General Ledger, Trial Balance, Cash Books, etc.

3. Fill in the form with the desired details in each field and paying much attention to the mandatory fields.
4. Click “Save” to save the captured details.

3. Fill in the form with the desired details in each field and paying much attention to the mandatory fields.
4. Click “Next” to move to the next form which is Employment Information. (Fill in all the forms under loan application. Click “next” to view the next
form)

3. To find a rejected application the user will enter the client name or select the client name from the table.

The user will enter the file type, select date and the user should enter the date range for which the SSB file should be downloaded.

The user should search for the account name to see if it exists in the system, if the account name does not exist, the user will go on to enter the Main
Account number, Select the type of the account. If the user selects the Income statement, the Category Tax Processing will be populated according to the
Tax processing of the income statement and the same if the Balance sheet is selected by the user. The user will have to submit the account description and
after filling all the details the user should click “Save” in order to add the account details.

A cash book is an account which receipts and payments of money are recorded.
The user will have to click the Accounting and then Cash book option

6. Fill all the other details and click the “Add” button to add the transaction and commit button to verify the transaction. If the user want to
clear the fields, should click the Remove selected items.
The user will have to enter the date range for the creation of the income statement then click Print Report. The following is a sample of an income

The report will be grouped according to the Income and Expenditure and after the values grouped, the Net profit is calculated by subtracting the Income
from the Expenditure. The following will be the result after the calculation of the Net profit.

3.6.4 Journals
A journal entry, in accounting, is the logging of a transaction into accounting. The journal entry can consist of several recordings, each of which is either a
debit or a credit. The total of the debits must equal the total of the credits or the journal entry is said to be "unbalanced

3.6.5 Receipting
This is simply a summary of the cash transactions as in the cash book, analysed and classified under suitable headings, including the opening and closing
balances. The user will have to fill all the details and select the option of the payments and add or commit the transaction.

Batching is the gathering and organizing of incoming transaction prior to their processing. The following is the sample of the Batching form.

Account audit is a systematic review and investigation of the policies, procedures and systems put in place to record, store and present financial data
within a company. The user should select the transaction type, batch reference and the date range of the account type selected.
The user should select the batch number then click the “authorise” button to make the repayment.
