Setting: Our Company is looking forward for its reboot after the course of the CoVid-19

Pandemic, and in preparation for this, we plan to set up a physical bazaar in support of the local
businesses that has been established over the duration of quarantine.

Script:

Ate Andrea (Secretary): Good morning, everyone. Good morning, Mr. Habana. How are you
all? So, we meet today so we can discuss about our plans for our reboot. As we all know, we have
had quite a loss during the quarantine, and but we were still regardless able to make a gain. So,
Mr. Habana and I have discussed about opening a physical bazaar for those local businesses that
have opened during quarantine.

Abby: (Execution): Well, I think everything is in progress and we just have to clarify things about
our upcoming event named Co-Local which we support and establish our local businesses here in
the Philippines that will happen on December 3-5, 2020 and that’s about two months from now
and we will hear the report of the committee given to Alexis from logistics about our Venue,
Aljeane for our communication department for our participants and also our contact for our
partnership team and Ms. Farah for our Finance team.

Alexis (Logistics): For our exhibit venue Megatrade Hall, SM Megamall, EDSA, Ortigas Center,
Mandaluyong is perfect and suitable venue because the Hall spans over 4,000 sqm, It contains
three combinable function rooms that can accommodate up to 3,878 people, as well as two function
halls that can fit up to 336 persons, with a total capacity of about 4,214 guests.

Ate Farah (Finance/Accountant): Yes, so for this event the alloted fund we have is
approximately 2,300,000 which will cover the price of the venue until the budget for the staffs.

So Ms. Halina already discussed that our chosen venue would be Megatrade hall and since our
company shares a good partnership with the SM Investment Corporation we are on the process of
negotiating with the price for the venue. Later I will again contact Ms. Venagas from Megatrade
to further discuss the amount we could come up for renting the three (3) halls available. As for the
price of the booths that we will open for the participants of the event. The accounting is still waiting
for the update of the total number of business participants that will be invited.
Alexis ( Logistics ) : Just to add up, The 1,348-sqm Megatrade Hall 1 can fir 143 booths (2x2
meter booths; and 126 (2x2) meters booths can be set up in the 920-sqm Hall C. Combined the
three halls can fit 455 booths. Function Room A is 110 sqm and sits 100 people, theater-style,
while the 226-sqm Function Room B can handle 300 guests in the same setup. When Joined a total
of 500 people can fit in theater seating. Storage areas, a dedicated pantry, and, most importantly,
Wi-Fi Connectivity – these are just some of the things that the place offers. When you factor in
the fact that it’s situated in on of the country’s biggest and most popular malls which means instant
access to a plethora of leisure options.

Alj (Communication): Since our exhibit is a bazaar our target exhibitors is the local small
businesses that will surely benefit us and at the same time help them in promoting their business .
I'll also coordinate with the event organizers in charge just to be sure that our event's exact place
and time will be organize. Can I also have the list of our potential participants just to confirm thier
spot on our bazaar and also I already contacted our previous clients to ask them if they will acquire
a spot for this year bazaar. It was said that we will be needing 455 booth I will contact the team
that will built the booths for us and make sure that they will meet that exact number. I will make
sure to keep in touch with the people that we need and I will coordinate this matter with our
logistics team.

Abby (Execution): In order to conduct an orderly form or meeting and give all eligible terms for
potential participants for an opportunity to participate, we will follow the procedures in the
program. During the conduct of the formal business, questions and comments from the floor should
pertain to the specific proposal then under consideration this is via Zoom Meeting that will happen
next week. I think in the span of two months we will accommodate the final list of our potential
participants and partnership via forms and or email.

Ate Andrea (Secretary): If there’s no further business to come before the meeting and all
concerns have been collected.

Eric (Head/President): Good Job Everyone, I appreciate the efforts that all of you made. I will just
add some more information about the exhibit itself. For the logistics, I think the venue was a perfect
spot, it is very elegant and we can accommodate many guests. It is our targe to showcase our
exhibit to many people and also to show to our sponsor that they fund us rightfully.

However, Ms. Halina, I need some outlines for the booth itself because I need to see where we can
rightfully place the booths. In terms of execution for the event, I hope that we have our contingency
plan because we cannot guarantee that all participants can join the event. Lastly, for the financial
management, all of our expenses for the exhibit must have a financial statement to avoid some
error when the day that it will be audited by the auditing director. So far, all is good. if there some
questions and inquiries, just say it to Ms. Punzal and I will try to answer them. Thank you, Meeting
